This Coding Guide has been developed to ensure all Clubs are aware of the various codes used by Gymnastics Australia and the State Association Members for the purpose of registering and recording accurate information on all athlete Members. The codes apply to all athletes. Clubs play an important role in the process of collecting and collating Membership data. Ultimately, Clubs provide the information to Gymnastics Australia and their State Association Member, or in the case of the Clubs utilising Gymnastics Online, the information is entered directly onto the National Database. Over the past few years we have experienced many changes within our sport. Not only have we grown to include additional Gymsports, but we have also modified and adapted our existing Gymsports. Therefore it is imperative we keep all Clubs up to date and allow every opportunity for Clubs to keep records accurate and current as per Gymnastics Australia’s Privacy Policy (for more information go to www.gymnastics.org.au). In addition, all affiliated Clubs sign the Affiliation Agreement

stating they will ensure “Registration of all club participants, in all Gymsports, and in accordance with the National Membership Database Policy, detailed in the Affiliation Guidelines” (for further information contact your State Club 10 Officer). The following Coding Guide details the codes required when registering your Athletes. Every athlete must have a code recorded for their registration to be valid. Please ensure you read the following document carefully and ensure the codes you enter are consistent with the codes provided. When using this guide it is important you establish a systematic approach to ensure all codes are entered accurately and consistently for every athlete. This may be in the form of a registration policy or registration procedures that your club’s registrars must follow. In this guide you will find each Gymsport on a separate page for easy reference. Each page is divided into three categories: • Gymsport • Level It is these three categories together that make up the coding structure for each athlete. You enter the codes via the following method: • Club Importer: one the Gymnastics Online page • Gymnastics Online: via the “Sign Up” screen and/or the

“Add Level” screen. Please refer to the following examples for additional assistance: Example #1: If you have a General Gymnastics athlete participating in a recreational capacity (ie. They non-competitive athletes ) the coding is as follows: Gymsport Level GfA 0 The code entered will appear on the database as follows: GfA0,

Example #2: If you have an athlete participating in a Kindergym Program the coding is as follows: Gymsport Level GfA - KG The code entered will appear on the database as follows: GfAKG (Please note: if the Kindergym code is missing or entered incorrectly, your club may not be eligible for Kindergym Benefits packs in the following year) Example #3: If you have a Trampoline Sports athlete competing in Level 5 Double Mini the coding is as follows: Gymsport Level DMT 5 The code entered will appear on the database as follows: DMT5 Example #4: If you have a Sport Aerobics athlete competing in National Development the coding is as follows: Gymsport Level AER - NATDEV The code entered will appear on the database as follows: AERNATDEV Example #5: If you have a Women’s Artistic athlete competing in Level 7 the coding is as follows: Gymsport Level WAG - 7 The code entered will appear on the database as follows: WAG7
