Annual Report 2015-2016
Introduction
This annual report is a brief resume of all that HC has grown into, and of course, the
reporting on our finances for the year ended March 2016.
2015/16 was another excellent year for HC as we saw some new events and a significant
anniversary:-
- HC celebrated its 10th
anniversary.
We issued a bumper edition of Chain Line reviewing 10 years of the Club’s and
members activities (see website)
Members and friends met at the Rookwood Golf Club for a BBQ and a delicious cake
baked and decorated by Alyson Bruce. Here’s to continued success!
- We ran a spring weekend ride to Canterbury with all ‘rides’ enjoying a spin into new
territory and the excellent hospitality of Kent University.
- Cycling Weekly joined us for special ride resulting in HC featuring in the mag.
- We ran our first Ride Leader training session (see below in Rides report)
The General Meeting is scheduled for 10 November 2016 where you will have the
opportunity to question your committee and provide feedback, suggestions etc on any aspect
of HC, as well as voting in your committee.

Actions Arising from General Meeting 2015

Treasurer and Year End Accounts (Coralie Clarke)
Attached are the accounts for the year ended 31 March 2016 which have been approved by
the committee. Many thanks to Paul Windust for carrying out the examination of the
accounts again this year.
The key points to note are as follows-
As mentioned in previous General Meetings, your committee is always focussed on adding
value to the members’ subscription, which is again held at £15 for 2016/17.
Our reserves and income this year have enabled us to:-
- Subsidise six events at nearly £800 (see details below), maintaining the subsidy
this year at £5 per member per event
- Continue to offer reliability trials free of charge; the Club now covers the cost of
hiring the hall
- Ensure kit is priced as low as possible (see trading account below) and that we
have a good stock readily available for purchase from The Cycle Room. The club
continues to fully cover the cost of the commission to The Cycle Room
- Provide a buffet for the very successful club time trail at Okewood Hill
- Celebrate our 10th
anniversary with a special cake and the Cycling Weekly ride
- Run our first course for Ride Leaders
We continue to use Paypal to enable payment for most events. The transaction charge is
1.4% + 20p and a summary of the fees charged during the year is given below.
On Line Banking is now widely used and this preserves dual authorisation for transactions.
The Club officials are satisfied with the operating procedures.
Summary
At the beginning of the financial year, the aim was to break even; we ended the year with a
deficit of £220. This was largely due to the unanticipated extra costs associated with the 10th
anniversary. In addition, the extra clothing discounts (see below) were introduced three
months earlier than anticipated, for practical reasons.
Our cash reserves remain strong at over £5,800 excluding stock which is valued at just under
£2,000.
Our financial outlook for 2016/2017 remains strong and sufficient to meet the needs of the
Club as well as providing enhanced benefits to the Club’s core offering. The committee have
agreed that for the 2016/2017 year, the only events that will attract the £5 subsidy will be the
Annual Lunch and the Christmas Dinner, but that there will be an increase in the Club
clothing subsidy instead, to encourage members to wear Club kit. This is in addition to the
discount received from Endura for ordering our stock in bulk.
Dependent upon membership numbers we are aiming to break even this year but will keep
this under review.

HC continues to grow. Whilst some members do not renew we continue to attract new
members wishing to take part in all our rides. Numbers as at the end of each year are as
follows.

membermojo continues to provide us with a very efficient tool for managing our member
database and for the joining and renewals process.
Competitions (Stewart Forbes & Racing Sub Committee)
Something for everyone! Good to see members enjoying all types of competition.
We ran the usual full programme of Club TTs during the summer months. Some members
also regularly take part in TTs organised by other clubs.

A number of our members have also taken up this very demanding racing in very difficult
conditions.
Interclub Event
Plans are well advanced for an inter club time trial (Cranleigh, Dorking and HC) to be held
on Sat 10 September 2016.

All of the seven Sunday rides (and the monthly off road ride) remain very popular. In the last
year we have seen more members moving between the groups. There is not considered to be
any need to make changes to the current format. Ride statistics are reported regularly in
Chain Line.
We ran for the first time a Ride Leader training session delivered by Greg Woodford a very
experienced Cycling UK trainer. 14 ride leaders attended and all took part with Greg’s
guidance in teasing out and reviewing all aspects of leading a ride. Members found this useful
so we will be running another session in the autumn 2016.
In 2015 we introduced a formal HC Youth Policy to cover our responsibilities for under 18
year old members. All adult members of HC have a responsibility to be familiar with the
policy which can be found on the Club’s website.
Clothing (Barry Harwood*)
Towards the end of the reporting year we made a change to our distributor by moving to The
Cycle Room following notification from AD Cycles that they no longer wanted to fulfil this
role. We would like to thank Andy for his support and also look forward to working with The
Cycle Room – Lewis and his team.
Our supplier continues to be Endura and we try to keep adequate levels of stock. There are
long lead times and from HC reserves we can only financially support a restock a couple of
times of year in order to take full advantage of the discounts available.
We took the decision in January to move away from subsidising events and instead providing
an additional discount of 5% to all items of club clothing.
Towards the end of the year Barry indicated that he wished to hand over the role after
running the clothing very efficiently for a number of years and managing the transfer to The
Cycle Room
.* Since preparing this report Stewart Forbes has now taken on the role
Communications (Michael Horner, Ali Bruce and John Chaplin)
Alan Dolan decided he wished to move on from this role at the end of 2015 and HC thanks
him for all the work he has done in very effectively working on all levels to promote HC to
members and the outside world.
As a result we decided to split the function so that Michael Horner now looks after Chain
Line and Ali Bruce maintains the web site. John Chaplin will keep in touch with the press.
Chain Line is now produced by Lynne Hiscock and we hope that you like the new format. As
usual comments, features and articles are welcome.
E News and the Website Forum remain the key channels for communicating with members.
Cycling Services in the Forum provides details of discounted services and products that are
available to members.
Towards the end of the year we agreed to have a look at HC signing up to Facebook.
Subsequently, HC Facebook is now available to all members.

I would like to personally thank the hard-working committee for keeping the Club thriving,
and all the many members that give some time back to the Club whether at TT, ride leading
or organising one of the events. If it were not for you, the many and varied events would
simply not happen. We can never have enough so please - if you have not helped before, do
consider this when the call goes out!
