Uploading Documents in eFOLIO Lite1. While in Digital Locker, click on root in file list

2. Click upload file icon

3. When you click the upload file icon the following popup box will open up

4. You must title your document5. Enter URL or click select and you can navigate to your H:\ drive to find the document

6. Your uploaded file must have a 3 or 4 character extension of the approved KSD standard formats. i.e. a. Word documents should be DOCNAME.doc or docxb. Excel documents should be DOCNAME.xls or xlsx

7. Once you have found your document, highlight the document name and click Open.

10. Your document will upload and be placed in your Digital Locker.

Editing Documents1. To make edits to a document that has already been uploaded into eFOLIO Lite, you must first

open the document and save it to your home drive (either your H:\ if you are at school, your C:\ at home or a flash drive).

2. Click name of document in the right (Portfolio) section of eFOLIO.

3. When you click the name of the document, the computer will ask you if you want to open the file

4. You can choose to open the document at this point or save the document to your hard drive to open using Windows Explorer.

5. Once the document has been opened and edited, you should choose File… Save As… to save the file to your current home drive.

6. Once you have saved the document on your home drive you then need to clear the original document from your Portfolio, it can remain in your digital locker.

7. Once this has been completed, you should be able upload the corrected document and place it in your Portfolio.

8. Use the method for Grouping Documents to upload the document, be sure you choose the same group and file name where your original document is. Then when you get the upload file dialog box check the okay to overwrite box, this will upload the new document and delete the old document from your portfolio..

Grouping Documents1. Documents in your Digital Locker should be placed in groups according to their use in your

Portfolio.2. For example, if you have a best work that is made of up two documents, for example a word

document that is accompanied by a photo, you should group the two documents in one group.3. Upload the first of the two documents using the upload a document directions.4. Click on the Group name in which you wish to add an additional document. (0910 Student

6. The popup box will allow you to go select your file just like when you uploaded the original document.

7. If the document is to be added to the group do NOT check the okay to overwrite, that should be used only when uploading a newer version of another document or when replacing one document with another.

8. Once you click Submit the uploaded document will appear in your digital locker in the group you highlighted at the beginning of this process.

2. To drag a group of items to the Portfolioa. Left click the group name in the Digital Lockerb. Hold down the left mouse buttonc. Drag the item to the spot in the Portfolio that the item belongsd. Release the left mouse buttone. The item will them move into the Portfolio where it belongs.

3. This method of Drag and Drop to move all items to the Portfolio.

Clearing Items from PortfolioIf you move an item from your Digital Locker to a place in the Portfolio in error, or you choose to update or replace an item, you must clear the item; you cannot delete items from the Digital Locker if it is filed in your Portfolio.1. 3. After you have highlighted the item click the Clear Selected Item button

4. Once you click the Clear Selected Item button, the following dialog box will appear in front of your Portfolio. If you choose to make a note about why you have cleared an item, do so here. A note is not required to clear an item.

5. If you are sure you want to clear the item from your Portfolio, you select OK, this will not delete the item from your Digital Locker, it will only clear the item from that section of your Portfolio.

6. The date of the last edit to the column will remain until you move another item into that section of the Portfolio.

Making New Folders in your Digital Locker1. A good rule of thumb is to create one folder for each section of the Portfolio in your Digital Locker.

For the Digital Locker below, we will create a folder for Career Exploration

2. First, click on the root, you must be in the “root” in order to create new folders.3. Then, click on the Create Folder icon

4. Once you click on the Create Folder icon, you will be prompted to click here to allow scripted windows.

5. Click the bar at the top of your Internet Explorer toolbar and you will see two optionsa. Choose Temporarily Allow Scripted Windows from these two options

6. Once you choose Temporarily Allow Scripted Windows you will get a pop up box where you can name your folder

7. Type in your folder name and press OK.

8. Your new folder will now display in your Digital Locker

9. You can then “Drag and Drop” your document groups into the folder for Career Exploration.

Expanding and collapsing groups/folders/sections1. All Groups / Folders and Sections can be expanded pressing the + button next to the group or

folder2. All Groups / folders and sections can be collapsed by pressing the – button next to the group or

section.

Delete Documents from your Digital Locker1. If you upload the wrong file or choose to replace a file with a new one, you can delete the item

from your Digital Locker only after first placing it into your Recycle Bin2. To move a file or group to the Recycle bin

a. Highlight the name of the group or document you want to move to the recycle bin

b. Click on the red X for deletec. The item will be moved to the recycle bin.

d. Once the item is in the recycle bin, press the small garbage can/recycle can icon at the top of the Digital Locker to empty the recycle bin.

e. The system will display the following pop up box

f. If you are sure you want to empty the recycle bin press OKg. If you are unsure, press cancel and it will return you to the Digital Locker.h. Once you have emptied the recycle bin, those items that are in the recycle bin will be

permanently deleted.

Viewing a documentThere are two ways to view a document in your Digital Locker. One is to view it directly from your Digital Locker and the other is to view it from your Portfolio.1. To View a Document from your Digital Locker:

a. Highlight the name of the document you wish to view (document name not group name)

b. Press the View Document button (looks like a magnifying glass over a piece of white paper.c. A popup dialog box will appear showing the original file name, file type and asking if you want

to open the document.

d. If you want to proceed with opening the file press Open.i. If you press Open the system will automatically open the program in which the file

was created and open the file for your review.e. If you want to save the file to your current workstation press Save

i. If you press Save the system will send you to browse for the place on your computer/server to save the document

f. If you don’t want to open the file press Canceli. If you press Cancel the system will return you to the Digital Locker

2. To open a file from your Portfolio

a. Click on the link found in the column titled Artifact/Upload Dateb. You will be prompted with the same options as if you were opening the file from the Digital

Locker portion of the screen.

Detail – what you can findIn the Portfolio side of the student screen there is a word detail . If you click that button it will give you the details of the history of that particular artifact.

In the case of the following graphic, the Student uploaded a document to his Portfolio, and then the student removed a document from his Portfolio. Later in the same day the student uploaded another document and then the teacher approved that document.

Icons and Status ColorsEach individual requirement in the Portfolio section has a small button next to it showing the status of the document and/or proficiency. The legend for those status buttons is as follows:

Each individual requirement in the Portfolio section will also have an icon next to it showing students which items need teacher approval and which items will move directly to completed status upon dragging and dropping them into the student Portfolio.

Items that require teacher approval will automatically be moved to In Review until the teacher has had a chance to review the item. After the advisor reviews the item the status will change according to the Advisor review.

Student Interface Facts1. Passwords cannot be repeated, when you change your password, you will not be able to

change it back to the previous password.2. Your advisor will be able to reject completed items if they do not meet the requirements of the

Portfolio item you place them in. If that occurs, you will see the Reject icon next to the Portfolio section that was rejected by your advisor.
