    Precautions When Performing System Upgrades

    Automatic Reset of Change Default Settings When performing a system upgrade, if the first two digits of the controller version are equal to or higher than ‘20’, changes to the following default settings are reset.

    ■ [Access Stored Files] → [Mail Box] → [Send] • File format setting • Settings for Options

    ■ [Fax/I-Fax Inbox] → [Memory RX Inbox] → [Memory RX Inbox] → [Send] • File format setting • Settings for Options

    If you have changed the default settings, confirm the settings before upgrading the system, and specify the settings again after you have completed the system upgrade.

    To check the controller version, from the control panel, press 1 2 3 (Counter Check) → [Check Device Configuration].

    Additional Optional Products The following additional optional products are available to enhance the functions of the machine.

    ■ Copy Card Reader-F1 The Copy Card Reader-F1 performs Department ID Management by using the control card.

    ■ Remote Fax Kit The Remote Fax Kit is needed to use the Remote Fax function. The Remote Fax function enables you to share the Fax function on the same network. If there is an imageRUNNER ADVANCE series machine with the fax board installed on the same network, you can send and receive fax document, via the machine with the fax board, from the machine with no fax board.

    This mode is available only if the IPSec Board is installed.

In IPSec communications to which a valid security policy is applied, packets can be sent and received without conducting key exchange negotiations. Make sure to set either [Time] or [Size]. If you set both, the SA becomes invalid when the value set for either [Time] or [Size] is reached.

    [On] for : If you enable the PFS function, you can increase the confidentiality because even if one encryption key is exposed to a third party, the problem does not spread to other encryption keys.

    [Off ] for : If you disable the PFS function, if one encryption key is exposed to a third party, other encryption keys may be able to be guessed. If you set to ‘On’, the destination for PFS communication must also have PFS enabled.

    This setting is disabled when sending a I-fax.

    Changing the Default Settings for Fax Function You can change the default settings for Fax.

    2 Select [Register] or [Initialize] → press [Yes] → [Close].

    [Register]: The current fax settings are set as the default settings.

    Storing Shortcut Buttons You can change the default settings for Fax. You can store shortcut buttons that are displayed on the Fax screen. You can store up to four desired buttons from [Options].

    This feature is useful when you want to store frequently used settings.

    Registering Sender Names For fax, you can register any name as the Sender Name, such as the section or department’s name, or an individual’s name.

    The registered Sender Name can be displayed on the touch panel display of the receiving party’s machine and/or printed at the top of the documents that you send as the sender’s information.

    To use this function, you must set the remote fax. For details, see “Remote Fax Function,” on p. 34.

    You can set to display/print the Sender Name instead of the name stored as the unit’s name from the Options screen. (See e-Manual of the imageRUNNER ADVANCE (remote fax server) > Fax)

    Fax TX Report The Fax TX Report enables you to check whether documents were sent correctly to their intended destinations. A Fax TX Report can be printed automatically after the documents are sent. You can also set the machine to print a Fax TX Report only when a transmission error occurs, and adjust the Fax TX Report setting to print the first part of the document as part of the report to remind you of the document’s contents.

    To use this function, you must set the remote fax. For details, see “Remote Fax Function,” on p. 34.

    • The reports can be printed only if 11” x 17”, LGL, LTR, or LTRR (plain, recycled, thin, or color paper) is loaded in a paper source whose settings in [Other] in [Paper Drawer Auto Selection On/Off ] in [Function Settings] (Settings/Registration) are set to ‘On’. However, if [Consider Paper Type] for [Copy] is set to ‘On’ in [Paper Drawer Auto Selection On/Off ], you cannot print from a paper source with color paper specified.     Fax Activity Report The Fax Activity Report is a printed log that shows the results of send jobs. The Fax Activity Report can be printed at a specified time or it can be printed automatically when the number of send transmissions reaches 40.

    A copy of the Fax Activity Report can be printed at any time from the Status Monitor/Cancel screen. (See e-Manual of the imageRUNNER ADVANCE (remote fax server) > Status Monitor/Cancel)

    To use this function, you must set the remote fax. For details, see “Remote Fax Function,” on p. 34.

    • The report can be printed only if 11” x 17”, LGL, LTR, or LTRR (plain, recycled, thin, or color paper) is loaded in a paper source whose settings in [Other] in [Paper Drawer Auto Selection On/Off ] in [Function Settings] (Settings/Registration) are set to ‘On’.     Setting PIN Code Access The PIN (Personal Identification Number) code prevents unauthorized personnel from making calls. To protect privileged access to the telephone lines, only authorized users are entrusted with the PIN codes for daily operations. Some PBX (Private Branch eXchange) systems require that a PIN code be entered when dialing a number to make a call or send a document by fax. Depending on the requirements of the PBX system, the PIN code may be entered either before the number as a prefix, or after the number as a suffix. If your PBX requires a PIN Code to get an outside line, your machine can be set to prompt the user to enter the PIN Code before dialing.

    • To use this function, you must set the remote fax. For details, see “Remote Fax Function,” on p. 34. • If you use the Fax function with the Remote Fax Kit, make sure that the settings of this function of the remote fax client are equal to the settings of the remote fax server.

    Remote Fax TX Settings You can specify the settings to use the machine as the client-machine for Remote Fax.

    • If Department ID Management is set on the remote fax server, you can perform sending by logging in to the remote fax client using a Department ID and password registered in the remote fax server. • To use this function, you must set on the server-machine beforehand. For details, see “Remote Fax Function,” on p. 34.

    ■ Remote Fax TX Server Address You can specify the IP address or the host name for the imageRUNNER ADVANCE series (Remote Fax Server) on the server-side.

    To specify the IP address, you can register the IPv4 (Internet Protocol Version 4) address and IPv6 (Internet Protocol Version 6) address.

    ■ TX Timeout If the TX Timeout time is set and the set time has elapsed, the remote fax job is canceled when the Remote Fax Server is not responding.

    ■ Number of Lines for Sending You can set the number of lines you can select when sending remote fax. Set the number of lines to the same number of telephone lines connected to the remote fax server.

    ■ Set Line You can set the telephone line to use when sending a remote fax.

    If you set automatic selection for [Line Selection] in [Options] or in the settings for a TX line registered in the Address Book, the set line is used for sending.

    Forcing Seven Digit Mail Box PINs The PIN used when storing a file in a mail box can be set using at least one digit. If you set this function to ‘On’, users are forced to set a seven digit PIN.

    If you registered a PIN of fewer than seven digits before you set this function to ‘On’, you can use the registered PIN. However, to ensure security, register the PIN again using seven digits.

    • If you set this function to ‘On’, users are forced to set seven digit PINs for the Memory RX Inbox and Confidential Fax Inboxes. • For instructions on setting a PIN for a mail box, see e-Manual > Settings/Registration. • For instructions on setting PINs for the Memory RX Inbox and Confidential Fax Inboxes, see e-Manual > Settings/Registration.

    Setting the Time Until a Hold Job is Automatically Deleted You can set the time that has to elapse before hold jobs are automatically deleted. A hold job is automatically deleted after a certain period of time has elapsed following the last job operation, such as submitting a hold job or editing the job ticket.

    If you change the current date and time on the machine, the time taken for the hold job to beautomatically deleted is affected.

    5 Press the Address List drop-down list → select an address list from Address List 1 to 10. Address Lists 1 to 10 are used to divide the Address Book into 10 parts. This is a convenient way to classify destinations.

    The fax number that you enter will be stored in the address list that you select here.

    6 Enter the recipient’s fax number using - (numeric keys), , and . [Pause]: Press to insert a pause of several seconds in the fax number that you are dialing. If you insert a pause, the letter

    is displayed between the numbers, and the letter

    appears at the end of the number. When dialing an overseas number, insert a pause after the country code, and at the end of the telephone number. (See e-Manual of the imageRUNNER ADVANCE (remote fax server) > Settings/Registration)

    [Tone]: Press when you want to directly call an extension line that is connected to a PBX (Private Branch eXchange) which accepts only tone signals. If you press [Tone], the letter appears. (See e-Manual of the imageRUNNER ADVANCE (remote fax server) > Settings/Registration)

    [ ][ ]: Press to move the position of the cursor[Backspace]: Press to delete the last number entered.[Space]: Press to insert a space between numbers.[+]: Use to insert a country code. Press [+] after the country code, and before the fax number.[Set Details]: Press to specify the subaddress, password, ECM TX, sending speed, and type of call settings. These settings are

    optional.[PIN Code]: Press to enter the PIN (Personal Identification Number) code. You can press this key only if [Option] is selected for PIN

    You cannot insert a pause or a space at the beginning of a number.

    If you enter a pause at the end of the number, the pause is always 10 seconds long.

    If you set [Format Encryption Method to FIPS 140-2] to ‘On’, policies using “AES-GCM” for the authentication/encryption algorithm of IPSec communication are disabled.     Policies with a certificate using the RSA-MD5 or RSA-MD2 signature algorithm are also disabled.

    Performing Interrupt/Priority Printing from [Secured Print] and the Status Monitor/Cancel Screen

    This enables you to suspend the current job and perform priority printing for the selected job. This section describes the operations to be performed from the Status Monitor/Cancel screen.

    1 Press (Status Monitor/Cancel)→ [Copy/Print]. 2 Press [Job Status] → select the type of job whose log you want to check from the drop-down list.

    3 Select the desired job → press [Interrupt/Priority Print].

    Press [Interrupt Print] to suspend the current job and perform priority printing for the selected job.

    Press [Priority Print] to perform priority printing for the selected job after the current job is complete.

    • You cannot interrupt an interrupt print job with another job. If you try to interrupt an interrupt print job, the job is started after the current interrupt job is complete. • You cannot perform Interrupt/Priority printing by selecting an interrupt print job that is waiting to be processed. • You cannot interrupt a job that has resumed copying/printing after being suspended due to an interruption by another job, lack of paper or toner, or other causes. Even if an interrupt print job is performed, that operation is ignored. • If interrupt printing is performed for a multiple page copy/print job, printing of the remaining pages is suspended while the interrupt print job is performed.
