VI. RBD Reports Joe R. (Ill. RCC) – Not much has changed since being elected RCC for the great state of Illinois. I have been trying to make a smooth transition into my new position; I am learning new things daily that will both better GLACURH as a region, and the state of Illinois. At the moment I am getting prepared for IRHA, the Illinois annual conference that will be hosted at Bradley University, and trying to stay afloat in school. There are many goals that I have planned for myself this year, the most important of those is to slow down and appreciate the little things around me. As a student leader it often times seems that we are rushed through our days; attending one meeting after another, school, and maintaining an active social life. My goal is to slow down, budget more time during the day to address my needs. I can’t wait to get to work with all of you to make this the best region, please drop me an email to say what’s up I want to get to know all of you!! Eric C. (In. RCC) – January has been a busy month for your IN RCC. I hosted the RBD retreat at Valparaiso University the 16-18. I attended the HCC Retreat/Preconference walk through at U-Indy on the 23-24. I published the HCC manual, which is now online at www.irho.org. I consolidated my transitioned files from many folders, binders, and bins to a bin and a couple important binders. I worked with the RBD in selecting a New AD-IT. Worked on a technology/communications session for No Frills, attended all of the RBD chats and overall am excited continue to work with the current RBD as we are moving forward and looking forward to NACURH. Emily A. (Wis. RCC) –My greatest excitement of the past few weeks has been my work with Philanthropy. I have been having a blast of a time talking to the staff at the Ronald McDonald House-Ann Arbor. I am so excited for our big plans. I know that we can surpass what we raised last year. I was also fortunate enough to have had a wonderful time at our RBD retreat. It was a great bonding experience and we set a lot of good goals for the Region and ourselves. No Frills was awesome and it was an amazing experience to get to know everyone a little better and put faces with names. My next big commitment will be attending the WURHA conference at UW-Eau Claire in a few weeks. Thank you to everyone for their spirit during No Frills. Keep up the great work!!! Ty K. (Mi. RCC) – What have I done thus far? Since being appointed, I have been working on getting contact information from each member school in Michigan. There are a couple schools that I am having issues with contacting them. But so far I have contact info from CMU, EMU, FSU, GVSU, KUA, KUB, MSU, SVSU, UM, and WMU. I have been trying to utilize the Michigan NCC listserv more and trying to increase communication among the NCCs. I know they all like to use AOL a lot more, but the listserv still needs to be utilized. I have made a list of all the Michigan schools that are currently affiliated, were once affiliated, and that have the potential to become affiliated. I am going to try to focus a lot on retention. I do not think GLACURH should be trying to recruit new schools if they cannot keep schools affiliated. I am also trying to work with the NRHH Chapters in Michigan, those that are affiliated and those that are not. I am trying to let them know that I am here and I may be used as a resource. I attended the RBD Retreat. It was a lot of fun and we got a lot done...I mean A LOT! It was great getting to know the rest of the board. Prior to No Frills I read through the whole GLACURH Constitution and made notes throughout it of stuff that could be improved. I'm hoping it was of use to them and I think it was because of 22 pieces of legislation written, 9 of them were written by Michigan NCCs and NRHHers!!! You guys all rock!!! I also got the Michigan NCCs,

NRHHers, Michigan Advisors, and other Michigan people that will be attending No Frills t-shirts to represent to the max!! The shirts were awesome!!! What am I working on? I am working on an information packet for the Michigan NCCs, which is something I hope will be very useful to them. I hope to have this completely done so that it can be transitioned by the NCCs to their successors. I also have to figure out who will be transitioning at NACURH this year to make sure that they are transitioning. I am also keeping up on my parliamentary procedure. Like any organization that uses parliamentary procedure, GLACURH does things slightly different. I am making sure that I know GLACURH's way and trying to prepare myself for the unexpected...which everybody in MORHA knows can happen...=) Dave R. (AD-IT) – I would like to thank everybody for his or her warm welcome to the GLACURH RBD. I know that this will be a fun and productive year and I am pleased to be working with you in this. Over the next few months and throughout my term in office, I will be striving to streamline and utilize efficient and effective communication mediums for the region. Feel free to contact me with any questions, comments and concerns that you may have about the various ways we have to communicate within the region. I will be working on overhauling and updating the GLACURH website. In addition, I would like to see a newsletter, or publication for the region to turn into a reality. I will be asking for your comments and submissions in this process; and I would like to thank you in advance for your help and participation in getting this up and off the ground. Stephen S. Checking – The amount GLACURH has in its regional checking account is $21.269.73 2. Savings – The amount GLACURH has in its regional savings account is $3,005.87 3. Philanthropy – We are collecting spare change for regional philanthropy. You can deposit money in my piggy bank up at this table or in this canister. 4. Traveling Trophy MOWII – We are starting a recognition initiative involving MOWII. The MOWII that Dan Seavers from Carthage College is now going to be used as a traveling trophy for the region. Dan stole MOWII at GLACURH and had it since. The rules are simple so far. MOWII needs to stay in the boardroom at all times. The person who is in possession of the MOWII at the end of the business this weekend gets to keep it until NACURH. At NACURH the owner will change. However, Carthage will not be able to leave the conference with MOWII. You cannot leave the conference with MOWII if you brought it. So, good luck getting it away from Dan. Things I have been working on: 1. The GLACURH Affiliation Process – I have been working very hard on the GLACURH affiliation process. For any schools that have their affiliation materials for the NIC and NRHH, you can bring me them. If you didn’t bring your affiliation material, don’t worry, you don’t lose voting rights or anything like that. This is just a service we want to offer the NCCs and NRHHers to make the affiliation process run smoother. For the 2004-2005 Affiliation process, which will start at NACURH 2004, the RCC offered to proofread NIC reports. Please remember this program is completely optional. We just want to make affiliation easier. If you have any questions, please ask. 2. The Fiscal Year 2005 Budget – I have prepared the FY05 Budget, which will be passed at No Frills. I have been having a lot of fun working on the budget and I can't wait to use it. To accompany the budget, I have prepared a Budget Summary sheet, which explains every budget line.

3. NACURH 2004 Slideshow – With the help of James and a few other NBD members, we made a slideshow to help NCCs and NRHHers learn more about NACURH 2004 at Saint Louis State University in May. Things I am preparing for: 1. EOY Fiscal Process – The End of Year Fiscal Process will be upon us in early March. That is when I get to close the FY04 Budget and start to use the FY05 Budget. Last year the process was easier than I thought and I can’t wait to do it again. Things on my mind: 1. NACURH 2004 – It is going to be awesome going to Saint Louis for NACURH 2004. I can’t wait to help get the region excited about this. It’s going to be a good time. 2. The RBD – The RBD has been giving 110% to the region since being elected. SNAPS to them! James T. (Dir.) – Some of the things I have been doing to keep myself busy over the past few weeks/months:

• Attended Semis at St. Louis University • Organized the RBD retreat at Valparaiso University • Worked in great length with Carrie and the conference staff at U of M to prepare

for No Frills • Weekly chats with the RBD to discuss No Frills preparations • Assisted conference bid teams with preparations for No Frills • Participated in weekly chats with Terry, the RBD and the monthly chat with the

NBD • Appointed Chair of the NACURH Americans with Disabilities Act Committee (ADA) to

examine ways to handle ADA needs at our conferences. Over the course of the next few months I will be working on some major new items for NACURH as well as for the region. Some of these include research for possible legislation for NACURH for travel reimbursements, NCC/NRHH programming at NACURH, preparations for the NACURH Conference, Spring Retreat with the RBD and increasing communication through various technology mediums. All of these various areas I hope to at least begin and/or complete by the time the NACURH Conference comes around in May. Until then, feel free to contact me at anytime and I’m very excited for where GLACURH is headed this year. Tumbo (Adv.) and Marcus (Adv. Elect) – We have been spending time working with James and the RBD to prepare for No Frills, RBD vacancies and our Winter Retreat. We have also been encouraging dialogue at all levels on several issues and ideas to help the region continue to thrive in the next several years.

VIII. On Campus Marketing (OCM) Presentation – Angela Ciocca What are OCM’s Fundraisers? Final Exam Kits – parents send support to their student for a stressful time of the year Collegiate Welcome Program – parents send support to their student for good luck at school Residence Hall Linens – parents can purchase linens for their student’s bed Residence Hall Carpets – parents can purchase carpets for their student’s room Diploma display – parents can purchase a display for their graduating student’s diploma Finals Exam Kits for the off campus community - parents send support to their off campus student for a stressful time of the year OCM contributes financially to NACURH – this year is a little over $18,000. They also provide pins, pads and calendars at the NACURH Conference.

IX. Parliamentary Procedure Overview – Ty On the back of the placards there is Parliamentary Procedure information. Make sure you state a motion the way you mean it. Write down your motion or amendment before you say it, so you don’t forget it. We will need specific vote counts for the budget and legislation. Don’t be afraid to ask questions or extend question and answer time.

The cards and e-mails to the conference staff helped a lot. She can’t wait to transition GLACURH 2004. The excess check of $2,853.9 was given to GLACURH.

Approval of GLACURH 2003 Minutes “No Frills” was deleted from the title Loyola: Page 3; “Cartage” should be “Carthage” CMU: Page 5; “More students live on campus than off campus.” should be “More students live on campus now than before.” EMU moved to approve the GLACURH 2003 Minutes, seconded by MSU, passes.

XXV. NRHH Report – Andy Meyer The RAD Conference went great and they had a lot of fun. There was a lot of legislation. They talked about the OTM Database. The website is going to be up really, really soon and it will be at Kansas State. Their site will be www.nrhh.org. New apparel will be up on the website soon. The 1% Press will be on the website too. The National Office is doing a new program about “You Better Recognize” door decs and it is really easy. There is an apology for the delay in certificates. They are here and will be passed out today. The National Office is working on a transition manual. AAFN paperweights will be distributed.

EIU: How is Subway going to work for lunch? There will be boxed lunches for delegations to take back. U of M: Will there be healthy food in the Hospitality Rooms? There will be fruit and pretzels. Marquette NRHH: Will there be a van for NRHH as well? Yes Carthage: Are there any “no cheering zones” other than after midnight? No EIU: For Roll Call, will there be no music allowed? Music will be in the transition, but not with the cheer. UIUC: Are the Advisor costs the same? The costs are listed below on the budget. UWW: There are spots for 11 delegates, what about alternates? The alternates would be listed by school and a case-by-case basis. CMU: What are the best guidelines for the display? We were unaware of guideline descriptions, but we will investigate. UWSP: Will there be extended hospitality for NCCs and NRHHers for long business meetings? We are going with NACURH and RBD guidelines.

WIU: What is your greatest concern? It would be housing, but not for a specific reason. UW-Stout: Can you push the deadline back for registration? The Regional Director will accept registration until the day of conference, but we will discuss that with the Regional Director. UWW: What are the banner 3D limits? There are no 3D limits, but it must be contained within the boundary. Marquette NRHH: Are NCC and NRHH business meetings in separate buildings or the same building? Yes they are in separate building, but we can change that. UWW: What kind of decorations will be at Opening Ceremonies? We have not discussed that yet at this time. UW-Stout: You stated you can a school substitute any sex until the conference. Is that possible? This is going to be based on delegates and delegations and there is no guideline prohibiting us from doing this. Loyola: What is the NCC Shootout? It is a shootout contest for a little competition. UIC: What student support do you have already and what do you anticipate? The conference staff will be a support and we will work to get volunteers. UW-La Crosse: What is the difference between most spirited and team spirit. Most spirited will go to an individual and team spirit will go to a delegation.

Discussion on GLACURH 2004 GVSU moved the previous question, U of M objected SNC moved to recess for 5 minutes, seconded by Ball State, passes. The meeting recessed at 9:51 am. The meeting was called back to order at 10:06 am.

XXIX. Introductions Everyone went around and introduced him or herself.

XXX. NRHH Database Presentation – Stephen Swieton The NRHH Database is a great new resource and we are working to get the system underway. I will not accept e-mail OTMs after NACURH. NRHH.org will be the new national website. When you set up an account for your campus, send an e-mail to me (Stephen), so I can finalize the process. This system e-mails OTMs automatically to me when selected at the campus level. Something to keep in mind is the deadline. For schools that don’t do OTMs on the campus level, the program only lets you submit one OTM, thinking it is the winner. Make sure the only person submitting OTMs is the Campus Coordinator.

Something new on the OTM form in an OTM blurb. Don’t relive the OTM, but give a summary. Marquette NRHH: Is it the same form for regional and state? Not Necessarily.

The timeline for after No Frills is as follows. Every school should set up or attempt to set up an administrator. Submit OTMs online this month. In March and April we’ll try to start the move over. Breezy: Will this database be down and what do we do if that is the case? The database is housed at Kansas State, so the only time it would be down is if Kansas State loses power. That hasn’t happened yet. If it does, I’ll adjust deadlines.

XXXII. Ronald McDonald House Presentation – Dave McDowell The Regional Board came over yesterday. We want to thank you for your support of the Ronald McDonald Houses in the region. The first house was opened in 1974 in Philadelphia. Now there are 158 houses in the U.S. and 234 in 24 countries. It is a worldwide international movement. There are nearly 6,000 bedrooms a night available for families. There are 30,000 volunteers contributing 3,000,000 hours annually. The mission is to provide temporary lodging for families. How are you able to help? You can volunteer. There are shift volunteers that come in 3-hour shifts. Students who volunteer may work with someone the age of their parents. You could help with a one shot program. This would be a meals program where a different group prepares dinner for a night. We also have a wish list, which includes toilet paper, cleaning products and food products. Special projects can be done where groups do cleaning days and do the chores for the families. A group could set up holiday parties for the families. There are not a lot of children in the house because the children are usually hospitalized. The children in the house are usually the siblings on the children in the hospital. Cash donations are welcomed, along with fundraisers on the house’s behalf. There is a $10 nightly fee. It’s a bargain, but some families can’t afford it, so it can be reduced or waived for those families. It costs over $40 to operate a room a night. It is a good idea to contact a house in advance to let them know you are working on things. They would be delighted to hear from you and offer tips. How many people are in attendance when groups cook dinner? They tell people to plan on 35-45 people, but it depends on the house size.

For the holiday parties and events, is the food provided? You would have to check with the local house and they would be helpful with logistics.

We are working with a new web post and they have been having technology problems.

If you want, you can come by and say hello to me. Think of new and exciting things for your NIC reports. They need to be at least four pages, have a cover page and an abstract. If it does not meet the criteria, it will get returned and you will have to work on it.
