Businesses have been interested in video communication for decades as a means to reduce travel expenses, increase efficiency, and spur collaboration and innovation. More recently, the

imperative for organizations to become more “green” enterprises has increased video’s allure. Still, video deployment has been slow, impeded by cost considerations, technology limitations and lack of a compelling business case for adoption.

Today, those barriers are dissolving. The price points for video technology are dropping rapidly. CIOs are increasingly engaged in driving the business forward with process and technology innovations. Slimly staffed businesses are anxious to improve productivity. The drumbeat for enterprises to reduce their carbon footprints grows louder. And then there is this fact: 55 percent of communication is visual.1 With voice-only calls, people are denied the important messages and inferences drawn from body language, eye contact and perhaps even a smile.

True video collaboration may, in fact, finally be here. However, for any organization, successful deployment and an effective ROI will ultimately depend on employees’ ability and willingness to use it. In this point of view, Peter Finney, a member of the Avaya Strategic Communications Consulting Practice, discusses how businesses can improve the prospects for wide, even enthusiastic, user adoption of video collaboration tools.

Peter, why is video collaboration gaining traction more quickly in the marketplace?

Along with the organizational issues around cost containment, efficiency and the environment, technology advances are a key factor. In the past, video deployments were typically large, room-based systems or expensive desktop end points, served by dedicated lines.

Today, as we see with consumer services, such as Skype, Google Video Chat and others, video conversations are happening over the Internet using webcams and PCs. Video-enabled smartphones have created another potential catalyst for video adoption. Also, a new generation of desktop video devices and tablets is emerging, featuring touch screens, high-definition video cameras, Web browsing, e-mail, instant messaging and more. Finally, network providers in many countries are accelerating deployment of the broadband and wireless capacity needed to carry video to the end user at a price point for businesses and consumers that could make video adoption over these mediums attractive.

Along with technology, another important consideration is the readiness of people to use video — in other words, how to drive cultural change. A group that I believe will help accelerate video adoption is Generation Y, or the Millennials. They have grown up with technology. They are constantly online, are comfortable multitasking among activities and technologies, and see video as simply another way to communicate. At the same time, there are other — and it’s fair to say, generally older — people who may require some persuading to embrace video.

What actions should be at the top of the list for companies considering video collaboration?

A key first step is to establish a business case for the initiative. Determine how video aligns with the organization’s vision, strategy and objectives. Then, establish criteria for measuring return on the investment.

ROI comprises two components. One is business relevance — how the organization will benefit. The drivers may be cost savings, productivity improvements, better customer relations, a greener organization or a combination of factors. In some cases, the business benefits of video are tied to the particular vertical industry.

A good example of this is health care. Enabling a consulting surgeon to communicate with patient caregivers via video rather than driving two hours to another hospital provides obvious benefits, including more time to operate. Or, in financial services, kiosks can be set up in bank branches, where customers can talk to loan officers in a centralized service center. This supports better resource allocation, while giving the loan officer the benefits of visual communication — the other 55 percent.

The second component of ROI — and the key to achieving your projected benefits — is personal relevance for the user. Or, put another way, “What’s in it for me?” Answering this question persuasively is fundamental to user adoption, to converting people from detractors to advocates who embrace change.

For some people, the case can be fairly easy to articulate. If someone is working 80 hours a week, and 30 of those are spent traveling, the ability to eliminate part or all of that time on the road can provide obvious benefits in better work-life balance, less stress and better health, not to mention more time for productive work.

What are some leading practices that can help companies promote and increase user adoption of new video collaboration applications?

An important first step is to identify the real-life scenarios of potential users and determine how video is relevant to their role and daily work. How do people communicate and collaborate, and what is the associated

culture today? Next, it is important to make users aware of how video can improve communications for them within their departments and between cross-functional teams.

The IT department will need to be organized and tasked to support the video deployment and operation across IT areas, including desktops, networks and operations. Also ensure that the IT help desk team is fully trained on the video solution and ready to support users.

A critical aspect of designing the system is to embed cultural change. One way to do that is to reduce the options and choices given to users. For instance, if a meeting involves people in two video-enabled locations, human resource policy can mandate that video be used rather than having people travel. Denying travel requests will put teeth into the policy.

Also, keep change simple. The IT organization needs to clearly understand how to deploy and manage the solution.

Begin system deployment with a small user trial or pilot prior to mass rollout. Before the trial, communicate what is happening to users so they are not surprised by

the new features available to them. This also will help them feel more involved in the process and potentially embrace the change better.

Trial users should be selected from those who will benefit most from video and collaborate regularly across different departments, business units and teams. This trial user base will attract co-workers to the benefits of video by word of mouth.

Gain feedback from the trial users and use it to build a list of frequently asked questions for initial user self-support. Adapt the rollout strategy and training as required based on feedback. You may also want to adopt a “train the trainer” approach to user training — one user trains five others, those five train five and so on. Remember that focusing on relevant benefits to the end user, as well as the business, will help drive user adoption.

A well-thought-out communications plan is also key to driving user adoption. Examples of this include news alerts via e-mail and the Intranet, simple and quick reference cards, tips of the day, flash demos, and video clips.

After deployment, monitor video utilization to determine if employees are adopting the new methods of communication and collaboration and not reverting to previous methods and habits. Adapt training as required for those who are slow to adopt video.

Finally, develop a road map to evolve the video deployment and integrate the benefits of video into existing or new business processes, procedures, workflows and applications.

Prepare your people for the spotlightAs business imperatives and technology advances converge to help

jump-start video collaboration, a key to successful deployment is wide user adoption. Educating users regarding the potential for this new way of communicating to make their jobs — and lives — easier and more productive can be a vital element in supporting and realizing the business case for video tools.

With cloud technology delivering ease of use and coming to the fore for a number of applications, surveillance is not left behind and is now being

offered on the cloud as well. Cloud based surveillance or VSaaS (Video Surveillance as a Service) is designed for the end user, keeping in mind simple navigation, easy usability and ready to use IP security cameras. What acts as a major advantage for the IT managers, in a VSaaS scenario, there is no local DVR surveillance equipment required to be purchased.

Cloud video surveillance system is hosted on secure off-site, cloud surveillance servers. And an enterprise can simply connect their number of surveillance cameras to the internet and the video feeds are sent to the cloud surveillance servers where the video is automatically analyzed and recorded.

What is more exiting is the fact that this type of surveillance system arrangement, driven by cloud can have 1 camera or 10,000, there is no limit as such. And one can connect almost any camera, using any resolution up to 10 megapixels. Cameras include: Analog/CCTV (using IP encoder), IP, PTZ or Megapixel.

Cloud surveillance allows enterprise customers and government stakeholders to instantly scale their surveillance and security infrastructures as their needs change, while considerably reducing the TCO (total cost of ownership).

Working well for the enterprise segment, hosted cloud surveillance system allows IT managers to manage their surveillance cameras from both new and existing surveillance installations, with a single login. Hence, giving them freedom and flexibility to deploy new surveillance cameras in a fraction of the time.

Cloud based surveillance system holds key to empower IT managers and CIOs with a cloud surveillance platform

that is always running for you and is up-to-date, they don’t have to continuously be on their toes all the time and most importantly this cloud based approach to surveillance delivers growth as and when they need it.

Who needs Cloud Surveillance? This is typically useful for organizations, who do not want

to invest financial resources in local DVR Security Equipment. This also makes sense for enterprise which have a large number of remote users such as: banking organisations, local government agencies, healthcare organizations, and educational institutions.

In addition to the above, VSaaS has got special importance when it comes to companies which do not want to purchase and maintain local video storage drives and other security hardware at their own cost. And with VSaaS companies can monitor multiple locations, instantly and effortlessly.

Advantage on the CloudThere are a number of advantages that a cloud driven

surveillance brings to the table for an enterprise, VSaaS delivers uninterrupted access from Windows & Mac desktop. It also delivers access from smart phones & tablets; iPhone, Android, Blackberry and Windows. As a result, it becomes quite easy for IT managers to manage such systems which support so many convergence friendly device ecosystem.

In addition to the above, VSaaS does not need DVR security equipment to purchase. Hence there is no fear of data loss due to failure or theft. This arrangement is scalable to unlimited cameras, video storage and user accounts as well. Hence, it today’s challenging IT scenario, a concept like VSaaS comes as a fresh breeze of air and is set to revolutionize the way surveillance systems are designed and delivered at the enterprise level.

As cloud computing is continuously gaining on momentum and importance in

almost all the different segments of IT ecosystem, VSaaS is set to revolutionize

the way surveillance is delivered at the enterprise level

Outsourcing Security Management

Managed Security Service Providers: Multifold Benefits24x7 MonitoringIt is estimated that almost 60% of the attacks happen during the graveyard shift—a period where availability of skilled resources is always in question. To proactively detect and respond to attacks, 24x7 monitoring becomes an imperative. 24x7 monitoring involves a three-shift operation. Powerful Event CorrelationIn a corporate environment, event handling tends to become people dependent. Given the inconsistency in event occurrence, it becomes difficult to co-relate similar incidents to detect an attack. MSSPs provide automated event co-relation capabilities that list events with similar patterns and co-relate them to detect an attack.Managing False AlertsFalse positives constitute 99% of total security alerts, making it extremely difficult to segregate the 1% of real alerts. MSSPs have automated tools that segregate the 1% actual attacks from the false positives making security management a much easier task.Emergency ResponseEmergency response becomes difficult if an enterprise is managing its security inhouse. The security team is either not available or doesn’t have adequate tools, processes, policies to respond to an attack. MSSPs operate on SOPs that ensure near real-time response to all security incidents.Reporting and Documenting EventsIn-house reporting tools provide limited or no visibility into the security infrastructure. Reporting becomes extremely crucial for forensics and also to analyze the type of event and method to counter it. MSSPs provide real-time visibility into the security infrastructure letting a CIO know the status of his network at any point of time.Trained and Dedicated ProfessionalsCertified security professionals at an MSSP undergo extensive security training and rigorous background checks prior to managing or monitoring an organization’s equipment.Guaranteed ResponsivenessAn MSSP begins escalation the moment a problem is detected and the source is identified. Aggressive Service Level Agreements (SLAs) ensure that an organization will be notified immediately.Enhanced Internet SecurityThis is critical, if governments and businesses are to move high-value transactions and sensitive information online. For many organizations, a managed security service represents the most effective approach to deploying enhanced internet security.

What is the Government’s Motivation?

The Indian Government embraces a multi-pronged approach to promote the Indian Electronic Systems Design and Manufacturing (ESDM) industry assured Kapil Sibal, minister of HRD and communication and IT, Government of India at Indian Semiconduc-tor Association (ISA) Vision Summit 2012 held in Bengaluru on February 6th, 2012. The 6 approaches listed by Sibal comprise—government plans to create electronics development fund of about ̀ 10,000 crore to support R&D, innovation, IPR development, technology transfer of IT, and nanoelectronics.

Secondly, by establishing a semiconductor Wafer labs; on April 20, 2011 the cabinet set a committee to set up a Wafer lab in India. Thirdly, the clearance of Preferential Market Access on February 2, 2012—the government has announced a procurement policy. Fourthly, setting up a National Electronics Mission (NEM) which strives to achieve a turnover of $ 400 bn in the next 10 years. NEM would be implemented by autonomous electronics commission.

Fifth is, providing subsidies for modified chips and to identify various verticals of ESDM sector. Incentives would be extended for an investment made within a period of 10 years from the date of approval; this scheme would be available for 3 years from the date of notification. Sixth, setting up an Electronics Manufacturing Cluster (EMC)—it would be implemented through special purpose vehicle. EMC units ought to hold at least 51% of the stake capital of SVP and a single unit should hold 25%. Financial assistance would be extended—assistance for green field would be restricted to 50% of the project cost subject to a ceiling of `50 crore for every 100 acres of land; for brown field it would be restricted to 75% of the project cost subject to a ceiling of `50 crore.

Referring to Aakash tablet, he said, they would be launching Aakash 2 which is a much better, faster, and more efficient version of the Aakash that was launched. The current cost of Aakash is ̀ 2,276, ie, for 100,000 pieces. The cost would come down to ̀ 1,500 once the numbers increase to 1,000,000. Sibal said that half of the cost would be subsidized by the Government of India (GOI) and the remaining `750 would be funded by educational institutions; and it would be offered free for students. He also added that they are now going to diversify the production base and indigenize Aakash.

Speaking about the significance of developing ESDM industry in India he said, electron-ics is one of the fastest growing industry in the world, the industry is set to accelerate to 2.4 tn by 2020 from its present growth of 1.75 tn. ESDM industry in India needs strong attention—no country can afford to have an import bill of nearly $300 bn which would further increase in the coming years. Two, electronic is a metal resource that boosts other sectors which has high dependency on semi-conductors such as airline, automotive, etc. Three, semiconductor is at the heart of every device. India has around 120 semiconductor design companies and we develop nearly 2,000 chips and more then 20,000 engineers are engaged in chip designing. Annually India is contributing $2 bn in the chip designing. Hence we need to leverage this opportunity to ensure the development of the semiconductor manufacturing sector in India.

He stated that government has come up with a combination of 3 interdependent and synergistic policies—telecom, IT, and electronics manufacturing. These 3 policies together drive the national agenda for ICT and to foster health, rural, e-governance, banking services through technology.

He made a closing remark by emphasizing on electronics manufacturing policy which aims to create employment opportunities of $28 mn by 2020, to create 200 electronics hub and to achieve a turnover of $55 bn in the chip design and embed-ded software industry. He said this domain is an ideal investment opportunity for business and entrepreneurs.
