Precautions When Performing System Upgrades

Automatic Reset of Change Default Settings When performing a system upgrade, if the first two digits of the controller version are equal to or higher than ‘20’, changes to the following default settings are reset.

■ [Access Stored Files] → [Mail Box] → [Send] • File format setting • Settings for Options

■ [Fax/I-Fax Inbox] → [Memory RX Inbox] → [Memory RX Inbox] → [Send] • File format setting • Settings for Options

If you have changed the default settings, confirm the settings before upgrading the system, and specify the settings again after you have completed the system upgrade.

To check the controller version, from the control panel, press 1 2 3 (Counter Check) → [Check Device Configuration].

Additional Optional Products The following additional optional products are available to enhance the functions of the machine.

■ Copy Card Reader-F1 The Copy Card Reader-F1 performs Department ID Management by using the control card.

■ Remote Fax Kit The Remote Fax Kit is needed to use the Remote Fax function. The Remote Fax function enables you to share the Fax function on the same network. If there is an imageRUNNER ADVANCE series machine with the fax board installed on the same network, you can send and receive fax document, via the machine with the fax board, from the machine with no fax board.

Security Policy Encryption Algorithm to Register in IPSec Settings The authentication and encryption algorithms to be used for [IKE Settings] and [IPSec Network Settings] when registering a new security policy for [IPSec Settings] have been changed. The procedure for setting [IKE Settings] and [IPSec Network Settings] is described below.

This mode is available only if the IPSec Board is installed.

For instructions on registering a security policy in [IPSec Settings], see e-Manual > Network.

1 Press (Settings/Registration)→ [Preferences] → [Network] → [TCP/IP Settings] → [IPSec Settings] → set to ‘On’.

2 Press [Register] for . Enter a name for the policy → press [IKE Settings]. 3 Press [IKE Settings] on the registration screen → select the mode to use for IKE Phase 1.

[Main]: Sets the main mode. Security is robust as the IKE session itself is encrypted.

[Aggressive]: Sets the aggressive mode. Encryption is not performed and the IKE session speeds up.


4 On the IKE Settings screen, specify the authentication method to use for IKE Phase 1. To select the pre-shared key method, prepare a pre-shared key. To select the digital signature method, register a CA certificate (see e-Manual > Security), and install a key pair file and certificate file (see e-Manual > Remote UI), in advance.

● Setting the Pre-Shared Key Method:

☐ Press [Pre-Shared Key Method] for → [Shared Key] → enter the pre-shared key.

● Setting the Digital Signature Method:

If you select a key pair that is using the RSA-MD5 or RSA-MD2 signature algorithm, when you set IPSec communication to comply with FIPS (Federal Information Processing Standardization) 140-2, policies with this key pair set are disabled. (See “Using an Encryption Method that Complies with FIPS 140-2 (Format Encryption Method to FIPS 140-2),” on p. 33.)

• You can check the content of a certificate by selecting a key pair on the Key and Certificate screen, and pressing [Certificate Details]. On the Certificate Details screen, you can press [Certificate] to verify the certificate. • You can check what a key pair is being used for by selecting a key pair with ‘Using’ displayed for on the Key and Certificate screen, and pressing [Display Use Location].


5 On the IKE Settings screen, select the algorithm for the authentication and encryption to use for IKE Phase 1.

● Specifying the Authentication and Encryption Algorithm:

6 On the Register screen, press [IPSec Network Settings] → specify the SA validation time and validation type, and PFS (Perfect Forward Security).

[Time] and [Size] for : Specify the validation period for the generated IKE SA and IPSec SA. In IPSec communications to which a valid security policy is applied, packets can be sent and received without conducting key exchange negotiations. Make sure to set either [Time] or [Size]. If you set both, the SA becomes invalid when the value set for either [Time] or [Size] is reached.

[On] for : If you enable the PFS function, you can increase the confidentiality because even if one encryption key is exposed to a third party, the problem does not spread to other encryption keys.

[Off ] for : If you disable the PFS function, if one encryption key is exposed to a third party, other encryption keys may be able to be guessed. If you set to ‘On’, the destination for PFS communication must also have PFS enabled.


7 On the IPSec Network Settings screen, select the algorithm for the authentication and encryption to use for IKE phase 2.

[AH(SHA1)] Sets SHA1 as the algorithm for the AH authentication method. 160-bit hash values are supported.


If you set IPSec communication to comply with FIPS 140-2, policies with [ESP(AES-GCM)] set for the authentication method are disabled. At the same time, the authentication algorithm for this policy is automatically changed to SHA1 and the encryption algorithm for this policy is automatically changed to 3DES-CBC. (See “Using an Encryption Method that Complies with FIPS 140-2 (Format Encryption Method to FIPS 140-2),” on p. 33.)

Specifying the Minimum PDF Version (Specify Minimum PDF Version) You can specify the minimum version to assign when generating PDF files.

This mode enables you to set the minimum version range that can be assigned when generating PDF files. Depending on the functions set for the PDF files, the version assigned may be higher than that specified with this setting.

This setting is disabled when sending a I-fax.

1 Press (Settings/Registration)→ [Function Settings] → [Common] → [Generate File] → [Specify Minimum PDF Version].

2 Select [Do Not Specify], [1.5], [1.6], or [1.7] → press [OK].

Specifying Detailed Job Restriction Settings from the Printer Driver You can set whether to accept print jobs from the printer driver.

To specify Restrict Printer Job settings, it is necessary to log in as an administrator. For information on the types of administrators, see e-Manual > Security.

Changing the Default Screen for Fax You can set whether to display the Standard or Address Book screen when [Fax] is selected from the Main Menu, when Auto Reset is activated, or when (Reset) is pressed.

To use this function, you must set the remote fax. For details, see “Remote Fax Function,” on p. 34.

Changing the Default Settings for Fax Function You can change the default settings for Fax.


1 Set the mode to be stored → press (Settings/Registration)→ [Function Settings] → [Send] → [Fax Settings] → [Change Default Settings].

2 Select [Register] or [Initialize] → press [Yes] → [Close].

[Register]: The current fax settings are set as the default settings.

[Initialize]: The default settings return to the original default settings.

Storing Shortcut Buttons You can change the default settings for Fax. You can store shortcut buttons that are displayed on the Fax screen. You can store up to four desired buttons from [Options].

This feature is useful when you want to store frequently used settings.


1 Press (Settings/Registration)→ [Function Settings] → [Send] → [Fax Settings] → [Register Options Shortcuts].

2 Select the shortcut button → select the setting to be stored in the shortcut button. To cancel the storing of a shortcut button, select [Unassigned].


3 Press [OK]. Example: The stored shortcut buttons are displayed as shown below.

Registering Sender Names For fax, you can register any name as the Sender Name, such as the section or department’s name, or an individual’s name.

The registered Sender Name can be displayed on the touch panel display of the receiving party’s machine and/or printed at the top of the documents that you send as the sender’s information.


You can set to display/print the Sender Name instead of the name stored as the unit’s name from the Options screen. (See e-Manual of the imageRUNNER ADVANCE (remote fax server) > Fax)

1 Press (Settings/Registration)→ [Function Settings] → [Send] → [Fax Settings] → [Register Sender Name (TTI)].

2 Select the number under which you want to register the Sender Name → press [Register/Edit].

You can store up to 99 sender names (01 to 99).

To delete a stored Sender Name, select the number under which the name is registered → press [Delete].Only one sender name can be deleted at a time.

3 Enter the Sender Name → press [Close].


Using the Authenticated User Name as the Sender Name If logging in using SSO-H, the login name appears in of Sender Name (TTI). If [Use Authentication User Name as Sender Name] is set to ‘On”, the login name in is used as the default value for Sender Name (TTI).

Fax TX Report The Fax TX Report enables you to check whether documents were sent correctly to their intended destinations. A Fax TX Report can be printed automatically after the documents are sent. You can also set the machine to print a Fax TX Report only when a transmission error occurs, and adjust the Fax TX Report setting to print the first part of the document as part of the report to remind you of the document’s contents.


• The reports can be printed only if 11” x 17”, LGL, LTR, or LTRR (plain, recycled, thin, or color paper) is loaded in a paper source whose settings in [Other] in [Paper Drawer Auto Selection On/Off ] in [Function Settings] (Settings/Registration) are set to ‘On’. However, if [Consider Paper Type] for [Copy] is set to ‘On’ in [Paper Drawer Auto Selection On/Off ], you cannot print from a paper source with color paper specified. (See e-Manual of the imageRUNNER ADVANCE (remote fax server) > Settings/Registration) • If TX Report in Output Report (Settings/Registration) is set to ‘For Error Only’ or ‘On’, a Send TX Report is printed with the Fax TX Report. • If a sequential broadcast transmission is performed when [Fax TX Report] is set to ‘On’, a Fax Multi TX Report is printed.

Fax Activity Report The Fax Activity Report is a printed log that shows the results of send jobs. The Fax Activity Report can be printed at a specified time or it can be printed automatically when the number of send transmissions reaches 40.

A copy of the Fax Activity Report can be printed at any time from the Status Monitor/Cancel screen. (See e-Manual of the imageRUNNER ADVANCE (remote fax server) > Status Monitor/Cancel)


• The report can be printed only if 11” x 17”, LGL, LTR, or LTRR (plain, recycled, thin, or color paper) is loaded in a paper source whose settings in [Other] in [Paper Drawer Auto Selection On/Off ] in [Function Settings] (Settings/Registration) are set to ‘On’. However, if [Consider Paper Type] for [Copy] is set to ‘On’ in [Paper Drawer Auto Selection On/Off ], you cannot print from a paper source with color paper specified. When the message is displayed to indicate that the Print function is unavailable, the machine automatically prints a Fax Activity Report after it recovers from the problem. The latest 40 communication results are printed on the report.

1 Press (Settings/Registration)→ [Function Settings] → [Send] → [Fax Settings] → [Fax Activity Report].

2 Specify each setting → press [OK].

: [On]: The Activity Report is automatically printed when the number of send and receive transmissions reaches 40.[Off ]: The Activity Report is not automatically printed when the number of send and receive transmissions reaches 40.

: [On]: The Fax Activity Report is printed at the specified time.[Off ]: The Fax Activity Report Time setting is not specified.

Enter all four digits of the time (including zeros), using 24-hour notation. Examples: 7:05 a.m. → 0705

11:18 p.m. → 2318

If you make a mistake when entering the time, press (Clear) to clear your entry → enter another four digit number. If the number of send and receive transmissions exceeds 40 before the specified time, a Fax Activity Report of the most recent 40 transmissions is printed.


Setting PIN Code Access The PIN (Personal Identification Number) code prevents unauthorized personnel from making calls. To protect privileged access to the telephone lines, only authorized users are entrusted with the PIN codes for daily operations. Some PBX (Private Branch eXchange) systems require that a PIN code be entered when dialing a number to make a call or send a document by fax. Depending on the requirements of the PBX system, the PIN code may be entered either before the number as a prefix, or after the number as a suffix. If your PBX requires a PIN Code to get an outside line, your machine can be set to prompt the user to enter the PIN Code before dialing.

• To use this function, you must set the remote fax. For details, see “Remote Fax Function,” on p. 34. • If you use the Fax function with the Remote Fax Kit, make sure that the settings of this function of the remote fax client are equal to the settings of the remote fax server.

the PIN Code key is enabled on the Fax screen.[Prefix]: If your PBX always requires a PIN Code before the destination, select [Prefix].[Suffix]: If your PBX always requires a PIN Code after the destination, select [Suffix].


Remote Fax TX Settings You can specify the settings to use the machine as the client-machine for Remote Fax.

• If Department ID Management is set on the remote fax server, you can perform sending by logging in to the remote fax client using a Department ID and password registered in the remote fax server. • To use this function, you must set on the server-machine beforehand. For details, see “Remote Fax Function,” on p. 34.

■ Remote Fax TX Server Address You can specify the IP address or the host name for the imageRUNNER ADVANCE series (Remote Fax Server) on the server-side.

To specify the IP address, you can register the IPv4 (Internet Protocol Version 4) address and IPv6 (Internet Protocol Version 6) address.

■ TX Timeout If the TX Timeout time is set and the set time has elapsed, the remote fax job is canceled when the Remote Fax Server is not responding.

■ Number of Lines for Sending You can set the number of lines you can select when sending remote fax. Set the number of lines to the same number of telephone lines connected to the remote fax server.

■ Set Line You can set the telephone line to use when sending a remote fax.

If you set automatic selection for [Line Selection] in [Options] or in the settings for a TX line registered in the Address Book, the set line is used for sending.

● To specify the remote fax server address:

☐ Press [Remote Fax Server Address].

☐ Enter the host name or the IP address → press [OK]. A host name is a name assigned to a host computer that provides services on the network. Enter the name for Remote Fax Server.

● To specify the TX Timeout settings:

☐ Press [TX Timeout].

☐ Specify the TX timeout time by pressing [-] or [+] → press [OK].

● To select the number of lines to use for sending:

☐ Press [No. of Sending Lines].

☐ Set the telephone line number to use for sending.

● To select the priority line:

☐ Press [Select Priority Line].

☐ Select [Auto] or the line to use as a priority.


Box Security Settings You can set to improve the security of files stored in mail boxes.

Forcing Seven Digit Mail Box PINs The PIN used when storing a file in a mail box can be set using at least one digit. If you set this function to ‘On’, users are forced to set a seven digit PIN.

If you registered a PIN of fewer than seven digits before you set this function to ‘On’, you can use the registered PIN. However, to ensure security, register the PIN again using seven digits.

• If you set this function to ‘On’, users are forced to set seven digit PINs for the Memory RX Inbox and Confidential Fax Inboxes. • For instructions on setting a PIN for a mail box, see e-Manual > Settings/Registration. • For instructions on setting PINs for the Memory RX Inbox and Confidential Fax Inboxes, see e-Manual > Settings/Registration.

Restricting Changes to Print Settings upon Storing from the Printer Driver In in [Function Settings] (Settings/Registration), you can set whether to print a file when storing it in a mail box from a computer using the printer driver.

If you set this function to ‘Off’, the settings for cannot be changed.

Memory Media Settings You can restrict the storing of files to memory media and the printing of files from memory media.

Specifying the Hold Function

You can set whether to use the hold function.

Setting the Time Until a Hold Job is Automatically Deleted You can set the time that has to elapse before hold jobs are automatically deleted. A hold job is automatically deleted after a certain period of time has elapsed following the last job operation, such as submitting a hold job or editing the job ticket.

For information on the optional products required to use this function, see “imageRUNNER ADVANCE 8105/8095/8085 and the Related Applications,” on p. 80.

If you change the current date and time on the machine, the time taken for the hold job to beautomatically deleted is affected.

Storing Fax Numbers in Address Book You can store fax numbers, as well as subaddress and password information.


If you use the Fax function with the Remote Fax Kit, the following items are sent according to the settings of the Remote Fax Server. - ECM TX - Sending Speed - Long Distance

1 Press (Settings/Registration)→ [Set Destination] → [Register Destinations] → [Register New Dest.].

2 Press [Fax].

3 Press [Name].


4 Enter a name for the recipient of the fax → press [OK].

• The first character that you enter for the name is used for sorting the destination list when you press keys, such as [ABC], [DEF], and [GHI], on the Address Book screen. • If [Search by Name] is pressed on the Address Book screen, a screen for narrowing the search in the Address Book is displayed. • For more information on refining the destination, see e-Manual of the imageRUNNER ADVANCE (remote fax server) > Fax.

5 Press the Address List drop-down list → select an address list from Address List 1 to 10. Address Lists 1 to 10 are used to divide the Address Book into 10 parts. This is a convenient way to classify destinations.

The fax number that you enter will be stored in the address list that you select here.

6 Enter the recipient’s fax number using - (numeric keys), , and . [Pause]: Press to insert a pause of several seconds in the fax number that you are dialing. If you insert a pause, the letter

is displayed between the numbers, and the letter

appears at the end of the number. When dialing an overseas number, insert a pause after the country code, and at the end of the telephone number. (See e-Manual of the imageRUNNER ADVANCE (remote fax server) > Settings/Registration)

[Tone]: Press when you want to directly call an extension line that is connected to a PBX (Private Branch eXchange) which accepts only tone signals. If you press [Tone], the letter appears. (See e-Manual of the imageRUNNER ADVANCE (remote fax server) > Settings/Registration)

[ ][ ]: Press to move the position of the cursor[Backspace]: Press to delete the last number entered.[Space]: Press to insert a space between numbers.[+]: Use to insert a country code. Press [+] after the country code, and before the fax number.[Set Details]: Press to specify the subaddress, password, ECM TX, sending speed, and type of call settings. These settings are

optional.[PIN Code]: Press to enter the PIN (Personal Identification Number) code. You can press this key only if [Option] is selected for PIN

code position. If [Prefix], [Suffix], or [Off ] is selected for PIN code position, this key is grayed out. (See e-Manual of the imageRUNNER ADVANCE (remote fax server) > Fax)

You cannot insert a pause or a space at the beginning of a number.

If you enter a pause at the end of the number, the pause is always 10 seconds long.


● If you press [Set Details]:

☐ Specify each setting → press [OK].

[Subaddress] and [Password]:

Press [Subaddress] → enter the recipient’s subaddress using - (numeric keys), , and .

Press [Password] → enter the recipient’s password using - (numeric keys), , and .

Press [Confirm] → re-enter the recipient’s password for confirmation → press [OK]. Press [Space] to insert a space.

Press [Backspace] to delete the last digit entered.

If the recipient did not set a password for the target subaddress, you do not need to enter a password.

Press the Select Line drop-down list → select the line.

If you want to attach a subaddress to your send job, make sure that the recipient’s fax machine supports ITU-T standard subaddresses.

When using the Fax function with the Remote Fax Kit, the number of lines you can select is determined by the following setting: - [No. of Sending Lines] in [Remote Fax TX Settings] in [Function Settings] (Settings/Registration)(See “Remote Fax Function,” on p. 34.)

7 Finish storing the address. ● If Access Number Management is set to ‘On’:

☐ Press [Next].

☐ Press [Access No.].

☐ Press [Access No.] → enter the access number using - (numeric keys).

☐ Press [Confirm] → re-enter the access number for confirmation using - (numeric keys) → press [OK] → [OK]. If you do not want to set an access number for this destination, press [OK] without entering any number.

● If Access Number Management is set to ‘Off’:

Including Password When Exporting Address Book You can set whether to include passwords registered for destinations when exporting an address book from the Remote UI.

• The following passwords are supported for this function: - Authentication passwords set for file server destinations (including Advanced Boxs that are opened externally).

• For information on exporting address books, see “Saving an Address List as a File (Export),” on p. 64.

Fax TX Line Auto Select Adjustment You can set whether to automatically select the fax line instead of using the line registered to the recipient when sending a fax to the destination obtained from the remote address book.


1 Press (Settings/Registration)→ [Set Destination] → [Acquire Remote Address Book] → [Fax TX Line Auto Select Adjustment].

2 Select [On] or [Off] → press [OK]. [On]: You can automatically select adjustment for Fax TX Line.

[Off ]: You cannot automatically select adjustment for Fax TX Line.


Selecting a Signature Algorithm and Key Algorithm when Generating a Key Pair for Encrypted SSL Communication

The procedure for setting a key pair is described below.

1 Press (Settings/Registration)→ [Management Settings] → [Device Management]. 2 Press [Certificate Settings] → [Generate Key]. 3 Press [Generate Network Communication Key] → set the following items.

[Generate Network Communication Key] and [Generate/Update Device Signature Key] are displayed only if device signature is enabled.

Details of each item are described below:

[Key Name]: Enter the key pair name.

: Select the hash function to use for the signature (SHA1, SHA256, SHA384, SHA512).Keys that are 1024-bit or longer support the hash function of SHA-384 and SHA-512. To set [SHA384] or [SHA512], select [1024], [2048], or [4096] for < Key Type >.

: RSA Rivest Shamir Adleman

< Key Type >: Select the key Type (512, 1024, 2048, 4095).

Up to 24 alphanumeric characters can be entered for [Key Name].

• The name of the preinstalled key pair is ‘Default Key’. • You cannot specify ‘Device Signature Key’ (used for key pairs for adding digital signatures to PDF or XPS files) or ‘AMS’ (used for key pairs for access restrictions) as the name for the key pair.


Audit Log Retrieval If you set this function to ‘On’, you can generate the following logs. You can manage (export/clear) the generated logs using the Remote UI.

• Mail Box Document Operation Log • Mail Box Authentication Log • Network Connection Log • Machine Management Log

Using an Encryption Method that Complies with FIPS 140-2(Format Encryption Method to FIPS 140-2)

If you select ‘On’ for this function, you can make the encryption method for the following settings comply with the United States government-approved FIPS 140-2:

• [IPSec Settings] in [Preferences] (Settings/Registration) (See e-Manual > Network.)

If you set [Format Encryption Method to FIPS 140-2] to ‘On’, policies using “AES-GCM” for the authentication/encryption algorithm of IPSec communication are disabled. At the same time, the authentication algorithm for this policy is automatically changed to SHA1 and the encryption algorithm for this policy is automatically changed to 3DES-CBC.

Policies with a certificate using the RSA-MD5 or RSA-MD2 signature algorithm are also disabled.

• This function can only be used if the IPSec Board is enabled. (See e-Manual > Optional Products/Software.) • For instructions on confirming the signature algorithm for the certificate you are using, see e-Manual > Security.

Remote Fax Function Client machines without the Fax function can use the Fax function of a server machine (another imageRUNNER ADVANCE machine) on the same network.

To use this function, the Remote Fax Kit is required.

• For information on the Fax function, see e-Manual of the imageRUNNER ADVANCE (remote fax server) > Fax. • To receive a fax on the client machine, you must specify the settings on the server machine so that the received fax is forwarded to the client machine as an I-fax. For information on the forwarding settings, see e-Manual of the imageRUNNER ADVANCE (remote fax server) > Settings/Registration.

● Benefits of Using the Fax Function of a Server Machine By sharing the Fax function of a single machine with multiple machines, you can avoid the cost of fitting multiple machines with the Fax function.

The following conditions must be met to use this function. - [Dedicated Port Settings] (Preferences) is set to ‘On’ for the server machine. - The Remote Fax Kit is activated for the server machine. - Both the server and client machines can access the network.

• You can use only originals smaller than 11” x 17” size for [Free Size]. • If you want to scan originals longer than 11” x 17” size, press [Long Strip Originals]. Note that 2-sided scanning cannot be used with [Long Strip Originals]. • If you select [Free Size], place your originals into the feeder. You cannot specify the size of an original that is placed on the platen glass. • If you are using [Scan and Store], [Free Size] can be selected only when you store the file in the Advanced Box, the Advanced Box of another machine on the network, or memory media.

Performing Interrupt/Priority Printing from [Secured Print] and the Status Monitor/Cancel Screen

This enables you to suspend the current job and perform priority printing for the selected job. This section describes the operations to be performed from the Status Monitor/Cancel screen.

1 Press (Status Monitor/Cancel)→ [Copy/Print]. 2 Press [Job Status] → select the type of job whose log you want to check from the drop-down list.

3 Select the desired job → press [Interrupt/Priority Print].

Press [Interrupt Print] to suspend the current job and perform priority printing for the selected job.

Press [Priority Print] to perform priority printing for the selected job after the current job is complete.

• You cannot interrupt an interrupt print job with another job. If you try to interrupt an interrupt print job, the job is started after the current interrupt job is complete. • You cannot perform Interrupt/Priority printing by selecting an interrupt print job that is waiting to be processed. • You cannot interrupt a job that has resumed copying/printing after being suspended due to an interruption by another job, lack of paper or toner, or other causes. Even if an interrupt print job is performed, that operation is ignored. • If interrupt printing is performed for a multiple page copy/print job, printing of the remaining pages is suspended while the interrupt print job is performed. Printing a Web Page from [Web Access] Is No Longer Available

It is no longer possible to print a Web page displayed via [Web Access] on the touch panel display.

• To display a Web page on the touch panel display, the Web Access Software must be activated. • You can display a PDF file and print it.
