Grade Settings There are several places in GradeSpeed in which setup needs to be verified or changed depending on each grading cycle. These will include the cycle calendar, teacher verification, and the grades export icon.
GradeSpeed – Cycle Calendar Settings Verify the Cycle Calendar is set to the appropriate grading cycle.
1. Go to GradeSpeed >> Tools and Settings >> Cycle Calendar. 2. Verify or change the appropriate grading cycle by clicking on the current radio button. 3. Click on the Update button to save the changes.
IMPORTANT: IT IS IMPERATIVE THAT THE CYCLES ARE SET CORRECTLY WHEN GRADES ARE BEING EXPORTED.
Click on the
Update button

changes.

GradeSpeed – Teacher Verification Settings Verify that the cycle under Teacher Verification Icon is correct.
1. Go to GradeSpeed >> Tools and Settings >> Teacher Verification. 2. Verify the correct cycle is selected, change when applicable.

GradeSpeed – Teacher Verification Validate that teachers have verified their gradebooks. Make sure that the Verified column displays a Yes and the % column is set to 100%.
NOTE: If % is below 100 % it signifies that certain sections/classes have been partially verified.
1. Go to GradeSpeed >> Tools and Settings >> Teacher Verification.
2. The Verify button, verifies a specific teacher gradebook.
3. The Verify All button, verifies all teacher gradebooks.
4. The View pull down allows you to view All teachers, Verified Teachers and Unverified
teachers. A listing can be printed by going to File, Print from the menu bar.
5. The Cycle pull down, allows you to change grading cycles views.
6. The Clear All button, unlocks all teachers for the next grading cycle.
Verify or change the

means the teacher

Gradespeed – Export Grades Important: Before running the Export Grades, always verify that the correct reporting period is correct.
1. Go to GradeSpeed >> Tools and Settings >> Export Grades. Select the Progress Report or Report Card radio button.
2. If the Progress Report radio button is selected, verify that the correct IPR Run 1 or the IPR Run 2 is selected from the drop down menu. Verification of the correct progress will display at the bottom of the screen under “SMS Grading Period Cycle code.
3. Select the Export for verified teachers only radio button. 4. Click on the Export Grades button.
5. Click the OK button to a similar message below.
6. When the process finishes, the number of exported records will display .

Gradespeed – Exporting Grades for One Teacher
1. Go to GradeSpeed >> Tools and Settings >> Export Grades. 2. Select the Progress Report or Report Card radio button. 3. Make sure you are in the correct grading cycle. 4. Select the Specified teacher only radio button. 5. Enter the teacher Id number (internal number found in the teacher verification page in
GradeSpeed or the staff id in Chancery SMS.
6. Click on the Export Grades button.
7. Click the OK button to a similar message below.
7. When the process finishes, the number of exported records will display.

parenthesis, on the teacher verification screen.

POINTS TO KEEP IN MIND
Grades will remain locked as long as the teacher gradebook remains verified under the Teacher Verification Icon, and the Verified column displays a “Yes” status.
There is no attendance process, this is done automatically.
Minimize doing schedule changes during reporting cycles.
Print out grade reporting reports. These are suggested reports and are not limited to this list.
Elementary
o Audit Sheets >> Go to Chancery SMS >> Reports >> Pearson Custom Reports >> YISD Elementary Report Card V.XX
o Progress Reports >> Go to Chancery SMS >> Reports >> Pearson Custom Reports >> YISD Elementary Report Card V.XX
Save a copy of each progress and report card before un-verifying teacher gradebooks.
Secondary
o Report Card/Progress >> Go to Chancery SMS >> Reports >> Pearson Custom Reports >>YISD Secondary Report Card V.XX

Elementary Progress Report/Report Card 1. Go to Chancery SMS >> HOME >> Reports. 2. Go to Pearson Customs Reports. 3. Click on the YISD Elementary Report Card v X.X link.
4. Select the appropriate reporting period from the drop down. 5. Default is all students, under student selection, else for individual students, enter
student id numbers separated by commas. Example: 123456,456789,423456,147895,478954,456123
6. Select all grade levels or a specific grade level from the pull down menu. 7. Click on the “Include withdrawn students who have grades” button to print for
withdrawn students. 8. Click on the appropriate sort options: Student Name, Grade level /Student Name or
by Homeroom /Student Name. 9. Enter up to 50 characters per line in School Message Line 1 and School Message Line 2 if
applicable. 10. Click on the “Include Honor Roll Tag” checkbox for honor roll students. 11. Click on the “Print Audit Sheets” checkbox to print audit sheets.

Grades by Homeroom (Elementary Schools only)
1. From the HOME page in Chancery SMS, go to CLASS from the control panel and click on Homerooms.
2. A list of homeroom teachers will display, click on the appropriate Grading icon for the selected teacher.
3. A list of students will display with class grades. Verify that grades are correct. If grades need to be corrected, un-verify the teacher’s gradebook, teacher will make corrections, re-verify the gradebook and clerk will re-export for specified teacher.
4. Click on the drop down list or click on the Prev or Next link to go to the next subject. 5. Click on the printer icon to print a student grade list.

Grades Verification Report (Secondary Schools only) 1. Go to Chancery SMS >> HOME >> Reports. 2. Click on the Grades Verification Report. 3. Click on the appropriate grading period for radio button. 4. Open the Output Options panel, and select the Adobe Acrobat (*.pdf) under the Report

current student’s schedule. 10. Select the “Specify” radio button IF the “Distributing Period” has passed. Enter the end
date of the reporting period to capture the current reporting cycle or if the Gradebooks have not been cleared.
11. Select the distributing period from the Distributing Period drop down menu. 12. Click on the “Include E2020 Course” checkbox when applicable at end of the year (S2). 13. Click on the “Print Mailer checkbox to mail outs. 14. Enter up to 50 characters per line in School Message Line 1 and School Message Line 2 if
applicable.

Grades by Class (Secondary Schools only)
