This eBook will first give common reasons for archiving contracts. Then it will go through the process of archiving a contract, searching for already archived contracts and displaying archived contracts, as well as what you can and cannot do with archived contracts.

It will also cover the re-pricing of contracts in the new Web UI.

On the topic of contract re-pricing you will learn the functional differences between a re-price and a complete re-price.

Why Archive?

Let‘s start out with a quick explanation of the benefits and needs for archiving contracts.

One of the advantages to archiving contracts is system availability. The results are shorter run times for both backup and recovery when there are less active contracts in the system.

Related to the need for system availability is use of resources, which can be reduced by archiving non-active contracts. Efficiently using your hardware resources can cut down on costs for additional disk space, CPUs and memory storage.

Next on the list, the need for better system performance. Less information in the system translates into shorter response times.

Lastly, you may have a need to be legally compliant. Archiving contracts can help you meet certain data retention requirements.

Archiving a Contract

Transaction SARA is used for archiving data.The archiving objects:

CRM_IPMSAC (Sales Contracts) CRM_IPMPUC (Acquisition Contracts).

Archiving procedure consists of 3 Steps:Preprocessing: Make sure that contract is ready to be archivedWriting: Write the contract to the archiveDeleting: Remove the contract from the online storage

Transaction S-A-R-A is used to archive contracts in the system.

The archiving object used for license sales contracts is C-R-M underscore I-P-M-S-A-C. If you want to archive acquisition contracts, use the archiving object C-R-M underscore I-P-M-P-U-C.

The procedure for archiving contracts consists of 3 steps: pre-processing makes sure that the contract is ready to be archived.

Pre-processing is followed by writing the contract to the archive.

The final step when archiving a contract is deleting, which removes the contract from the online storage.

Searching for Archived Contracts

Click the Archive Search Button

As of SAP CRM 7.0, you can perform a search of archived license acquisition and license sales contracts from a new Archive Search screen. This new search screen is accessible from the standard Search screen via a button.

Standard search criteria can then be used to find archived contracts in the new Archive Search screen.

Displaying an Archived Contract

When it comes to displaying an archived contract, the system allows you to view but not edit the archived contracts.

When viewing an archived contract, there are a few differences you will notice on the overview page: non-functional buttons are disabled, the title at the top of the page contains the keyword Archived in parenthesis and the edit function is disabled.

Introduction to Repricing

Re-pricing will update the billing values for a scope item when the royalties rates for this scope item are changed after it has been released.

As of SAP CRM 7.0, you can update the pricing for any royalties scope in a license acquisition or sales contract directly from the CRM Web Client User Interface (UI).

The Re-price and Complete Re-price buttons are available on the Edit page of the royalties scope to execute the pricing update.

The Re-price button allows you to keep all manual pricing input during the pricing update; the Complete Re-Price button deletes any manual pricing input.

Re-pricing a Contract Item

The updated values can be found in the Settlement Data (when available)

This function is only available for billing request items (BRIs) that you have not yet billed. The updated values can be found in the Settlement Data section of the contract. Only billing items with variable royalty rates have settlement data information available.
