Subject: Things to do

Hi Eddie,

Just a few things I need your help with.

We have a school visit coming up and I’d like you to complete the schedule, and get it ready to

send to the teacher, Mrs Fung. Amy made a start on it but she’s away this week. She should be

able to send you most of the missing details, though. You should also check your notes from

my radio interview for the parts of the visit involving me.

Next, please can you write an introduction to HKMCC for our website? The website is badly in

need of some work in general, but this introduction is our priority for now. We need something

that tells people who we are (where the centre is located and who works there), what we do (our

day-to-day conservation work and education programmes) and how this helps (mention our

aims). You should be able to find all the information you need in the HKMCC leaflet and your

notes from my radio interview.

Finally, Amy mentioned that Mrs Fung sent an email to her with some questions, so please can

you follow up and reply to her? Just answer her questions as best you can and let her know she

can contact me directly at [email protected] if she needs any further help. I’ve asked

Amy to forward Mrs Fung’s email to you. She’ll also let you know where you can find the rest

of the information you need to answer.

Thanks for your help!

Agatha

Subject: School visit

Hi Eddie,

Agatha asked me to let you know the plan for the school visit with Mrs Fung’s class on

Wednesday, 24 May.

It’s going to begin and end in the usual way. After the introduction, there will be a tour of the

mangroves, which will be followed by a survey of water life in the mangroves. You know the

kind of thing: catching bugs, putting them in jars, making a list of everything … That stuff

always takes a long time, so after that, it’ll be time for lunch. The Mantis Cafe will be open, so

they can eat there.

In the afternoon, they’ll visit the forest—a tour of forest habitats will make a nice change from

sloshing about in the mud. And they’ll visit the forest animals hide for some deer-spotting.

Then, before the concluding talk, there will be a quiz on everything the students have learnt,

back in the lecture hall. That should be around 3.30 p.m., I think, because the talk is scheduled

for 4 p.m.

There’s no need to include too much information in the schedule—just a brief description of the

activity will do. (Though, where necessary, also mention where the activity will take place and

who will be in charge.)

OK, that should be everything you need. Thanks for finishing the schedule for me!

All the best,

Amy

Subject: Questions

Dear Amy,

Please send me the schedule for the school visit as soon as you can. I’m anxious to make sure that

all the students are prepared for the trip.

Regarding the trip, I have a few questions that I hope you can answer. First, what should the

students bring with them? Is there any special equipment that we need to bring, or does the centre

provide it?

Another consideration is that one of our students, Terry Wan, uses a wheelchair. Can you tell me

if the centre has wheelchair access? Are there any activities that Terry won’t be able to take part

in?

Finally, after the trip, I’d like to do some follow-up work in class, so please can you tell me what

sort of materials, if any, you provide for this.

Thanks in advance for your help.

Kind regards,

Marjorie Fung

Hi Eddie, I’ve just taken a look at the email from Mrs Fung. Regarding the things students need to bring, I think we’ve covered most of it in the schedule, so you can just tell her to refer to that. But I do think that we should ask students to bring sunscreen and insect repellent in addition to the other items.

Regarding Terry Wan: the only thing he won’t be able to do is wade in the mangroves.

Mrs Fung didn’t mention if any of her students have special dietary requirements. Maybe it’s best to advise them to bring a packed lunch if they do.

Subject: Things to do

Hi Eddie,

As you may have heard, we’re going to make a video to promote the centre, and tell people about all the work we do here. There are a few things I’d like you to help out with.

First, please can you email Brian Lo at Filmtech Productions to let him know our plans for the video? Filmtech Productions is the company responsible for filming and editing the video, and Brian had several questions about our requirements. I’ll send you the email he sent to me and you can take it from there.

Next, we’re hoping that we can persuade Pat Chan, the famous naturalist, to present the video. Please can you write to him, inviting him to do that? You’ll need to use all your charm and persuasiveness! Start by saying why you’re writing, and let him know the name of the video. Then, say why we’re asking him to present (because of his reputation, and the fact that he’s made some documentaries on similar themes—it would be a good idea to list some relevant examples but no need to mention the awards he obtained). Then list all the parts of the video he would be involved in. Don’t mention anything about payment yet. Tell Pat that if he is interested, he should get in contact with me to discuss his fee—he can email me at [email protected]. You can use Pat Chan’s entry on WikiNat as a starting point.

Finally, please can you work on an introduction for the video? This will be the voiceover for the first scenes—with any luck, Pat Chan will be reading it on the actual video. Start with a brief explanation of what mangroves are, then move on to tell people who we are (where the centre is located and who works there), what we do (our day-to-day conservation work and education programmes) and how this helps (mention our aims). You should be able to find a lot of the information you need in your notes from my radio interview.

Thanks for your help!

Agatha

Dear Agatha,

To ensure we provide the best service to you, please answer the following questions regarding

your requirements for the video production.

First, do you have a plan for the different sections of the video? If possible, please provide details

of each sequence you have in mind for the video shoot. Provide details like the subject of the

sequence and the location but at this stage, there is no need to mention the filming details.

Second, will we need any special equipment for the video shoot? For example, any sequences

involving aerial shots or underwater shots will require special equipment. (Please see the attached

guidelines for reference.) We will bring standard camera and sound equipment unless otherwise

specified.

Finally, are there any rules that we will need to obey while at the conservation centre? I

understand that the mangroves in particular are fragile. Please let us know how we can avoid

causing a disturbance.

Thanks and kind regards,

Brian Lo

Draft video proposal

HKMCC video proposal (first draft)

Rationale

1) Promote the centre/encourage people to visit

2) Encourage people to volunteer

3) Raise awareness of dangers to mangrove habitats (especially in Hong Kong)

Presenter

Pat Chan? (If he can’t do it, we could approach a local news presenter. We definitely need

someone recognizable and professional.)

Sequences in video

1) Opening sequence: Overhead view of mangrove and forest habitats. Would be good to

have the camera flying in from the sea. Suggest it starts low over the mangroves, follows the

boardwalk, then climbs higher to go over the trees. Probably not possible to see the forest

animals hide from above, but we can show that in a later shot.

2) Interview with Agatha Chu. Ideally, Pat Chan will be the interviewer, but this is not

confirmed yet. The interview will be held in the lecture hall.

3) Tour of mangrove habitat and introduction to the work we do there. This sequence will

involve a lot of moving around. Guessing that the boardwalk is not very accessible for

camera equipment, etc. Suggest we use the centre’s boat and travel around the edge of the

mangroves so as not to cause disturbance. The boat should be big enough to accommodate

the film team and equipment.

4) Underwater sequence at mangroves. It would be great to get some footage of the root

system of the mangroves underwater. Some close-ups of the fish swimming around the roots

would be lovely. We can combine this with sequence 3—the film team can just hang a

camera out of the boat into the water.

5) Forest animals hide. We can film the inside of the hide, and get some footage of the

animals outside. We’ll probably only see birds, but it would be great if we saw a wild boar or

some barking deer.

6) Closing sequence: show the opening sequence again (no need to film a new sequence).

SPECIAL EQUIPMENT

Filmtech Productions will only bring standard video and sound recording equipment to a video shoot unless specifically requested. The following are examples of filming conditions that call for special equipment, and the equipment needed for each.

1.01 ice/snow: fog/frost-proof lenses

1.02 rain/underwater: waterproof camera

1.03 aerial shots: drone, drone-mounted camera

1.04 motion (i.e. on road/river/sea transport): motion steady camera

OTHER CONSIDERATIONS

Filmtech Productions is committed to carrying out work in a considerate manner. When filming, we always do our very best to avoid causing any obstruction or disturbance that could negatively impact our clients’ operations. Please inform us if there is anything we need to take into consideration in the execution of our work. We understand that film crews can cause a disturbance in areas where bright lights may cause problems. Equipment that is adaptable to low-light environments is available on request.

Voicemail from Agatha Chu to Eddie Kwok

Hi Eddie, it’s Agatha. Something’s just occurred to me. When

you email Pat Chan and mention all the parts of the video he’ll

be involved in, you should also tell him what we want him to do

for each part. You already know that we want him to do an

introductory voiceover for the opening sequence—that’s the bit

you’re going to write—but we’d also like him to do a closing

voiceover for the last sequence of the video, and a voiceover

for the underwater sequence. In addition to that, we’d like him

to conduct my interview, and present the sequence in the hide.

Got that? Thanks!

WikiNat entry on Pat Chan

Pat Chan Pat Chan Chun-man (born 8 May 1962) is a naturalist and broadcaster from Hong Kong.

He is best known as a presenter of popular nature programmes on Hong Kong television. Critics have applauded his ability to make complicated, specilialized or ‘boring’ topics accessible to the general public.

Awards

Pat Chan has received a number of awards for his television and radio work. Most recently, Urban Jungle, a six-part series focusing on the many species of animals that have made Hong Kong their home, won ‘Best Natural History Programme’ at the Hong Kong Academy of Television Awards in 2014. Critics praised the way the series presented the ‘hidden’ lives of animals in the city. Insects of Asia won the same award in 2009. Step Outside, Chan’s long-running radio series aimed at younger children, has won a number of awards, including an Outstanding Contribution to Education award. Chan is quoted as saying that this is the award of which he is most proud.
