SCANMAN is a complete, web-based Invoice Automation solution, seamlessly integrated into your Oracle JD Edwards EnterpriseOne application using the latest Composite Application Framework for E1 (CafeOne) features.
Too often Invoice Automation projects involve complex and expensive Document Management solutions without pre-built interfaces resulting in time consuming implementations and difficult to realize back-end integrations. These Document Management solutions provide functionality that is already available in JD Edwards and typically the implementation of such a solution requires the development of integrations to the back-end processes, effectively duplicating the logic that is already there. The ideal solution is to have a real Invoice Automation solution that seamlessly uses these
back-end processes already available in your ERP system. For Oracle JD Edwards this is what SCANMAN does! With SCANMAN you will be able to streamline the overall process of capturing invoices, eliminating the need for manual data entry. This will ultimately result in faster processing, improved accuracy and increased productivity.The built-in, direct integration using Business Services ensures for smooth and secured data transfers without any need to replicate or synchronize data to the front end system. The data remains in your EnterpriseOne database and is processed there.
The scanning and recognition process consists of simply placing digital invoice documents in a dedicated location. This is typically a (secured) network location where the invoices have been copied, scanned or emailed to. SCANMAN will run in the background and select the invoices from this location to be processed. SCANMAN enables you to completely automate the processing of the invoice documents. It will generate logged vouchers based on the content of the scanned invoices and store an image of the invoice as an attachment to the JD Edwards voucher. SCANMAN includes a routine to manage exceptions from the recognition process. To ensure that all invoices are automatically processed a batch program is used and only the exceptions need to be processed manually. If an invoice is not recognized the user can validate the input themselves. The system automatically learns from the corrective steps taken by user to ensure to reduce the number of exceptions the
next time. SCANMAN automatically creates a JD Edwards logged voucher for further processing. The logged voucher principle safeguards that invoices are always registered based on the terms and conditions (rules) set by the invoice processor. These rules can be configured according to the client’s needs. For example, purchase order number validation, if a purchase order number is missing or not discovered then the invoice will be handled as an exception. Since the invoice has been transformed into a JD Edwards logged voucher all the voucher matching activity will be using the standard JD Edwards processes. Both a 2-way (Purchase Order match) as well as a 3-way match (Purchase Order / Goods Receipt Match) can be used to match the invoice. If needed the invoice can be approved as a cost voucher (Invoice without Purchase Order) by utilizing the standard JD Edwards workflow engine including signoff limits and escalation paths.

WHAT YOU NEEDSCANMAN is an absolutely lightweight solution running either as an instance on your WebLogic Application Server or on a separate web server. Easy to install, maintain and with no additional software or licenses required it is the best solution for your Invoice Automation project. SCANMAN can be used as of JD Edwards EnterpriseOne application release 9.0 with Tools Release 9.1.3. It is also highly configurable allowing for flexible set-up and custom additions if required.
SCANMAN is Java enabled, developed with Oracle ADF and is using internally the industry leading OCR and document capture software to deliver the best possible recognition results.
With the Auto-Learning Template Builder you create, quickly and intuitive, document template definitions that can be uploaded to SCANMAN.
You can then either use the file selector to locate and select a scanned image or the batch processor option to fully automate the invoice processing. SCANMAN will instantly generate a Logged Voucher in EnterpriseOne for further processing, as well as store an image of the invoice as an attachment to the created Voucher.
In case of any exception or error during the processing cycle, SCANMAN will store the results in the SCANMAN Audit Workbench, allowing for total control, full introspection and easy recovery handling. You can simply select and pull back the failed invoice, amend the data and re-process the invoice. All activities are always recorded in the SCANMAN Audit Workbench for audit purposes.
