Summary of the Report

From March 10 to April 28, 2012, the University of Kentucky Library was one of 15 institutions around the United States to host an intern as part of the Carnegie Corporation of New York grant entitled “Understanding the Context: U.S. Research Library Programs”. The interns were to get a first- hand look at how U.S. research libraries meet the needs of their researchers. The expectations of the host institution were to provide the intern with opportunities to gain a culture of understanding of how librarians interact with researchers as well as a practical and theoretical understanding of what it takes to provide real research support. The goal for UK Libraries was that the intern have an excellent experience and that as many UK faculty and staff as possible have an opportunity to interact with the intern.

All of the goals for both the intern and the library were met with a comprehensive schedule that was designed with input from the intern. The intern had formal sessions with 42 library faculty and staff and with 14 people from outside of the libraries in areas that were important to the area of research. In addition the intern had an opportunity to attend a staff social event to meet a number of staff in an informal setting and both the Library’s Annual Dinner and the School of Library and Information Science Awards Banquet that afforded the intern the opportunity to hear excellent presentations and meet people from other parts of the University. The intern became quite comfortable with Lexington and enjoyed his stay in the city.

On March 10, 2012, Yusuf Ras, AgriSciences Librarian from the University of Stellenbosch, arrived at the University of Kentucky (UK) Libraries for a seven week internship. Mr. Ras’ arrival marked the culmination of 15 months of negotiation to host an intern at the University of Kentucky as part of a grant from the Carnegie Corporation of New York. The grant’s focus was to improve the research support at 6 research university libraries in South Africa The grant covered the establishment of a physical environment at each institution (research Commons), systems/software (research Portal), and staff development. The staff development component consisted of two parts: a two week residential Library Academy in South Africa (where staff are exposed to high-level South African researchers and are guided in the type of support researchers require), and a two month study trip to the United States for a selected few who have attended the South African Library Academy. The Librarians participating in this program were mid-career, experienced librarians so this experience was to be staff development and enrichment. The US study trip was comprised of a two week training program at the Mortenson Center for International Library Programs at the University of Illinois; attendance of an appropriate conference and a 6 week "internship" at an ARL Library in the US. The program also provided for the interns and mentors to meet as a group in San Francisco during the middle of the internship. Complete list of Libraries participating in the program can be found in Appendix C.

This program encompassed all areas of the library and included exposure to the day to day work. The expectations of the UK Library was for the intern to interact with faculty and staff on all levels, provide a good exchange of information about libraries in South Africa and to provide the best well rounded experience of the 15 interns placed in the United States. (A full description of the expectations can be found in Appendix E.) In addition, UK Libraries was required to identify a mentor to work with the librarian on professional aspects of their development. All expenses for the internship were paid by the project.

Meeting the Requirements of the Internship

Meeting the requirements of the internship necessitated involving a large number of library faculty and staff. A tentative schedule was drawn up based on the requirements and was reviewed by the UK Library’s international Working Group. A mentor was identified and began meeting with the Working Group as the schedule was developed. Members of the Working Group volunteered to assist with organizing parts of the schedule and providing social opportunities.

Providing a Good Experience On and Off Campus

Convenient housing for the intern was a challenge. The apartment at the Gaines Center on central campus could only be secured for four weeks of the stay so alternative housing needed to be found with a close proximity to campus. A room with a small kitchenette was secured for the remainder of the stay at the University Inn which was also within walking distance of campus. Both these locations provided the intern (Yusuf Ras) the independence that was desired and he quickly acclimated himself to the area and became self sufficient within a week of arriving in Lexington.

Members of the Working Group initially planned weekend activities and the first weekend he was here and Mr. Ras was invited to the St. Patrick’s Day parade and the festivities downtown. In subsequent weekends, members of the group and other individuals hosted him on a tour of local vineyards, the Kentucky Horse Park and various social functions such as receptions, lunches and even breakfast at Keeneland.

Exposing our Faculty and Staff to Librarians from another Culture

On March 22nd Mr. Ras gave a presentation entitled “ My Country, My University, My Librariy” and it was immediately apparent that the library at the University of Stellenbosch was not much different from the UK Library. The presentation gave the UK Library faculty and staff a good look at both the beautiful country, campus and the Stellenbosch Library. The presentation gave UK people a good frame work and allowed for good conversation between Mr. Ras and his UK colleagues. During Mr. Ras’ internship he officially met with 42 library faculty and staff (he talked to even more because the meetings generally had multiple people attending) and 14 people from other parts of campus. Mr. Ras was totally comfortable engaging anyone in a conversation and he was known by name at the grocery store, the barber shop, and the laundry to name a few.

Exchanging Information on Library Operations

Mr. Ras’ presentation gave an excellent framework for faculty and staff to ask questions. His formal sessions were more exchanges of information than a “how we do it” session. The meetings became discussions with comparisons between the UK Library and Stellenbosch Library. Mr. Ras was able to look at what was done here at the University of Kentucky and compare it to what they did at his university. While he saw many things that he wanted to take back but he also saw things that they seemed to manage a bit better. The sessions were always a useful exchange of information for both parties.

Assessment of the Internship

From a University of Kentucky standpoint the internship was a success on many levels. Mr. Ras was well known by our faculty and staff and was comfortable talking with them on all levels freely exchanging information and recounting his experiences. Faculty and staff were very open in their discussions with him and he had opportunities to see how research was supported through the collections and services on many levels. Mr. Ras also had the opportunity to visit another ARL Library, the University of Louisville

and spent several hours in discussion with the Dean of Libraries at that institution. He also met other academic librarians from around the state of Kentucky by attending the state conference, and had formal meetings and discussions with faculty and other administrators outside the library both formally and informally. This was accomplished through formal meetings, attending sessions and social events.

We believe that we also met the expectations of the internship from the project perspective. The schedule was flexible and not totally filled when Mr. Ras arrived as this was not training in any specific area but development of professional knowledge. Mr. Ras had the opportunity craft his schedule to what he felt he needed to better serve his researchers at the University of Stellenbosch. Quite often he would come back from a meeting and request to meet with another individual or explore another function. The flexibility of the schedule afforded him those opportunities.

In his exit interviews one with his mentor, Carla Cantagallo and one with the Director of International Programs, Antoinette Greider, Mr. Ras indicated that he would not have changed anything and the program met his needs. He like having an initial schedule and then having the opportunity to help craft the schedule as the internship progressed. He also felt that having free time in the daily schedule gave him time to go over his notes and helped him organize his report. He had absolutely no bad experiences during his time in Lexington and felt very comfortable both on and off campus. He did have two recommendations. One concerned the living arrangements and that we might warn our guest that they would be alone in a large house at the Gaines Center. He said that at first it was a little daunting but it was not uncomfortable. The second was a recommendation for programming that we might look into for our staff development. The South African Library Academy was one of the most valuable things to him of the entire experience and helped him understand all that followed. It was the first time that they had actually been to presentations by researchers on how they do research and use library resources. He indicated that this we a big “eye” opener for him and he suggested that UK Libraries might want to take the lead on providing a similar opportunity for the region.

Final Observations

The success or failure of any program lies with the individuals participating in the program. Mr. Ras came to the University of Kentucky ready to engage and take away ideas that could be implemented at the University of Stellenbosch. The library faculty and staff welcomed Mr. Ras and engaged with him both formally and informally. Forty-two faculty and staff members that met with him made time to do so at a very busy time in the academic year. No one of them indicated that they were too busy or that meeting with him was an imposition. Several of them had follow up meetings at Yusuf’s request and graciously afforded him more time than originally scheduled.

Fourteen individuals from other areas both on and off campus were also gracious with their time. Some of them came to Young to meet Yusuf so he would not have to travel to them. The Director of Facilities for Agriculture spent an entire morning with him driving him to the various research farms around Lexington giving him a good look at agricultural research in Kentucky. Arranging his schedule made me realize what “Kentucky hospitality” really means.

Project Director Pat Busby indicated that we had achieved our goal of providing Mr. Ras with the best experience of all of the 15 interns placed in the US. In her final email message at the end of the project Ms. Busby stated: Yusuf's reports, both written and verbal, attest to the extent of your effort and commitment on our behalf. We consider ourselves so fortunate to have you partner with us in this very important component of our project. Program Overview

March 10 – April 28, 2012

The program that evolved for Yusuf Ras fell into five general areas:

Sessions with Library Units

Sessions were scheduled with members of every area in the library. The emphasis was on development not training so often these sessions were with the unit administrators. A detailed schedule appears in Appendix B of this report.

Facility Tours

Mr. Ras toured all branch libraries on the UK campus and spent a week in the Medical Center Library. He also had the opportunity to spend time at Eckstrom Library, University of Louisville, Keeneland Library, Lexmark Library, Kentucky Underground Storage (print archives), the Student Computing Services Lab, and spent a morning touring the research farms in the College of Agriculture.

Expectations of US Institutional Visits

• Visitors to return with a culture of understanding of how librarians interact with researchers (reason for the project), including how librarians have a clear understanding of what the academic community is doing in order to provide appropriate support. - Be exposed to Librarians’ partnerships and active interactions with academics/researchers, how

these are developed and maintained. [Liaison, advocacy]. - Experience day-to-day interaction between librarians and researchers and how this is a positive

relationship: “absorb the attitude”. - Gain a clear impression of “why researchers use the library – value-add that they experience”. - Gain an understanding of relationships between libraries and centers of research, and libraries

and other research support departments (where applicable). - Shadow research librarians and participate in research activities as much as possible.

• Should return with a practical (as well as theoretical) understanding of what it takes to provide real research support. What activities typically take place and how librarians work with researchers.

• Participate in discussions where changes in policy are being addressed esp with regard to research services – in order to be exposed not only to the actual issue under discussion but to the fact that providing research support is an ongoing dynamic process.
