About Robert Bornstein For over 30 years, I have been a professional manager within the hotel / restaurant industry. Over the past 25 years, I have purchased for single hotel properties and for multi unit chains, purveying such products as foods and beverages and hotel related services. During this time, my focus shifted to renovations and new construction; specializing in the procurement of furnishings, equipment, capital expenditures, building materials, operating supplies, project management, along with the design and construction of commercial kitchens and laundries. My professional experience includes positions as an Executive Steward, Banquet Chef, Assistant and Food and Beverage Directors in major urban hotels, Purchasing Director for single and multi unit hotel operators, and managing a major on / off premises catering facility, in the Boston area. My entire career has been in the hospitality industry. HPS will offer a personalized support service for your new hotel or hotel renovation projects. With a team of 2 associates, the Procurement Department coordinated with Design, Vendors, Project Management, Construction, and Operations to procure and deliver all materials required for renovations and Capital Expenditures. Purchases for renovations and Capital Expenditures have exceeded 60 to 80 million dollars annually over the past 3 years; renovating an average of 3,500 rooms annually. The department maintained a 130,000 s. f. warehouse inventory of surplus materials. New Castle Hotels, Shelton, CT Director of Purchasing I developed and managed a start up Purchasing Company (Provender LLC) for a 25 unit hotel chain, with locations in the U.S. and Canada, providing procurement services of food and beverage, F.F.E. supplies, Capital Expenditures, and Operating Supplies. The HPS Purchasing Process

Model Room Development

HPS will be actively involved during the model room design development phase. When HPS is contracted in the early stages of the project, we will assist the designer in recommending sources for the manufacture of the one-off quantities required for the model that could be among the likely sources also capable of producing quality product, in quantity and at a competitive price. With sufficient timing allowed for this important stage, HPS will begin the value engineering process. The Owner or designate will need to obtain Fire Department requirements for flame certifications.

Interior Design Specification / Review

HPS will review the Designer’s submitted plans and documents to minimize questions during the bid process.

Quantification Analysis /Budget

HPS will verify the actual product count (take-off) of each FF&E item from the designer's plans. We will compare our results with the quantities provided by the designer. Any discrepancies will be addressed and resolved with the designer. Attic stock will be estimated at this time. A preliminary budget will be developed at this point (based on the Designer’s submittal) to include materials (FFE, Operating Supplies, Select Building Materials) broken down to the accounting cost codes.

Project Scheduling

HPS will need to discuss the project timeline of the work in order to coordinate delivery of goods in time for installation.

Cash Flow

Once the budget has been approved, HPS will prepare a cash flow report indicating required deposits and anticipated monthly cash flow of goods through project completion stage.

Pre-Bid Qualifying

HPS qualifies all potential bidders of FF&E, OSE, and building materials by reviewing their current financial stability and factory capabilities. Any recent management changes will be taken into consideration as to determine any possible impact to customer service, quality control, and production capacity. This list of bidders will include the designer's specified sources as well as HPS and client recommendations.

Source Recommendations

HPS will recommend for consideration to the designer and Owner additional manufacturing sources that have provided “best value".

Competitive Bidding

HPS will prepare bid document packages to the final approved list of bidders of Materials. The bid documents will encompass all relevant information needed in order that each bidder will have a full and complete understanding of the work.

Bid Analysis / Value Engineering

After receipt of all bids, HPS reviews for completeness and thoroughness. Questions will be resolved at this time. HPS will then review with each bidder ways in which to engineer the item to obtain the best value, not deter quality, and meet brand standard without sacrificing the design.

Bid Summary

The results of the bid analysis and value engineering will be presented to the client and designer (if required). Factory visits, and/ or a personal meeting with the Principle of the manufacturer, etc. may be coordinated if required by the Owner.

Contracts

HPS will negotiate the most favorable package with the awarded bidders to include final pricing, payment terms, production schedule and any other issue(s).

Purchase Order Preparation

Once the final budget and the Vendor comparison has been completed and approved, HPS will prepare purchase orders and contracts as Agent for the Owner. A draft of each document will first be sent to the Owner (and designer, if required) for review and approval, prior to the original purchase orders being submitted to the Vendor. At this time all fabric samples, finish samples, color swatches, shop drawings, and fire certifications are requested. All shop drawings, finish and fabric samples will be sent to the designer for approval.

Order Expediting

The most important process to the success of the project is expediting purchase orders and to provide a continuous follow up with each vendor to be sure the order is in compliance with promised ship date and to resolve any issues before they creates delays. HPS provides continuous updates on the delivery status of each FF&E item in conjunction with Logical Logistic Solutions.

Actual vs. Budget Report

HPS maintains cost controls for all materials with an itemized report which details the variance between the approved budget and the current forecast. Updates are provided monthly.

Vendor Invoice Auditing/Payables

HPS will audit each vendor invoice against the purchase documents. After HPS approval, the audited invoices are forwarded to the Owner for payment within the vendor's agreed terms.

Fire Certification Documentation

HPS obtains all necessary fire certification compliance documentation for each vendor. The certificates are presented to the client in bound format prior to project completion.

Attic Stock Inventory

The Owners attic stock is always maintained separately from the quantities required for the project installation. A review at the end of the project will determine any additional product required due to breakage.

Project Closeout Documentation

At project completion, final, reconciled and audited reports are presented to the client representing the complete cost of all materials purchased including all final freights costs, and taxes, as well as the status of any open items, damaged items, or errors, and the course of action required to complete the project.

Freight Management & Logistics

HPS will provide Logical Logistics Solutions, of Charlotte, North Carolina, as your freight logistics and warehouse specialist.

Furniture Liquidation

Should the Owner require liquidation of existing furnishings, HPS will provide liquidation services.

On-site Installation Coordination

In the event the Owner will require an on site Owner’s Representative for a period of time prior to the project completion. HPS may be retained for these services at an additional cost.

Warehousing and Installation

HPS will provide bids and secure warehousing services (Logical Logistics Solutions), inventory, final delivery and installation of Hotel FF&E. These additional services could either be on the Owner's behalf, or as a third-party contract.
