Overview

• The Extranet provides:– Authentication and Authorization– Identity and Access Management– An Application and Content Portal (phoenix)– A common security service for all our applications

• Extranet Accounts and Education Accounts– Education Accounts

• May be used by the public (students, parents, etc.)

– Extranet Accounts are “upgraded” Education Accounts• Extranet Accounts are for “staff”• Extranet Accounts must be connected to an Organization

What is an Extranet Account?

• An Education Account– Email Address– Password– Google / Microsoft Account Connection

• Plus– Business Contact Information– One or more Organization Profiles

• An Organization Profile– Connects an Education Account to an organization– Can be granted Permissions

Signing Up for Extranet Access

• First create an Education Account– Use your “work” Email Address– May use Google or Microsoft Sign In (if desired)

• Complete an Organization Profile Request– Make sure the information is accurate– Indicate which applications you need to access– Complete a request for each school you work at

• Wait for your request to be approved– Principals, Data Coordinators and Verify Extranet Login

Users can approve your request.– No need to print, sign and fax!

Extranet Administration

• Approving Accounts– Ensure contact information is correct– Especially the email address!– Review the application access requested– Read and understand the terms of use

• Deactivating Profiles– When staff leave or move to different schools

• Reviewing and Updating Permissions– When staff leave or move to different schools– When duties change

Extranet Directory

• The directory contains– All people that have extranet access– All people with “official” roles (e.g. Trustees,

Superintendents, Principals, etc.)– Information about organizations (schools and school

authorities)

• The directory can be searched– By name, email address or organization

• The directory contains– All people that have extranet access– All people with “official” roles (e.g. Trustees,

Superintendents, Principals, etc.)

• The directory can be searched– By name, email address or organization

• Organization Pages– Information about schools and school authorities– Based on what Alberta Education has on file

Extranet Directory

• Privacy– All contact information in the Extranet is deemed

“Business Contact Information” and made available to all other users of the Extranet.

– Application Access information is only made available to other people within the same organization.

Governance

• New “Extranet Organization Agreement”– In draft for discussion– Needs to be signed by Superintendents– Commits to account management practices

• Timely updates of contact information• Deactivating accounts when people leave• Reviewing accounts and access annually

– Requires a Chief Security Officer be identified– Formalizes the role of Security Operator’s
