The establishment and filing for a network of partnerships

involve operations ascribable to two main aspects:

the first, has substantial features and is used to define, unmistakably, objectives, activities and resources of each partner;

the second, is of formal type refers to the documentation (required from the submitters and also among partners) providing proof of agreements

At the time of application and of submission of the form:

the management of the network should be, at least hypothetically, articulately defined for the positive functioning of the network;

the various activities should be distributed among partners.

the organizational asset of the network; the roles of every component in the various work packets; the devolution of responsibilities in carrying out the

actions and the publication of results.

Letter of intentions in a mobility project

In the mobility project Leonardo da Vinci, procedures require each partner to draw

and sign a letter of intentions coherently to the Commitment of Quality for Mobility.

The commitment is a detailed statement of roles, duties and activities for all organisms involved in

the mobility (sending, intermediate, hosting).

For the sending organisms descriptions should be given of:

objectives of the training stage in terms of competencies and skills to develop;

the destination Country or Countries, with specifications of the time span of mobility, of the hosting organisms and general programme;

the methodology and procedures for trainee selection; preparatory activities of pupils, in cooperation with the hosting

partners and intended so as to supply information about the lifestyles and culture of the hosting Country to the beneficiaries (this includes linguistic preparation);

training agreement procedures with the hosting partners; organizational and logistic procedures connected to mobility; evaluation methods of results achieved.

For what concerns the hosting organism, it will have to state the commitment to:

support students for the understanding of the local culture and thinking styles of hosting country;

check for insurance regularity of hosts; organize training activities according to the agreed terms

with the sending organism, in consideration of the personal needs of students;

individualize tutor and his/her duties; look into the logistic and factual aspects of training

activity.

The eventual intermediate organism is committed to:

cooperate with the hosting Country in the choice of firms and institutions for the training;

cooperate with the sending organism for all preliminary actions;

cooperate for the circulation of results and for public acknowledgements.

Partnerships are usually stipulate with contractual forms like conventions, protocols, contracts where the same

agreements, already stated in the application form and in the letter of

intents, are abided by a solemn document.

Nor National Agencies nor Commission give specific instructions for the stipulations of such types of contractual

agreements, yet it is evident that certain specific information cannot be left out:

the complete reference (section of programme, title, identification code) of the funded project (grant);

reference to involved partners; duties and responsibility of the involved partners. It is useful to

briefly describe, at this point, the mobility intervention, the beneficiaries, the contents, the type of training and the roles of each partner in he action;

the financial and managing aspects connected to financial flux ( prepayments, quittance….), financial auditing, records to file;

strategies for working together; practices for monitoring and evaluation of goals achieved; scheduled time for the fulfilment of the objectives.
