Import Resources
DEFINITION
The import of resources allows to import a group of resources belonging to the same dimension.
There are several types of import:
Simple insertion of new resources,●
Update of existing resources,●
Update of existing resources and insertion of new resources.●
An import of resources is made from a unique source that can be:
A *.CSV file●
A *.XLS or *.XLSX sheet (or tab),●
A table or a view of a Database:●
MYSQL,❍
ORACLE,❍
SQLSERVER,❍
or MSACCESS.❍
SETTINGS
It is required to save context settings before use. (c.f. Use).
Create an import context
To create a new import context, go to the Global Settings panel > Right-Click on Importresources > Create an import context > Choose the dimension.
The lower part is then activated:

Description
This is an optional Description of the context.
History
This non-editable parameter store the date, time and login of the last modification of the context.

"URL" call
The option “URL” call triggers outside VISUAL PLANNING the implementation of this import contextfollowing a defined syntax.

Resource's creation/modification
This box enables the triggering of context during the creation and/or modification of resources.

Event's creation/modification
This box enables the triggering of context during the creation and/or modification of events.

Activated
This check box enables the trigger of service import.

Reporting activated
This check box allows to send an email report of the result of each triggered import.
Prerequisites: The SMTP server must be configured because it is automatic mails. cf. Automaticsending of e-mails
Sender
It is the email considered as the sender when reporting by mail.
This parameter is active and required if Reporting activated is checked.
Recipients
This is to specify email addresses to be defined as recipients during the reporting by email.
This parameter is active and required if Reporting activated is checked.
Modify an import context
To modify an import context, go to the Global Settings panel > Left-Click on the context tomodify.
The lower part is then activated. Modify the settings (cf. Create an import context) and click on OK tosave the modifications.
Duplicate an import context
To duplicate an import context, go to the Global Settings panel > Right-Click on the context >Duplicate.
The lower part is then activated. Modify the settings of the duplicated context (cf. Create an importcontext) and click on OK to save the modifications.
Delete an import context
To delete an import context, go to the Global settings panel > Right-Click on the context >

Concatenation of values
It is possible to concatenate values in a text or multi-lines heading instead of replace this one if theimported value begin with $+.
This mechanism is used for heading of type “Text” and “Multiline” if the imported value begins withthe $+ character. In the case of a multi-section of imported value is added to a new line.
Three cases are possible:
using the Value column with the $+ prefix●
import of specific value with the $+ prefix●
add the prefix $+ in the source●

The unique source of the import can be:

This allows you to import without the need for source file.

Correspondence tab
This tab establishes the correspondence between the source (dimension on the planner) and thedestination (file, sheet or table).
This correspondence is done field by field.
Fill in the table that contains several columns:
Dimension
This column contains the field and attributes names selected for import.
By clicking on , it allows you to import:
Each heading of the dimension,●
Several headings in one time when the user click on (Select attributs). It could be useful when a●
large number of heading is concerned in the import,The Internal Identifier (UID) of ressources.●

If these headings are selected, the column Key will beautomatically checked.
Source
For each heading to import, select the corresponding source field in the list that appears. The name ofthe source field and the destination heading can be different. This correspondence is done for eachentry of the source file (or table).
The heading that has no correspondence works as following:
In case of new resource insertion, the value of the heading is empty,●
In case of existing resource modification (by using a key), the value is not modified.●
Value
If the information does not come from the source, it is possible to enter the value of some fieldsmanually through this column. This field value is the same for all imported resources.
Special cases:
Global variables
In a text heading, it is possible to assign $USERNAME as an import value.
The value is the login of the user running the import.

Now
In a date heading, it is possible to set the launching date (“Now”) as the value of the date to beimported.
To do this, check the box on the right.

Multiple values
The insertion of multiple values is possible in the following heading types:
Multiple Choice Heading●
Attachment heading●
To import multiple values, the values in the data source must be separated by the | character.
Key
For each entry of the source file (or table), it is possible to verify if it already exists in the planner.
A key is a unique identifier consisting of one or more headings. It allows to make the differencebetween an insertion or an update.
Two cases are possible:
If any heading is checked as a key, it is an insertion of new resources,●
If one or several headings are checked as keys, it is an insertion of new resources or eventually an●
update of existing resources.

These informations are useful in case of an insertion of newresources (no key). These informations will be set for thenew imported resources.

Resources filter
Specify what resources are considered as present in the schedule. (Import for modification)
To do this, you must choose a resources filter.
This filter is particularly useful when updating existing resources.
Import mode
Creation only: consists in a simple insertion of resources;●
Modify only: with the definition of keys, it permits to update the resources that are identified;●
Modify/Creation: with the definition of keys, it permits to update the existing resources and to●
create new ones.
Stored procedure
These parameter is only accessible if the import is done froma Database (except MSACCESS).
Define the name of a stored procedure.
The stored procedures must have the two following features:
retcode equals to OUT and has INTEGER type: must have the value 0 if successful,●
message equals to OUT and has VARCHAR type: must contains an explanatory text for the user.●

Event import context
These parameter is only accessible if the import is done froma Database (except MSACCESS).
This allows to launch another import context after the stored procedure is executed.
You must choose an import context from those available in the list.

Source
For each property or heading to import, select the source field in the list. The name of the source fieldand the destination heading can be different. This correspondence is done for each entry of thesource file (or table).
The headings that has no correspondence works as following:
In case of new event insertion, the value of the heading is empty,●
In case of existing event modification (by using a key), the value is not modified.●
Value
If the information does not come from the source, it is possible to enter the value of some fieldsmanually through this column. This field value is the same for all imported events.

Ascendant
If this information is checked events are allocated according to sort headings in a ascendant way.
Sort heading
Select headings that define the criteria of automatic assignment.
Resources filter
This filter allows to define resources that can be assigned to events.
Keys
For each entry of the source file (or table), it is possible to verify if it already exists in the planner.
A key is a unique identifier consisting of one or more properties. It allows to make the differencebetween an insertion or an update.
Two cases are possible:
If any heading is defined as a key, it is an insertion of new events,●
If one or several headings are defined as a key, it is an update of existing events and eventually an●
insertion of new events.

Parent Key
This feature requires at least one vertical hierarchy (cf.Events hierarchy)
For each entry found in the import source, it is possible to check whether the event-father alreadyexists as an event in the schedule with this key concept.
Parent key allows you to find the event father for createing or updating events-son.
If the event-father does not exist, then his event-son can not be imported or updated.

Date format
Choose the format in which the dates will be set when importing.
Import mode
Three types of import are possible:

DEFINITION
The Events import consists in creating new events in a planner from an external source.
These new events can concern several dimensions and must have at least:
a resource,●
and a start date.●
Three types of import are possible:

Duplicate an import context
To duplicate an import context, go to the Global Settings panel > Right-Click on the context >Duplicate.
The lower part is then activated. Modify the duplicated context settings (cf. Create an import context),and click on OK to set the modifications.
Delete an import context
To delete an import context, go to the Global Settings panel > Right-Click on the context >Delete.
The following message appears:

Concatenation of values
It is possible to concatenate values in a text or multi-lines heading instead of replace this one if theimported value begin with $+.
It concerns the event note and text and mulit-lines headings of forms.
This mechanism is used for heading of type “Text” and “Multiline” if the imported value begins withthe $+ character. In the case of a multi-section of imported value is added to a new line.
Three cases are possible:
using the Value column with the $+ prefix●
import of specific value with the $+ prefix●
add the prefix $+ in the source●

Attivation of URL
To trigger the import or the export via URL, it is necessary to activate the option in the export/importcontext by checking the box via “URL” Call.

Getting the URL
To get the URL to trigg the import/export context, right click on the contect and Display URL.

USE
Launch a context
To manually launch a pre-parametrized context, go to the Planner menu > Export block, and then:
Export events > Click on the arrow in the right > Choose the context●
Or Import events > Click on the arrow in the right > Choose the context●
Or Export resources > Click on the arrow in the right > Choose the context●
Or Import resources > Click on the arrow in the right > Choose the context●
Then, a window appears:
Click on OK to launch the import or export.
If needed, it is possible to modify the settings of the export in the tabs.

Export a selection
It is possible to import or export one or several resourecs or events according to a predefined context.
To do so:

If need be, it is possible to modify the settings of the context in the existing tabs.
Only the selected resources or events that are included in the filter of the context are exported.
Export Report
When the export is done, the Export Report window appears to recapitulate what was done.
Correct export
If the export was correctly done, the following message appears:

Existing data
When the export file is a *.XLS or a *.CSV file, if the datas already exist in the file, the followingmessage appears:

Click on Yes to overwrite the existing datas,●
or click on No to modify the export settings.●
Incorrect export
If the export settings were not correctly set, the following message appears:
The export will not be done until the settings are correct. Then, a window appears to notify thiscorrect export. (cf. above)
Import Report
When the import is done, the Import report window appears to recapitulate the operation.

If the frequency was defined as Every day, precise the hour,●

If the import is made from a *.XLS or a *.CSV file, precise the address of the file that must be used bythe service.
Unlike the path defined in the export context, the file must be accessible from the server.
USE
The service import of datas into VISUAL PLANNING does not require any particular purpose.
The final user will not see his datas exported. The export will be done transparently.
For services to work, it is necessary to activate the following elements.

Technical requirements
Technical Requirements vary depending on the technology used for the destination.
The main one being that the destination exists and VISUAL PLANNING accessed correctly.

This tool does not need any essential requirements.
However, for a good use, it is useful to create:
A heading in a form called VPEXPORT●

This heading can store the date, the hour of the last export, the login and the name of the context.

This check box allows to send an email report of the result of each triggered import.

Sender
It is the email considered as the sender when reporting by mail.
This parameter is active and required if Reporting activated is checked.
Recipients
This is to specify email addresses to be defined as recipients during the reporting by email.

Modify an events export context
To modify an events export context, go to the Global Settings panel, Right-Click on the contextto modify it.
The lower part of the panel is then activated. Modify the settings (cf.Create an events export context),then click on OK to save the modifications.

Duplicate an events export context
To duplicate an events export context, go to the Global Settings panel, Right-Click on thecontext > Duplicate.
The lower part of the panel is then activated. Modify the settings of the duplicated context (cf.Createan events export context), then click on OK to save the modifications.
Delete an export context
To delete an events export context, go to the Global settings panel > Right-Click on the context> Delete.
The following message appears:

Yes to definitely delete the context,●
No to cancel the deletion.●

Dimension
This column contains the field and attributes names selected for export.

Destination
Choose for each property or heading to be exported the corresponding destination field. If nodestination is selected, the property or heading is not exported.
In file case, the default name is the heading name. However, the name can be modified.●
In table case, names may be selected from the list of fields in the destination table.●
Key
To export to a database table, it is possible to select a key by checking one or several Key?checkboxes.

In the case of an export to a file, it is possible to set the order of columns in the export file using the

It is possible to export only a portion of the resources. To do this, select the resources filter in the list.

Define the name of a stored procedure.

Export Resources
DEFINITION
This functionality allows to export a group of resources of a dimension from a VISUAL PLANNINGplanner to an external destination.
A resources export can be done to:
create a planner that will have the same resources●
reprocess datas from VISUAL PLANNING to another software by exporting the datas into a correct●
format.
A resources export is done into a unique destination that may be :
A *.CSV file●
A *.XLS or *.XLSX sheet (or a tab)●
A database table :●
MYSQL,❍

or MSACCESS.❍
There are two types of export :
Simple Insertion of new entries,●
Simple Update of existing entries.●

Technical requirements
Technical Requirements vary depending on the technology used for the destination.
The main one being that the destination exists and VISUAL PLANNING accessed correctly.
Other prerequisites may appear depending on the trigger used to start the export.

However, for a good use, it is useful to create:
A heading in the dimension called VPEXPORT●

This heading can store the date, the hour of the last export, the login and the name of the context.

Create a resources export context

Unlike the path defined in the import context, the file must be accessible from the server.
Action
Finally, define the treatment to do on the imported file after the import.
Delete : It definitely deletes the imported file,●
Archive : It renames the file with the mention OLD,●
None : Any treatment is done on the imported file.●
USE
The service import of datas into VISUAL PLANNING does not require any particular purpose.
The final user will have his data directly modified without any action, transparently.
The history of the event or the resource store the name of the context as the user name.
For services to work, it is necessary to activate the following elements.

DEFINITION
This functionality allows to export an Events Report from a VISUAL PLANNING planner to an externaldestination that may be :

Ths Events Report Export requires to create and display an Events Report View.

Print a view
DEFINITION
Print a view is the simplest way to print the data of a planner.
Prints are available in:
Schedule view●
Resources view●
Diary view●
Events view●
Events report view●
It is possible to make prints on paper, but also to produce documents in *.PDF format.
In addition it is possible to print a resource and to print an event.
SETTINGS
Printing a view works in a similar manner to the concept of WYSIWYG.
For optimal use, it is advisable to set and save settings for printing. In fact, all the print settings canbe saved in a favorite display

Before creating a context of printing, it is necessary to define the default layout you want.
To do this, left click on the button below:
The following window appears where you can define the default page setting.

Number of periods per page
It is the Number of periods per page which will be displayed.
Time by page
It is the period type that will be used (hour, day, week, month,…).
Restrict to events
When checked, the check box allows the limitation of the printing to only the period containing events.The period of time not containg events will not be printed.
E.g. if the period to be printed is one year, but the events cover only a part of the year, only that partwill be printed.
Period
It is the period of data printing.
Adjusting
It permits to adjust the print to the page, the height, the width.
The height of rows is adjusted to the maximum height of the existing rows.
Only table mode allows adjustment. This concerns:

DEFINITION
The feature can print the contents of a single event in a table.

DEFINITION
VISUAL PLANNING allows to send mails from a resource of the planner.
The message addressee can be defined into a heading or directly entered when writing the email.
The email object and the text message are written and additional documents can be included in theemail.

Messaging software must be installed on the client that will send the email.
This functionality is validated for:

There is no functional prerequisite to use this functionality.
However, for a proper use, it is useful to create for each dimension using the emails :

When having a multiple resources selection, a unique *.PDF file will be send to all the selectedresources. The file will contain the selected resources printing, each resource on one page.

Attached files
If there are Attachment headings, then, it is possible to attach these ones in the email.
The attachment headings that will be associated to the mail are those of the dimensions and/or theform of the event.

This box allows you to send email in HTML format
Open mailer
This check box allows you to activate (or not) the internal mailer of VISUAL PLANNING before to senda mail. In case of an events multi-selection , a mailer appears for each event.
Recipients
It is the field to fill with text headings cotaining the email address of the recipient.
This heading may contain multiple email addresses separated by a semicolon.
Subject
This is a free text field that contains the subject.
It is possible to insert in the text one or more entities of the planner :
One or severals dimension and/or form heading●
One or severals values of the selected event●
Valuation item●
Sender hidden copy
This parameter is only available if the SMTP server is setted.
This is only useful in the case of sending e-mails automatically.

Choice of model
Several options are available:
If no model corresponds to the selected event, then nothing happens and the mail is not sent.●
If one model corresponds to the selected event, the email send begins.●
If several models correspond to the selected event, the following window appears:●

Choose the correct templated, then click Ok. The email send begins.
Email sending
Two cases are possible depending on the use or not of a SMTP server:
Mailing software. It is availabe for the following versions: ONE, ESSENTIAL and ENTERPRISE (if the●
SMTP server is not setted).SMTP server. It is only available with the ENTERPRISE version (if the SMTP server is well setted).●

Case: SMTP server
With the ENTERPRISE version, if the SMTP server is well setted, the email is automatically send fromVISUAL PLANNING without openning the mailing software.
If the option Open mailer is checked, this window appears before to send the email :

Marked the sending
In case the mail template uses the functionality of marking-off, the history and the name of the modelare stored in the event sent:
in a form heading called VPMAIL, if it exists (cf. functional requirements above)●
