K E Y C O N T R O L
Section keys and Master keys are programmed for specific areas.
A Key Control Register is maintained to record distribution of keys.
All keys are stored in a lockable key cupboard (Coffer) in the HK office.
Control of keys is done by the HK Desk In-Charge.
The HK Associate who signs for the key is responsible for the key.
Keys are not permitted to be taken out of the hotel premises.
The HK Associate should never loan the key to a guest or another employee.

HK Associates responsible for retrieving guest room keys (if the guest leaves the key in the room.
When keys are found missing (Lost or Stolen) the key should be blocked immediately by informing Front Office Manager.
In case of metallic keys for the BOH locks, particular lock cylinder to be changed.

EHK office key is collected from the Security every morning. Security key register is signed after collecting the keys.
All section keys and mobile are maintained in key coffer.
The HK Associates are issued the Master Keys of the area assigned to them along with the pantry key.
The HK associates sign for the Key & Mobile taken in the Key Register, mentioning the time taken.
The Desk In-Charge ensures that all Keys & Mobiles given are accounted for.
The key coffer is locked and the key is kept in the HK office.
The keys for all HK areas are taken from the HK Desk In-Charge as and when required and returned to him / her immediately after the work is completed.

The key coffer is opened at the end of the shift and keys are collected back from the HK Associates, and hung in their respective places in the key coffer.
The HK associates sign for the Keys & Mobiles returned in the Key Register, mentioning the time returned.
A count of all keys is taken to ensure that all keys are returned.
The Cupboard keys are handed over to the Evening Shift Desk In-Charge.

At the end of each shift the Coffer & HK desk keys are handed over to next shift.
Same procedure of key issue is followed by all the shifts.
While taking hand over, physical count of Keys and Mobiles should be taken and to be acknowledged in shift hand over register.
HK office key is carried by HK shift In-charge.
EHK office key is kept at the security office.

Missing keys may result in disciplinary action.
Loss prevention is to be notified immediately if a key is misplaced/lost/stolen. Loss prevention will immediately re-key the floors

The Hotel attendant shall place a clip on style signage on the door of the room being serviced.
Any person trying to enter the room will be asked to produce the room key The key will be tested in the door to insure that it is the correct key of that particular room
If the person is unable to produce the room key the Hotel attendant shall ask the person to contact the front desk
If the person is unable to produce the room key and/or refuses to contact the front desk the Hotel attendant shall volunteer to call front desk to properly identify the person
In the event that the person has lost the room key/ has trouble opening the door with the key/ has left the key inside the room the Hotel attendant shall volunteer to call the Front desk
The Hotel attendant shall not open a guestroom for a guest or another associate unless instructed to do so by a Manager or Housekeeping supervisor
