Lesson 2 – File Management Learning Intentions By the end of the lesson you will: • be able to create folders • load a file from the shared drive and save it into your own folder • be able to create a new MS Word document and save it to the appropriate folder
with an appropriate filename File management is the way in which computer data is stored and organised. It is very important to keep all your files and folders properly organised. If work is not named properly in files and folders it can be easily mislaid or lost. Whenever data is saved, it is saved in a file. Every file must be given an appropriate name so that it can be identified and, if necessary, retrieved at a later date. To enable files to be found easily you should create a folder (a folder is sometimes called a directory) for each subject you study. You may also require sub-‐folders for each topic you study in a subject. For example, how you might organise your own ICT folder is shown to the right. An effective file management system allows: • all documents/files etc to be stored in an organised and consistent way • information to be retrieved from documents/files quickly and efficiently Poor file management will ‘slow up’ your work and waste time!

Lesson 3 – Word Processing: Editing Learning Intentions By the end of the lesson you will be able to: • change margins • edit/amend documents • spell check documents • insert footers • print A word processing package is an example of a general purpose package. A word processing package is used to produce letters, reports, essays, projects, memos, notices, etc – any form of written work.
The advantages of using a word processing package are that the documents can be stored on a USB and can be retrieved when required. Text can be changed (edited) on screen and printed (hard copy) again if mistakes are made. Being able to recall documents and
edit them saves lots of time. Also being able to store reports, letters etc on disc saves lots of valuable space. Time is also saved from correcting and repeating work by the use of such facilities as the spellchecker. The word processing package also has many features which can be used to format the document.

Lesson 5 – WP: Alignment, Line Spacing & Orientation Learning Intentions By the end of the lesson you will be able to: • align text to the left, centre and right • fully justify text • alter line spacing • change the orientation of the page (portrait or landscape) Left Aligned -‐ This setting is typically the default setting when you create a new document. Left aligned text begins each line along the left margin of the document. As you type, the first word that does not fit on a line is placed at the left margin on the next line. This results in a straight margin on the left and a "ragged edge" margin on the right.
Right Aligned -‐ This setting is aligns the beginning of each line of text
along the right margin of the document. The result is a straight margin on the right and a "ragged edge" margin on the left. Right justification is
commonly used to display the company name and address near the top of a business document.
Centered -‐ As the name implies, centered text is placed in the middle of
each line. Centered text is often used for document titles.
Justified -‐ Justified text combines left and right aligned text. When a block of text is justified, each line fills the entire space from left to right. This is accomplished by adjusting the space between words and characters in each line so that the text fills 100% of the space. The result is a straight margin on each side of the page. Justified text is commonly used in newspapers and magazines and has become increasingly popular on the Web as well.

Line Spacing – This refers to the number of blank spaces between lines of type. The most common line spacings are single-‐spaced and double-‐spaced, but the line spacing in a word processor can be set to almost any amount of line spacing. Page Orientation – This is the way in which the page is displayed. The 2 types of orientation are portrait and landscape.
