1 INTRODUCTIONThis packet contains essential information for anyone producing a show in the Shiva Theater. The sponsoring organization of a production is directly responsible for everything that happens in conjunction with that production as well as for ensuring that Shiva policies and the rules are followed during the production period.

1.1 Mission Statement

The Susan Stein Shiva Theater is Vassar College’s very own student theater performance space. Run by Vassar students, exclusively for extracurricular student theatrical events by Vassar students, theaters like the Shiva are a rare gem on American campuses; it is designed to give Vassar students the creative and real-world education provided by any professional theater. Everything from the management and technical consultancy of the theater to the technical and artistic direction of weekly events is a product of student initiative. These opportunities are intended to offer the chance to experiment and take risk, and an experience that can realistically translate into a career. In viewing the Shiva Theater as an educational resource on campus, the space is intended to allow for a greater accessibility into the arts and performance-based events.

The space is used, nearly every weekend all year long, by ViCE, Barefoot Monkeys, The Philaletheis Society, Unbound, Indecent Exposure, Future Waitstaff of America, Idlewild, along with various dorm houseteams and other student organizations.

All performances are free and open to the campus community. Reservations for all shows can be made at the Info Desk in the College Center.

1.2 What You Can Expect From Shiva Staff

The Shiva Manager is responsible for scheduling, logistics, and overall operations of the theater. Any questions about paperwork should be directed to the Manager.

The Technical Staff’s responsibilities include: Determining the feasibility and fire code compliance of set and light plots as

well as inspecting the completed production. Running the set-up and take-down of risers. Training crew members on the use of Shiva equipment. This is required by

insurance regulations as well as by safety and common sense. The Assistant Technical Directors are also assigned as liaisons to assist you

and be on-call for each show. They will be inspecting the theater nightly and

sending you, and the president of your sponsoring organization, a nightly check-in email.

1.3 Recent Changes

Although shows are able to make reservations on behalf of their cast and production team, a minimum two-thirds of your seating capacity must be available to the general campus through the Info Desk. To restate, a show is able to pre-reserve up to one-third of their seating capacity.

In order to preserve battery life the genie must be unplugged while in use. The genie’s battery should be completely emptied then be charged to full. The genie should only be plugged in overnight if it was used extensively throughout the day. This is a significant change from previous policy.

Training has been divided into performer and production training. Both trainings start at 5p on Sunday. Performer training is 30 min and allows performers to be in the space to perform and help paint. Production training is 60 min and covers technical elements of the space. Performers may not enter the booth area.

In lieu of fines organizations may contribute to the maintenance of the space at the end of the semester. Stay tuned for information about Shiva Love Days.

All Shiva shows must show proof of rights unless other arrangements have been discussed with Shiva staff and Campus Activities at the beginning of the semester.

2 PRODUCTION SCHEDULEProducing a show in the Shiva may seem like a stressful undertaking, but the Shiva Staff is here to help and guide you through the whole process.

Below is a rough schedule of important meetings and commitments related to your Shiva show. Missing any of these is a finable offense. Your assigned ATD will be in touch with specific times. All meetings will be held in the lobby of the Shiva.

2.1 Shiva Policy Concerning Rights

The Shiva requires all productions in the space to have rights and be aware of the feasibility of getting rights by the spaces meeting. That being said, the Shiva understands that some productions in student theater engage text in ways that

may not fit within the framework of rights. Recognizing that Vassar and the Shiva are places to explore these questions of ownership/authorship of text, Shiva staff is committed to having early and ongoing conversations with all productions that fall outside of these frameworks.

3 DESIGN REVIEW POLICYPaper copies of your set and light plots must be submitted to the Technical Director at your first production meeting.

This prevents fire code violations and other safety hazards. Furthermore, during the walk-through on the Sunday of your move-in your design team will be expected to outline your design implementation plans.

The management of the theater reserves the right to require modifications to your set, light, sound or any other designs for safety reasons at any time. In some cases, rationale can include a belief that the design is too ambitious for the time allotted in the space.

NOTE: Using rented equipment in the Shiva is handled on a case-by-case basis.  If you are planning on using rented equipment, contact Shiva Staff well in advance of your show.  Please be aware that Staff is not able to troubleshoot any equipment that isn't Shiva equipment.

Blank plots including CAD drawings (either PDF or VectorWorks format) can be downloaded from shivatheater.wordpress.com.

3.1 Set

Set plots must include riser configuration. During your first Shiva production meeting, the Shiva Technical Staff will work with your production team to determine riser set-up and seating capacity.

The Shiva Technical Staff must approve any changes you wish to make to your designs after receiving approval.

On the Wednesday before a show opens, the Technical Director will be inspecting the theater. Anything not deemed safe must be modified before the show can open. Following the Thursday inspection, no significant building can occur.

NOTE: Your set plot must abide by NY State Fire Codes

There must be a three foot wide aisle leading to single-door exits from the theater, and a six-foot wide aisle leading to double-door exits. An aisle must also exist for the dressing room/booth area. At least one three-foot aisle with steps must exist along the length of each section of the seating system.

The exit signs, strobe lights mounted on the fire alarm bells, and the fire alarm pull stations on functioning exits cannot be covered or blocked by anything. In addition,

each production must be preceded by a fire announcement that informing the audience of the location of each exit.

On the Wednesday before a show opens, the tech staff will be inspecting the theater to make sure these regulations are met. Anything not up to fire code must be modified before the show can open.

3.2 Lights

All lighting plots should follow basic drafting standards (check out USITT.org) incorporating all the following:

a clear title block, legend and key to instrumentation all instruments are labeled with the channel, color, ellipsoidal field angle (19˚,

26˚, 36˚, 50˚) or PAR lens type (Very Narrow- VNSP, Narrow - NSP, Medium Flood- MFL, Wide Flood -WFL)

NOTE: No more than five (5) instruments can be hung on any segment of pipe. More than five lights may be hung on the trusses.

3.3 Sound

If you plan on making any adjustments to the sound plot you must submit a paper copy of your revised plot.

4 WORKING IN THE SPACE

4.1 Shiva Training

You must be Shiva Trained to operate any Shiva tools or equipment as well as to be in the booth. Everyone in your cast and crew must be Shiva trained.

Shiva training is every Sunday at 5pm in the Shiva and training lasts until the end of the current academic year. Training has been divided into performer and production training. Both trainings start at 5p on Sunday. Performer training is 30 min and allows performers to be in the space to perform and help paint. Production training is 60 min and covers technical elements of the space. Those who have undergone performer training but not production may not enter the booth area, nor may they use any of the saws or lighting equipment.

Additional training is required to use the table saw, hazer, and the air compressor. Please contact your ATD if interested.

4.2 In Case of Accident

You must fill out an accident report (available in the lobby) and contact your ATD if EMS or Security is called during your Shiva week.

4.3 Set Construction and Paint

The theater maintains a stock of platforms and flats that may be used for any production. If you want to modify or disassemble any of these pieces, you must first check with the Shiva Staff. The theater provides the basic tools needed for set construction, as well as some drywall screws and carriage bolts. All the lumber in the scene storage is available for use by a production.

All scenery must be removed from the theater as part of your strike. With approval of the Shiva Staff lumber may be added to the theater’s inventory. Fines will apply for set or props left in the theater after strike.

All seating units and set pieces with a deck higher than three feet must have a railing.

NOTE: Special training and permission is required to use the table saw, hazer, and air compressor. Designers and technicians wishing to use the table saw during production week must request access at a production meeting.

Failure to adequately clean paint rollers and brushes will result in a fine. 9

4.4 Lighting

The Shiva has a number of lighting instruments as well as a light board and scrollers. A complete inventory is available on the Shiva Wordpress (www.shivatheater.wordpress.com).

Please ask the tech staff if you have any questions. The Shiva also has a quantity of gels, but there is no guaranteed inventory.

NOTE: You may hard patch dimmers on the patch panel, and soft patch channels on the board, but both must be returned to a one-to-one patch as part of your strike. The Shiva’s dimming system has a limit of 200 AMPS. It is the responsibility of the lighting designer to ensure that this limit is not exceeded and that all loads are balanced across the 3-phases.

Lighting cables must be tied under the truss or pipe at three to five foot intervals. Do not wrap cable around the pipes. Cables may not be strung across open space. When circuiting instruments, always leave enough slack on the pigtail for focusing so as not to strain the cable

4.5 Sound

You must complete Shiva training before using any of the sound equipment. You are welcome to make modifications to the system as your design demands with the permission of the staff and the understanding that the system will be returned to the state in which you found it.

4.6 Props

You must remove all props and set pieces from the Shiva before your Sunday strike check unless arrangements have been made with both Shiva Staff and the show using the space the next week. Failure to do so will result in a fine.

No Shiva equipment, including tools, brooms and furniture may be used as props in your production without the explicit permission of Shiva Staff.

4.7 Borrowing ContractsIf you are approached about a borrowing contract by a show not working in the Space that would like to borrow Shiva equipment during your time in the space, you are not obligated to lend out any Shiva equipment. Please use your ATD as a liaison between your show and the person requesting to borrow equipment. Again, you are not obligated to lend Shiva resources during your tech week, and Shiva equipment should not leave the space without the permission of Shiva Staff.

5 RULES AND REGULATIONS5.1 Loading and parking

The driveway in front of the theater must be kept clear at all times. There is no parking provided, and cars parked on the brick patio for longer than a period of loading/unloading will be ticketed.

5.2 Equipment and safety rules

● You must complete Shiva Production Training to operate any Shiva tools or equipment as well as to be in the booth. All members of your cast and crew must be Shiva trained. Emergency performer training is available on an as-needed basis.

● The Shiva is open from 8am to 1am. ● If you are working in the space you must wear closed toed shoes.● NEVER move the Genie while someone is in it.● No more than one person is allowed in the Genie at any time. ● There must be at least two people in the theater when the Genie is in use.● Whenever work is being done overhead hard hats must be worn by all people

on the ground. The person in the Genie should NOT wear a hard hat.● NO ONE is allowed to walk out on the window ledges or air ducts – these

structures WILL NOT support your weight. The only way to change anything above the ground is with the Genie.

● You must wear eye protection when using power tools. ● Special training and permission is required to use the table saw,

hazer or air compressor. Please let us know at your production meeting if you will need special training.

5.3 Nightly and Strike check

Every night before you leave the space you must complete the Nightly Checklist, which can be found in section 6.4

Before you leave the space on Sunday you must complete the Strike Checklist, which can be found in section 6.5. At 3:30 your ATD will then do a strike walk-through with you. Your show is not checked out of the space until the ATD approves your strike.

5.4 FinesAs a method of enforcing Shiva rules and policy and ensuring that the space is safe and respected the Shiva staff holds the authority to administer fines at their discretion.

We use the nightly check to hold orgs accountable for their use of the space and to maintain and preserve the equipment in the space. We use a fine system to keep track of these issues. The Shiva has two options for paying off the fines by the end of the semester. Orgs can pay the monetary amount of the fines, or shows in the Shiva can contribute   to the improvement of the space at the end of the semester during Shiva Love Day in lieu of paying fines (this option is preferred). Please let us know if you have any questions!

5.4.1Finable Offenses

Below is a list of common finable offenses. The manager may also fine at his/her discretion in unusual circumstances where the safety of a person or the theater is jeopardized.

5.4.2Appealing fines

If the sponsoring organization wishes to appeal a fine, they must contact the Assistant Dean of the College for Campus Activities within seven (7) days and must make a written appeal (email acceptable) to the Associate Director of Campus Activities within fourteen (14) days. The Associate Director of Campus Activities will either uphold the decision to fine for the amount indicated, uphold the decision to fine but reduce the amount of the fine, or meet with the Shiva Theater Manager for further consideration. After this appeal, or if the sponsoring organization chooses not to appeal, the amount of the fine will be transferred within seven (7) days to an account specified by the Associate Director of Campus Activities.

5.5 Publicity

All publicity must include the Shiva logo, which can be found on the Documents and Forms page of shivatheater.wordpress.com. 6 APPENDIX

6.1 Statement of Responsibility for the Theater

This will serve as an agreement between you and the Office of Campus Activities that you, as the organizer of an event in the Susan Stein Shiva Theater at Vassar

College, assume full responsibility for the safety and appropriate training of people working with you, as well as the cleanliness, security, and integrity of the theater for the duration of time you are scheduled to use the theater, for rehearsal, technical preparation, and performance. It is your responsibility to make sure all students working in the theater have been trained by the Shiva Staff to operate equipment, follow all safety procedures, and are aware of all other theater policies and regulations. When working in the scene storage, you must wear, and make sure all other students wear, safety goggles and sturdy shoes (We strongly recommend steel toed boots). No bare feet or sandals permitted. Tie back long hair and loose clothing, and use the guards on all power equipment. Only those who have been trained by the Shiva Staff to do so may operate and/or use the genie, power tools, the light/sound boards or any other electrical equipment in the theater. There must be at least two (2) people in the theater at all times when the genie is in use. No one may walk out on the window ledges and/or sunken areas of the light booth for any reason. There is no smoking in the theater. You are responsible for leaving the theater clean after you have used it every day. Dispose of garbage in the bins provided and dispose of food garbage outside the theater. Brooms are available. Any cleaning costs incurred will be billed to your sponsoring organization. It is your responsibility to make sure all the lights have been turned off and all the doors and windows are locked when you leave the theater. See the checklists throughout the theater for what to do every night when securing the building. Any damage and/or missing items resulting from a failure to do this will be billed to your sponsoring organization. It is your responsibility to make sure the theater is locked and empty by 1am. No exceptions will be made for you to stay later. Any problems, requests, or changes in the schedule, inventory and /or the policies of the Shiva Theater must be reported to the Shiva Theater Manager.

6.2 Theater Liability Waiver

Name of Production: __________________________________________ Sponsoring Group: ____________________________________________ The undersigned participants in the above production to be performed in the Susan Stein Shiva Theater at Vassar College assume full responsibility for their own safety and well-being while engaged in activities related to this production. The participant is aware that such activity may involve some risks and that the Office of Campus Activities cannot guarantee the health and safety of the participant. The participant agrees that neither Vassar College no any person acting on behalf of the Office of Campus Activities and/or Vassar College shall be held legally responsible in any way for any injuries to the person or property of the participant or other harm caused at any time during participation in this production as a result of the participant’s own conduct, the conduct of other participants, Vassar College, or any person acting on his or her own behalf, or the conduct of any other person. This release of claims and waiver of indemnity shall cover all injuries to person or property of the participant and any other harm. The validity and construction of this agreement shall be governed by the law of the state of New York. Only those who have been trained by a member of the Shiva Staff to do so may operate and/or use the Genie or table saw. There must be at least two (2) people in the theater at all times when the Genie is in use. No one may walk on the window ledges and/or the air ducts for any reason. 6.4 A Typical Week in the Shiva

The process is different for every production, but here is a basic framework that has seemed to work well for shows in the past. It is meant as a guideline for a successful process, but is by no means expected to be followed perfectly. Bold items are required by Shiva policy.

1pm: Production team meets in the lobby with the Shiva Staff.

5pm: Shiva training 5:30pm: Load-in. Begin building sets, hanging lights, etc. or use the time to rehearse in the space. 12:30am: Begin cleanup. 1am: Leave space, locking all doors. Your tech liaison will send you a nightly email informing you of any violations of Shiva policies.

8am: Space is available. Continue building sets and hanging lights all day in between classes. 7pm: A good time for technicians to take a break while actors rehearse in the space. 11pm: Release actors, finish hanging lights and continue working on set. 12:30am: Begin cleanup. 1am: Leave space, locking all doors.

8am: Space is available. Finish up the set and focus 5pm: Light designer should begin to write cues. During dark time work can continue in the lobby or patio. 8pm – Cue to Cue. This is when you go through the entire play with actors, skipping from one cue to another so as to work out light cues, set changes, sound cues, etc. in minute detail. 12:30: Begin cleanup.

8am: Finishing touches to set and troubleshooting 3pm: Two representatives from the production help the Shiva staff set up risers. 5pm: Finish tech, clean up space, actors called for final dress rehearsal 7pm: Final dress rehearsal and notes 11pm: Tech call if necessary. 12:30am: Begin cleanup.

6:30pm: Actors called to get into costumes, makeup, and warm up while techs set stage. 7:30pm: House opens 8pm: Show begins All building completed for Thursday walk-through. 1am: Leave space, locking all doors.

After the Saturday performance:

Mini strike: begin to strike the set, costumes and props.

4pm – Production team meets in the lobby with the Shiva Staff to discuss the show and strike. The rest of company continues strike.
