Step 1 : Set the fundamental data for calculation.

1.1 Fill in the following fields : year /semester / faculty / department / course ID / course name / section / lecturer.

1.2 Setting the evaluating score for calculation. 1.2.1 Input Mark Allocation

Allocation Name = full name of the evaluating score Initial Allocation = abbreviation of the evaluating score Score = score

Input the evaluating score that you want to calculate in the score box, then click

If you want to delete the input data, click If you want to edit the name of the evaluating score, double click on the line that you want to change.

After making changes then click and

or click if you want to cancel.

1.3 Select the calculating conditions or exam result that you want to be shown after evaluating.

Remark : Please consider these special calculation options.

1. For standard calculation (with “F”) select “N” for all.

2. For special calculation (with “F = WP”) select as follows.

3. For none-credit calculation (with “S/U”) select as follows.

4. For Nursing Science, select as follows..

5. For Basic Mathematic, select as follows.

6. For the subject with auditing students, select as follows together with other calculations above.

1.4 To make backup files with only Mark Allocation data press the at the button and click The program will export all data to Microsoft Excel. Remark: The exported file can be modified only in the column “Mark Allocation”.

1.5 For importing the to use in the eGrading, click and the program will open a window for you to select the file to be imported.

Remark: 1. The only file you can import must be exported by from the eGrading program only. 2. If you select a file which was not exported from the program, a warning will pop up.

Step 2 : Download the list of registered students and record examination marks.

2.1 To import the list of registered students who have made payment into the eGrading, click and a window for online log in will be pop up.

User and Password = (AU ACCOUNT)

After logging in, the program will show a window for you to select the required sections.

After selecting, click and to confirm or to cancel

2.2 Inputting the data, saving or editing can be done at all time.

2.3 After finishing inputting the data, click and the program will add up the marks and show the total

marks. Every time you edit, change or add new data, always click again.

Remarks :

1. To save the progress, You must press the and select and save the Excel file on your computer. You must use the latest excel file to resume editing/inputting marks.

2. For students with no exam score, waiting for exam score or absent at the examination, leave blank. 3. If input the score as “ 0 ” or “ 0.00 ” , the program will also sum up to total score.

More Functions

This function is for checking the names of student that have voluntarily dropped or have been debarred by their instructor, by selecting the “Verify Withdraw” button you will be prompted to log in again.

User and Password = (Login at AU ACCOUNT)

The program will open a window displaying the name list of students that have withdrawn or have been

debarred. If you need to modify or change the information, select the students name then press the

button to confirm or to reverse the operation.

Add Student (Manual) function is for adding the students’ name not on the list by clicking the button, the program will show this window

Fill in the student ID and the section

or if you want to cancel

The recently added name is only at the bottom of the list. The program does not sort the added name in the list in accordance with the student ID

This function is for deleting the name of the student that was added manually only. After the button is clicked, the program displays the following window

Calculation Method

A. Input the Curve into the and press Enter only.

B. The Base Score will automatically update after Step 1.

C. When the configuration is done, press the button .

Step4 : Check for accuracy 4.1 Grade Editing.

If you want to make changes to the grades, right-click on the line that you want to edit. Then, the display

will show and click the student information will show on the right side.

Click and select the grade that you want to change to. Then Click

4.3 Save file and print out the document in order to show to your dean and Sign ( Score / Tally ). After finishing the step in 4.2, the program will show the document in Microsoft Excel.

Save file and print out the report “Score and Tally” sheets and get the signature from the chairperson and the dean.

In case the faculty of Nursing Science needs to print the grading information.

Click the tab click and click again

After the program has done processing, a Microsoft Excel file will pop up.

Save the file and print the report of Grading Form and Student List to submit to the faculty of Nursing Science.

4.4 In case that the committee requests the Curve to be modified.

In case that no grade modification is needed in the step 4.

1. Open eGrading Program and click the button and select the Excel file to import.

2. Click the button .

3. Enter the newly revised Curve and click the button again.

4. In Step 4, press to finalize and finish the procedures.

In case that grade modification is needed in the step 4 1. Follow the step 1 to 3 from the above

2. In step 4, press the program will retrieve the previously changed grade in the page before hand and modify the grade changes without having to individually change

the grade details. Then press and follow the standard operating procedure until completion.

Remark:

1. The program does not allow any Excel files that are not loaded via in the step 2 to be imported to the program.

2. When backup are needed or when inputs have not finished, press the button at the

button of the screen. Select and the backed up Excel file can be edited once reloaded

back into the program.

3. For any subjects that are clicked with the button , the program generates a barcode for the file to refer to the file submitted electronically to the registrar. If the code does not match, grade tranferring and announcement cannot be operated.

4. Instructors that have finished grading must have backup of Step 4 Excel files for all courses because the committee might adjust the curves after consideration. Instructors must use the backup files and load them into the eGrading program to adjust the Curve.

5. From #4, if the instructor did not backup the file, they must load all the name list and input the score again.

6. If the network is down, the program works in the off-line mode but cannot load any information from the network.

Coordinator Process

Method 1 : Suitable for instructors teaching by unorganized section. Exp. : A.XXXX X. teaching MKT2280 Section 401,412,423,434,445,456,467 etc.

Method 2 : Suitable for instructors teaching in corresponding section. Exp. : A.XXXX X. teaching MKT2280 Section 401,402,403,404,405,406,407 etc.

Method 1 : Suitable for instructors teaching by unorganized section.

1. Coordinator must collaborate/merge files of the instructors. ( exported at Step2 only)

2. Coordinator open the eGrading program.

3. Press the button then press

4. The program will open up the Browse and Import

4.1. Press Browse

Select the first file in the series that you need

4.2. After that press Import

Click “Import”

Click “Yes” to confirm

and click “OK” again

5. Press Import to import the first file and repeat the same steps for the rest of the files. After all files have been

imported, press the button.

Click “Export”

Click “OK” to confirm

6. The program will merge all the grade sheets and display them in Microsoft Excel.

7. Coordinator must use the merged file to import back to the eGrading program and follow the procedure until the grades

are submitted in the last step.

Method 2 : Suitable for instructors teaching in corresponding section. 1. The faculty must send the name of the coordinator of each course to the Registrar Office and the grading committee.

2. The Coordinator must enter the program and then load the name list for all sections from Step2.

3. When the coordinator receives the name list they must then the program will send/display the name

list in Microsoft Excel.

The coordinator can input the scores individually or copy the scores from the other files into the columns.

4. The coordinator can copy the scores from other files (from other instructors) and paste in the file exported from #3.

Then import the file back to the program and continue with the procedure until completion.
