Use the Correct Browser Use Internet Explorer (IE) in compatibility view to view this site. If you do not, courses will not show as

completed and some screens may not display properly. IE version 7 is already compatible. Versions 8 and above MUST be set in compatibility view. Do not use other browsers like Google Chrome.

Below are instructions on how to check your browser and set it to compatibility view. Check it regularly as automated updates and others using your computer may update the browser without you knowing.

Open Internet Explorer and click on Help. You will see the version, as in the sample below.

If your version is 8 or more, you must set your browser to Compatibility view. See sample below. Click Tools and then click Compatibility View

The Guest Screen

The first screen on the site before you sign in is referred to as the Guest Screen as it is the only screen you can view without signing in to the site.

The numbers below show what you need to know about this screen:

1: Be sure to check the information on this page frequently for important updates about issues or if the site will be unavailable due to maintenance. Note the information in the red box.

2: This Catalogue tab takes you to the “Guest” Catalogue. It lists only a couple of samples of the courses available on the site. To find all the courses you must sign in.

3: Click the Sign In link to go to the Sign In screen. You must sign in using your network username and password. These are the same ones you use to sign in to work email. You must put your domain\ or IWK\ before your user name. Please see the instructions on the sign in screen for samples.

• This site passes information to a database to be stored. The site has special security to protect that information. Please note the site is https://

The Sign In Screen Arrow 1: It is very important that you use the correct web browser so that courses and exams display and work correctly.

Arrow 2: The first time you visit this site or it has been a while, please read all of the information on the Sign In screen. It will only take a couple of minutes and will update you with common issues/questions experienced by some users so you can avoid problems.

Arrow 3: Type in your network username with your domain\ or IWK\ attached as shown in the Examples below. As of April 1, 2015 all DHAs have joined to become NSHA. The network directory still is set up by regions so user names still reflect the old DHA domains.

Arrow 4: Type your password in the Password window. It is the same one you use to access work email, webmail, and your computer. Click the Sign In button.

NOTE: As of April 1, 2015 all DHAs joined to become NSHA. The network directory still is set up by regions so user names still reflect the old DHA domains. There was no change for IWK employees.

Notes for users:

• The back slash looks like this “\”. • Do not confuse it with the forward slash “/” found on the same key as the question mark. • Everyone has a unique learning record tied to their username and password.

o Never allow someone else to use the system with your username and password. o Always sign out when you are done in the system.

o If the system detects no activity after several minutes it “times out” as a security measure. You will need to sign back in.

o Do not “walk away” from a learning session while doing exams, as you may lose your work and have to start again. In exams, you are required to Submit your answers (sometimes one at a time, and sometimes all at once at the end) the system does not consider the questions answered until you actually submit the answers.

Your eLearning Home Screen

Once you have signed in to the site, you are on the Your Learning Studio Homepage.

You Home screen is a communication and organization page. Note each red arrow and its corresponding information listed below.

Arrow 1: Always be sure your screen “Zoom Level” is set to 100%. If it set below 100% your course may not fully display on the screen. That setting is found on the window’s Status Bar.

Arrow 2: Click on a tab to go to that screen. The tab turns teal/aqua when you are on that screen.

Arrow 3: Please check the Information for Learners each time you visit.

Arrow 4: These areas show courses that have been assigned to you. Once you complete a course it disappears from the list. NOTE: An easier to view list can be found on the My Learning screen.

Arrow 5: Help link – Please read the Help page the first time you visit the site and anytime you need help with a function. There are cheat sheets, FAQs and other information that may be helpful to you. New items are added and updated as required.

The My Learning Screen

This screen shows a list of all courses and exams that have been assigned to you by yourself or someone else. Think of it as your “to do list”. Items will disappear from the list when you complete the,

Arrow 1: This area shows the course title. You can start the course by clicking this link or the Take now or Continue link.

Arrow 2: The Type of learning shows if the course or exam is a Recommended or Mandatory item. Recommended items can be removed from your list, if you have not started them yet, by clicking on the Delete

icon . The date your course is due is also shown here. Courses not completed by the due date will show up as late on reports. The course will remain available and on you’re my Learning list until you complete it.

Arrow 3: This area shows the Action required such as Take Now or Continue if a course has already been started. If you must leave a course before it is finished, sign out. When you sign back in, the system will allow you to resume where you left off if you want. Each new item has a yellow star just to highlight it. You can remove it by clicking on it.

Arrow 4: IMPORTANT: When a course has been completed it will disappear from this list. To see a list of completed AND non-completed courses, check the Show History box. It will show you the dates courses were completed. Just remove the check mark to return to the My Learning screen.

Notes for users:

Please note: As soon as you complete a course check the Show History screen to see that it shows as complete. The course will also disappear from you’re my Learning screen. If it does not show as complete and you are sure you viewed all screens and answered all quiz questions, check your browser to be sure it is compatible as described in this Quick Guide.

The Show History Screen

Arrow 1: When the Show History box is checked you are on the Show History screen.

Arrow 2: When you have finished a course it will show as Completed in the Action column.

Arrow 3: You will also see the Completion date as seen circled below.

• It is important to check to be sure the system recognizes that you have finished a course. Otherwise your learning record and reports will not show the course as complete.

• Courses will not show as completed if you are not using a compatible browser or if you have missed screens or have not finished quizzes in the module.

Notes for users:

To return to the My Learning screen Click the My Learning tab or remove the check from the Show History box.

The Catalogue Screen

The Catalogue screen shows all the courses and exams available to you. Each course is set up with security that determines who is able to see or take it. If you belong to a group that is allowed to see the course you can access it. If you are not a member of the group you will not see it on the list. Some courses are open to everyone; some can only be seen by specified groups.

Note: In this current site you will note two search windows. Both will work.

Arrow 1: When you first go to the Catalogue screen it will show you how many courses are available to you, listed in alphabetical order by name or by course code depending on how you sort the list. Only a partial list will show initially until you actually click Search.

Arrow 2: To sort by name be sure the Sort By choice is “Item name”

Arrow 3: To list all courses in all catalogues, choose All Catalogues and click Search.

Searching: How to find a course from the All Catalogues list

Arrow 1: Once you do a general search of all catalogues your courses will display 10 at a time on the screen.

Arrow 2: You can move from screen to screen using the Previous and Next buttons

Arrow 3: The Type window lets you find only a certain type of item such as: all types, on-line courses, on-line exams or classroom courses.

Arrow 4: To search for a specific course, type a word found in the course title or description in the search window Arrow 5: Click Search

Some developers also create keywords to assist learners in finding a course. Example: To find a course related to privacy, type privacy in the window. Avoid using several words unless you know they are the exact title. Avoid abbreviations unless they are part of the actual title.

Searching: Using Specific Catalogues

Catalogues help organize courses belonging to a certain user group. A course may belong to several catalogues if it is shared. When searching the All Catalogues choice, you will find courses regardless of which catalogue it is in.

Arrow 1: Click the drop down arrow to see a list of catalogues and click on the one you want to view and click Search. Remember some catalogues may appear empty if there are no courses in there available to you.

Arrow 2: The screen will show how many results or courses are available to you in that catalogue and list those courses and/or exams.

How to Assign a Course or exam to yourself

Arrow 1: Each course or exam has a brief description. To see the full description click the Select This Item button (Arrow 2). Please read the full description as it often contains special instructions or information.

Arrow 2: To self assign a course click the Select this Item button, then Add to My Learning and follow the instructions as you go along. You do not need to pick a Due date or Target date when you are self assigning. You can then complete the course or go back to it later on you’re My Learning screen.

The Reports Screen

There is one report available to all learners. Additional reports are available for educators and managers using the system.

Arrow 1: To run a report to show your learning record, click on the My Learning Items Report link.

The Report Viewer Screen

When the My Learning Items Report link is clicked it opens the Report Viewer Screen. You can run a report showing one course or many depending on the choices you check or uncheck.

Arrow 1: To show only courses and exams you have completed – check the Completed and Successful boxes. Arrow 2: If you are interested in a specific due date range click on the calendars to choose the dates. Remember, it is the range in which the item was due. You do not have to enter a date range.

Arrow 3: When you have finished choosing what you want on your report click the Generate Report button. It will take a few seconds to run depending on how many courses you have taken.

Notes for Users – about reports:

• For more details on how to run a report please read the cheat sheet called How to Run a Report Showing My Courses and Exams. It is found on the Help screen. The cheat sheet will also show you how to save your report on your computer as a Word document and then print it.

• Instructions for Educator/Manager reports are also available on the Help screen.

• Your report will show actual exam scores so be careful where you save your reports. • Every Learner in the system has a unique record that keeps track of all the courses and exams assigned,

started and taken. As mentioned before, these are all listed on the My Learning screen when you check the Show History box. Please Note: The first place you should check to see if the system shows you have completed a course is on the Show History list on the My Learning tab.

• It sometimes takes several minutes (15-20) after a course or exam is completed before it will show up on your My Learning Items Report. The reports database updates new information every 15 – 20 minutes.

• Learners can only view their own reports and cannot see other learners’ results. Your manager(s) and/or educator(s) however are able to view reports on their employees/learners.

Hints and Tips for the NSHA Learning Management System (LMS)

1. Frequently check the message box on the home page for new information.

Each month the site is unavailable between 1am and 6am for routine maintenance. Warnings and other important information are also placed here.

2. Check your web browser First check that you are using Internet Explorer as a browser. All versions must be set to Compatibility view. Instructions are on page two of this guide.

3. Use your network/Active Directory username and password

To Sign in, enter your network User ID (username) and password in the windows on the sign in screen. This is the same username and password you use for work email and webmail. Be sure to include your domain and a backslash before your username. Passwords are case sensitive. Please note the direction of the backslash (\). See examples on the Sign In screen

4. Check your course as soon as you finish to be sure it shows as completed

The first place you should check to see if the system shows you have completed a course is on the Show History list on the My Learning tab. This should show up immediately

5. Reports are available 15-20 minutes after you complete a course. You must save it to your computer before printing it.

Reports can show one or many courses. You choose. They take the place of certificates used in the past and can be saved on your computer and then printed or emailed. Please see the cheat sheet called “How to Run a Report Showing your Courses and Exams.
