BACKGROUND

The Energy Exhibition 2014 is the first time of its kind to be held in Brunei Darussalam with

a theme of Energy Efficiency & Conservation (EEC). It is organized in conjunction with the

Energy Week 2014 simultaneously with the launching of the Energy White Paper (EWP). In

2011, the Energy Department Prime Minister’s Office (EDPMO) organized the Brunei

Energy Expo (BEE) but it was structured with an open concept showcasing energy-related

products/appliances and technologies which attracted more than 100 exhibitors. Again

for the upcoming Energy Exhibition 2014, EDPMO is also expecting similar turn out from

both local and international exhibitors.

The concept of the Energy Exhibition 2014 is to showcase new technologies, appliances

and/or products in the field of Energy Efficiency and Conservation (EEC) as part of

EDPMO’s awareness programme to educate & encourage people to switch to

affordable energy efficient products as well as to inculcate the importance of conserving

energy for sustainable future. EDPMO is inviting relevant government agencies, major oil

& gas operators, both international and local vendors, Non-Government Organization

(NGO) and students via Energy Clubs to participate in the Energy Exhibition 2014. This will

also help international companies to explore business opportunities in the Sultanate as

part of Brunei’s 2035 vision to have a dynamic and sustainable economy. On

transportation sector, EDPMO is also inviting car dealers to showcase their hybrid cars

and electric vehicles in order to fully encourage more Bruneian to embrace

environmental-friendly or green vehicles in the country.

GENERAL INFORMATION

1. Event Date:

March 24 -29, 2014: BRIDEX Hall 2.

3. Wifi Internet Access at Venue:

WiFi access is basically available in the BRIDEX Hall 2 and you may get the password from

Exhibitor’s Service Desk. However, its accessibility and stability could become sub-optimal

at peak hours.

5. Tax for all Related Exhibition Materials for International Exhibitors

EDPMO will liaise with the Custom & Excise Department for the arrangement of bringing

in all products and technologies into Brunei solely for the purpose of the said exhibition.

For this, EDPMO essentially need all the list/specifications of the appliances/products and

technologies that will be brought into Brunei at least 3 weeks before the function and

EDPMO will give them to the Custom & Excise Department for their further evaluation and

import permit procedure.

EXHIBITION REGULATIONS AND GUIDELINES

1. Eligibility to Exhibit:

Interested parties should complete an online participation form with Energy Exhibition

2013. Organisations that have their reservations accepted will be eligible to exhibit. The

organizer reserves the right to refuse an organisation to participate at the exhibition if the

nature of the exhibition is not in line with the theme and concept of the exhibition. The

organizer also reserves the right to evaluate the appropriateness of the promotional

materials/products of the exhibitors for promotion purposes.

2. Build-up and Dismantling:

The build-up of exhibition booths within the exhibition hall can start after the organisations

or appointed contractors present the build-up permit. If the exhibitors find any pre-

existing damage at the exhibition space allocated, they are advised to contact the

exhibition manager immediately.

3. Move-in and Move-out Schedule for Exhibitors and Authorised Contractors:

4. Goods Vehicle Pass:

Goods vehicles must have a Goods Vehicle Pass issued by the BRIDEX management in

order to go into the loading area for unloading/uploading exhibits to the exhibition hall.

The pass will be pre-arranged and sent to the exhibitors one week before the event.

Please make sure your duly authorized booth construction company (if appointed) has

a pass as well.

5. Damage to the Venue Premises:

Any damage to the premises during the construction, occupation or dismantling of the

booth by a member of your staff or an appointed partner working on your behalf will be

taken up directly with the exhibitor and the organizer will not be held responsible.

6. Obstruction of Gangways and Open Spaces:

The emergency exits must not be obstructed at any time. Nothing may impede the free

flow of delegates in the aisles nor may furniture or equipment stand in the aisle space.

7. Sharing of Booths:

Exhibitors are not permitted to share with others any booth space allotted to them

without prior written consent from the organizer.

8. Sub-letting:

Exhibitors shall not sub-let any part of the stand allotted to them without the written

consent from the organizer.

9. Sanctions:

The organizer will carry out successive inspections to verify compliance with the

established norms. Non-compliance with any of the regulations in this Exhibitors’ Manual

will authorise the organizer to:

Cut off temporarily or permanently the power supply to the booth.

Close the booth temporarily or permanently.

Exhibitors must immediately correct the fault. The established sanctions may be applied

jointly or separately. In no case will the application of these sanctions give the exhibitors

concerned right to any claim or indemnity whatsoever.

STANDARD EXHIBITION BOOTH

1. Standard Booth Shell:

The standard shell scheme size is 3m (L) x 3m (W) x 2.5m (H) and it is complimentary from

EDPMO. All standard booth cells shall be designed and erected by the organizer’s official

exhibition contractor. Facilities of standard booth will also be provided by the official

exhibition contractor. The organizer reserves the right to make changes on the facilities

provided at any time before the commencement of the exhibition.

A fascia board with the exhibiting organisation’s name will be provided. Exact wording

of the name of the organisation (English letterings) should be stated in the participation

form and submitted to the official exhibition contractor a week before the event.

Exhibitors are normally not allowed to make any alterations to the structure of the booths

or remove any integral parts from the booths. Exhibitors requiring special assistance to

relocate or remove standard facilities should submit their request to the official exhibition

contractor (SUNLIT Advertising Sdn Bhd).

2. Standard Booth Design and Facilities:

Standard Booth Shell includes:

a) 1 table (1m X 0.5 m)

b) 2 banquet chairs

c) 1 single socket power point.

d) Folding chair in white colour x 2 nos.

e) 1 fascia board.

f) 9 sq. m needle punch carpet exhibition panel.

3. Important Points to be Followed:

No tapes, nails or fixtures of any kind are allowed to be affixed to the partitions,

floor or ceiling. Exhibitors are liable for any damage caused to their booth fixtures

and fitting at the exhibition.

Installation of electrical equipment, including lighting fixtures, must adhere to the

Electrical Regulations of Brunei Darussalam stringently. Exhibitors are advised not to

use electrical fittings which may contain sub-standard circuits in their booths.

No freestanding fitment may exceed 2.5 meters in height or extend beyond the

boundaries of the booth cell. This includes exhibits, names or logos of the

organisations and advertising materials.

All exhibits and stand materials shall be removed immediately after the closing of

the exhibition according to the arrangements and within the time limits specified

by the host. Any exhibits or stand materials left behind at the exhibition venue shall

be deemed abandoned. Exhibitors are responsible for the expense of the disposed

items.

SPECIAL-DESIGN EXHIBITION BOOTH (PAVILION)

1. Custom-built Booths on Raw Space:

Raw floor space for custom-built booth (pavilion) is available upon request at exhibitors’

own expenses. For this option of participation, exhibitors will be given “floor marking” raw

floor space only. The space will not be provided with partitions, furniture or fittings. The

exhibitors will have to design, construct their own booth and adhere to the Exhibition

Regulations and Guidelines as well as any other condition, which the organizer may

specify before or during the exhibition. Exhibitors are free to select any contractor at their

own discretion. The official exhibition contractor can assist with special design and

construction.

2. Height Limits:

Standing decorations, fittings or exhibits must not exceed 2.5 meters in height unless prior

approval in writing has been given by the organizer. Custom-built booths (pavilion) can

exceed 2.5 meters up to 6 meters in height.

3. Important Points to be Followed:

Exhibitors must ensure that they and their contractors are fully aware of the following

points when preparing design proposals. Failure to observe such rules can result in costly

alterations on site being required by the BRIDEX Management or the organizer. The

charges will be entirely the exhibitors’ expense.

Site measurements are to be given in metric units. Exhibitors, upon arrival and before

commencing construction work, are required to check if the site is set out as per the

floor plan issued by the organizer, and to report any errors to the host immediately.

The organizer will not be liable for any errors once construction work has been started

by the party lodging claim without first reporting the error to the organizer.

No party of any structure may extend beyond the boundaries of the site allocated.

This includes exhibits, names or logos of the organisations and advertising materials.

No suspension is to be made from the ceiling of the exhibition hall, nor may nail fixing

be made to the floor, walls or any other parts of the building.

The name and/or pavilion number of the exhibitors must be prominently displayed

and facing the aisle. If this rule is not observed, the host reserves the right to affix them

as it considers fit and to charge the cost incurred to the exhibitors concerned.

Exhibitors should provide, set up and decorate their booth’s partitions facing their

own booth areas, aisle and adjacent booths. All surfaces of the partitions must be

finished to an acceptable standard.

All electrical fittings and wirings must be installed in compliance with the Electrical

Regulations of Brunei Darussalam stringently.

PRACTICAL TIPS TO EXHIBITORS

1. Furniture and Floral Displays:

The official contractor has been appointed for the provision of extra furniture, furnishings

and floral displays at exhibitors’ own expenses. However, it is advisable that all furniture

shall not obstruct or narrow down the walkway inside the pavilion/booth area. The

organizer will carry out successive inspections and reserves the right to prohibit any

additional materials to be included in their pavilions/booths if those could compromise

the safety aspect.

2. Food Vendors:

The organizer via the official contractors will invite number of food vendors to set their

food stall inside BRIDEX Hall 2. Outside food and beverage is allowed for consumption at

the venue.

3. Cleaning:

The host will be responsible for the cleaning of the aisles and public areas within the

exhibition area. Should your organisation require your booth to have specific cleaning

during the exhibition, please contact the official exhibition contractor. Please note that

cleaners will only vacuum the pavilion/booths and remove rubbish on counter tops

however they will not do cleaning on exhibits or counter tops.

4. Security:

Whilst general security services in charge of the surveillance of the common areas of the

exhibition will be provided by the venue during the exhibition, the organizer is not to be

held responsible for losses and damages to the property of the exhibitor. It is the

responsibility of the exhibitors to ensure the safeguarding of their goods, promotional

materials, equipment, displays, products and devices placed at their booths at all times.

However, the exhibition hall will be locked at all time after the exhibition is closed

everyday.

The Energy Exhibition 2014 is to be held at the following address:-

This facility was built on a 26-acre site in the Royal Brunei Polo & Riding Club, just five

minutes away from the Empire Hotel & Country Club and about 20 minutes away from

the capital, Bandar Seri Begawan. Exhibitors and visitors benefit from 10,000 square

metres of modern air-conditioned exhibition halls; 5,000 square metres adjoining apron

space for static displays; a mobility park and marina for live demonstrations of equipment

and systems; chalets, restaurants and hospitality facilities.
