This presentation helps you in learning about the EmpXtrack Leave Module. We login as 3 different employees to help demonstrate the leave process and then help configure the holiday calendar, weekends and setup a new leave type.

This presentation allows you to:

a. Apply for Leave as an Employee, Approve it as a Manager and Accept it as

an HR Manager.

b. View leave records for all the department employees as a Head of the

Department (HOD).

c. Configure Leave Module.

Note: We would be trying most of the functionality with 4 employees circled below. They are available in

the demo.

a) Janet Leverling – the employee b) John Steel – Janet’s Manager

c) Terri Osborn – the HR Manager d) Susan Jones – the Head of Department

To Login as an Employee, roll on the mouse to the employee and click on the Login button (as shown

in the image below)

To apply for leave as an employee, you need to:

1. Log in as Janet Leverling

2. Go to My profile>>My leave.

The page displays all the leave types

applicable to you. Each leave type

displays the leave credited

and the leave balance for

that leave type.

3. Click Apply to apply leave for that leave type (click on Apply for Casual Leave).

4. Input the leave details on the pop-up page and submit by clicking on Apply.

5. Log out.

Approve Leave as Manager

To approve leave as a manager, you need to:

1. Log in as John Steel

2. Click on the View button of Leave message from Janet

3. Click Submit to approve the leave, Reject to reject the leave and click Send back to employee to send the leave request back to employee for some correction, as required.

4. If you have approved the leave request it will be sent to HR Manager.

Note: The Leave Approval process appears at the top of Leave Requests page and can be changed for each leave type

5. Log out after approving leave.

Accept Leave/Update Leave Records as HR Manager

To accept leave request and update leave records as HR Manager, you need to:

1. Log in as Terri.

2. Click on the View button on the Leave message from Janet’s manager John Steel.

3. Click Accept to accept the leave request, Reject to reject the leave request, Send back to employee to send the leave back to employee and Send back to manager to send the leave back to Manager for reconsideration.

4. Click Add note link to add a note.

If you have accepted the leave, the leave will be successfully accepted and leave records will be updated.

To view leave records as an HOD, you need to:

1. Log in as Susan Jones.

2. Go to Manage >> Leave.

3. Select HOD HR Department from Current role dropdown. You can now see all the employees in the

department with their leave status for the current week.

You can filter the employees on the basis of groups that you have created or on the basis of employee

name. You can view leave balance for employees and leave transactions by clicking on their respective

tabs.

You can configure Leave Types, Holidays and Weekends in Leave module.

To configure Weekends in leave module, you need to:

1. Log in as HR Manager

2. Go to Settings >> Employee self services >> Leave >>Setup weekends and holiday calendar.

The page displays weekdays with a Mark as weekend checkbox.

3. Click on the checkbox for a weekday to configure that day as off always.

4. Click modify icon for a weekday to set only specific days of that weekday off.

Configure Holidays in Leave Module

To configure Holidays in leave

module, you need to:

1. Log in as Terri Osborn to

configure Leave module as HR

Manager.

2. Go to Settings>>Employee

self services >> Leave >>

Setup weekends and holiday

calendar.

The page displays weekdays

and allows you to add a holiday.

3. Click Add Holiday button.

4. Provide holiday details on

Set holiday window that

appears and click Save.

The Holiday is successfully

added.

To configure Leave Types in leave module, you need to:

1. Log in as HR Manager

2. Go to Settings >> Employee self services >> Leave >> Setup leave types.

3. Click Add leave type button to add a new leave type or click the action icon for a leave type and then

select Edit to modify that leave type.

4. Add/ Edit the leave details on the Edit leave type or Add leave type page that appears.

5. Set leave rules according to your requirements in the Leave rules section.

6. Set Leave Credit and Leave Lapse rules in the Leave credit rules section

7. Click on Save.

Your leave type is successfully configured.
