Development of Keywin 5
Creone AB
Flexible KeyWin 5 makes is easy to manage everything from around
10 keys up to several thousand keys. You can use one cabinet or
100 cabinets in the same system and at different locations. The
system can be managed by a single administrator, or shared with
other administrators.
User, groups and keys are simple and quick to register. You deter-
mine which users and groups get which keys by connecting them in
the system. Every use of the key is registered, and a simple search
lets you find out who has had what key and when. As a user, you log
in to the cabinet with your personal code. The strips indicate what
keys you have access to and you simply take out the ones you want
to use. If a key has already been taken out, the convenient display
shows you who has it.
KeyWin 5 was developed together with Saab Combitech.

A Keycontrol cabinet can be connected directly to a local PC or
through a network. A cabinet can also be used Stand alone. When in-
stalling via the network, one or several cabinets can be connected to
one and the same KeyWin 5 software. Via the network it is possible
with multiple clients of the administration program.
A KeyWin 5 system consists of:
• one or more Keycontrol key cabinets
• one KeyWin 5 server (database)
• one or several administration clients
Actors in the system are:
• one Supervisor
• one or more administrators
• one or more users

SUPErVISor
A Supervisor is the person who is ultimately responsible for KeyWin
5 system. The Supervisor have full accesss to KeyWin 5 program
and may add cabinet and other administrators into the system. The
Supervisor determines the respective rights for other administrators
in the system
AdMInISTrATor
The administrator is the person responsible for administer one or
more cabinets in a system. An administrator’s rights may be limited
by the Supervisor. Administrator registers users, groups, and the
keys of his cabinet and giving access to groups and keys.
USEr
Users are the people who have a PIn-Code and access to the keys
and cabinet in the system.
SYSTEM
With the system means the complete system with a central server
(database), computers with administrator clients and all cabinet con-
nected to the central server.
KEYWIn 5 SErVEr
KeyWin 5 server is the database where all data is saved and who
communicates with clients and cabinets in the system.
KEYWIn 5 ClIEnT
KeyWin 5 Klient är den programvara som administratören använder
KeyWin 5 Client is the software that administrators use to configure
the cabinet, add users, groups and keys and give accesses. KeyWin
5 logs all events from the cabinet and administration programs.
KEYConTrol KEY CABInET
Keycontrol key cabinet is for controlled storage of keys. A keycontrol
cabinet contains strips and pegs. A cabinet can have from one list
to several strips depending on the cabinet model. The cabinet can
be extended with an extension cabinet. (read more about the differ-
ent cabinet models last in the manual).
MASTEr CABInET
The maste cabinet is the cabinet which is directly related to the
administration program, which has display and keypad for logging
and retrieval of keys.
ExPAnSIon CABInET
Expansion cabinet is always linked to a master cabinet and con-
trolled via keypad and display on the master cabinet.
KEYConTrol STrIP
Strips are mounted in cabinets with a total of 14 key locations (place
of pegs) in each strip. The KeyWin 5 software registers all events
from keys in the strips.
KEYConTrol PEGS
Pegs are the contact that one or several keys are attached to. Each
peg is unique and has its own identity and name of the configuration of
the system. When said control keys is actually the control of the pegs.
KEYS
Keys are assembled with pegs and keys in the system are actually pegs
or key positions. These are configured when installing the system.
dISPlAY
display is at the cabinet where you can see the cabinet name and
log in to the cabinet. After login, you can search among the keys you
have permission to.
SErVICE MEnU
The cabinet has a service menu where you can configure the cabinet
and make cabinet settings, communication and language.
KEYPAd
Keypad is at the cabinet for entering the PIn code and to search
for keys.
AdMIn CodE
Each cabinet is an Admin code. The admin code gives full access
to all keys in the cabinet and is also used to put in the first keys in
the cabinet while starting up the system. The admin code is 301042
from the factory.
SErVICE CodE
Each cabinet has a service code. The service code provides access to
the cabinet’s Service Menu. Service code is 1234 from the factory.

SUPErVISor CodE
Supervisor code has full jurisdiction in KeyWin 5 administrator
program. Supervisor code, which is 301042 from the factory, is
used to enter the program the first time and to add cabinets and
administrators.
AdMInISTrATor PASSWord
Administrator password is a unique password for each administra-
tor to login and administrate KeyWin 5.
PIn
PIn is the user’s personal code for the cabinets. The PIn code that
identifies the user and informs the cabinet which keys that particu-
lar user is entitled to take.
ACCESS
An access (or connection) is a connection between a user and a
key that gives the user access to a certain key. An access can be
made directly or through the group.
onE TIME lICEnSE
To use KeyWin 5 PC software requires a license key. When pur-
chasing a one time license, you can use the program in perpetuity,
but do not have access to upgrades. An upgrade can be bought
separately.
THrEE-YEAr lICEnS
To use KeyWin 5 PC software requires a license key. When buying
a 3-year license you have the right to continuous upgrades in three
years. After three years you can renew the license for three more
years and continue to get upgrades, or you continue to use the
program without further upgrades.
ProBATIon TIME
When the program is installed for the first time you have 30 days’
probation after the installation was done. Then, to continue using
the program requires a license key.

Set fixed IP address for the cabinet
Installation should be performed by a Creone trained dealer. Before you start installation, ensure that power outlets and network connections
are available for both the cabinet and the computer.
Box STAnd AlonE
The cabinets can be used Stand alone. Then use Admin code
(301042 from the factory) to open the cabinet and insert and
remove the keys. Admin code gives access to all keys in the
cabinet.
Both the Admin code and Service code can be changed in the
Service Menu. In the Service menu you can also do settings as
enter cabinet name and set location. (note that the codes only can
be changed in the service menu before the cabinet is connected to
the PC program. Then, changes for the codes has to be done in the
PC program.)
STEP 1
open the service door at the key cabinet, mount the power cord
and network cable and connect the cable from the battery to the
circuit board.
STEP 2
Powered cabinet and insert the network cable. Wait until CodE: is
displayed at the cabinet. (It takes about a minute before it shows
any of the display, then it takes another few minutes for the cabinet
to boot).
STEP 3
Go into the service menu with Service Code (1234 from factory).
STEP 4
Select ”Doors” and check that there is the right number of doors
and number strips.
STEP 5

Select ”Reboot” to reboot the cabinet. Then wait until CodE: is
displayed.

Installation: KeyWin 5 Client
The installation of the server can take up to between 5 and 20 minutes depending on the PC. restarting the computer may be required. The
installation of KeyWin 5 Client takes a few minutes. note that it requires full administrator rights to install KeyWin 5. If SQl Server is already
installed on your computer, please advice with your administrator before doing the installation.
Installation of the Client only. You need to have the IP or host name of the computer where the server is installed.
STEG 1
Insert KeyWin 5 of your computer and open the folder KeyWin 5.

Start file: ”InstallServer.exe”.
STEG 3
”Follow the instructions for installation, finish the installation and
start the file “InstallClient.exe”

Proceed to the ”Start up”.

Register Keys
Get a license key
STEG 1
open the cabinet with the admin password (301042).
STEG 2
Put the keys in the cabinet. Check that the lEds lights up at the
keys.

Start KeyWin 5 program

Select ”Administration” and go to the key column.

Select a key and click to edit key.
STEG 6
repeat step 2 and 5 to register more keys, or click on the ”key over-
view” to edit multiple keys at one time.
When the keys first are placed in the cabinet they are visualised in the KeyWin 5 with their unique Id number. If there is no visible keys in the
list, even though you put your keys in the cabinet, put the cursor in the search field above the keys and press enter.
In order to use KeyWin 5 you need to register the program and get a
license key. You can choose between a one-time license and a subscrip-
tion license.
When you start KeyWin 5, you have 30 days’ probation. Before the trial
period has expired, you must have registered the program and received
a license key. otherwise you can not continue using the program.
When you start the application you may choose to register the pro-
gram. Fill out the information on the form and ”Send”. You will
receive a confirmation that KeyWin 5 registered and within a few
days you will receive your license key and a message that the pro-
gram is activated.

Assign a key to a user through Group

Supervisor
Administrator
User
Supervisor is the person who is ultimately responsible for the
KeyWin 5 system. The Supervisor has full access to the KeyWin 5
program and may add cabinet and administrators to the system. The
Supervisor can not be deleted from the system.
The Supervisor distributes rights and determines what each
administrator will have the right to perform.
The administrator is the person responsible for administering one
or more cabinets in a system. How many and which cabinet is
determined by the Supervisor or other administrator with permission
to create Administrators.
An Administrator registers users, groups and keys for one or more
cabinets and gives the users access to groups and keys. The
administrator is also the one who can follow up who had what keys
and when and the cause of any alarm.
Users are the people who have access to cabinets and keys. Each user has a PIn Code that they use to gain access to the keys and cabinet
as they have permission to.

Licenses
KeyWin 5 server is the database where all data is saved and that communicates with clients and cabinets in the system.
KeyWin 5 Client management program is where you add and run daily administration of cabinets, administrators and users.
Using KeyWin 5 requires a license key. The license key is valid for
your entire system and you can link how many units and how many
clients you want the same system.
With a one-time license, you can use it free in perpetuity, but without
upgrades (it is possible to buy one-time upgrades). A three-year
license gives you access to continuously upgrades made to the
program. After three years, you can choose to continue for another
three years with upgrade or continue to use the program as it is
without upgrades.
After installing KeyWin 5 first time you have 30 days’ probation.
during that period, you must obtain a license key to continue using it
after 30 days. Please note that if you have not registered a license
key within 30 days, you need to do a reinstallation of the program
and add on all the information about such as keys, users, groups
and more.

Overview
Searching and sorting
Administration view gives you a quick overview and the intelligent
search function lets you easily find the correct user or key. Add and
manage users, groups and keys, and provides links to allow users
access to keys.
Highlighting a key automatically changes the columns of groups
and users and then only displays the groups and users that are
connected to that key. Similarly, it works for users and groups. This
gives you a quick overview on who has access to what.
For each column (users, groups and keys) there is a search field.
The search bar is intelligent and displays all items in the column
containing the letter or number that you typed in the search field.
The best match is always displayed at the top. In order to re-examine
all items in the column, delete what you typed into the search field.
In the search field, users can just click on the arrow to the left of the
search field, even choose what you want the column to sort on. By
selecting “Advanced” you can also choose what you want to be able
to search for in the search field.
Shortcut contact
By placing the cursor over a user there is direct an information box
with the user’s username, email, phone and mobile. This enables
to get contact information to a user just by moving the cursor over
them in the list.

KeyWin 5 system can, in principle, handle an unlimited number
of users. It is easy to add, edit and delete users. For each user
you choose how much and which information you want to fill in.
Username and PIn are mandatory and must be unique.
A user will be added by clicking on the button under the column
for users. By clicking on you can edit a user and click the
button to remove the user that is selected.
USEr nAME
Must be defined and must be unique and
at least four characters.
PIn
Must be defined and must be unique. The number of characters is
determined by the Supervisor under Settings. PIn can be manually
or randomly selected.
ÄndrA PIn-Kod På SKåP
The administrator can determine if a user is allowed to change his
PIn Code on the cabinets. PIn code can be changed at the cabinet
by entering the PIn Code and hold ”#” for about three seconds and
then enter the new PIn code twice (once to confirm).
Should the PIn Code already been taken, the user gets information
about this directly in the cabinet. In the event that two users
change their codes to the same code simultaneously on two
different cabinets, only the first change that is accepted by
the server is valid. For the other user will the change not be
implemented, then that user old PIn Code still applies.

Active users
Validation of users
Show all users
An external reader can be connected to the cabinet and be activated
for the user. The administrator chooses the user to log in only with
PIn code, only with an external reader or in combination. read more
about the external readers under cabinets later in the manual.
The administrator can manually enable or disable the user. If you
disable a user, the user remains in the system, but is not active and
has no access to any keys or cabinets.
The administrator can set the validation of a user with from and to date. After the expiry date the user becomes inactive.
The users that appear in the administrator’s list is the users who are
connected to one of the keys (directly or via the group) present in any
of the cabinet that the administrator has access to.
By selecting ”Show all users’ display all users throughout the
system. This is for example a person who should have access to
the various units which are administered by different administrators
should not have to be hospitalized several times.

Time channels
A group is a simple way to connect specific user to specific keys.
Create for example a group named ”Cleaning”, and link the group
with the keys and the user who will be involved in the cleaning group.
You can create as many groups as you like.
For each group, you can set a time channel. A time channel means
that users in the group only have access to the keys within the
group when time channels are active. You can enable and disable
time channels manually. An icon () next to the group’s name in the
column shows that there is a time channel linked to the group.

Add, edit and delete keys
With keys, is meant the peg to which one or more keys are attached
to. Each peg is unique and has its own Id number. When a peg is
first registered, the pegs Id numbers is visualised in both the cabinet
and the PC program.
A key (peg) is added to the system by inserting a peg into a strip in a
key cabinet. The strip identifies the peg and Id number will appear in
the column of keys. By clicking on the ”Edit” button, you can register
with the information you want to add. (If you inserted the keys in the
cabinet and they are not visible in the key column, place the cursor in
the search field and hit enter to see the keys.)
nAME
The name of the key which will appear in the column of keys and the
display of key cabinets.
ColorS
Color for the key can be set to for example the same as the color
of the key rings. The color will be displayed when selecting ”Key
overview”.
KEY-Id
Key Id is hidden, but is searchable and can be a serial number or an

If you have particularly important keys that you do not want to be out

The key can be found in several cabinets, but can only have a fixed
position in one cabinet. If you put the key back in the wrong place,

ing at the keys.

Connection directly between users and keys
Connections between users and keys via groups
Att koppla innebär att man kopplar ihop en användare med en
nyckel, vilket innebär att den användaren sedan har tillgång till den
nyckeln. En koppling kan göras direkt mellan användare och nyckel
eller via en grupp.
A direct connection between user and the key is made easy by
selecting the user or the key, click on ”To Connect” and then click
on the red icon the key or user to connect to. The icon turn green
and the changes are implemented immediately.
By creating a group and connect users and keys to the group, you
get an easier administration, especially when you have several
people who should have access to the same keys.
Just add a new group. Select the group and click on ”To Connect”
and then click on the red icon the keys and users you want to
connect to the group. The icons turn green and the changes are
implemented immediately.
note that if a user has access to a key through a group, it is
indicated by a key instead of a green icon. For this connection, you
can not remove a single key, but you have to disconnect the user
from the group.

Search function
The Event log records all events, both from cabinets and from the
administration program. It is possible to configure which events
are logged.
All alarms are indicated by red in the log and a new alarm will turn
the tab to the Event log red. You directly see the alarm indication
and can easily see who or what caused the alarm.
The intelligent search function lets you quickly get the right
information on the key or the user you want. Search Bar is
intelligent and displays all items in the column containing the letter
or number that you typed in the search field. The best matches
appear at the top. To re-view all events in the log, you just delete
what typed into the search field.
By clicking on the arrow to the left of the search field, you can
choose to search for events within a certain timeframe. You can
also choose to sort by date or event, and if you just want to show
events from the cabinet, only events from the administration
program, or both. Choosing ”Advanced”, you can choose exactly
the events you want to appear in the log.

Export - Reports
You can easily collect information from event log in reports. Either via a CSV file that you can import into Excel or directly to a PdF file.
Acknowledge all alarms
once you have checked the alarms, you can acknowledge them. Instead of alarms showing strongly red they then become slightly red. This
enables to see continued emergency events.

Cabinet
Add Cabinet
At settings you install new cabinets, add a new administrators or
do more advanced settings such as language, number of valid
characters in the code, make a back-up and communications
settings and mor.
The cabinet tab gives you a good overview of the cabinets in the system. It is easy to add and edit cabinets.
Add a new cabinet by clicking the (the cabinet must be
connected to the network). You get a dialog box where you can
choose to search for the new cabinet automatically or to manually
enter the IP or dnS name.
normally the program finds the cabinet directly, but if the cabinet
is in a subnet or if it does not work with automatic search you can
search by entering the IP or dnS name. If you are not able to make
contact with the cabinet, control your network settings and firewalls.
When the system finds a new cabinet, press next and enter name
and location of the cabinet. You can also choose language for the
cabinet.

Admincode
Alarms
Each cabinet has an Admin code. From the factory code is
301042. The Admin code means that you can enter the cabinet
and have full access to all the keys in the cabinet.
You can choose to have the same Admin code for all cabinets, or
different for each cabinet.
The cabinet gives an alarm when the door is open for too long or
when someone takes out a key without access. In ”Timeout Alarm”,
you can specify how long these alarms will sound when an alarm
goes in the cabinet. Under the ”open door alarm”, you can specify
how long the door may be open before the alarm sounds.
If the open door alarm is set to 60 seconds and while having the
door open removes or inserts a key the time is extended with the
additional time.

External alarm
It is possible to connect an external alarm to the cabinet. This is
done on the circuit board at the inside of the service door. Please
consult your dealer before installing an external alarm.
You can set time for when the external alarm will be activated after
the cabinet’s alarm for open door or removal of unauthorized key.
External card reader

You can connect an external card reader to the cabinet. This is done
on the circuit board at inside of the service door. Please consult your
dealer before installing an external reader.
An external card reader is connected to a relay which gives a signal
when a user uses a card that allows the user to enter his PIn Code.
Before a valid card is read, the keypad is “locked”.
The system is also prepared for use with an external reader that
directly identifies the user. You can then choose if you want to use
only the card reader or only the PIn Code or both to identify the user.
Please contact your dealer for more detailed information of which
card reader system that is possible to connect to the system.

Select the cabinet as the Administratorshall administer
Low access to KeyWin 5
After saving the information of the Administrator you are asked
to select which cabinets the administrator shall have the right to
administer. You get a list of all cabinets in the system and you
easily select the cabinets you want the administrator to administer.
It is only information and keys in the chosen cabinets that the
administrator will be able to see and manage.
To provide the opportunity for users and moare people to enter
the program in order to search for information, find keys, etc., you
can create one administrator without any rights and distribute the
password to the users. Then they can log into the program and
search for information, but the can not do any changes.

Under the back up and restore, you can create a backup, upload an old backup, import list of users, and import language files.

Here you can import a previous backup. Click on Choose File and
select the file you want to import.

Here you can make a back up by exporting a file with the information
contained in the system. The file is named automatically with the
current date. Click to select the file and choose where to save the
exported file.

Here you can import information about users. Click on Choose File
and select the file you want to import.

Here you can import a language file with a new language or a
language corrected. Click on Choose File and select the file you want
to import.

In the advanced settings, for example, you can set how many
characters and what characters will be valid for the administrator
codes and user codes. You can also set the network
communications and e-mail communications. Here you can also
change the code to the Service Menu for cabinets and set the
language for the KeyWin program.

Here you set how many characters and valid characters for
passwords for administrators and users. If you change the settings

TIMEoUT For ConnECTor (S)
You can set the maximum time synchronization engine on the
server waiting to receive answers from the cabinet. Should not be
less than 1 second. normally, the value can be quite high, eg 60
seconds when the database is normally respond after 0.5 seconds
if it is contactable. If you have a slower network you can reduce the
time taken to obtain a faster communication.
TIMEoUT CoMMAnd (S)
Here you set the maximum time synchronization engine on the
server wait before it cancels a command, writing or reading from
the cabinet base. Should be set to 599 seconds (approx. 10 min).
UPdATE InTErVAl (MS)
Here you set the time between each synchronization of the server.
When synchronization is complete synchronization engine waiting in
the specified number of milliseconds before the new cabinet, contact
database and used to log changes and make the exams again.
This should not be less than 2000ms. It can affect the
performance of the computer that the server is installed on. For
cabinets that are used infrequently, once per day, and changes in
KeyWin occurs with one or two times a month and you do not check
the event log can often be put down synchronization to t as every
five days so as not to server to stand and work for nothing.

PorT dETECTIon
Here Supervisorn for network switch port for the detection of the

The port that is standard is not normally occupied by another
protocol. However, the network administrator must open the door to
their firewalls (especially physical ones) if they are not already open.
If you are unable to make contact with a cabinet in the network can
be a blocked firewall is the cause.
TIMEoUT dETECTIon (MS)
This is the maximum time that KeyWin 5 waiting to get answers from
the cabinet at detection. This could be down quite a bit but should
not be below 1000 ms. It does not, however, have a high value in
this example. 5 seconds since the cabinet normally respond within
1 second if the contact is evident. If, however, a high load on the
network it may be worthwhile to increase over time. And if a cabinet
is not clear contact can be increased to eg 5 seconds.
SEArCH TIME (dAYS)
This is the number of days (positive integer) from the day’s date to
the logs shown and is a preset search box in the Event log. The
value of the From Time frame is then set to TodAY to x number of
days. You can then adjust that in the search box. Changes in the
search cabinet does not affect the preset.
Set the value to 30 means that you only show logs up to 30 days.
Increasing the value can affect performance in the event log when
the then loaded into significantly more data.
UPdATE rATE (MS)
This is the time in milliseconds that the logs are updated. (not to
be confused with the ”Update interval” setting that controls the
synchronization engine.) This parameter controls how often the only
interface to check for logs. However, the fact is that there are some
new logs until reading from the cabinet have been why that value
should be above the ”Update interval” values.

perform a search between each keystroke in a search box. For each

Keycontrol series (SC) is Creones smart system with electronic key
identification for monitoring and control of each individual key. A
Keycontrol systems can be anything from a few keys up to several
thousand keys. As the need grows, you can easily add more strips
and key locations in your cabinet. or with more cabinets in the
same system. Up to one hundred cabinets can be used in the
same system.
The cabinet has a display with simple menus and search
functionality. The cabinets are equipped with battery backup
