Gold Ribbon Rescue (GRR) Email Startup Guide

Introduction
Welcome. You have recently been given a new GRR email account. This document provides some useful informationabout your new account and options to access and use your account.
Your Email Account Information
Your new email account was created with a specific username and password on the GRR server. This information willbe sent to you in a separate email. When you receive this email, please save the username and password in a safelocation. You will need this information to access your email account.
Accessing Your Email Account
There are two basic options that you can use to send and receive email from your new GRR email account. Option 1 isto use web-based email from browser. This is the easiest option and is described in the following section. Option 2 is touse your local email client, such as Thunderbird or Outlook, but this requires configuration. This option is described nearthe end of the document. Once you have successfully accessed your account using either Option 1 or Option 2, youshould change your password for security purposes. The steps to change your password using Option 1 are providedbelow.
For convenience, you can access your GRR email account through your Gmail account. The steps to configure yourGmail account to access your GRR email account are provided at the end of this document.
Option 1: Accessing Your Email Account Using a Web Browser
To access the web-based email, open your browser and type the following in the URL entry box in the browser window:www.grr-tx.com/webmailThis will automatically direct you to a secure login screen as shown in Figure 1

Enter your username and password as provided in the email that you will receive and press the Log In button. Anexample login is shown in Figure 2.

When you successfully log in, press the Got It button in the upper right corner of the page. You will, then, bepresented a page as shown in Figure 3 where you can select one of three different web-based email clients, includingHorde, Roundcube and SquirrelMail. Each of these email clients provides a variety of features and tools for reading andsending email as described next. The choice of which email client to use is strictly yours. You can either select oneas your default or you can try each one before selecting a default. To select a default email client, click on the Set as

Default button below the Horde, Roundcube or SquirrelMail emblems. To access any of the email email clients, click onyour username in the upper right corner and select the desired option as shown in Figure 4.

Horde Email Client
Horde is a full featured email client. With Horde, you can read, send and organize emails, maintain calendars, tasks,contacts, bookmarks and notes and check spelling. Horde is, by far, the most feature-rich of the three options. Anexample Horde screen is shown in Figure 5. Horde website is:

Roundcube Email Client
Roundcube has fewer features than Horde but has many of the features most users need in an email client. WithRoundcube, you can read, send and organize emails, maintain address book, manipulate folders, search within emailsand check spelling. An example Roundcube screen is shown in Figure 6. SquirrelMail Email Client
SquirrelMail has the fewest features of all three options and has a simple, minimal interface. With SquirrelMail, userscan read and send emails, maintain address book, manipulate folders and check spelling. An example SquirrelMailscreen is shown in Figure 7. SquirrelMail website is:

Changing Your Password Using the Web Browser
Once you have successfully accessed your email account through any of the three web-based email clients, you shouldchange your password for security purposes. To change your password, click on your username in the upper right cornerand select the Password & Security menu option as shown in Figure 8.

You will be presented the page as shown in Figure 9. To change your password, enter your desired password in theNew Password entry box. Retype your desired password in the Confirm New Password entry box to confirm. Pressthe Save button to save your new password.

After you have changed your password, log out by pressing the Logout button in the upper right corner of the pageand log back in again with the password you selected. If you have any problems, contact Dawn Marie at [email protected] or Karen Watkins at [email protected].
Option 2: Accessing Your Email Account Using Your Local Client
To send and receive email using your local email client, such as Thunderbird or Outlook, you must configure your clientto properly access the GRR mail server and authenticate yourself. The configuration of each client is different, buttypically, the following information is required:
Username [email protected]
Password the-password-you-received
IMAP Server mail.grr-tx.com
IMAP Port 993 Note: Secure port that requires authentication (usually your password)
SMTP Server mail.grr-tx.com
SMTP Port 465 Note: Secure port that requires authentication (usually your password)
Non-secure ports are available but are not recommended since your password and other sensitive information willbe sent in plain text.

Accessing Your GRR Email Account From Outlook

1. Start Outlook
2. Select Account Settings in the Tools menu.
3. Click Email Accounts and select Email and then New
4. Select Manually Configure Server Settings or Additional Server Types
5. Click Next
6. Navigate to the Choose Email Service page
7. Select Internet Mail and click Next
8. Navigate to the Add New Email Account page
9. Enter the following in the User Information section
• Enter your name in the Your Name box
• Type your entire e-mail address, such as [email protected] in the E-mail Address box
10. Enter the following in the Server Information section
• Select IMAP from the Account Type selection box
• Enter mail.grr-tx.com in Incoming mail server box
• Enter mail.grr-tx.com in Outgoing mail server box
11. Enter the following in the Logon Information section
• Type your account name in the User Name box. Be sure to enter your entire email address for the username.
• Type your password in the Password box
• Check Remember Password box
12. Click More Settings and click on Outgoing Server tab
• Select My outgoing server (SMTP) requires authentication box
• Click Use same settings as my incoming mail server
13. Select Advanced tab
14. Enter the following the Server Port Numbers section
• Enter 993 in the Incoming server (IMAP) entry box
• Select SSL from the selection box in the Use the following type of encrypted connection
• Enter 465 in the Outgoing server (SMTP) entry box
• Select SSL from the selection box in the Use the following type of encrypted connection

Accessing Your GRR Email Account From Your MAC

1. Navigate to System Preferences>Mail>Preferences>Accounts
2. Click the + sign at bottom left
3. Choose Other for service
4. Enter account details per the information in the previous section and as prompted (username field must be theentire address)
5. Make sure IMAP is selected at top left
6. Click Save/Create

1. Open the Settings app on your iPhone.
2. Tap the "Mail, Contacts, Calendars" tab.
3. Tap "Add Account. . . "
4. Tap "Other"
5. Tap "Add Mail Account"
6. Enter your name, email address, and password
7. Tap "Next"
8. Choose IMAP
9. In the incoming mail section, enter your account information. You will see your host name and username are leftblank. Fill those in with the information you received from us.
10. Be sure to enter your entire email address for the username.
11. In the Outgoing Mail Server section, do the same thing. The information should be the same as the incominginformation in this case.
12. Tap "next"
13. Tap the "Save" button and you’re all done and should be synced.

Accessing Your GRR Email Account Through Gmail
To send and receive email through your Gmail account, you must configure Gmail as specified below.First, log on to your Gmail account through your browser and click on the Gear Icon located in the upper right corner
of the brower. Select the Settings option from the drop down menu as shown in Figure 10.

The Settings page will open as shown in Figure 11.

Click on the Accounts & Import button along the top of the Settings page. The Accounts & Import page will openas shown in Figure 12.

Proceed to the Check Mail From Other Accounts section near the center of the page. Click on the Add a MailAccount link. A small second window will open as shown in Figure 13. Enter your GRR email account in the entry boxand select the Next button.

A new page will appear. Select the Import emails from my other account (POP3) option and then click the Nextbutton. This will cause another new page to appear. Enter your GRR email account information including your usernameand password. Select port 995 from the drop down menu. Select the Always use a secure connection SSL whenretrieveing mail. An example is shown in Figure 14. Click the Add Account button.

Gmail will send a confirmation number to your GRR email account. You must enter this number to access your GRRemail from your Gmail account. Log on to your GRR email through a new tab on your browser as described in Option 1to retrieve this confirmation number. Enter this number into the entry box as shown in Figure 15.

Gmail will then ask if you would like to send GRR email through your Gmail account as shown in Figure 16. If youwould like to retrieve your email, select Yes and click the Next button. Click Next Step on the next page.

Enter your username and password. Select port 465 in the drop down menu. Select the Secured connection usingSSL. An example is shown in Figure 17. Select the Add Account button.

Gmail will send an email with a confirmation link to your Gmail account. Click on the confirmation link within theemail to send GRR email through your Gmail account.
