SUMMARY DESCRIPTION

Under the supervision of the Director/Coordinator of Healthy Living, the Healthy Living Coach assists in administering all programs of the Healthy Living Department. Healthy Living Coaches are responsible for learning names of members and assisting them in safe equipment usage and exercise form. Under the leadership of the YMCA of Greater Pittsburgh’s Senior Vice President and Chief Development Officer, the Association Director for Annual Giving and Special Events is responsible for planning, reinvigorating and expanding Annual Giving in its entirety from $1.6 million to $2.5 million by the conclusion of FY 18 (this includes Annual Campaign and all unrestricted giving across the Association.) The position is directly responsible for ensuring that the Association’s Annual Campaign is efficient, effective and successful in reaching its goal through planning, training, motivation and leadership development of volunteers and staff. Working in a team environment with the Board of Directors, Boards of Management, leadership teams and staff, this position will oversee a minimum of 18 branch/camp campaigns. The position will develop new and grow existing philanthropic relationships to ensure continued growth and success and to establish the Y as the “charity of choice” in Allegheny County. The successful candidate will focus on working collaboratively within all branches and help identify and funnel cultivated prospects to the Major Gifts Committee as appropriate. The Association Director for Annual Giving and Special Events will be committed to advancing the mission and strategic goals of the YMCA by increasing contributed resources and creating a donor-centered culture throughout the Association.

ESSENTIAL FUNCTIONS & JOB SPECIFICATIONS

The Director of Annual Giving will participate in strategic planning for all aspects of the Annual Giving program. Responsibilities include:

Case Development: Development and distribution of a successful annual case for support including multiple case statements as necessary to meet the needs of the Association’s Annual Giving programs.

Acquisition: Develop and implement successful strategies for acquisition of new donors and constituent groups, especially expansion of member-donors across the Association.

Prospect Management: Oversight of CRT+ donors to ensure on-going cultivation, stewardship and annual personal solicitation by appropriate individual. Feed major gift prospects to Major Gift Committee as appropriate.

Communications: Build a Donor Communications calendar supporting Annual Giving. Write, schedule and distribute regular communications regarding Y impact through various media (web site, constant contact, newsletters, local media etc.). Seek out, and promote stories of impact from branches and distribute them back out to membership to help promote the Y as a cause.

Solicitation: Develop and implement strategies related to personal, direct mail, electronic and other solicitation programs.

Documentation and Reporting : Maintain project records to ensure consistency and to assist with future planning. Generate reports using Daxko. Submit regular reports to appropriate groups as requested. Obtain, compile and provide analysis of reports with regards to Annual Giving performance.

Cultivation and Stewardship: Plan appropriate acknowledgement of gifts and appropriate recognition opportunities. Assist branches in building their individual stewardship plans. Write all acknowledgement letters for Annual Giving. Regularly update and personalize letters as appropriate.

Volunteer Recruitment: Assist branches and Association with identification, recruitment and recognition of volunteers.

Training: Plan, organize and deliver Annual Campaign training to staff and volunteers. Annual Giving Events: Plan, schedule and manage any Association events related to the Annual Fund and Annual

Campaign, including special events and recognition events, including Campaign Kick Off and Wrap Up, Gala, Golf and the Member-Investor Breakfast. Serve as a resource to branches as they plan events. Provide guidance with regards to marketing, sponsorships, pricing, expenses, effectiveness and follow-up.

Publications/Written Materials : Research, write, edit and proofread all Annual Giving appeals, computer-generated lists and correspondence, promotional brochures and communications (printed, electronic, etc.) Monitor inventoried materials and accounts to ensure appropriate and timely solicitations by mail (or other avenues) for all appeals.

Office Management: Willing team member responsible for carrying out a wide variety of standard business and development office functions and, in consult with the CDO, managing the budget for Annual Giving.

Benchmarking : In consultation with the Chief Development Officer, set mutually agreeable performance standards to measure effectively the quality and quantity of the various programs constituting Annual Giving and their results, as well as donor satisfaction.

Ambassador: Actively seek out opportunities to be involved in the community. Act as an ambassador for the Y and philanthropy.

EDUCATION/EXPERIENCE REQUIREMENTS

BA/BS degree.

Minimum of 5 years fundraising experience with a demonstrated record of growth.

7 – 10 years work experience in a YMCA, JCC or comparable community organization.

Excellent writing skills including reports, letters, proposals and compelling appeals/stories. Must be able to write quickly and under pressure.

At least 3 years of proven growth and success in managing Annual Giving for a large organization.

Valid driver’s license and access to reliable vehicle for travel throughout Allegheny County. Occasional trips beyond Allegheny County will be required.

Experience working with volunteers.

Able to lead and motivate groups and individuals. Able to think creatively and strategically to successfully mediate and negotiate with individuals and groups internally and externally. Able to overcome obstacles to cooperation and to foster harmonious relations.

Able to balance competing priorities, complex situations and tight deadlines.

Ability to listen is essential. Able to ask leading questions which encourage prospects and donors to talk about themselves and their activities.
