Lesson  2  –  File  Management      Learning  Intentions    By  the  end  of  the  lesson  you  will:  • be  able  to  create  folders  • load  a  file  from  the  shared  drive  and  save  it  into  your  own  folder  • be  able  to  create  a  new  MS  Word  document  and  save  it  to  the  

appropriate  folder  with  an  appropriate  filename      File  management  is  the  way  in  which  computer  data  is  stored  and  organised.    It  is  very  important  to  keep  all  your  files  and  folders  properly  organised.    If  work  is  not  named  properly  in  files  and  folders  it  can  be  easily  mislaid  or  lost.    Whenever  data  is  saved,  it  is  saved  in  a  file.    Every  file  must  be  given  an  appropriate  name  so  that  it  can  be  identified  and,  if  necessary,  retrieved  at  a  later  date.    To  enable  files  to  be  found  easily  you  should  create  a  folder  (a  folder  is  sometimes  called  a  directory)  for  each  subject  you  study.    You  may  also  require  sub-­‐folders  for  each  topic  you  study  in  a  subject.    For  example,  how  you  might  organise  your  own  ICT  folder  is  shown  to  the  right.      An  effective  file  management  system  allows:      • all  documents/files  etc  to  be  stored  in  an  organised  and  consistent  way    • information  to  be  retrieved  from  documents/files  quickly  and  efficiently    Poor  file  management  will  ‘slow  up’  your  work  and  waste  time!
