Introduction This handbook has been prepared to assist the parents of Hope Lutheran Christian School become more familiar with the day-to-day operations of the school and its program of Christian education. Its purpose is to provide students, parents, and staff with a clear, concise statement of the basic policies, procedures, and philosophies of Hope Lutheran Christian School. Although the handbook is not intended as a definitive statement on these subjects, it is written to answer the most frequently asked questions about the policies and procedures of our school. Our policies and procedures are formulated as one way to implement our goals in Christian education as well as to provide for a safe, orderly, efficient and consistent approach to problems. Commitment to these policies and procedures by students, parents and staff enable the school to operate in a smooth and orderly manner. Consistent support of them, however, will produce even more significant and lasting accomplishments for the students. They are a tool to assist parents and teachers to be “of one mind” in the great privilege we have of training children to honour God with their whole lives. Hope Lutheran Christian School offers Christian education from kindergarten to grade twelve. Our school is maintained autonomously by a single congregation, Hope Lutheran Church, a member of Lutheran Church - Canada. In addition, we are in partnership with Lutheran schools in the USA who are the second largest parochial school system. Lutheran schools are well known in many parts of North America to be excellent places in which to educate children, and the number of Lutheran schools in Canada has gradually been increasing over the last twenty-five years. At Hope Lutheran Christian School, we strive to follow this tradition of standards, guided by Christian faith and a realistic view of what works in the classroom. We look forward to having your family be part of our family, the Family of Christ. We invite you to participate in any programs or special events that take place in our church, including our Sunday morning worship, Christian education for children and adults, celebrations and dinners. Please share in Christian fellowship with us at anytime. The primary objective of Hope Lutheran Christian School is to help each student grow in the knowledge of Jesus Christ as their personal Saviour. The faculty, with the help of our gracious God, will do their best to see that this is carried out. It is our prayer that God will continue to give our school His bountiful blessings, and direct us in the way that He would have us go. May the Christian training that students at Hope receive in their home, church and school prove to be a lasting blessing to them here on earth, and an example of Jesus to others. May the Lord continue to increase the faith of our children so that, at life’s end, they may enter into their eternal home with Him in glory.

Grade 9 to 12 School Daily Schedule Weekly School Worship Service

Hope Lutheran Christian School emphasizes the importance of love and respect for God, neighbor, and self. The religious life of the school is an essential part of this realization. Through worship, Christian Studies, and

service to the school and community, students are encouraged to examine their personal faith as they develop a clearer understanding of God’s purpose for their lives. Under the guidance of clergy, commissioned ministers, and committed laity, our chapel services conform to Lutheran Christian doctrine. Within that framework, chapel services at Hope Lutheran Christian School are designed to bring students and faculty together to celebrate Jesus as Lord and Savior. Our worship takes place in the gym on Wednesday at 12:30pm. Speakers for these chapel services may be teachers or students of Hope Lutheran Christian School, our own Pastor or invited guests. Parents and friends are always welcome to join us. It is expected that students come in and sit quietly in consideration to those who wish to meditate and pray before our worship begins. To help children learn God-pleasing stewardship a thank offering will be collected at each service. The offerings are designated for various home and foreign missions to provide help and relief to those in need. Encourage your children to express their thankfulness for all God has provided for them and to share their blessings with those less fortunate than they.

Message from the Principal What a marvelous time to be part of the family at Hope Lutheran Christian School! I look forward to speaking with you as we work together this coming year. Our theme verse this year is Psalm 98:1a: “Sing to the LORD a new song, for He has done marvelous things…” In this opening verse the psalmist encourages us to sing a new song to the LORD to celebrate the great things He has done for His people. The psalmist goes on to encourage all people to make a great and joyful noise to the LORD. I like making noise and this year we hope to make great noise in our new community of Pitt Meadows. The great noise we wish to make is about how great our students and Saviour are.

Hope Lutheran Christian School Mission Statement

Equipping each child to impact the world for Christ’s glory.

Core Values Equipping: In an environment sustained by curiosity and built on a foundational understanding of God’s Word and academic excellence, HLCS equips students with the knowledge and skills for a life of learning. And these things which I command you...teach them diligently to your children. Deut. 6: 6-7 Belonging (each child): With the support of parents, teachers, the congregation and the community, HLCS strives to create a safe, educational atmosphere that honours each individual child as a child of God, by demonstrating acceptance and respect of their unique strengths and needs. May the God who gives endurance and encouragement give you the same attitude of mind toward each other that Christ Jesus had, so that with one mind and one voice you may glorify the God and Father of our Lord Jesus Christ. Accept one another, then, just as Christ accepted you, in order to bring praise to God. Romans 15: 5-7 Discipling (impact the world to the glory of Christ): By exposing students to Christian love and offering Christian service opportunities, HLCS inspires students to continue their spiritual journey outside of the school setting in order that they, like Christ, may become the servant-leaders of the world. Go therefore and make disciples of all nations, baptizing them in the name of the Father and of the Son and of the Holy Spirit, teaching them to observe all that I have commanded you. About Our Logo Christ is at the heart of education at Hope. Our logo depicts the Christ-centered, quality academic education that is offered at Hope. The apple is the traditional symbol of education. What is stemming from the core is the heart of our gospel message – the cross of Christ.

Basis of Authority-Governance Authority in Hope Lutheran Christian School is based on the Holy Scriptures as understood in the Law and Gospel. The Law will show the Christian his/her shortcomings, give him/her a goal toward which to strive, and show him/her direction. The Gospel is the forgiving power of God in Christ and is the motivating force by which we live.

Hope Lutheran Christian School is a mission of Hope Lutheran Church which operates the school to assist parents in raising their children in the nurture and admonition of the Lord. The Voters Assembly of Hope Lutheran Church determines the policies of the church and elects members of the congregation to sit on the School Board. The School Board determines the governing policies of the school and operates under the auspices of the Voters Assembly. The school Principal is responsible for ensuring the school policies are carried out and assisting teachers in fulfilling their

responsibilities. The calling and hiring of teachers, the establishment of the curriculum and all major changes are carried out only with the approval of the School Board upon the recommendation of the Principal. Hope Lutheran Christian School is the church at work.

Statement of Purpose The purpose of Hope Lutheran Christian School is to:

A. Preserve and extend the kingdom of God. B. Proclaim the life and teachings, death and resurrection of Jesus Christ. C. Apply God’s Law and Gospel to all aspects of life and learning. D. Assist Hope Lutheran Church in fulfilling its five congregational functions: education, worship, evangelism,

fellowship, and service. E. Provide an academically sound Christian education for the children of Hope Lutheran Church and the community. F. Provide support for families in developing positive, healthy Christian relationships. We believe that the purpose of Christian education is to teach the word of God diligently. God’s word commands:

Let the children come to Me, do not hinder them, for to such belongs the Kingdom of God. Mark 10: 14

And these things which I command you...teach them diligently to your children. Deut. 6: 6-7

Go therefore and make disciples of all nations, baptizing them in the name of the Father and of the Son and of the Holy Spirit, teaching them to observe all that I have commanded you. Matthew 28: 19-20. We believe this command is carried out most effectively through instruction in the Word of God and daily training in Christian living. We have equipped Hope Lutheran Christian School to carry out these purposes in that:

we teach the way of salvation and provide instruction in God’s word, through which the Holy Spirit works, we provide sound guidance in daily Christian living, we foster Christian fellowship and relationships, we offer the influence of professional Christian teachers, the word of God permeates the entire curriculum, we teach moral and spiritual values which are rightly motivated by spiritual truth, we seek to fulfill the spiritual, physical, emotional, intellectual and social needs of the child.

We believe that Hope Lutheran Christian School provides an effective setting in which the Holy Spirit works to create and preserve saving faith within the child.

Educational Philosophy

In Christ. . . are hidden all the treasures of wisdom and knowledge. Colossians 2:3 In setting forth our philosophy of Christian education, we shall examine the individual child: 1. As a whole person - Our philosophy views each child as God’s most complex creation. As the child grows, their mental, physical and spiritual qualities develop. It is the task of the Christian educator to guide this development by an application of God’s Law and Gospel.

2. In a changing world - Our philosophy realizes that man is in search of truth in this day of changing values, and that this absolute truth is found only in God’s Word, the Holy Bible. Our philosophy recognizes the urgency of placing Christ and His teaching squarely in the center of all learning. 3. As a responsible child - Our philosophy views the child as having a God-given responsibility to serve God and their fellow man. The program of Christian education in our Lutheran school seeks to develop the child’s personality and aid growth toward Christian maturity. The school is vitally concerned with developing the whole personality and shaping the child’s response and sensitivity to God and the world.

Objectives In the same way, let your light shine before others, that they may see your good deeds and glorify your Father in heaven. History and Vision Hope Lutheran Christian School had its beginning in 1995 as members of Hope Lutheran Church recognized an opportunity to offer families of the community a quality educational program where children could receive a -caliber comprehensive Christian education. A half-day Kindergarten was established first, with eight students, and then in 1996, grades one and two were added.

The following year, in 1997, grades three and four were added. Continuing to focus on quality and desiring to expand further, in 1998, seven classrooms and a library were added. This opened our registration to grade six and added Computers and French to our program of study. In the summer of 2000, the balcony of the church sanctuary was converted to a school library, and in 2001, two grade eight students were added to our enrolment, giving us a total of 111 students. With registration increasing to 136 students in 2002-2003, a space was rented from the Coquitlam Chinese Evangelical Church for two classes, grades five and six, and in October, 2002, building began on a four classroom complex. On May 27, 2003, grades 5-8 moved into the new wing.

In March, 2009, Hope Lutheran Church began the Genesis Project, a study which evaluated the feasibility of adding a high school to our school program. Following a favorable report from the extensive study, the Voters’ Assembly directed the school to begin adding a grade a year, until a full K-12 program could be implemented. Grade 9 began in

September, 2010 and Grades 10 -12 have been added in the successive years to follow. In June 2014, Hope celebrated with its first grade twelve graduates as they completed their school education, many of them moving on into post-secondary.

As we continue to move forward, Hope Lutheran Christian School continues to grow and develop programs and community outreach opportunities for its students.

Enrollment Our school seeks to offer a Christian education to as many as possible. We admit students of any race, nationality, or ethnic origin to all the rights, privileges, programs, and activities generally accorded or made available to students at the school. We do not discriminate because of race, nationality, or ethnic origin in administration of our educational policies, admission policies, and other school administered programs. Returning students are given first priority in enrolling at Hope. Each year, when pre-registration begins, two to three weeks are set aside for returning students. During that time, students outside of our student body are placed on a waiting list. After this pre-registration is concluded, new registrations will normally be accepted on a first come, first serve basis. When we are near capacity and have more applications than space left, we will distinguish between applications based on many different criteria. The date of the application may play a role in the decision. New students to Hope must complete a Student Profile form and meet with the Principal, prior to being accepted. New student registrations will only be rescinded if pertinent information is withheld or falsified. We commit ourselves to holding a space for a student when we accept the registration, and we expect a commitment in return from the family to actually send the student to our school. The registration fee is non-refundable and non-transferable. Acceptance of an application in any given school year, however, does not guarantee enrollment in the subsequent year, particularly if the student and/or parents do not demonstrate any interest or cooperation in the school program. Enrollment Requirements To apply for admission to Hope Lutheran Christian School, the following documents and requirements must be met:

Special Education Hope Lutheran Christian School offers a Christian Education to all students, including those with special needs. We believe that all students receive unique gifts from God and He expects these gifts to be used to the best of their ability. He also wants these gifts to be used to help develop strengths in others (1 Corinthians 12:13 and Romans 12) as together we contribute to our school community. Therefore, all students, including those with special needs, should have equitable access to learning, opportunities for achievements and the pursuit of excellence in all aspects of their Christian Education at Hope Lutheran Christian School. Hope Lutheran’s Special Education Program enables students with special needs to achieve those goals. Our Special Education Program is subject to all of the policies and procedures which apply to all students enrolling at Hope Lutheran Christian School and to the additional policies and procedures described within our school policy and Ministry of Education guidelines. Waiting Pools As classes are filled, names are placed in the waiting pool. The non-refundable registration fee of $50.00 must be paid for each child placed on this list. Acceptance of students from the waiting list will be at the Principal’s discretion, and will be reviewed as positions become available. The $50.00 registration fee is required annually to remain on the waiting list.

Tuition and Fees The members of the School Board and the Principal will annually review registration fees and tuition costs as related to cost per student.

For families with multiple children, Hope has a discount plan to assist with tuition costs. The School Board reviews the percentage of the reduction annually.

Registrations are accepted up to two years in advance. A non-refundable registration fee per student and a non-refundable administration fee per family will be charged at the time of registration. Those families placed on the wait list are required to pay the registration fee. The administration fee is due at the time of acceptance.

All current school families are required register for the following year by mid-February. At that time, the non-refundable registration fee per student and non-refundable administration fee per family will be collected.

Upon being accepted into Hope Lutheran, the school makes a commitment to your family and begins planning for your attendance. Should you choose to withdraw from the school at any point throughout the year, please provide the office with written confirmation of your choice one month prior to departing as our school policy requires such notice to begin trying to fill the upcoming vacancy. Without one month notice, you will forfeit the equivalency of one month’s tuition payment.

Delinquent Payments All tuition payments are due by the Re-Registration deadline, or upon notice of acceptance for new enrollments. Payment is accepted by, either a single full year payment or monthly pre-authorized debit only.

If tuition payments are not received by the Re- Registration deadline or upon notice of acceptance for new enrollments, the child will not be considered registered and will forfeit their space and their non-refundable registration and administration fees.

Should a family be unable to cover the amount of a pre-authorized tuition payment, they are required to contact the school office before it is withdrawn at the beginning of the month.

In situations where a pre-authorized debit is rejected for “insufficient funds,” the parents will be contacted immediately, and will be obliged to pay all service costs incurred.

Should a family be unable to make restitution for a missed tuition payment before the end of the month, they must contact the school office. At this time, the situation will be discussed with possible solutions. If contact has not been made, a registered letter will be sent requesting payment.

Should there be no response from a family who is in arrears for 3 months of tuition payments, the student(s) will not be able to attend school until the problem is addressed. After a review of the situation, the Principal and School Finance Committee shall make a recommendation to the School Board with regards to financial assistance or termination of enrollment.

Should a family not wish to cooperate with the School Finance Committee in resolving the problem, the situation will be dealt with accordingly by the School Board.

Accounts must be settled by the last day of school in June. Re-Registration s will not be accepted for families whose accounts are delinquent.

Parent Teacher League (PTL) The PTL is an active organization that performs a vital role in our school community. Its main purpose is to sponsor and/or assist in various school events throughout the year. In addition, it works together with the School Board to provide quality Christian Education, safety and well-being for the students of Hope Lutheran Christian School. The PTL runs programs such as parent education, parent social events, sports day, staff appreciation, hot food days and bake sales. It also acts as a fund raising body to assist with purchasing items necessary for the education and physical needs of our students. All parents or guardians of students in attendance at Hope Lutheran are considered members and will be charged a $55.00 membership fee at the beginning of the school year. PTL meetings take place once a month and are posted in the school calendar and the “Monday Note.” We encourage parents to make it their goal to be an active part of this organization by attending meetings and helping out with events that have been planned for the year. Parent Involvement and Volunteering When a student enrolls at Hope Lutheran Christian School, it is not just the student who has become part of the community, but the entire family. We are excited to have a Parent Participation Program in place to welcome parents into the community. In this program, parents are asked to volunteer 15 hours per semester, or pay $200.00 per semester in the form of 2 post dated cheques (January & June 2016). The cheques are collected at the beginning of each school year. The volunteer service can be done in a variety of ways including driving on field trips, help with tasks for the teacher, and other ways that are made known throughout the year. If parents are able to fulfill the commitment each semester, the appropriate $200.00 cheque is shredded, or if a family fulfills part of the 15 hours a portion of the cheque will be returned to them. If they are not able to complete this commitment, the monies will go into the PTL operating fund.

Professional Affiliations Hope Lutheran Church and Christian School are members of the Alberta-British Columbia District of Lutheran Church – Canada. As such we are linked to the Lutheran church body as a whole. Hope Lutheran Christian School is also a member of the Federation of Independent Schools Association (FISA). Established in 1996, FISA is an umbrella organization for independent school groups and individual schools in British Columbia. The Federation acts as spokesman for its members in British Columbia, and as a liaison between the schools, the provincial government, and other educational institutions. FISA is dedicated to assisting independent schools in maintaining their independence, while seeking fair treatment for them in legislative and financial terms. Hope Lutheran Christian School has also received international standing through the National Lutheran School Accreditation (NLSA) committee of the United States as a school that provides excellence in education. During the accreditation process, our school was inspected thoroughly in regards to programming, facilities, personnel, planning, assessment and various other categories in order to receive accreditation. Hope Lutheran Christian School is also a member of the Society of Christian School BC (SCSBC). SCSBC provide enormous support and guidance to Christian schools. We receive exceptional professional development opportunities for our staff as well as providing us with support in all areas of school operations.

Port Coquitlam Campus Office Hours The School Office Hours are Monday to Friday from 8:30am until 4:00pm. Contact with Hope Lutheran Christian School can be made through either the Port Coquitlam campus at 604-942-5322 or the Pitt Meadows campus at 604-457-4673(HOPE).

Pitt Meadows Campus School Hours The School campus opens at 8:00am. Students who arrive prior to this time will be required to wait either outside the building until such time as the rooms open. When classes end each week, students are responsible for assisting with the clean-up of the classroom. Students are required to be out of the school at 3:20pm unless they are working directly with a teacher or participating in extra-curricular programs. Parents are responsible for a prompt pick up of their students each day, or arranging alternate means for their student(s) to leave the campus.

Our Link to Canyon Spring Montessori School We are truly thankful for the partnership established with Canyon Springs Montessori. We recognize that we are guests in their facility, and are responsible for being ambassadors of Christ and Hope Lutheran Christian School.

It is essential that students model behaviour that is a positive reflection of our Christ-centered community. Students are, at all times, to show respect for those in authority including teachers and aides, as well as employees and guests of Canyon Springs Montessori. Due to the nature of the Montessori and daycare program, it will be important for our

students and parents to respect their rules and not to disturb their teaching or programs. The daycare program will have an afternoon nap time which we must respect.

We recognize that we are guests in their facility, and are responsible for being ambassadors of Christ, Hope Lutheran Christian School, and the community of Port Coquitlam. It is essential that students model behaviour that reflects well on the parties listed above. Students are, at all times, to show respect for those in authority including teachers, aides, and employees of Hyde Creek Recreation Centre or other partnering organizations. If a student is concerned regarding something they witness on site, or is approached by someone who they don’t know, they are to direct inquiries or questions to the appropriate people. Students who are found to be disrespectful of the facility or its staff will be subject to disciplinary measures.

Students are expected to be courteous and respectful while riding the bus. The bus will not be supervised by school personnel. Procedure for Arrival & Departure Please remember that the following guidelines are in place for the safety of your children. If someone else is involved with picking up or dropping off your student, it is important that you share this information with them. The school doors at the Pitt Meadows school campus open at 8:00 am, and the first class begins at 8:30 am. Students are to arrive at the school on time and enter the building in an orderly fashion through either the east side or main front doors of the building. Students will be reminded to practice punctuality so that they establish good habits for their future careers. Traffic safety when entering and exiting the Pitt Meadows campus is very important. Please note that Old Dewdney Trunk Road is a busy thoroughfare with heavy traffic flow and no pedestrian walkways. There is also a double yellow line which restricts left hand turns. Parents are encouraged to enter the campus from an east to west direction and make a right hand turn into our campus. Drop-Off: Parents may drop their student off at either the east doors near the gym. Please be careful while you are in the parking lot dropping off your student. For safety reasons, please do not drop off students along Old Dewdney. Hope

Lutheran Christian School and Canyon Springs Montessori assume no responsibility for any damage caused to vehicles that are entering or exiting the parking lot. For the safety of others and our environment, do not keep your car running. For safety reasons, in the first semester, students enrolled in PE 10 or PE 11/12 are required to be dropped off at the school campus every morning. If a student is late for class and misses the bus to Hyde Creek or another facility, they will be marked absent for the class and be required to work quietly in the commons area. Please see the attendance policy regarding student absences. Pick-Up: Students should wait for their parents outside after their final class or school event. Students are expected to be picked up by 3:20.

Please consider safety first. Always proceed with care and at a low speed. Please be patient and considerate with everyone involved. If a student is not picked up by 3:20 pm. and they are not involved in a sporting activity, they will be required to wait outside of the building.

Emergency and Weather Related Closing Hope Lutheran will make timely announcements through the local news media – CKNW (980), CKWX (1130). In addition, School closure will also be posted on the school website – www.hopelcs.ca. If possible, closure information will also be recorded on our answering machine at 604-942-5322. We ask families not to call the school, but to rely on these media for information.

Communication with Parents At Hope, we seek to involve parents as much as possible in the educational lives of their children. Throughout the year, parents are contacted at various times for assisting in the classroom, to report both positive and detrimental student behaviours, to report student academic progress, for opportunities to volunteer, and for many additional reasons. Teachers seek to keep parents up to date with what is going on in the classroom. The Hope website, class and subject Edomdo pages, and our Hope Lutheran School Facebook page are useful tool for staff, parents, and students to keep informed of various school information. At the grade 7 to 12 campus, the primary resource for communicating homework and assignments with students and parents is through www.hopelcs.edmodo.com. This website provides both students and parents with a place where they can see online assignments and project due dates. At the beginning of the year, there will be a workshop on how to navigate Edmodo effectively. Please plan to attend. At the start of each week, the Monday Note newsletter is sent to parents by e-mail. This newsletter contains pertinent information regarding the events of the week, as well as a look ahead to those upcoming. The Monday Note is also posted on the school website. From time to time, a parent may have a question regarding what is going on in the classroom. If there is an area of concern, it is critical that the parent initially speak with the teacher to determine what has taken place. We follow the conflict resolution guide that Jesus set out in Matthew 18. Once the parent and the teacher have spoken, our prayer is that the situation is resolved, and we can move on in a Godly manner. Should a situation require additional review, the parent or the teacher may ask to involve the school administration, who will review the facts at hand, and facilitate a conflict resolution process.

The administration of the school has the authority to make decisions that are final. Should a party not be pleased with a decision made by the school administration, they may issue an appeal. An appeal must be directed to the School Board by writing a letter to the Principal, who will bring it to the board. The school Principal is the gateway to the School Board. Once a situation has been discussed and investigated at a School Board level the decision is final.

Courses and Course Selection At Hope Lutheran Christian School, some grade 9 to 12 courses are semester based, and others run throughout the year. This is determined by the timing guidelines, as set out by the Ministry of Education. In addition to the core academic and Christian Studies program, students are enrolled in a variety of core and elective courses throughout grade eight and nine. Upon enter grade 10 to 12, students will be selecting courses to fulfill graduation requirements and prepare them for their future career and study paths. Daily Physical Activity (DPA) is also integrated into the program, with students enrolled in Physical Education, and participating in physical activity in a variety of ways each day. Grade 10 to 12 students who are not participating in Physical Education classes must fulfill their DPA requirements out of normal classes. In January of the school year each student will start course selection for their next school year in consultation with their parents and teachers. We strive to make and offer courses that are in-line with our student’s academic goals. To fulfill this goal, there may be occasions that some courses are offered in an on-line course delivery model. Such courses will also be supervised by a Hope teacher. All of the courses offered at Hope are certified by the Ministry of Education, and follow their guidelines. Students receive their timetables at the beginning of the school year, during the home visit. For grade 10-12 students, there will be a two week period to add or drop courses at the beginning of each semester. Students will need parent approval to add/drop courses once the school year has started.

Textbooks & e-Texts Students will be provided with textbooks for subjects in which they will be used. Each book has a number, and the student is responsible for caring for the book during its use, and returning it in an acceptable condition at the end of the school year. Any books that are lost or damaged beyond normal use (as deemed so by the teacher), will result in a textbook replacement fee, reflecting the cost of the book. Some courses offer students electronic textbooks (e-texts) instead of a traditional hard copy book. E-texts are online resources that can be accessed by students using a password given to the student by the publisher.

Academic Integrity The values of honesty and integrity are important to HLCS, particularly as it pertains to academics. Students are charged to honestly complete and present their work at all times. As a Christian community, the covenant of trust pledged among community members is honored, and the values expressed in Philippians 4:8-9 are modeled: “Whatever is true, whatever is honorable, whatever is just, whatever is pleasing, whatever is commendable, if there is any excellence and if

there is anything worthy of praise, think about these things. Keep on doing the things that you have learned and received and heard and seen in me, and the God of peace will be with you.” Academic integrity is modeled in the following ways:

1. Students submit only work that portrays their original thoughts, ideas, and effort. Any assistance or outside resources are documented appropriately.

2. Students prepare adequately for their assignments, tests, and quizzes to eliminate the need for inappropriate assistance or resources on those assignments.

3. Students refrain from supplying answers to classmates, but rather help re-teach and lead their classmates to understanding the material themselves.

It is understood that there are times when collaboration with fellow students and assistance from family members are vital parts of the learning process. However, it is the student’s responsibility to be clear about the requirements and expectations of any particular assignment, keeping in mind the values of honesty and integrity which we hope to model.

Homework and Assignments The practical application of material being taught in class is vital in determining if students understand the concepts presented. With this in mind, the following homework policy has been set in place. Students can expect anywhere from 60-120 minutes of homework per evening. This may fluctuate through the course of the year, depending on the work that is completed in class. This guideline is an average only. It is important to recognize that students work at different paces. If this amount of homework is posing an issue for a student, parents are encouraged to speak directly with the teacher so that alternate arrangements can be made. Students are expected to complete all of the work that has been assigned. Assignments are always due at the beginning of each class, unless otherwise indicated by the teacher. Failure to complete an assignment, or handing in a late assignment, can be detrimental to student’s achievement. (Please also refer to “I” grade procedures) If a pattern of lateness or incompleteness develops, parental and administrative involvement will result. The teacher is responsible for setting up a classroom policy that will be communicated at the beginning of each year.

Missing Assignments It is at the individual teacher’s discretion as to how late work is handled, and these policies are clearly outlined in each course syllabus at the beginning of the semester. Whenever a student has an excused absence from school, it is the student’s responsibility to find out what assignments were missed during that absence. All assignments from an excused absence must be submitted within three days of a student’s return, regardless of the number of days absent, or at a mutually agreed upon date with an individual teacher. Assignments missed from an unexcused absence do not have to be accepted or may only be awarded partial credit. Should a situation arise where a student has significant quantities of missing work, a teacher may detain a student during lunch or afterschool to make up missing assignments.

Assessment and Evaluation In an effort to work with parents to further the education of their children, Hope seeks to provide many forms of assessment, and to communicate these to parents in an effective and timely manner. The school desires to keep

parents well informed, so that the student can receive immediate praise for achievements, and can receive necessary guidance if it is evident they are falling behind in their work. We are committed to providing four report cards over the duration of the year. The first and third report cards are interim reports, provided half way through each semester. An overall summary of student grades and work will be presented. At this time, parents may be informed that their student is at risk of failing a class. A Parent-Teacher Conference would be requested to formalize procedures for improvement. The second and fourth report cards will be provided at the end of each semester, and will provide a summary of student learning. Parents are always welcome to contact the school if they have any questions or concerns regarding their student’s progress.

Grading Procedures The progress of school students is always reported as a percentage. The following is the percentage equivalent to the letter grades: A 86%-100% B 73% - 85% C+ 67% - 72% C 60% - 66%

C- 50% - 59% F 49% or less I Incomplete or In Progress

Parents are encouraged to inform themselves about their student’s progress by reviewing graded work as it comes home, knowing what reasonable grade level expectations are, and checking with the teacher if any problems or areas of concern arise. The Edmodo on-line platform provides an excellent, efficient, and effective way of monitoring your child’s daily school progress so that you can provide motivation and support. If you have any questions about accessing Edmodo please contact your child’s teacher.

Incomplete or In Progress (“I”) Policy Students with numerous incomplete assignments, poor test scores, or attendance problems may be assigned an”I” grade at any point during a school term. The assignment of an I grade may be communicated to parents by a report card, progress report, telephone call, an “In Progress “ report or formally in writing. At that time the teacher will provide an outline of the requirements to remove the “I” grade and convert the grade to reflect the student’s actual achievement. Students must complete the work listed in the plan provided with the” I” grade documentation before the specified date. After this due date, any late work submitted cannot be included in converting the student’s “I” grade to his or her actual achievement.

Exams and Academic Recognition There are Provincial Exams written in grades 10 and 12 that will focus on numeracy and language arts. Dates for these exams will be communicated to parents as they become available and are also posted on the Ministry of Education website. In addition to provincial exams, grade 9 to 12 students will have mid-term and year end exam as determined by

the course teachers. The specific exam dates will be communicated to students and parents one month prior to the exam week. The Lord does not expect all children to be “A” students. Rather, He expects students to work to the best of their God-given talents and abilities.

Criteria for Term Honour Roll & Honourable Mention

First Class Honours To qualify for First Class Honours, students must have earned a 90-100% average for the term. If a grade is given in a non-academic subject, it will be included in the averaging.

Honour Roll To qualify for Honour Roll, students must have earned 80-89% average for the term. If a grade is given in a non-academic subject, it will be included in the averaging.

Honourable Mention To qualify for Honourable Mention, students must have earned 75-79% average for the term. If a grade is given in a non-academic subject, it will be included in the averaging.

Academic Recognition After each reporting period, students who achieve First Class Honours (90%+), Honours (80-89%), or Honourable Mention (75-79%) will be recognized at Celebration Worship Services. At the end of the year or semester, student averages will be calculated, and the above criteria will be applied for the overall year average.

Parent/Student/Teacher Conferences Each semester, time is set aside for Parent/Student/Teacher Conferences. These times are noted on the school calendar. Parent/Student/Teacher Conferences will be drop-in style where parents and students can come by the school during the allotted times and meet with the teachers. This time is used to reflect on the achievement of each student over the past reporting period(s) and discuss ways to encourage success. As indicated in the title, students are strongly encouraged to attend these conferences; however, if students are unavailable to meet, parents are still welcome to drop-in. If a parent wishes to meet with teachers at other times during the year, these meetings are welcomed and encouraged. Please contact the teacher to schedule a time to meet.

Academic Probation Students who exhibit serious academic problems will be subject to a probationary period to be determined by the administrator. When a student is placed on academic probation, parents will receive a formal letter outlining the requirements of the probationary period. If the student exhibits no effort to improve during this period, the parents, teacher, student, and Principal, will together determine the next step, always considering what is best for the student on probation. Students may be placed on academic probation at any time during the school year. If a student is placed on academic probation, they will not be eligible for co-curricular or extra-curricular activities.

Eligibility for Co-Curricular and Extra-Curricular Activities Co-curricular and extra-curricular activities are a wonderful supplement to the in-class learning that occurs at Hope Lutheran Christian School. As such, many opportunities for student involvement are provided throughout the year. Beyond student interest, participation in these activities requires that the student maintain a 60% average throughout the term of participation. If a student participates in a co-curricular or extra-curricular activity, they must be in attendance a minimum of three periods that day (assuming it is a scheduled, full day of school) or the student may not participate in the activity or contest.

Athletic Policy & Fees Students wishing to participate in athletics offered by Hope Lutheran Christian School must meet the eligibility requirements for co-curricular and extra-curricular activities. Students are required to sign up for their desired athletic programs by the fall and winter sports deadline. Should a student miss the deadline, they may forfeit a position on the roster. We participate in sports programs suitable for a small school and are members in the BC Christian Schools Athletic Association and the Greater Vancouver Independent Schools Athletics Association. Each athletic program offered has a fee attached to it. The fee is based on registration costs for tournaments, possible referees, and facility rentals. Fees are non-refundable unless an offered program does not have enough participants after the athletic enrollment date. Depending on the programs students participate in and the league registration costs, athletic fees can be around $250 for a school year.

Student Academic Progress

Hope Lutheran Christian School faculty utilizes a variety of means to report student academic progress. This can include returned graded assignments, progress reports, and report cards. For grades 9-12, HLCS will send home formal grade reports after the first and third quarters, as well as at the end of each semester (second and fourth quarters). Grade 6, 7 and 8 students will receive three formal report cards each year. Additionally, parents are invited to call or email the faculty to check your student’s academic progress. Edmodo will also offers parents with weekly snapshots of assignments, quizzes and tests assigned to your child.

Student Record Policy It is the policy of Hope Lutheran Christian School to keep the records of each student private and confidential. With that in mind, student progress reports will be discussed with parents and legal guardians only, unless written permission is otherwise granted by parents or legal guardians. Parents may request to see their child’s permanent record at any time. As required by law, graduating students will have their records kept at the school for 55 years.

Attendance Policy In order to effectively learn the material that is being taught, attendance in class is crucial. Students are expected to attend all classes, as listed on the timetable they receive at the beginning of the year. Parents are expected to assist the school in ensuring students attend class. A teacher will contact parents regarding students who are absent without a

prior notification. Parents must complete the absent form and return it to the school. Parents are encouraged to use the online forms available to mark their student absent. If a student is absent without a note for any more than three times, disciplinary action may follow. Students are expected to arrive in class on time. Students who miss 25% or more of any class will be marked absent for the class. Students are expected to complete the work they missed while they were absent. Please see Missing Assignment and “I” grade Policies. Families are strongly discouraged from taking vacation during scheduled school time. However, if an extended absence is necessary, it is important for the teacher to have as much notice as possible in order to work with students’ parents prior to the absence. If a situation arises where giving advance notice is impossible, please e-mail the teacher directly as soon as you are able so that appropriate plans can be made. Homework is not provided in advance of extended absences. Families are encouraged to check Edmodo during the student’s absence as well as follow up with each teacher upon their return.

Uniform Uniforms are part of Hope Lutheran Christian School. We seek to create an environment that focuses on the learning of each individual student, and not on outward appearances. Uniforms assist in reducing distractions that may cause separations within the student body. Hope Lutheran Christian School students will be presented with a mature look that will be both professional and comfortable for the day to day academic learning environment, and representing the school in and outside the community. More casual/comfortable attire will be presented for physical education, attending sporting events and moving about the community while still respectfully representing Hope Lutheran. Please consult the Grade 7 to 12 Uniform Booklet as published on the website www.hopelcs.ca for the complete outline of uniform requirements, expectations, and disciplinary procedures.

Emergency Procedures In the event of an emergency, the teacher will guide the students in proper procedures. In case of a fire, the alarms will go off, signaling an emergency. Students and staff will follow the maps and information posted in the building for safe exit. Staff will work with, the police, fire department, and the provincial government to ensure that policies are familiar, understood, and followed. Procedures to be followed in the event of an earthquake are explained to students and practiced. In the event of an earthquake, students must follow procedures and/or the instructions of a teacher immediately. Under no circumstances will students be permitted to leave the school property unless they are accompanied by a parent or designated adult. Hope is equipped with its own basic life supplies in the event of such an occurrence. Lock-down procedures will be practiced during the school year. Students are taught to be silent and out of sight in the event of danger. A “Lock-down” will be announced, indicating a full lock down. Students will be detained in a safe and secure area of the school. Once the situation is clear, an “All Clear” will be issued. In the event of a perimeter lockdown, a “Hold & Secure” will be announced to the students. “Hold & Secure” means students’ movement inside the campus will be limited. The all clear announcement remains “All Clear.”

Anaphylaxis is a severe allergic reaction that can lead to rapid death if untreated. At Hope Lutheran Christian School, parents have the primary responsibility for informing the school personnel regarding their child’s severe allergy. The physician must diagnose the child with anaphylaxis and prescribe the specific treatment protocol. Safety measures at Hope Lutheran are:

“Medical Alert Form” and “Request for Administration of Medication at School Form” must be completed and signed by the physician. These forms are to be kept in the Medical Alert File and parents must update them each year.

A meeting with the teacher at the beginning of each year is required to establish individual care plans.

Medical Alert posters provided by the parents should be posted in the office and the classroom.

All staff (teaching and non – teaching) must be made aware of and be able to visually identify students who have potentially life threatening allergies. This may include supervisors, substitute teachers, parent volunteers and

coaches.

An annual training session for all staff re: administration of medication and Epi-pen and Twin-ject must be held and reviewed mid-year.

The school will strive to build support for the child with his/her peers.

All concerned must recognize the increased danger when changes to the routine occur, especially field trips, sports days, extracurricular outings, treat days and festive occasions.

The child’s teacher should receive additional information about the child from the parent. The parent and child have primary responsibility for avoiding the allergen. It is not possible to achieve a completely allergen-free school; however the school will attempt to reduce the child’s exposure to allergic foods within the school setting. Trading and sharing of foods, food utensils and food containers, especially in the allergic child’s classroom, should be discouraged. All food allergic children should eat lunches and snacks that have been prepared at home. Please label all food brought to celebrations (potlucks etc.) that may contain nuts and especially peanuts.

Accident or Sickness Policy When there is a serious case of sickness or injury, the teacher or secretary will call the following, until someone in authority is reached. 9-1-1 The family residence. The emergency number given on the Registration Form. The family doctor. The Emergency Unit of Eagle Ridge Hospital.

It is important that all emergency information at school be kept up to date. If there are any changes during the year, parents are expected to notify the office personally or in writing.

To minimize the danger of infection to other children, parents are urged to keep their child/children at home when they are suffering from severe colds and other infectious and communicable diseases. When children attend school, they should be well enough to participate in all class activities, indoors and outdoors.

Behavioural Expectations Our school wide positive behavior plan “REAL” (Respect, Encourage, Adoration, and Love) will continue at the Pitt Meadows Campus and will be modeled and taught at chapel, during Spirit Team events, and other times during the school year. Some of the biblical principles for our REAL plan are listed below: Romans 12:18 states, “If it is possible, as far as it depends on you, live at peace with everyone.” At Hope Lutheran Christian School, we seek to take these words to heart. Students are instructed in the law of the Lord. We are eternally grateful that Christ has fulfilled the law in our place, and therefore, out of a response to this great love, we seek to live lives that are pleasing to God. Students are encouraged to live out their faith through their words and actions. Where there is conflict, we seek to follow Jesus’ words in Matthew 18. If a student has a problem with another student, they should first try to work out the problem with that individual. If that cannot be done, help should be sought by a third party to work out the agreement. Through prayer and meditation on the Word of God, conflicts can be resolved, and restitution can take place.

Students are expected to behave in ways that reflect on who they are – redeemed children of God. Student words and actions reflect not only on themselves, but on the school itself, as well as the church at large. At all times, staff and students are ambassadors of Christ, and as such, we need to model Him for those around us. These are expectations. When students struggle to meet these expectations, they will be guided towards working through the situation. When students meet and exceed these expectations, they will be commended and praised.

Cleanliness of the School It is the responsibility of the students, staff, and faculty to help maintain a clean facility. Students contribute to the cleanliness of the school by throwing garbage and recyclables in their appropriate containers, alerting a staff member of areas needing cleaning, and serving on lunch clean-up crews. By each person doing his or her part, the HLCS facilities will remain a great place to learn.

Discipline Policy

“Put off the old man and be renewed in the spirit of your mind, and put on the new man…. which is created in righteousness and true holiness”. Ephesians 4:22-24 Hope Lutheran Christian School is a Christian setting in which God seeks to accomplish His good and gracious will in the life of each student. The school recognizes that children need structure and limitations in which to learn and grow. Our staff has the sincere desire to build and maintain a loving and positive teaching/learning environment. The two ingredients for such an environment are respect for the well being of each other and concern for setting a positive example. Giving witness to the Christian faith in our daily living is an integral part of Hope Lutheran Christian School’s educational environment. Our goal is that students and staff follow the loving example of Jesus Christ. This means loving and serving God as we are willing to help and serve others.

Students and staff are to exhibit a positive spirit of Christianity in their daily living, both in and out of school. The Christian spirit will be evident in the way they go about their work, interact with others and respond in a respectful manner. Discipline shall be directed toward teaching the child acceptable behaviour in a loving, Christian manner. Positive reinforcement, encouragement, and redirection are some of the methods to be employed by the pastor, Principal, teachers, assistants and supervisors to help alleviate problem behaviour and teach the child to respect the rights of others and to respect proper and appropriate authority. A student whose behaviour shows disrespect for others, including interference with their access to an education and/or safe environment will be subject to disciplinary action. Any actions contrary to an orderly learning environment will be considered for disciplinary action. Our teachers rely on the support of parents, who are the prime educators of their children. Parents and teachers form a partnership in the education of a child. This partnership is enhanced through regular communication, mutual respect and cooperation. Discipline Authority As a Christian educational institution, the principles of Christian living set forth in God’s Word will guide the staff and children. Parents are expected to teach their children to show proper respect and obedience to the Pastor, Principal, teachers, assistants, volunteers, and other school personnel who are over them in the Lord (1 Peter 2:13). Hope has disciplinary authority over a student: while the student is in attendance at any school-related activity, regardless of time or location, for any school-related misconduct, regardless of time or location, when retaliation or harmful speech against a school employee or student is involved, either on or off school

property, including on-line communications and social media In general, discipline will be designed to correct the misconduct and to encourage all students to adhere to their responsibilities as citizens of the school community. Disciplinary action will draw on the professional judgment of teachers and administrators and on a range of discipline management techniques. Disciplinary action will be related to the seriousness of the offense, the student’s age and grade level, the frequency of misbehavior, the student’s attitude, the effect of the misconduct on the school environment, and requirements of law. Because of these factors, discipline for a particular offense (unless otherwise specified by law) may bring into consideration varying techniques and responses.

Desirable Behaviour We try to promote desirable behaviour by: Catching students doing what is expected. Praising significant and specific desired behaviours. Modeling and teaching desired behaviours. Being consistent in applying rules. Encouraging courtesy, cooperation, and consideration.

Student Code of Conduct The Hope REAL matrix was implemented in the 2014-15 school year. The matrix is organized with the key concepts of expected actions: Respect, Encouragement, Adoration for the Lord, and Love. The intent of the Hope Code of Conduct is to provide guidance, direction, and information to staff, students, and parents regarding some of the policies and procedures at Hope Lutheran Christian School.

The staff of Hope Lutheran Christian School is committed to creating a loving and caring atmosphere. The pastor, principal, teachers, assistants, and other staff members are to provide routine procedures to assist in developing discipline, community and mutual respect. Expectations are established by the teachers for maintaining order, and are for the safety and welfare of the entire class. The children attending Hope Lutheran Christian School are expected to conduct themselves in a manner that will give glory to God and create an atmosphere of harmony with others. Expectations:

1. Students are honest, both in their words and actions. Examples of this expectation include (but are not limited to): Telling the truth; Admitting to others when you are wrong; Being trustworth Doing the right thing even when no one is looking.

Violations of this expectation include (but are not limited to): Cheating, misrepresenting any assignment s one's own work, receiving unfair help or allowing one's work to be copied

by another; Lying to or misleading others; Theft or deception.

Following instructor's directions; Asking permission to leave an assigned place or task; Be respectful in the chapel, Accepting consequences; Being courteous to others; Greeting guests; Saying "please", thank you", and "you're welcome."

Violations of this expectation include (but not limited to): Disobeying any reasonable written or oral request of any staff member; Profane or obscene comments, gestures or threats; Discourteous disruptions or interruptions of others.

3. Students treat school and personal property with care respect. Examples of this expectation include (but are not limited to):

Taking care of school property; Picking up after one’s self and others; Respecting the property of others; Being a good steward of our school grounds and environment.

Violations of this expectation include (but are not limited to): Taking, or attempting to take, school or personal property without permission; Using others’ property without permission; Damaging school or personal property; Misuse of property (i.e. abusing or breaking something by using it for an unintended purpose); Trading and/or selling personal property.

4. Students use appropriate language at all times. Examples of this expectation include (but are not limited to):

Addressing others by the proper names; Saying “Please” and “Thank you.”

Violations of this expectation include (but are not limited to): Using profanity, swearing, vulgar and offensive language and language which is degrading and/or disrespectful to other

people; Telling insensitive jokes about other people or classes of people; Putting others down, or otherwise using words that hurt.

5. Students follow rules expectations assigned to different areas of the school. This includes classroom, lunchtime, hallway, playground, gym, locker, and Chapel rules (see pages 51-54). Students are expected to be their appropriate locations at the proper times. Students are to remain on school grounds unless written permission by the parent has been given. All students leaving the campus must be signed out by an authorized adult.

6. Students treat each other with kindness and respect. Examples of this expectation include (but are not limited to): Attempting first to understand, then be understood; Thinking of others’ feelings; Thinking about the safety of others, in your words and actions; Caring for each other and helping others in need; Cooperate with or assist the school staff in maintaining safety, order and discipline.

Violations of this expectation include (but are not limited to): Being mean or unkind to others; Any physical harm, physical force or other physically aggressive acts towards others;

Teasing, name-calling, or other hurtful actions; Harassment including sexual, racial or cyber harassment; Bullying Endangering the safety of others.

7. Students use appropriate displays of affection. Examples of this expectation include (but are not limited to):

Friendly hand-holding, high fiving, friendly hugs. Violations of this expectation include (but are not limited to):

Kissing, unwanted physical contact and romantic displays of affection.

8. Students will be well groomed and cheerfully abide by the uniform policy and school dress code (see page 38).

9. Students use media and technology appropriately. Examples of this expectation include (but are not limited to): Using computers or the internet, appropriately, as directed by staff; Students will obtain permission from a teacher in order to use the phone.

Violations of this expectation during school hours and school sponsored events include (but are not limited to): Cell phone use, texting and multi-media messaging or surfing inappropriate websites.

Violations of this expectation outside of school events include: Inappropriate use of social networks or web sites to haze, insult, or demean a student at HLCS; Cyber harassment.

10. Students refrain from bringing weapons or controlled substances to school. Violations of this expectation include:

Possessing or distributing any tobacco products, any alcoholic beverage, illegal drugs, or any mood altering substances (such as inhalants, steroids, prescription medications) on campus or at school sponsored events.

Possessing or carrying weapons (including pocket knives) or other potentially dangerous items or materials (matches, lighters, sharp objects on campus or at school sponsored events (see Weapon’s Policy on page 31).

11. Students will refrain from chewing gum on campus.

12. Students will refrain from gambling on campus. Violations of this expectation include (but are not limited to): Betting money or property on the outcome of an activity.

13. Students will exhibit pride in their school, their learning and accomplishments, and the accomplishments of their classmates. Examples of this expectation include (but are not limited to):

Prepare for each class and take appropriate materials and assignments to class; Attend all classes regularly and on time.

14. Students will leave all electronic equipment (unless authorized by the teacher for learning in the classroom), unauthorized sport’s equipment, and collections, etc. at home- unless requested by the teacher. Such items will be confiscated.

Discipline Procedure

Consequences The Hope Lutheran Christian School administration, faculty, and staff are committed to maintaining clear and consistent policies related to student discipline. This document provides the consequences that will be applied as a result of misconduct. Steps can be omitted or occur simultaneously as the situation dictates.

Consequences for misconduct are applied to correct, teach, or motivate students to follow behavioural expectations. HLCS distinguishes between the student, and student behaviour. Our aim is to correct unacceptable behaviour while

extending our love and God’s grace to the student. We forgive, but maintain expectations. This requires a measured approach to misconduct, applying different levels of consequences for Level One, Two, and Three Incidents of Misconduct, as illustrated below.

Misconduct is the failure of a student to abide by the school’s behavioural expectations. Misconduct and consequences will be documented by adult staff and maintained by the student’s teacher (level 1 and 2) or by the principal (level 3).

Level One and Two Incidents include but are not limited to: Hurtful language (name calling, taunting, foul language); Mild defiance; Mild or unnecessary physical contact; Breaking playground or class rules; Littering; Lying or cheating; Severe defiance; Inappropriate or unnecessary invasion of personal space; Mild or physical aggression.

Repeated Misconduct is misconduct that continues over time and that is not corrected by the student after Level 1 or Level 2 Consequences. Repeated misconduct requires consequences at the next level. Severe Misconduct (Level 3 Incident or Repeated Level 2 Incidences) consists of dangerous behaviour or misconduct of a more serious nature. It includes but is not limited to: Fighting/physical aggression; Bullying, intimidation or harassment (see Anti-Bullying Policy); Repeated theft; Use/possession of controlled substances; Property destruction or inappropriate use; Extreme defiance; Inappropriate or unacceptable use of Internet (email, messaging, social media, etc.) Weapons (possession or use);

Students exhibiting Severe Misconduct will skip Level One and Two Consequences. Consequences may begin at any step in Level Three, including suspension and expulsion, as determined by the Principal. Level One Consequences (imposed at the classroom level) may include: Verbal correction; Seating change in the classroom; Make amends; Confiscation of inappropriate material; Time out, or temporary removal from the classroom; Confiscation of items that disrupt the educational process; Specific duty relating to misconduct as determined by the teacher; and/or Communication with Parent.

Level Two Consequences (imposed by classroom teacher or principal) may include: Loss of privilege (recess, free time, field trip, etc.); Written apology; Written reflection of behaviour and ways to correct; Behavioral contracts;

Assigned school duties, other than class tasks; Communication with Parent; Discipline form to be signed and returned to office; Agreed upon home/school consequence; Removal from classroom to another teacher’s classroom; Missing a preferred activity; Detention- Upper elementary have detentions after school the following day, after parents gave been notified.

See Detention Policy; Reconciliation meeting with offended person.

Level Three Consequences (for Severe Misconduct) may include: Parent Contact- Staff member involved contacts the parents of the student(s) to inform of the misconduct.

Communication is documented in the student’s file; Principal/Student Conference-Student will conference with principal regarding misconduct and appropriate

further consequences. Conference may include a phone call or letter to parents by the student; Parent/Teacher/Principal/Student Conference- Conference with students, parents, teacher, and principal; Withdrawal of privileges, such as participation in extracurricular activities and use of technology; Referral to School Liaison Officer if applicable; Referral- Referral for counseling and/or testing as determined by the principal and teacher is recommended if

applicable (failure to comply will result in suspension); School-assessed and school-administered probation; In-School Suspension- (see In-School Suspension Policy) Suspension- After this point, the situation will be reviewed by the Principal and the School Board. A conference

with the parents and Principal, (and School Board Chair, if necessary) will follow, outlining the suspension (see Suspension Policy). Dismissal (Expulsion) - The School Board has the authority to expel students from the school who endanger

themselves or others, are openly defiant to authority, persist in conduct which threatens the welfare of the school or a student whose fees are delinquent. If a problem is unresolved through the above steps, the student is dismissed and may be referred to a class or program better suited to meet his/her needs (see Expulsion Policy). Guidelines for Maintaining a Bully Free Environment: 1. Hope Lutheran Christian School does not tolerate bullying, harassment or intimidation by students, teachers, or

staff. Teachers will actively and consistently teach and model positive behaviour(s), and do not tolerate aggressive and harassing behaviour(s).

2. Bullying is when one or more people repeatedly harm, put down, harass, intimidate or exclude others. Bullying involves an imbalance of power or strength (including but not limited to social status, popularity with peers, age, education, physical strength or size, or a combination of these). It can take place face to face or behind the back. Bullying can take many forms, including but not limited to:

o Physical (such as hitting or punching, or taking property from others); o Verbal (such as teasing, name calling, putting others down, or spreading rumors); o Nonverbal or emotional (such as intimidation using gestures or social exclusion); o Cyber bullying or bullying through note writing (such as sending insulting messages by email, texting, social

networks, or sending insulting notes in the classroom). 3. Consequences: Bullying is considered “Severe Misconduct,” and requires notification of parents, and Level Three

consequences, up to and including expulsion. Teachers will transmit all reports or documentation of bullying behaviour to the principal, who will initiate Level Three consequences to correct the behaviour or otherwise maintain a bully free environment for all students.

4. Reporting: Students and/or bystanders should report bullying behaviour to any trusted staff member. Parents report to the teacher or principal. Reports may be oral or in writing and will be documented.

Detention Policy Hope Lutheran Christian School reserves the right to detain a child after school for reasons of discipline or assistance in completing school work etc. Since a detention will require a change in transportation plans for the student, the teacher will notify the parents by a phone call before a detention is to be served to allow parents to make alternative transportation plans.

In-School Suspension Policy All suspensions will be issued by the Principal and served the day(s) immediately following the offence under the supervision of an adult supervisor, at the expense of the parents. The substitute will cover all assignments for the day as planned by the teacher. Students will receive credit for work completed as judged by the teacher, but will get a “0” participation grade for the day. At the end of the day the student will report to the Principal and wait for the parent to arrive. The following privileges will be forfeited during a suspension: classroom activities including: field trips, recess, assemblies, class trips, and lunch with the class, all fellowship and conversation with classmates and teachers.

School Suspension Policy Hope Lutheran Christian School has determined the following reasons for “suspension” from school. The length of the school suspension will be determined by the Principal, in consultation with the School Board, depending on the severity and circumstances of the incident. unacceptable teasing or harassment, the showing of public disrespect for God, a teacher or other staff member, student, or school/personal property, the striking (by hand or with an object) of another student or staff member, fighting, continued disobedience, a rebellious spirit that is unchanged after counseling and prayer, a continued negative attitude and bad influence upon the students, committing a serious breach of conduct inside or outside of the school that has an adverse effect upon the

testimony of the school, failure of the parents to comply with the disciplinary philosophy of the school, academic misconduct.

Weapons Policy Students are prohibited from having a weapon and/or “look-alike” in their possession: in any Hope Lutheran Christian School building, on any grounds of the Hope Lutheran Christian School, in any conveyance (including private) providing transportation to or from Hope Lutheran Christian School, at any school function, activity or event whether or not held on Hope Lutheran Christian School grounds, while on his/her way to or from school.

A student in possession of a weapon or “look-alike” shall be subject to severe disciplinary action. As well, carrying a concealed weapon is contrary to the Criminal Code of Canada. Anyone convicted of such a charge is liable to imprisonment.

Expulsion Policy The School Board has the authority to expel students from school who endanger themselves or others, are openly defiant to authority, persist in conduct which threatens the welfare of the school, or students whose school fees are delinquent.

The Principal must bring to the School Board a recommendation for expulsion in writing, with documentation of the situation. The parents of a student who has been recommended for expulsion shall be notified immediately, followed within 24 hours by a letter from the Principal indicating the reasons for the recommendation, with a copy of all documentation provided to the School Board.

The School Board will set the duration and conditions of any expulsion, in writing. Parents have the right to appeal the expulsion of their student. Such appeals should follow the school’s appeal policy.

Family Commitment - Home and School Together Cooperation- The task God has given us to provide a full-time Christian education is a challenging one, demanding the ongoing effort of parents and teachers. Our work is only effective when children and parents are willing to work with the staff in “Unity of Spirit and Purpose”. Parents, you have chosen to send your child to a Christian school. Here your son or daughter will be in daily contact with the Lord Jesus Christ and His Word through regular Bible study and through formal and informal worship experiences. Your child will be living in close community with other students who claim Jesus Christ as their Lord and Saviour. Christian teachers at Hope Lutheran Christian School are concerned that your child grows to his or her full potential under the Lordship of Jesus Christ. Parents have been given the primary responsibility in raising up their children in the faith (Psalm 78:5-6). The purpose of our school is to serve as an important aid and extension of the home. If the home and school are both Christ-centered, the child is receiving the best education he or she can receive anywhere. Parents and teachers have responsibilities which, if neglected could keep a child from reaching this potential. Without the cooperation of the school and home, the child could be caught in crossfire of purposes which could leave him or her confused and perplexed. The child could, ultimately, reject the training and instruction of either or both. Here are some of the responsibilities and pledges which parents and teachers should make to each other for the welfare of the child. As Teachers- We are committed to the welfare and development of your child, especially his or her spiritual development. It is therefore our pledge to you that we will, as God gives us the ability- encourage your child to develop special talents-academic, artistic, social or athletic, help your child to gain those academic competencies that are needed now and in the future, assist your child to a deeper relationship with Jesus Christ and a greater understanding and acceptance of God’s will

for His people, keep you informed of the progress, or lack of it, which we observe as we work with your child in the achievement of

these goals.

As Parents - No other human can match your love and concern for your child. He or she is, uniquely, God’s gift to you. The Lord has delivered to you the task of training your child in the way he or she should go. In order to help us help you in this task, we ask that you will, as God gives you the ability- Share with us your goals and aspirations for your child, Help us evaluate your child’s needs and establish a program to meet them, Speak to us when you feel that some aspect of the program is in need of reevaluation, Support us when we endeavor to redirect your child’s behaviour patterns, Give positive support to the spiritual development of your son or daughter, Pray for your child and your child’s teacher,

Be responsible for Christian moral developments by monitoring and supervising internet use, television, movies, books, magazines, etc. in accordance with the directions given in God’s Word, Assume responsibility for the child’s prompt and regular school attendance, Instill in the child respect for the law, for authority, for the rights of others and for private and public property, Support your child by checking daily to see if there are any homework assignments or communications from

school, Read all school communication carefully. Be prompt in returning those requiring a response, Encourage your child to work independently and to take responsibility for his/her own work, Provide an adequate study center for your child. A well-lit desk away from T.V. and radio is best, Establish early, relaxed bedtimes (before school opens in September), Exhibit and encourage students to follow good role models in manners and etiquette.

As Co-workers- We must work together closely to enable your child to have the kind of environment needed for fulfillment as a child of God. We, as teachers, receive our responsibilities from two sources. One is from the Lord through the church, and the other if from YOU, the parents, as you receive your responsibilities first of all, from God, and secondly, by the very nature of parenthood. With this as the basis, here are some specific ways in which this cooperation can be practiced. This list is not intended to be all-inclusive, nor is it prioritized. Ideally the list will grow as home and school practice principles in cooperation. Set an example for proper spiritual growth by attending church together and by participating in Bible class,

family devotions, family prayer etc., Talk with the child about school activities and show an active interest in report cards and school progress, Be certain your child/ren arrive at school shortly after 8:30 am. (in time for class to begin at 8:50 am.), promptly

pick up the child from school at 3:00 pm – please inform the school if, due to an emergency, this is not possible, Take an active part in school affairs, participate in the school sponsored programs and parent meetings and

volunteer to assist with school activities, Get the teacher’s (or the other child’s) side of the story before you accept your child’s version, Talk over problems with the teacher before consulting the principal or other parents, Let the teacher know if there are some serious situations in your child’s life which may influence his or her

behaviour at school.

Mutual Respect Respect For Teachers - As a direct authority, teachers are to be shown respect. This is both a biblical mandate

and a common courtesy. Substitute Teachers, School Staff, and Volunteers - Students must show respect for all those in authority,

regardless of title or position. Faculty Respect for Students - As a staff, we also accept our responsibility in treating students with the utmost

respect and fairness. Should a student feel that a teacher has been disrespectful or unfair, the student is encouraged to speak to the teacher first. If this is unsuccessful, the student should then appeal to the Principal. Student Respect for Fellow Students - Verbal abuse or harassment of another student is totally unacceptable to

our Christian ethics, and is in direct opposition to the purpose of Hope Lutheran Christian School and the laws of Canada.

Procedure for Student or Parent Concern God has given parents the responsibility for the discipline of their children. Hope Lutheran Christian School parents have conferred this authority on teachers and administrators during the school day and in school activities. Occasionally, during the course of a year, misunderstandings or problems arise between the teacher and a student, teacher and parent, parent and office staff, or any one of several other possibilities. School personnel at every level are committed to resolving problems one-on-one in a spirit of Christian love and respect. The School Board encourages students and/or their parents to discuss any questions or concerns regarding the education at Hope Lutheran Christian School with the school personnel as early and as directly as possible. It is expected that all concerned will seek resolution as quickly as possible in a loving and caring manner …. reflecting the love of God in all our actions. Matthew 18:15-20 and Matthew 5:21-24

Students or parents who have complaints or problems with teachers or other school personnel are expected to seek resolution by pursuing the following steps:

Teacher or Classroom Level Problem First, all questions, problems, or complaints regarding a teacher or other school personnel should be discussed

in private with the person involved before anyone else is consulted. If the situation cannot be resolved at this level, through direct contact, it should then be brought to the

Principal. If still not solved at this level, it should then be presented to the School Board in writing, through the Principal. Finally, but only when all of the above steps have been taken in order and without satisfactory resolution, would

the problem be directed to the Superintendent of the Independent Schools of British Columbia.

Principal or School Level Problem Discuss directly with the Principal the action, policy, procedure or practice being questioned. If still not solved at this level it should then be presented to the School Board in writing, through the Principal. Finally, but only when all of the above steps have been taken in order and without satisfactory resolution, would

the problem be directed to the Superintendent of the Independent Schools of British Columbia. Hope Lutheran Christian School Board and personnel will ensure that the policies of procedural fairness and natural justice are followed when decisions affecting the rights of a student are made. This applies whether the decision relates to a matter of discipline (i.e. suspension or expulsion from school) or to a facet of the student’s educational program (i.e.: admission into a class or a mark assigned by the teacher).

Child Abuse Policy In your angry do not sin: Do not let the sun go down while you are still angry. Ephesians 4:26 Speak up for those that cannot speak for themselves, for the rights of all who are destitute. Proverbs 31: 8 By law, every teacher and assistant is required to have a Criminal Records Check. Hope Lutheran also requires certain volunteer positions to receive clearance from the Ministry of Attorney General – Security Division. As required by God, and the Province of B.C., Hope Lutheran Christian School will not tolerate the abuse of children. A school staff member that has reasonable cause to suspect a student is a victim of serious physical or mental abuse is required to report the abuse and the school will follow the guidelines from the Ministry, “Supporting Our Students”.

Harassment Harassment can take many forms. In its most general sense, it is basically a continuous and repeated practice of annoyance. This definition makes room to include physical and emotional actions that can cause detriment to the well being of a student or other person. A critical point to any case of harassment is how the victim responds. Harassment can include, but is not limited to:

insulting, suggestive or derogatory language, remarks, or gestures,

teasing and/or intimidation,

unwelcome physical contact,

offensive or derogatory communication through notes, mail, e-mail, social networking, text, or any other medium,

persistent invitations which are unwelcome, or which are perceived to be unwelcome,

internet bullying, intimidation, and discrimination,

ostracizing. The Bible is quite clear that we are to build one another up, love one another as God, in Christ, loves and forgives us, and to speak well of our neighbours. We want our relationships to be founded on the Scriptures. We must refrain from all forms of harassment. St. Paul reminds us in Ephesians 4:29-32: “Do not let any unwholesome talk come out of your mouths, but only what is helpful for building others up according to their needs, that it may benefit those who listen. 30 And do not grieve the Holy Spirit of God, with whom you were sealed for the day of redemption. 31 Get rid of all bitterness, rage and anger, brawling and slander, along with every form of malice. 32 Be kind and compassionate to one another, forgiving each other, just as in Christ God forgave you.” When harassment does occur, we are to recognize the conflict as an opportunity to seek and respond to those involved in a way that leads to peaceful resolution and reconciliation. Depending on the severity of the incident, parents will be notified of the incident and related consequences. If this type of behaviour is repeated, a student will be dealt with at the discretion of the Principal and the School Board.

Fighting God has given us His Word, which clearly outlines the means of resolving conflict. Students are instructed in these ways that bring glory and honor to God. Fighting is in direct violation of these policies, and is not tolerated at Hope. Students who engage in fighting will face disciplinary action, in relation to the discipline policy.

Vandalism If it has been determined that a student(s) has vandalized any property belonging to the school community, Riverside Community Church, Hyde Creek Recreation Centre, or others, that student(s) will be expected to pay the cost of any repairs or replacement of the damaged items. Additional consequences may be given to the student(s) at the discretion of the teacher or Principal.

Theft Theft may result in a suspension, and appropriate restitution must be made. When appropriate, the police will be involved.

Smoking We read in the Scriptures that our bodies are temples of the Holy Spirit (1 Corinthians 6:19). As such, we teach that we are to take care of our physical bodies, as they are gifts from God. Recognizing that smoking is a habit that can lead to ongoing and long-term health issues, we encourage students to be non-smokers. Parents will be notified if a student is caught smoking. Our school and its property is a non-smoking area. Because of this, any smoking paraphernalia will be confiscated. By registering at Hope, students agree to this policy.

Banned Substances and Items Students at Hope Lutheran Christian School are prohibited from the use of alcohol and illicit drugs and from the possession of drug paraphernalia. Students who break this policy will be subject to strict disciplinary action, at the discretion of the school administration, and the School Board, up to or including expulsion. Because these actions are against the Criminal Code of Canada, students caught with or using these items may be reported to the police. Use of banned substances includes direct consumption, bringing these items to school, or involvement in trafficking.

Appropriate Language Ephesians 4:29 provides the biblical standard for verbal communications at Hope. We are expected to encourage and build others up with our words. The words and expressions used in our educational environment may be different from that which students may hear & use in other environments. Our biblical standard is different from our world’s standards of expression, and students at Hope experience this as modeled by all staff at Hope. Students will always be encouraged to use appropriate words at all times and be aware of the tone of their language.

Public Displays of Affection Inappropriate public display of affection is not permitted. As a matter of mutual respect, all members of the HLCS community will refrain from such activities. Public display of affection is defined as any behavior which makes another member of the community uncomfortable. It is understood that when another member of our community requests that a behavior stop, that out of care and respect for the entire community, individuals will comply.

Honesty and Integrity of School work and assignments Proverbs 10:9 reads, “Whoever walks in integrity walks securely, but he who makes his ways crooked will be found out.” It is important that student’s work reflects the knowledge they have, through the instruction that has been provided. Only then can an accurate assessment be provided, and additional learning opportunities planned.

Cheating in any form is a serious offence. The minimum penalty for cheating is a zero on the assignment. Further penalties in the form of loss of privileges, suspension, or receipt of a failing grade in the course may also follow. Repeated incidents will lead to further action. Plagiarism is the act of taking another person’s ideas and representing them as one’s own. Penalties for plagiarism are the same as those cited regarding cheating above. Students may certainly use the ideas and works of others; however they must acknowledge the source, and provide resources for citation. Cheating and Plagiarism include such things as:

claiming ownership on someone else’s work, either in whole, or in part,

bringing in unauthorized material into a test environment,

communicating with others during a test. For further information, please reference our policy on Academic Integrity.

Personal Electronics Hope Lutheran Christian School acknowledges and recognizes that technology is a gift from God, and we seek to use it effectively in all aspects of the curriculum. Many students have such technology items such as: iPods, mp3 players, cell phones, digital cameras, laptops, and other devices. Students are permitted to bring them to school, but do so at their own risk. Hope Lutheran Christian School assumes no responsibility for such devices. Electronic devices may be used in class if specifically permitted by the teacher. If no permission has been given, these devices may be confiscated for a period of time to be determined by the teacher. Students should not post pictures online unless permission has been obtained by the teacher. All students must be careful when digital devices are being used with the intention of sharing content via the Internet. Grade 7 & 8 students cannot use personal electronic devices, including phones, during school hours, unless specifically requested by a teacher. Grade 9 to 12 students may bring their personal electronic devices, but must respect classroom teacher rules and expectations for their use, even during lunch and break times. All students must respect our No Tech Tuesday and Thursday during which technology devices are not permitted during lunch and student break periods. This is done to encourage more face to face communication and interaction as a school body.

Telephones A courtesy student phone is available at the office for use with permission from a teacher.

Laptop, Bring Your Own Device, and Internet Policy Hope Lutheran Christian School believes in educating students for the world that they will be entering upon graduation. As such, the school allows for a one-to-one learning environment which means that every student may have an electronic device that is capable of meeting the minimum requirements as indicated in the student supply list. When at school, student

laptops and all other electronic devices will be subject to our electronics and Internet policies. If a student is unable to provide their own device, they will be provided a school laptop in order for them to complete their school work. While the student is using a school computer, it remains the property of Hope Lutheran Christian School and is not to have any other programs on the laptop other than those installed by the faculty of HLCS. Students are directly responsible for theft or unreasonable damage or wear that may occur to the laptop. Students are encouraged to and are responsible for backing up their laptop content every two weeks. If your personal computer ceases to work for any reason, students will still be required to complete homework on time by hand if necessary until their computer is repaired. The computers will be part of a school network, and as outlined in the Criminal Code and our school policy, students are prohibited from downloading any material that is illegal. A student’s laptop or personal device may need to be checked by a teacher or staff member if use of the school network is inconsistent with school policies. Misuse of the student laptop could result in difficulty completing assigned work, and as such, the student’s grades could be in jeopardy. We recognize that these laptops are gifts from God, and we are thankful to Him that we can provide network access to our students. An Internet and Computer Usage Policy must be signed by the students and the parents at the beginning of each year.

Google Accounts Hope Lutheran Christian schools pays for access to Google’s educational school classroom applications and tools. As such, all school students will be provided with their own Google account under the Hope domain. This account may be used to manage, store, and create on-line documents for school use. This special account limits the account holder to school related content and information, and does not permit email and other social media related applications. This account will allow for the ease of sharing files between teachers and students. Students will also be taught the importance of how to manage their digital files in an on-line world.

Social Media Sites Hope Lutheran Christian School students may choose to establish and maintain personal sites on social networking platforms. Students are warned that many social media platforms encourage and promote communications that are non-biblical and inconsistent with the values expressed and modeled at Hope. If students choose to make posts or upload content that include faculty, staff, students, activities, or facilities, these items must adhere to all Hope Lutheran Christian School regulations and align with the values and expectations of Hope Lutheran Christian School. Failure to follow these guidelines may result in disciplinary consequences. It is also important to note that while a student may attempt to make connections with a staff member, it is at the faculty member’s discretion whether to accept; a faculty member will never make this request of a student. Additionally, by requesting a faculty member as a social media contact, the student is granting the faculty member full permission to hold the student accountable to any posts or pictures, ensuring they align with the values professed by our school.

Locker Policy Lockers are available for the security of personal items and, therefore, should not be traded or shared with anyone. For $10, each student is provided a locker and combination lock. Students will receive $5 back when they return their original lock to the office at the end of the school year. If a student loses their lock, they must purchase a new lock at the front office for $5. Students are not permitted to use their own locks.

Students are responsible for keeping their lockers tidy. Students are to refrain from using tape or stickers in their lockers or from writing on them. Students are also responsible for keeping their lockers locked while they are not in use. The school cannot be held responsible for the loss of personal and/or textbooks when students choose to leave their lockers open and/or share combinations and lockers with others. Book bags, clothing, and materials left on the floor are considered a fire hazard and will be removed and placed in lost and found. Students may lose their locker privilege if they are not following these guidelines. In the event that a student has their locker privilege completely removed they will forfeit their $10; however, they will be allowed to re-rent a locker after a locker-suspension period.

Lost and Found Any articles left at school will be put in the lost and found area. Any article left in the lost and found at the end of each term will be given to an appropriate charitable organization.

Medication The teachers at Hope are trained in basic, level one first aid emergency procedures. We do not however, keep basic medications on hand. Students who need to take any form of medication must provide a written directive from their doctor, accompanied by a note from the parents. These notes will be kept on file. Any medication brought to school must be kept in a secure place, and the teachers and/or school office notified. It must also be clearly labeled with instructions. The school sees this as a service and will make every effort to cooperate with requests. However, we cannot accept responsibility for the consequences of administering, or failing to administer medication.

Leaving Campus Hope Lutheran Christian School is a closed campus for students in grades seven and eight and the first semester in grade nine; therefore, students are not permitted off campus during school hours. Should special needs arise, parents can write a note to the teacher, explaining the circumstances. For grades ten to twelve students, the campus is open. This means that these senior students are allowed to leave school grounds during appropriate breaks in their schedules provided they record their departure and arrival in the student sign out book at the office.

School Events From time to time, school events may take place outside of the standard school day calendar. These functions will vary throughout the year, and parents will be provided with as much advance notification as possible. These school events are considered part of the educational experience at Hope, and as such, students are required to attend. Should a student not be able to attend, the teacher must be notified in writing, as far in advance as possible.

Field Trips As part of the educational program at Hope, students may go on field trips from time to time. Field trips are encouraged, as these provide practical application and hands-on learning activities that would not otherwise be possible in the traditional school setting. All field trips will reflect learning outcomes, outlined in the BC Curriculum. When a teacher has arranged a field trip, a notice will be sent home two weeks prior to the trip. Sometimes, the two week window is not possible, and in such cases, parents will be given as much advance notice as possible. Parents are encouraged to join the class for any field trips. This is done so at their own expense. Many times, parent drivers are needed to support the trip. The teacher will make such requests prior to the trip. While there is no expectation for parents to drive, it does count for Parent Volunteer hours, and without parental assistance, some field trips may not be possible. Parents who drive on field trips are required to provide the office with a copy of their driver’s abstract and insurance. The minimum liability insurance is $1 million. Seat belts are required for each student. Field trip costs for students are included in the tuition. Sometimes, additional materials may be needed for a field trip such as equipment rental. Any costs that are not necessary for the entire class, but for specific individuals, are the responsibility of those individuals at the time of the trip.

Home Visits Home visits are made in late summer by the school teachers. Families will receive one visit from at least one teacher from the school, but the visiting teacher will be a classroom teacher for one of your children. The teacher will contact each family either by phone or email to arrange a time for the visit. The teachers, parents, and students discuss classroom procedures, homework, and any questions the parents or student may have. We encourage students to be present at the home visit. All necessary papers required for registration will be provided at that time. In a case where a home visit cannot be arranged, please pick up your package of forms on Registration Day or the first week of school. It is very important that all forms be completed and returned to the school.

Procedure for Student or Parent Concern God has given parents the responsibility for the discipline of their children. Hope Lutheran Christian School parents have conferred this authority on teachers and administrators during the school day and in school activities. Occasionally, during the course of a year, misunderstandings or problems arise between the teacher and a student, teacher and parent, parent and office staff, or any one of several other possibilities. School personnel at every level are committed to resolving problems one-on-one in a spirit of Christian love and respect. The School Board encourages students and/or their parents to discuss any questions or concerns regarding the education at Hope Lutheran Christian School with the school personnel as early and as directly as possible. If the situation cannot be resolved at this level, through direct contact, it should then be brought to the Principal. If still not solved at this level, it should then be presented to the School Board chairperson in writing, through the Principal.

Principal or School Level Problem Discuss directly with the Principal the action, policy, procedure or practice being questioned. If still not solved at this level it should then be presented to the School Board chairperson in writing, through the Principal. Hope Lutheran Christian School Board and personnel will ensure that the policies of procedural fairness and natural justice are followed when decisions affecting the rights of a student are made. This applies whether the decision relates to a matter of discipline (i.e. suspension or expulsion from school) or to a facet of the student’s educational program (i.e.: admission into a class or a mark assigned by the teacher).

Privacy Policy Regarding Personal Information Parents & Students

The School’s Commitment to You: Safeguarding personal information of parents and students is a fundamental concern of Hope Lutheran Christian School. The school is committed to meeting or exceeding the privacy standards established by British Columbia’s Personal Information Protection Act (PIPA) and any other applicable legislation. This Personal Information Privacy Policy describes the policies and practices of Hope Lutheran Christian School regarding the collection, use and disclosure of personal information about students and parents, including the steps the school has taken to ensure personal and financial information is handled appropriately and securely. Hope Lutheran Christian School may add, modify or remove portions of this Personal Information Privacy Policy when it is considered appropriate to do so, and any such changes will be effective upon giving notice of the revised policy. You may ask for the most recent update of this Personal Information Privacy Policy at the school office. This Personal Information Privacy Policy may be supplemented or modified by agreements entered into between Hope Lutheran Christian School and an individual from time to time.

Ten Privacy Principles As part of Hope Lutheran Christian School’s commitment, the Ten Privacy Principles govern the actions of the school as they relate to the use of personal information. This Personal Information Privacy Policy describes the Ten Privacy Principles and provides further details regarding Hope Lutheran Christian School’s compliance with the principles.

Definitions: In this Personal Information Privacy Policy, the following terms have the meanings set out below: “personal information” means any information about an identifiable individual, as further defined under British Columbia’s Personal Information Protection Act or other applicable laws. Personal information excludes the name, position name or title, business telephone number, business address, business email, and business fax number of an individual, as well as any publicly available information as designated under applicable laws, such as information available from a public telephone directory or from a public registry. “Parent” means the parent, guardian, or other legal representative of a student. “Student” means a prospective, current, or past student of Hope Lutheran Christian School.

Principle 1 – Accountability: Hope Lutheran Christian School is responsible for maintaining and protecting the personal information under its control. In fulfilling this mandate, the school designates (an) individual(s) who is (are) accountable for the school’s compliance with the Ten Privacy Principles. You may contact our Privacy Officer as follows: Principle 2 – Identifying Purposes: Hope Lutheran Christian School will, before or at the time personal information is collected, identify the purposes for which the information is collected, used and disclosed. What Information is Collected? Hope Lutheran Christian School collects and uses personal information to provide students with the best possible educational services enunciated by the Mission statement of the school. Most of the information the school collects comes to the school directly from parents and students or is information regarding the student’s school activities, performance or behaviour, such as attendance records or grades. For example, when a student applies to register in the school, the school will ask you to provide the information that enables it to complete the registration process. This also includes information on academic, health, and personal matters needed by the school to provide the best possible education and co-curricular programs. Hope Lutheran Christian School also collects information in connection with the use of its computer systems. Principle 3 – Consent: Hope Lutheran Christian School will obtain consent of the individual for the collection, use or disclosure of personal information except where the law states exemptions, grants permission, or creates a requirement for collection, use, or disclosure of personal information.

Requirements for consent to collection, use or disclosure of personal information vary depending on circumstances and on the type of personal information that is intended to be collected, used or disclosed. In determining whether consent is required and, if so, what form of consent is appropriate, Hope Lutheran Christian School will take into account both the sensitivity of the personal information and the purposes for which Hope Lutheran Christian School will use the information. Consent may be express, implied (including through use of “opt-out” consent where appropriate), or deemed. For example, if an individual provides his/her mailing address and requests information regarding a particular service, consent to use the address to provide the requested information may be implied. On giving reasonable written notice to Hope Lutheran Christian School, an individual may withdraw consent to the collection, use or disclosure of his or her personal information. If for any reason personal information is required to fulfill another purpose, the school will, where appropriate, notify you and ask you for your consent before the school proceeds. When May Information be Disclosed? Hope Lutheran Christian School may disclose an individual’s personal information to others in connection with the purpose for which it was collected, as consented to by the individual, or as required or permitted by law. The following are some examples of how Hope Lutheran Christian School may disclose personal information. When Authorized by You Other educational institutions routinely contact the school for personal information about students. For example, if a student moves to another school, student records are requested by the enrolling institution. Your permission to pass on these records is usually obtained when the student is registered and you authorize the school to disclose such information to other appropriate educational institutions for the ongoing education of the student. Contact information may be used to enable the school to provide the para-educational and administrative services usually operated by the school. These services include phoning committees, participation groups, parent meetings, fundraising, events, annual general meetings, emergency phoning list, P.T.L., etc. In some cases, when communication is over the telephone, your consent to the use and/or disclosure of your information will be obtained verbally. In other cases such as when you communicate through e-mail, your consent will be obtained electronically. When Required by Law The type of information the school is legally required to disclose most often relates to family court issues, legal proceedings, court orders and government tax reporting requirements. Student information as per Form 1701 is annually filed with the Ministry of Education. Only the information specifically requested is disclosed and the school takes precautions to satisfy itself that the authorities making the request have legitimate grounds to do so. When Permitted by Law The school is legally permitted to disclose some personal information in situations such as an investigation of illegal activities, reasonable methods to collect overdue accounts, a medical emergency or suspicion of illegal activities, etc. Only pertinent information is disclosed. At Hope Lutheran Christian School, the school sometimes contacts outside organizations to perform specialized services such as printing, or student assessments. Suppliers of specialized services are given only the information necessary to perform those services, and Hope Lutheran Christian School takes appropriate steps to ensure that such information is securely transferred and stored and is used only to fulfill the purposes for which it was disclosed to the service provider. Restricting Sharing Information: If you choose to limit the sharing of your personal information, please contact the school office and submit a written letter specifying which items of personal information you wish to limit, and to whom you wish these items to be restricted. Please remember that certain agencies, by law, have access to certain types of personal information. How Long Is Personal Information Retained? Personal information will only be retained for the period of time required to fulfill the purpose for which it was collected. Once the personal information is no longer required to be retained to fulfill the purposes for which it was collected and is no longer required or permitted to be retained for legal or business purposes, it will be destroyed or made anonymous. Principle 6 – Accuracy: Hope Lutheran Christian School will take appropriate steps to ensure that personal information collected by Hope Lutheran Christian School is as accurate and complete as is reasonably required in connection with the purposes for which it was collected, used or disclosed. How May I Update Outdated or Incorrect Information? An individual may, upon written request to Hope Lutheran Christian School, request that Hope Lutheran Christian School correct an error or omission in any personal information that is under Hope Lutheran Christian School’s control and Hope Lutheran Christian School will, as appropriate, amend the information as requested and send the corrected personal information to each third party to which it has disclosed the information during the preceding year. Principle 7 – Safeguarding Personal Information: Hope Lutheran Christian School will protect personal information by security safeguards that are appropriate to the sensitivity level of the information. The School’s Employees: In the course of daily operations, access to personal information is restricted to authorized employees who have a legitimate reason for accessing it. For example, teachers will have access to personal information about students but not your account with the school. Student files are stored in secured filing cabinets. Access is restricted to only those employees (teachers, teacher-aides, counselors, secretaries, etc.) who, by nature of their work, are required to see them. The school manages electronic files appropriately with passwords and security measures that limit access by unauthorized personnel. The school’s security practices are reviewed periodically to ensure that the privacy of personal information is not compromised. Principle 8 – Openness: Hope Lutheran Christian School will make information available to individuals concerning the policies and practices that apply to the management of personal information. Individuals may direct any questions or enquiries with respect to the school’s privacy policies or practices to the Privacy Officer of Hope Lutheran Christian School. Principle 9 – Individual Access: Hope Lutheran Christian School will inform an individual, upon the individual’s request, of the existence, use and disclosure of the individual’s personal information, and shall give the individual access to it in accordance with the law. How May I Access My Personal Information? Individuals may access and verify any personal information with appropriate notice so that the office is able to supply the information required. Parent Access to Student Personal Information: A parent may access and verify school records of the student, with appropriate notice during normal school hours. In situations of family breakdown, the school will grant access to records of students in accordance with the law. Student Access to Student Personal Information: A student may access and verify his/her school records with written and signed permission from his/her parents. In situations of family breakdown, the school will grant the student access to his/her records with written and signed permission of the parent who has legal custody in accordance with the law. Principle 10 – Complaint Process: Individuals may question compliance with the above principles. Questions, concerns, and complaints about privacy, confidentiality and personal information handling policies and practices of the school should be directed to the school’s Privacy Officer by calling the school office. If necessary, individuals will be referred to use the school’s complaint procedure and appeals policies.
