INTRODUCTION

Lilian Baylis Technology School is committed to ensuring that our students who are sitting external exams for GCSEs, BTEC, CiDA, VCERT, AS and A level qualifications are fully informed about the exam and assessment process in place. We also want to ensure that all students are aware of the required JCQ awarding body instructions (the JCQ is the Joint Council for Qualifications, who represent all the major exam boards - AQA, CCEA, City & Guilds, Edexcel, OCR, SQA and WJEC).

COURSEWORK/CONTROLLED ASSESSMENTS/NON-EXAMINATION ASSESSMENTS

Some GCSE and GCE (AS & A Levels) qualifications have controlled assessment/s and coursework that

contribute to the final grade of the qualification. These are called Non Examination Assessment/s

(NEA) and are internally assessed (marked) by teachers.

When producing a piece of work, if you use the same wording as a published source you must place quotation marks around the passage and state where it came from. This is called “referencing”. You must make sure that you give detailed references for everything in your work which is not in your own words. A reference from a printed book or journal should show the name of the author, the year of publication and the page number, for example: Morrison, 2000, pg.29. For material taken from the internet, your reference should show the date when the material was downloaded and must show the precise web page, not the search engine used to locate it. This can be copied from the address line. For example: http://www.geocases2.co.uk/rural1.htm downloaded 5 February 2018 Plagiarism involves taking someone else’s words, thoughts or ideas and trying to pass them off as your own. It is a form of cheating which is taken very seriously. Do not think you will not be caught; there are many ways to detect plagiarism.

● Markers can spot changes in the style of writing and use of language. ● Markers are highly experienced subject specialists who are very familiar with work on the topic

concerned — they may have read the source you are using (or even marked the essay you have copied from!).

● Internet search engines and specialised computer software can be used to match phrases or pieces of text with original sources and to detect changes in the grammar and style of writing or punctuation.

The work which you submit for assessment must be your own; you must not copy from someone else or allow another candidate to copy from you.

Controlled Assessment/s, coursework and any other Non Examination Assessments you submit are

marked by your teachers, who have appropriate knowledge, understanding and skill, and who have

been trained in this activity. You will be told by your teacher of the mark / grade you have achieved in

any controlled assessment/s and coursework. You may request copies of any relevant materials at this

point (for example, a copy of their marked work, the relevant specification, the mark scheme and any

other associated subject-specific documents) so you can see how and why marks have been awarded.

If you believe that the correct procedures have not been followed in delivering and assessing your

work, or that the teacher has not properly applied the mark scheme, you may appeal against the mark

awarded (see Internal Appeals Procedures for information on how to do this).

WRITTEN EXAMS

You will receive a printed statement of entry for all your written exams. You should check this carefully

and inform the Exams Officer (via the reply slip on the statement of entry) of any incorrect

information, including your personal information or if any information or exam entries are incorrect

and/or missing. It is your responsibility to ensure that this information is correct as incorrect

information may result in you not being able to take an exam, which could result in not being awarded

a qualification you have been studying for.

You will later receive an individual exam timetable. This is to ensure you know the date and time of all

exams you are sitting, as well as their location.

Finally, you will receive a copy of your seating plan. This will inform you of the room you will take each

exam in and the seat you should sit in for that exam

Before the exam period:

● Make sure you have all the relevant information you need (statement of entry, exam timetable,

seating plan, Candidate number. See the Exams Officer (Nana Boakye) if you are missing any of

this information

● Check your statement of entry and exam timetable carefully and inform the Exams Officer of

any incorrect or missing information

On the day of your exam/s:

● Make sure you arrive on time for all exams, on time, in school uniform and with all necessary

equipment for that exam.

● Check the seating plan to ensure you go to the correct room and are sitting in the correct seat

for each examination.

● See the Exams Officer immediately if there is anything the exam board should know about your

circumstances that may affect your exam performance.

When in the exam room:

● If you wear a wrist watch the invigilator will ask you to remove it and place it on your desk

● Do not use correcting pens, fluid or tape, erasable pens, highlighters or gel pens in your

answers.

● Do not talk to or try to communicate with, or disturb other candidates once the exam has

started.

● You must not write inappropriate, obscene or offensive material.

● If you leave the exam room unaccompanied by an invigilator before the exam has finished, you

will not be allowed to return.

● Do not borrow anything from another candidate during the exam.

● Read the Instructions on the exam paper very carefully. Your teachers will not be in the exam

room to check you are answering the correct questions / sections.

● There will be a clock visible in each exam room. You will be told of the start and finish time of

each exam but not given any time warnings. It is up to you to ensure you are aware of timing.

● Make sure you write your full name and candidate number on the front of any answer booklets

● Put up your hand during the exam if: you have a problem and are in doubt about what you

should do; you do not feel well; you need more paper. You must not ask for, and will not be

given, any explanation of the questions

● You will see the following posters in the exam room. Make sure you read these carefully and

follow the instructions. Failure to do so is considered malpractice and can result in an

automatic fail for that qualification, or even for all qualifications entered.

ON-SCREEN TESTS

If your examination is an on-screen test then it will take place in a computer room. You will be

informed of the room for the exam on your seating plan. The software and test / examination

materials will be downloaded onto your computer for you and there will be technical assistance in the

room, as well as invigilators, to address any IT issues that may arise.

At the start of the examination the invigilator will ensure that the correct ID and password are issued

to you, which will allow you to access your examination. You are responsible for inputting your ID and

password, and ensuring that the name of the test and your details are correct. If the information is

incorrect you must notify the invigilator and cancel out of the examination before starting. If you sit an

examination in another candidate’s name (whether or not it is intentional), this may constitute

malpractice.

Unless you are told otherwise, you must not have access to: ● the Internet, e-mail, data stored on the hard drive, or portable storage media such as floppy

disks, CDs and memory sticks; ● pre-prepared templates. ● Dictionaries or spell checkers

Remember: possession of unauthorised material is breaking the rules, even if you do not intend to use it, and you will be subject to penalty and possible disqualification

WHAT TO DO IF YOU IDENTIFY YOU HAVE TWO OR MORE EXAM PAPERS TIMETABLED AT THE SAME TIME (AN EXAM CLASH)

All exam clashes should have been identified by the Exams Officer, who will instruct you on the

arrangements for these on your individual exam timetable. If you notice that you have two or more

exams scheduled at the same time, which has nit been identified by the Exams Officer, then you must

inform them immediately in order to make provisions.

If you have two or more exams scheduled at the same time then you may be required to:

● Do one exam straight after the other, with a supervised break of no more than 20 minutes (if

the total time is less than three hours). You may be required to start your first exam earlier

than the usual start time if this is the case.

● Do an examination in a later or earlier session within the same day. You will be supervised

throughout the time from the end of the first exam to the start of the other. You will not be

allowed to leave the supervision room during this time (except to use the toilet, where you will

be escorted). You will be provided with a school packed lunch but you may wish to bring your

own packed lunch and other snacks for this period. You will not be allowed access to your

phone or any other smart device (watch or tablet) or computer during this time either.

WHERE YOU WILL TAKE YOUR EXAMS

Almost all exams will take place in the gym. Details of exactly where your exams are (including the seat

you must sit in) are contained in your seating plan. If you have lost your copy then please see the

Exams Officer for a re print.

WHAT TIME YOUR EXAMS WILL START AND FINISH Unless otherwise informed, all morning examinations will start at 8:30am and all afternoon examinations will start at 1pm. You should arrive in school at least 15 minutes prior to the exam start time.

SUPERVISION DURING YOUR EXAMS Exams are supervised by a team of invigilators. Invigilators must follow strict rules and regulations

when conducting exams. They are not allowed to explain what questions or words mean on your exam

paper/s, nor are they allowed to offer you any help or hints when answering exam questions. Please

ensure you do as instructed by the invigilators as failure to comply with their instructions may result in

malpractice. Any incidents of malpractice, or even suspected malpractice, have to be reported to the

exam board for all exams. The exam board may then issue you a penalty or even disqualify you from

that or all examinations.

EXAM CONDITIONS

Before the start of the exam, you will be instructed to line up in the playground in seating plan order

(ensure you check your seating plan and know where you are seated). You will be asked to turn off and

hand in any iPods, mobile phones, MP3/4 players, pagers, Smartwatches or other similar electronic

devices, which will be securely stored during the examination.

If you have Access Arrangements agreed and in place for that examination then you should go to the

first floor of the 6th form, where you will be instructed as to which exam room you will be seated in.

You must enter the gym/ exam room (and remain at all times) in silence and leave your bag/s and any

coat at the back, prior to going to your seat. You must then stand behind your allocated seat and wait

to be asked to sit down. Remember you are under exam conditions from the moment you enter the

exam room until you are given permission to leave by the invigilator.

Once in the exam room and seated, you should listen carefully to any instructions from the

invigilator/s. You should read the front of your exam question booklet carefully and complete the front

of your answer book/s with your correct first name, surname, centre number, candidate number,

paper details etc. Ensure you can see the whiteboard instructions, which will show you the Centre

Number, Name/s of exam paper/s and start and finish time of your exam, as well as the clock.

Put up your hand during the exam if: you have a problem and are in doubt about what you should do;

you do not feel well; you need more paper. You must not ask for, and will not be given, any

explanation of the questions.

Remember it is vital that you:

● Remain in your seat until given permission to leave by the invigilator

● Remain in silence at all times whilst in the examination room

● Hand in your phone, smart watch, tablet or any other such device

● Remove any wristwatch you are wearing and place it on the exam desk

● Read the examination instructions carefully

WHERE YOU WILL SIT IN THE EXAM ROOM Details of exactly where your exams are (including the seat you must sit in) are contained in your

seating plan. If you have lost your copy then please see the Exams Officer for a re print.

The seat numbers in the gym are shown by the letters at the front of the gym, indicating which line you

must be in, and numbers at the side, indicating which row you must sit in.

HOW YOUR IDENTITY IS CONFIRMED IN THE EXAM ROOM

A register is taken in every exam and your identification is verified by the invigilator, who is provided

with photographs of all students taking exams (in the event that you are not known to them).

WHAT EQUIPMENT YOU NEED TO BRING TO YOUR EXAMS You can take pens, pencils, erasers and any other equipment that you need for that exam, stored in a pencil case that is clear. You must ensure that you have at least one black pen as you will be required to answer your exam questions in black ink. Coloured pencils or inks may only be used for diagrams, maps, charts, etc. unless the instructions printed on the front of the question paper state otherwise. You can bring in and use a calculator, unless you are told otherwise. If you use a calculator:

● Make sure it works properly; check that the batteries are working properly; ● Clear anything stored in it; ● Remove any parts such as cases, lids or covers which have printed instructions or formulas; ● Do not bring into the exam room any operating instructions or prepared programs

You are permitted to wear a wristwatch, but not a smart watch. If you wear a wrist you must remove it

and place it on your desk.

USING CALCULATORS You can use a calculator in an examination unless the exam paper / exam board does not allow it. This

information will be printed on the front of the exam question paper. You will also be informed in

advance of the examination whether you are allowed a calculator or not by your subject teacher.

Where the use of a calculator is allowed, you must make sure that your calculator meets the awarding

bodies’ regulations:

WHAT YOU SHOULD NOT BRING INTO THE EXAM ROOM You must not take into the exam room:

● Notes ● Potential technological/web enabled sources of information such as an iPod, a mobile phone, a

MP3/4 player, a smartwatch or a wrist watch which has a data storage device

● a dictionary or computer spell checker (unless you are told otherwise) Also, please note that:

● Any pencil cases taken into the exam room must be see-through

● If you wear a wrist watch the invigilator will ask you to remove it and place it on your desk

Remember: possession of unauthorised material is breaking the rules, even if you do not intend to use it, and you will be subject to penalty and possible disqualification

FOOD AND DRINK IN EXAM ROOMS

You should not bring food into the exam room. You may bring a bottle of water to drink, but the bottle

must be clear and have no label.

WHAT YOU SHOULD WEAR FOR YOUR EXAMS

You should wear full school uniform for all exams.

WHERE YOUR PERSONAL BELONGINGS WILL BE STORED DURING YOUR EXAM

You must turn off and hand in any phone, smartwatch, tablet or any other smart device, before

entering the examination room. These will be stored securely during the examination and returned at

the end. Bags, coats and other personal belongings will be stored at the back of the exam room.

WHAT TO DO IF YOU ARRIVE LATE FOR AN EXAM If you arrive after the start of the examination you may still be allowed to enter the examination room and sit the examination. Make sure you report to Reception upon your arrival and inform them that you are late for an exam. You should then report to the exam room, where an invigilator will usually be able to make arrangements for you to start your exam, although you may not get your full time. If you arrive very late then the exam board will be informed. You should be aware that they may not accept your script, meaning that you will be awarded 0 marks for that paper. You will be considered very late if you arrive more than one hour after the start of the exam (or later than the exam finish time if the exam is less than one hour).

WHAT TO DO IF YOU ARE UNWELL ON THE DAY OF AN EXAM If you are extremely unwell on the day of the exam and unable to attend then it is vital that you obtain a doctor’s certificate. This will be submitted to the exam board and a request will be made for Special Consideration. Special Consideration is a post examination adjustment to a candidate's mark or grade to reflect temporary injury, illness or other indisposition at the time of the examination/assessment. However, it is not guaranteed that Special Consideration will be given by the exam board.

If you are unwell but manage to attend the exam, speak to the Exams Officer as soon as you arrive. We

will aim to accommodate students as much as possible who are feeling unwell, so that they are able to

do their best during the examination. After the exam, you should see your doctor as soon as possible in

order to obtain a doctor’s note, which will be submitted to the exam board, along with a request for

Special Consideration.

If you are unwell during the exam and need to leave the exam, raise your hand and inform the

invigilator. After the exam, you should see your doctor as soon as possible in order to obtain a doctor’s

note, which will be submitted to the exam board, along with a request for Special Consideration.

WHAT HAPPENS IF YOU HAVE AN UNAUTHORISED ABSENCE FROM AN EXAM

If you are absent from an exam and there is no reason given then you will likely be withdrawn from

that exam and qualification.

WHAT HAPPENS IN THE EVENT OF AN EMERGENCY IN THE EXAM ROOM In an emergency such as a fire alarm or a bomb alert, the invigilator will instruct you: ● To stop writing ● To evacuate the examination room in an orderly manner

● To leave all question papers and scripts in the examination room

● To leave the room in silence and remain in silence whilst evacuated

You will be supervised as closely as possible while you are out of the examination room to make sure there is no discussion about the examination. When you are brought back into the examination room the invigilator will ensure that you are given the full working time set for the examination.

CANDIDATES WITH ACCESS ARRANGEMENTS Access Arrangements may be put in place if you have special educational needs, disabilities or temporary injuries. For example, 25% extra time, readers, scribes, and/or rest breaks. Students who have Access Arrangements in place for a particular examination will not usually sit their exams in the gym, and should report to the SEN area (first floor of the 6th form) for their exams, rather than lining up in the playground. Students who have been identified by their teachers as potentially being in need of Access Arrangements are formally assessed by the SENCO and/or DHT: Pastoral. If you are eligible for these you will be informed by the SENCO, who will then meet with you to discuss what Access Arrangements you can have and whether you wish to use them. Please note that Access Arrangements will only be awarded if they are part of your normal way of working and there is evidence of the need for them. ALLEGED, SUSPECTED OR ACTUAL INCIDENTS OF MALPRACTICE Malpractice is any behaviour or action in the course of any examination or assessment which compromises its integrity. Examples of malpractice include:

● The alteration or falsification of any results document, including certificates; ● Not following the instructions or advice of an invigilator OR supervisor, or the awarding body in

relation to the examination or assessment rules and regulations

● Failing to abide by the conditions of supervision designed to maintain the security of the examinations or assessments

● Collusion: working collaboratively with other candidates, beyond what is permitted

● Copying from another candidate (including the use of technology to aid the copying) ● Allowing work to be copied e.g. Posting work on social networking sites prior to an

examination/assessment ● The deliberate destruction of another candidate’s work

● Disruptive behaviour in the examination room (including the use of offensive language); f\\

● Exchanging, obtaining, receiving, passing on information (or the attempt to) which could be examination related by means of talking, electronic, written or non-verbal communication

● The misuse, or the attempted misuse, of examination and assessment materials and resources (e.g. Exemplar materials);

● Being in possession of confidential material in advance of the examination; ● Bringing into the examination room notes in the wrong format (where notes are permitted in

examinations) or inappropriately annotated texts (in open book examinations) ● The inclusion of inappropriate, offensive or obscene material in scripts, controlled assessments,

coursework, non-examination assessments or portfolios

● Impersonation: pretending to be someone else, arranging for another person to take one’s place in an examination or an assessment

● Plagiarism: unacknowledged copying from or reproduction of published sources or incomplete referencing;

● Theft of another candidate’s work

● Bringing into the examination room or assessment situation unauthorised material, for example: notes, study guides and personal organisers, own blank paper, calculators (when prohibited), dictionaries (when prohibited), instruments which can capture a digital image, electronic dictionaries (when prohibited), translators, wordlists, glossaries, iPods, mobile phones, MP3/4 players, pagers, Smartwatches or other similar electronic devices

● The unauthorised use of a memory stick or similar device where a candidate uses a word processor

● Facilitating malpractice on the part of other candidates

Sanctions and penalties for incidents of malpractice include:

● Loss of all marks for a section of the work. ● Loss of all marks for a component ● Loss of all marks for a unit ● Disqualification from a unit ● Disqualification from all units in one or more qualifications ● Disqualification from all qualifications taken ● Debarred from entering for one or more examinations for a set period of time

RESULTS

AS / A Level and Level 3 BTEC results are available to students on Thursday 16th August 2018 from

10:00am until 1:00pm. You should come to the LBTS6 Common Room to collect your results, where

you can also get any advice you need about UCAS and the process of clearing of Adjustment (where

necessary). The Exams Officer and other Senior Staff will be present until 2:00pm on that day to assist

you with any queries or issues you may have with your results.

GCSE and Level 1/2 BTEC & VCERT results are available to students on Thursday 23rd August 2018 from

10:00am until 1:00pm. You should come to the LBTS Reception to collect your results. You can also

enrol into LBTS6 on that day, as well as get any advice you need from the Careers Officer. Again, the

Exams Officer and other Senior Staff will be present until 2:00pm on that day to assist you with any

queries or issues you may have with your results.

If you do not collect you results in person then they will be posted home. If you are sending someone

else to collect your results for you then they need to have your express written permission to do so.

POST-RESULTS SERVICES

Following the issue of results, awarding bodies make post-results services available.

Enquiries about results (EARs) offers three services.

▶ Service 1 – clerical re-check

▶ Service 2 – review of marking

▶ Service 3 – review of moderation (this service is not available to an individual candidate)

If the exams officer, teacher, Team Leader, member of SMT or head of centre believe that your result

may not be accurate then they will request whichever service is deemed the most appropriate on you

your behalf. This will be carried out only with your written consent.

If you or your parent has a concern about the accuracy of one or more of your results then a request

for a clerical re-check or review of marking by the examination board can de done by contacting the

exams officer via email ([email protected]), or in writing. You must make this request

within 5 days of the results day for your qualification. If we feel that it is not appropriate for you to

request a re-check or review of marking, we may ask you to pay the appropriate ear fee. If you or your

parent believes there are grounds to appeal against this decision not to support an enquiry, an internal

appeal can be submitted to the centre by completing the internal appeals form within 5 days of being

informed of the decision. This form can be downloaded from the school website. There is also a copy

at the back of this handbook.

CERTIFICATES When we receive your qualification certificates they will be distributed to you. If you are still studying at the school (such as in the 6th form) then you will receive your certificate via the 6th form office. If you are no longer studying with us then you will be informed once they arrive and should collect them in person from the school Reception. If you are sending someone else to collect them on your behalf then they must have your express written permission. Certificates which are not collected from school within 3 months will be posted home. If you do not collect or receive your certificate then you can contact the exam board for another copy. However, they will charge a fee for this service.

INTERNAL APPEALS PROCEDURES

We are committed to ensuring that your assessed work (such as Controlled Assessment/s, Coursework,

etc) is marked by teachers who have the knowledge, understanding, skills and training to do so

accurately and to the exam board specifications. Your work will have been moderated and

standardised by more than one teacher to ensure consistency of marking.

You will be informed of the marks of any assessed work by your subject teacher. You may request

copies of any relevant materials at this point (for example, a copy of their marked work, the relevant

specification, the mark scheme and any other associated subject-specific documents) so you can see

how and why marks have been awarded.

You will also be informed of your marks in writing at least 2 weeks prior to the examination board

deadline for submission of marks. You will receive instructions on how to may appeal against the mark

awarded if you believe that the mark scheme has not properly been applied, or if you have any other

concerns about how your assessment has been carried out.

The internal appeals process is as follows:

1. If you believe that marks have been awarded incorrectly, or any other procedures have not

been properly followed, you may request a full review of marking. This request must be made

by completing the internal appeals form, which can be downloaded from the school website or

collected from the school reception. This must be submitted within 5 days of being informed of

the mark awarded.

2. A review of marking will then be carried out by an assessor who has appropriate competence,

has had no previous involvement in the assessment of that candidate and has no personal

interest in the review.

3. You will be informed in writing of the outcome of the review.

4. The outcome of the review will be made known to the Head teacher. A written record of the

review will be kept and made available to the exam board upon request.

The moderation process carried out by the exam board may result in a mark change, either upwards or

downwards, even after an internal review. The internal review process is in place to ensure

consistency of marking within the centre, whereas moderation by the exam board ensures that school

marking is line with national standards. The mark submitted to the exam board is subject to change

and should therefore be considered provisional.

COMPLAINTS AND APPEALS PROCEDURE If you or your parent has a general concern or complaint about how your qualification has been

taught, assessed or administered then you should firstly try to resolve this by contacting Gary

Phillips (Head teacher) either by email ([email protected]), in writing, over the telephone

(02070919500) or by arranging a face-to-face meeting.

If you feel that your complaint still has not been resolved after this then you can make a formal

complaint. This should be done as follows:

How to make a formal complaint

▶ A complaint should be submitted by completing a complaints and appeals form, which can

be downloaded from the school website

▶ Completed forms should be returned to Gary Phillips via email, post or via school

Reception.

▶ Forms received will be logged by the centre and acknowledged within 7 calendar days

How a formal complaint is investigated

▶ The Head teacher will further investigate or appoint a member of the senior leadership

team (who is not involved in the grounds for complaint and has no personal interest in the

outcome) to investigate the complaint and report on the findings and conclusion]

▶ The findings and conclusion will be provided to the complainant within 3 working weeks

Appeals

Following the outcome, if you or your parents are still dissatisfied and believes there are clear

grounds, an appeal can be submitted.

▶ Any appeal must be submitted in writing by again completing a complaints and appeals form

▶ Forms received will be logged by the centre and acknowledged within 7 calendar days

▶ The appeal will be referred to the Chair of Governors (or a special Committee of the

Governing body) for consideration

▶ The Chair of Governors will inform you of the final conclusion in due course
