To ensure that adequate documentation for Associated Student Body (ASB) cash receipts are forwarded to the District Office, reminders are sent to all the school sites at the beginning of the school year. See Attachment #1. If appropriate documentation is not included with deposits, staff follows up with the sites to obtain the information. See Attachment #2. In addition, staff is making sure that inventory is being done. See Attachment #3.

As the 2013 – 2014 school year begins, here are some guidelines to remember regarding

deposits of cash to student funds:

• The term “cash” includes currency, checks, and any other receipt of funds to be

deposited to your student fund accounts.

• The goal of accounting for cash is to have an audit trail of where every dollar came

from and where every dollar went.

• Cash should be deposited as soon as possible, at least weekly. Do not hold money at

your site.

• Cash that is kept on site overnight must be kept in a safe or in a secure

location. Desks and file cabinets do not qualify.

• All deposits must be “intact”. This means that all income received must be

deposited. Do not make payments out of cash that has been collected.

• Give specific descriptions on deposit slips. We need to know exactly where the

money came from and how it will be used.

� Pre-numbered receipt books, or a class roster, or pre-numbered tickets, or a tally

sheet needs to be used while collecting money for a deposit. All deposits sent to the

district cashier must be accompanied by this documentation that shows where the

money came from.

• All checks received for deposit must be made payable to your school. If the check is

made out to “LUSD” then please write your school name on the back of the check on

the top line of the endorsement area. Please include the student fund account number

on all checks. On cashier’s checks or money orders also include the student’s

name. Do not accept any post-dated checks, traveler’s checks, or international money

orders.

� When you have completed your deposit form, you will need to send your deposit slip

along with the supporting documentation (receipts or log sheets, etc.) and the cash all

together in a locked deposit bag to the District Office.

� Attached is a Student Funds Deposit Backup Manual that describes the type of supporting documentation that must accompany every deposit. It also contains blank log sheets that you can use for your deposits. This manual is available on the “Infonet”. Select “District Forms” and it is located under “Department Forms – Accounting.”
