CASE STUDY - ISO 22301:2012 DESIGN AND INTEGRATION OF A CERTIFIED RISK AND BUSINESS CONTINUITY MANAGEMENT SYSTEM FOR ARK DATA CENTRES LTD THE TASK We selected Archway to carry out this complex project based on their reputation and recommendations we had received. Archway rapidly designed and implemented a comprehensive, flexible and intuitive management system that is now fully part of our business- as-usual process. The system has received high acclaim from our customers and suppliers alike. Thanks to their efficiency and ap- proachability, Archways team rapidly became part of the Ark familyduring the Project.Simon Burrage, Commercial Director and Head of Compliance Ark Data Centres designs, constructs and oper- ates the UK's most efficient data centres. It has pioneered unique data centres, combining envi- ronmental & energy efficiency, security and oper- ational flexibility. Dedicated to innovation, Arks modular, state-of- the-art sites are based in Hampshire and Wilt- shire. Ark has and will continue to deliver opera- tional data centres in just 12 weeks. As part of its drive to achieve the highest levels of excellence in performance and to further extend its competitive lead, Ark contracted Archway to design a business continuity management system which would encompass all of its operations and functions. The system would be fully integrated with its organ- isation-wide risk and business management system. On completion, the entire system would also be cer- tified by the British Standards Institute to the ISO 22301:2012 Standard, covering the whole organisation. As soon as the system was fully embedded within Arks operating culture, they would go on to contract Archway to design and deliver a full simulation exercise (SIMEX) involving Ark, its clients and key suppli- ers. (See the Ark SIMEX Case Study for more information) This project would contribute to building and enhancing the Ark corporate ethos of Say it, Do it, Prove it.’. It also assisted Ark in creating Crown Hosting Data Centres, a joint venture with the Cabinet Office of the Government. Creation of a Single, Accessible and Flexible System

Archway designed a complete business continuity management system consisting of manuals, proce-

dures and templates, accessible by all managers and core contractors, 24/7/365. The System was de-

veloped as a fully integrated element of business processes for risk management, business planning

and day-to-day operations. Performance Management Tools and schedules for maintaining and contin-

ually improving the management system were also designed. These assist senior management in mon-

itoring and acting to progress the company-wide culture of resilience.

Embedded Planning and Online Support

Archway provided on-site and virtual planning support to all responsible system owners including; the

senior management team, technical services, operations, finance, HR, security, sales & marketing, IT,

the service desk and core contractors.

Training for Senior Management, Staff and Core Contractors

All planning activities were supported by training for staff at all levels. This included centralised on-site

training for teams, planning workshops and individual coaching sessions. Through a training needs

analysis, Archway also designed and delivered a series of bespoke online induction and specialist train-

ing courses to support the maintenance of a resilient operating culture.

Exercise Programme

Throughout project delivery, teams conducted Campus and Corporate Team desktop exercises and cri-

sis rehearsals. These were designed to be sustainably managed in-house by Ark on completion of

Archway’s engagement.

THE OUTCOMES

Delivered and Externally Certified—On Time and On-Budget

The system was fully implemented, on-time and on-budget. It achieved certification for all of Ark’s sites,

functions and operations by the British Standards Institute at the conclusion of the Project.

A Fully Embedded Management System

The system is thoroughly embedded within Ark’s operating culture, including that of its on-site core con-

tractors. Certification has been maintained to-date. It is thoroughly ‘owned’ by Ark’s management at all

levels, needing no further input from Archway Resilience Ltd.

Competitive Edge

The Business Continuity Management System has been an integral and important feature in winning

new business for Ark. It’s clear levels of integration and application in the Company’s business process-

es and operations has received accolades from current and prospective clients, as well as by Ark’s sup-

ply chain.

A System Built for Growth

The System is designed to be simply and effectively expanded in scope, encompassing all new cam-

pus projects that open as Ark continues to grow.

A System built to Evolve

Since implementation, the system has evolved organically and continues to grow in efficiency and ap-

plicability wherever it is used. In addition to using the system to successfully manage the impact of real

incidents, Ark has also ‘prepared for the worst’ by exercising its internal teams, clients and suppliers in a
