TRAVEL MANAGERS INFORMATION 1. Travel Manager Hosting Programme

As a Travel Manager eligible for the Hosting Programme, you are entitled to the following privileges:

Complimentary round trip air passage on economy class flights on Thai Airways*

2. Pre-Scheduled Appointment - PSA (End August 2013)

The PSA is open to registered exhibitors and Hosted Travel Managers only. It is a pre-event activity, which allows Hosted Travel Managers to make appointments with registered exhibitors. Travel Managers will receive their access key and specific guidelines to preview the exhibitors’ profiles online. Travel Managers are required to make appointments with the exhibitors whom they wish to meet during the show. Exhibitors are to do the same too. After the closing of the PSA, Travel Managers can print the final schedule of their appointments made.

3. Useful Tips

For the benefit of Travel Managers who are attending trade events such as IT&CMA and CTW Asia-Pacific for the first time, here are some useful tips for you to consider before you meet the exhibitors.

Evaluate your current corporate travel and entertainment spending

Learn and understand your organization’s future needs (e.g. travel patterns)

Identify and prioritize your organization’s needs and cost savings

Determine the annual budget

Assess your current suppliers

Spend some time looking through the exhibitor profiles to better understand the services they can provide you with

Identify new vendors to consider adding to your list of travel management suppliers

Make an appointment with suppliers whom you would like to meet using the Online Diary

Stay focused during the appointment session

Let the suppliers know your ultimate or essential objectives of the meeting

Briefly explain the nature of your business and the essential services you need

Pace yourself during the 20-minute appointment. Do not dwell too much on a particular detail and miss out on other critical product details which you also need to know.

Travel Managers will find themselves establishing business contacts with fellow delegates and exhibitors very quickly. Therefore, it is good to have sufficient business cards with you at all times.

Lastly, please take note that the dress code during exhibition hours is Business Attire.

A Travel Manager may nominate a senior colleague to attend CTW Asia-Pacific in his/ her place should he/ she is unable to attend the event personally (subject to Organizer’s approval). Travel Manager should inform the Organizer in writing about the replacement as early as possible to ensure the smooth management of administrative proceedings.

Hosted hotel stay during hosted period a) Hosted delegates will be booked to stay at IT&CMA and CTW Asia-Pacific 2013 Official Hotels based on delegates’ respective flight itineraries, up to the maximum nights of hosted hotel stay during the hosted period of:

30 September – 4 October 2013 (Four nights - i.e. nights of 30 September, 1, 2, 3 October 2013). Five nights of hosted hotel stay is applicable only to delegates based outside of the Asia-Pacific region, on long-haul flights (Subjected to the approval from Thailand Convention & Exhibition Bureau (TCEB))

b) Hosted room type - Single room inclusive of daily breakfast for one person. Delegates may choose to change to Double or Twin room with additional daily breakfast for a second person at their own expense. Delegates using fewer nights of accommodation during the hosted period will not be compensated for the "unused" period. Non-hosted hotel stay outside hosted period If delegates need hotel stay outside the hosted period (e.g. arriving before or staying beyond the period), delegates are requested to make alternative hotel arrangements for those stays, or contact their TTG Asia Media liaison to secure their hotel stays in the Official Hotels. The extended nights will be charged to delegates accordingly. The success of room booking/extension is solely subject to availability. 3. Confirmation of Flight Bookings and Accommodation

All Travel Managers will be given their confirmed flights and hotel detail via an official letter once allocation is done in mid-end September 2013.

About Our Beneficiary:

Saraburi Special Education Centre is the beneficiary of our CSR programme this year and their main

objective is to assist and prepare disabled children for school with other students. The centre supports media,

tools, facilities and other education services for the disabled children. The centre was established on 31 July

2010.

Saraburi Special Education Centre’s Main Role and Responsibilities:

- Prepare and ready disabled children for school

- Provide assistance to disabled adults and develop their social skills

- Plan and establish education policies that are in line and consistent with the National Education Act

- Create individualized education programmes (IEP)

- Assist disabled students with the transition for further education

- Provide rehabilitation services for disabled children

- Set up Educational Information Technology systems for disabled children in the provinces.

- IT&CMA and CTW Asia-Pacific, in cooperation with Carry For Kids and Destination Asia, continues to give

back to our society through the Carry For Kids project for the ninth year.

- “Carry For Kids” promotes and educate airline staff, travel agents and travellers about how they can as

individual make a difference to the lives of underprivileged children in developing country.

- The programme encourages travellers to carry a “Shoebox of Love” to IT&CMA and CTW Asia-Pacific 2013,

with necessities such as writing materials, toothpaste and toothbrush, cotton T-shirt, etc., for the less

fortunate children in elected homes and orphanages.

- Let’s put our hearts into action by carrying a “Shoebox of Love” to IT&CMA and CTW Asia-Pacific 2013,

with necessities such as toiletries, clothing, stationery and toys. You can even wrap up your shoebox or

include a personal note for the child!

Thailand is located in the center of South East Asia sharing common borders with Malaysia, Myanmar, Laos and Cambodia. So it is the natural gateway to the Greater Mekong Sub-region. There are four distinctive regions, namely: Central; Southern; Northern; and North Eastern, each with its own unique natural and cultural attributes. POPULATION

The population is approximately 62 million people. 80% of which are ethnic Thais, 10% Chinese, 4% Malays plus Lao, Mons, Khmers, Indians and Burmese. RELIGION

Spoken and written Thai is largely incomprehensible to the casual visitor. However, English is widely understood, particularly in Bangkok where it is almost the major commercial language. Thailand enjoys a tropical climate with 3 distinct seasons – summer from March to May, rainy with plenty of sunshine from June to September and cool from October through to February. The average annual temperature is 28 C (83F), ranging in Bangkok for example, from 34 C in April to 12 C in December. TIME

Citizens of most countries, holding valid passports or travel documents, are entitled to visit Thailand for the purpose of pleasure for a period of 30 days without applying for a visa. V.A.T Refunds

Visitors entering the Kingdom on a tourist visa are entitled to refund of the 7% V.A.T on goods purchased at registered retails outlets. HEALTH REGULATIONS

As in most other countries, visitors do not require vaccinations unless coming from or passing through a designated contaminated area. CUSTOMS PERSONAL

Customs regulations allow you to bring in a reasonable amount of personal effects, a still camera, a video camera, 200 cigarettes or 250 grams of tobacco and one litre of wine or spirits. Narcotics and pornography are strictly prohibited. CURRENCY

The Thai currency called baht is based on the decimal system. One baht is divided into 100 satang. Coins consist of 25 satang, 50 satang, one baht, 5 baht and 10 baht. Notes are in 20, 50, 100, 500 and 1,000 baht.

BUSINESS HOURS

Most commercial concerns in Bangkok operate on a 5-day week, usually from 8.00am to 5.00pm. Many stores open 7 days a week from 10.00am to 10.00pm. Government offices are generally open between 8.30am and 4.30pm with a noon to 1.00pm lunch break, Monday to Friday except on public holidays. Banks are open Mondays to Fridays from 9.00am to 3.30pm except on public holidays. POSTAL SERVICES

Thailand's mail service is reliable and efficient. Major hotels provide basic postal services on their premises. Provincial post offices are usually open from 8.00 a.m. to 4.30 p.m. INTERNATIONAL ROAMING MOBILE PHONE

A Subscriber Identity Module Card (SIM Card) is now available for Thai and foreign customers who are travelling around for work. The SIM Card must be used in conjunction with a Digital GSM mobile phone within the 900-MHz range or a Digital PCN mobile phone within the 1800-MHz range. FAX AND E-MAIL

All of Thailand's leading hotels offer facsimile (fax) and e-mail services. Numerous private businesses offer such facilities, most often in conjunction with translation services. INTERNET SERVICES

Thailand has been expanding its information service for residents and tourists alike through the Internet system. Services are now available at Thailand's leading hotels and at the many "Cyber-Cafes" that are cropping up in all major tourist destinations. TELEPHONES SERVICES

At present, all telephone numbers (for local calls and long distance calls within the country) have nine digits. For Bangkok calls, 02 is added to the existing numbers i.e. 0 2694 1222.

For provincial calls, an area code is added to the existing numbers. For example, area code for Chiang Mai is 053 = 0 5324 8604; area code for Phuket is 076 = 0 7621 1036. For mobile phones, 01 or 09 is added to the existing numbers. The new system has no effect on international phone calls. The international dialing code for Thailand is 66.

When making international calls to Thailand, add 66 and omit the leading 0. When making international calls from Thailand, first dial 001+country code +area code +telephone number If calling Laos or Malaysia, there is a special code which is charged at a semi-domestic rate. When calling Laos, first dial 007+856+area code +telephone number When calling Malaysia, first dial 09+06+area code+ telephone number Direct assistance: 1133 (local), 100 (international)

Thai Airways International (THAI) operates a wide domestic network with daily flights linking virtually all major towns with Bangkok. Ground transportation is extremely comprehensive and comparatively inexpensive. There are convenient rail connections with the North, Northeast and South, while air conditioned coach and government bus services are operated from Bangkok to all towns throughout the country. Rental cars are also available. ELECTRICTY

The electricity current is 220 volt AC (50 cycles) throughout the country. There are many plugs and sockets in use. Travellers with shavers, hair dryers, tape recorders and appliances should carry a plug adapter kit. The better hotels will make available 110-volt transformers.

TAP WATER

Tap water is clean but drinking from it directly should be avoided. Bottled water is recommended WHAT TO WEAR

Light, loose cotton clothing is best. Nylon should be avoided. Sweaters are needed during cool season evenings or if visiting mountainous areas and remote national parks. DO’S AND DON’TS

Thailand welcomes all visitors, but we expect that they follow some basic guidelines on behavior. Traditionally, Thais greet each other with a "WAI" (by pressing the palms together at the chest), so if a Thai offers a "WAI" then it is proper to return it. Visitors should not make any disparaging remarks or gestures that denigrate the Royal Family or any religion, and when visiting a temple or royal palace, always dress appropriately. On the cultural side, please avoid touching people on the head, as Thais believe the head to be the most sacred part of the body. It is also inappropriate to use the foot for pointing.
