Changes compared to the 2017event: late entries and substitutions Pre-entries for all race distances close on 21 October 2018. A limited number of entries for the 42km and 21km races will be available on Friday 2 November on a first come, firstservedbasis.Onraceday,only10kmentrieswillbeavailable.Nobodywillbeabletoenterforthe21kmor42kmracesonraceday. Upgrades, downgrades or substitutions can be done from 1 Sept. to 30 Sept. Thereafter, none. No upgrades, downgrades or substitutions can be done at the Stadium on or beforeraceday. AnadminfeeofR50willapplytoanyupgrade,downgradeorsubstitution. We have, in previous years, attempted to help as many people as possible with late entries. However, in an era of electronic timing chips being programmed in advance by thetimekeepers(linkedtospecificrunnersandtoaspecificdistance),andT-shirtsbeingpre-orderedmanyweeksbeforetherace,thisissimplynolongerpossible. Last year, in 2017, a last-minute and unexpected flood of upgrades and downgrades immediately before the race, many of them unofficial and unsanctioned by the race organisers and therefore not accounted for on the official starting list, introduced tremendous complications with race timekeeping and race results. 1. Starting times

• The 42km and 21km races start on the Kaapsche Hoop road and finish

at Mbombela Stadium. The 10km race starts at Mbombela Stadium.

• The 42km starts at 05:30 (25°35'57.5"S 30°45'45.9"E)

• The 21km starts at 05:30 (25°32'2.3"S 30°50'43.7"E)

• The 10km starts at 06:00 (At the Stadium)

2. Changes compared to the 2017 event: late entries and substitutions

• Pre-entries for all race distances close on 21 October 2018. A limited number of entries for the 42km and 21km races will be available on Friday 2 November on a first come,

first served basis. On race day, only 10km entries will be available. Nobody will be able to enter for the 21km or 42km races on race day.

• Upgrades, downgrades or substitutions can be done from 1 Sept. to 30 Sept. Thereafter, none. No upgrades, downgrades or substitutions can be done at the Stadium on or

before race day. An admin fee of R50 will apply to any upgrade, downgrade or substitution.

• We have, in previous years, attempted to help as many people as possible with late entries. However, in an era of electronic timing chips being programmed in advance by

the timekeepers (linked to specific runners and to a specific distance), and T-shirts being pre-ordered many weeks before the race, this is simply no longer possible.

• Last year, in 2017, a last-minute and unexpected flood of upgrades and downgrades immediately before the race, many of them unofficial and unsanctioned by the race

organisers and therefore not accounted for on the official starting list, introduced tremendous complications with race timekeeping and race results. The race experience of

runners with legitimate entries was then compromised. We don’t want this to happen again. Please phone or e-mail us if you experience problems with the pre-entry system.

7. Parking:

• Adequate parking, with roaming security personnel will be available at the Stadium on race day.

Please refer to the image above. The main gate will be closed on race day.

• Additional measures will be put in place to reduce traffic congestion at the Stadium on race day,

compared to 2017, but motorists are nevertheless advised to arrive early. Thousands of vehicles

converging on a single venue will always result in queues.

• There is no parking at the 42km and 21km starting points. Athletes are strongly advised to use this

as a drop-and-go facility only. Vehicles stopping at the starting points for longer than

necessary to just drop off athletes cause congestion. This disrupts traffic, particularly

official race vehicles and buses carrying athletes to the start.

• Leaving vehicles unattended at the starting points is done at own risk.

10. Timing Chips

• A timing chip will be provided with

your race number which should be

attached to your shoe. No timing chip,

no race time.

• The timing chips remain the property

of the official timekeepers, ProTime,

and must be returned at the finish.

9. Collection of race numbers:

• Pre-entry race numbers can be

collected at Mbombela Stadium on

Friday between 12:00 and 22:00.

• Pre-entry race numbers can be

collected at Mbombela Stadium on

race day from 03:00.

• Race numbers can not be collected

at the race starting points

11. Each runner must have two ASA

licence numbers on race day:

• The race is run subject to the rules and

regulations of Athletics South Africa

and Athletics Mpumalanga.

• Each runner must have two 2018 ASA

licence numbers (or one temporary

licence) and one Kaapsche Hoop race

number (to be worn on front of the

running vest) on race day or face

disqualification.

The Kaapsehoop Marathon is an

early Comrades and Two Oceans

qualifier. The easy route profile

allows for good qualifying times.

3. Waterpoints

• Waterpoints are available every 3km for most of the race, with

additional waterpoints available closer to the finish

• Race organisers will, as in every year, provide roaming vehicles

which deliver plentiful ice and additional water to waterpoints since

it is impossible to do otherwise when hosting a race in the Lowveld

Summer.

• We are aware that some waterpoints did, in 2017, briefly run out of

ice and water. The problem did not lie in a shortage of water and

ice as such, but rather in logistical challenges in getting it delivered

to waterpoints speedily. Race organisers are placing additional

measures in place in 2018 to prevent this happening again.

• However, the ice/water resupply vehicles do sometimes experience

long delays because of slow-moving vehicles which support runners

along the route. Emergency vehicles are similarly hindered by slow-

moving traffic when responding to emergencies on the route.

• We kindly but firmly urge all slow-moving drivers who support

runners on the route, not to block the road but rather to set up

station at intervals next to the road, where they can still provide

moral support to their runners.

6. Camping facilities:

• Limited camping was available at the stadium in previous years, but

this can not be guaranteed in 2018 due to factors outside the control

of race organisers. Nelspruit Marathon Club is subject to the rules

and regulations of Mbombela Stadium’s Management in this regard.

Likewise, the picnic area at the 42km start lies on land belonging to

Komatiland Forests. We are subject to their rules regarding camping.

• We will try to accommodate a limited number of campers and,

depending on need, could arrange for certain amenities. We will

communicate any new information to runners in this regard

timeously. If you intend to camp at either the Stadium or at the

42km Start, we request that you e-mail the race organisers at either

[email protected] or info@marathonclubnelspruit

.co.za so that we can compile a list to assess the need.

5. T-shirts:

T-Shirts have been allocated to the first 5000 pre-entry athletes

only. T-shirts are available for collection at Mbombela Stadium

on Friday (12:00 – 22:00), together with your race packs.

4. Kiddies Corner:

A safe, secure and properly supervised kiddies corner will be available

at the Stadium on Friday 2 November and also on race day.

We will provide additional

information on this in

future communications.

8. Shuttle Service:

There will be no formal shuttle service from Mbombela Stadium back to Kaapsche Hoop,

although a private shuttle service will be available before and after the race. This service is

provided privately and not through the Nelspruit Marathon Club. Runners wishing to make

use of this service should contact Henk at Sundowner Tours (073 154 6069).
