4. STAFF ANNOUNCEMENTS – The Library Foundation is working on replenishing its funds following the Library renovation. Furniture is being ordered for the new local history room. The Friends of the Library raised $15,270 through Monterey County Gives and that will be donated to the Library.

5. GENERAL PUBLIC COMMENTS – No public comments. 6. APPROVAL OF THE MINUTES – HL/JB. Approved unanimously. 7. UNFINISHED AND ONGOING BUSINESS – A. Library Landscaping. Marybeth: the Committee sought input from

landscapers in the selection of new plants; tree trimming is planned; landscaping plan to be finalized, sent to the City for public comments, City review and approval, and work will begin. Volunteers are being sought.

B. Reopening Committee. Suggestions were sought from the PG Museum: nothing concrete to date. Kim Bui has agreed to check with her contacts in the library community. JB suggested a garden party in the adjacent park.

8. NEW BUSINESS A. Library Board development. Kim Bui supplemented her presentation

at the November 9, 2020 regular meeting with information on the 2015-2016 Library Strategic Plan.

B. Faye agreed to work on a Donor Recognition Committee. ADJOURNMENT – 5:30pm. HL/JB. Approved unanimously. Next Meeting: 8 March 2021.

Hayward’s new main library opens to public on Saturday with community open house

HAYWARD, Calif., Sept. 13, 2019--Hayward’s new 21st Century Library and Community Learning Center will open its doors for regular operations and a community open house at 10 a.m. tomorrow, Saturday, Sept. 14. “We are very excited to finally be able to invite our local residents into this amazing building and start offering our services in a downtown location once again,” said Hayward Library Director Jayanti Addleman. “It feels like homecoming, and we can’t wait to welcome the community back.” Construction of the new library at 888 C Street and new Heritage Plaza on the site of the old main library—a combined $60 million project—are being financed through the Measure C half-cent sales tax passed by Hayward voters in 2014. Together, the new library and plaza set a new standard for environmentally sustainable design. The building will be a net-zero-energy facility, meaning 100-percent energy self-sufficient. Designed by Noll & Tam Architects, the building will be powered by 100-percent, carbon-free energy sources. To conserve drinking water, the new library and surrounding facilities will capture and store rainwater in a cistern beneath the location of the old main library for future non-potable uses, such as flushing toilets and irrigation. Once fully operational, the new three-story, 58,000 square-foot library will house 50 percent more books and other materials than its predecessor; dozens of computers available for public use; a Makerspace featuring 3D printers, robotics and textiles, a digital media lab; multiple community meeting rooms, a café, and a Homework Support Center in the children’s library.

The library opening on Saturday will be celebrated with activities for all ages, including crafts, live music, and library tours conducted in English, Spanish and Mandarin Chinese, free gifts from the Friends of the Library and much more. The Weekes branch library, at 27300 Patrick Ave., will be closed for the day and will resume regular service on Monday, Sept. 16.

Responses from Friends, Foundation and Boards listserv regarding Public Library Grand Reopening planning:

1. We started planning nine months before the reopening. We had a planning team

chaired by a Library Trustee, which included Friends and Foundation people, and a library staff person.

We picked a Saturday in September, which was the best weather for an outside/inside Grand Reopening public event. The event took place from 10 am

to 4 pm. The ribbon-cutting was at 10 am, with brief remarks beforehand by the architect, Chair of Library Board and Mayor. There were outdoor children’s performers every hour from 10:30 am – 3:30 pm (music, bubble man, magician, 3

storytellers) to spread out the number of people going through the library. There was also an outdoor art station and a memory book page station. Because the

library staff was very busy handing out cards, checking out books and answering questions, there were “docents”(Library Board, Friends & Foundation Board) stationed in each area to describe the changes and answer questions. There

were cookies and lemonade/iced tea/water outside as well. The Friends paid for the performers and supplies, and had a table to get memberships. A press

release was sent out and the local tv news came. It was exciting and exhausting! Friday night there was an invitation-only Major Donor reception hosted by the

Foundation. Donors over $1,000 were invited. It was catered, with a string quartet from the local music academy. The Foundation’s goal was to recognize

and appreciate the big donors. Foundation Board members, Friends, Library Board members all “chatted up” the guests. There were “docents”(Library Board, Friends & Foundation members) stationed in each area to describe the changes

and answer questions. They all needed to be trained beforehand. We tried to have different docents Friday and Saturday so people weren’t too tired.

It’s a lot of work, but so important for the library to have its importance showcased like this. People wrote really nice things in the memory book pages,

which will go into the library archives and become a part of history. It’s also a way of getting the Friends, Foundation and Library Board visible to the public. Be sure

and have a photographer and take lots of pictures! We wish we had even done a video of the day, but we didn’t think about it then. Make a checklist beforehand and have one main person to keep an eye on everything, as well as the

committees.

2. We had planned our reopening but then the library project was delayed. So we had chosen a date and then had to re-schedule. It was hard to find a date where something else wasn’t already going on. The library staff took the lead and the

Friends and Foundation paid for refreshments and supplies. We had multicultural performers because our patrons come from many countries. And flyers and tried

to get the word out as much as we could. So dancers, musicians, puppet show.

Plus hands-on craft stations to keep the little ones busy. And snacks and water for refreshments.

Library staff gave tours. We handed out programs and tried to divert people to

the other activities when the tours were filled up. The radio and tv stations were there live so more people seemed to come during the day as they heard about it. The ribbon-cutting was at 11 am and the community day ended at 3.

I think they did something two nights before for the foundations and big money

people, but I wasn’t involved with that.

3. Our reopening was planned for the library’s 80th birthday, so the staff researched

the history of the library and we had photos and quick facts up on posters. We had a big planning team and worked for almost a year. We kept our fingers

crossed that the building would be finished on time. It was two months late, but we just adjusted the date. We weren’t sure until the date got close who could be there. So out flyers didn’t give performers or times, just general information.

We made sure the library employees were part of the planning and knew

everything that was going on. They’re the ones responsible for the library so we try to be respectful of them.

One group was refreshments and got donations from local restaurants, which were listed as sponsors. One group set and wrote the program, interviewed

people involved with the fundraising and building, and set the speakers. Once group worked with the children’s librarian to find good local performers for the families. And to come up with craft ideas that weren’t too messy. One group was

publicity and made flyers, worked with township staff on press releases and human interest stories. One group wrote tour guide scripts and trained volunteers

to give tours of the redone library. This was so popular that they kept doing these for about three months. We had a decorating and set-up group, and a clean-up group. Local teens helped with the clean up.

It was a lot of work but a lot of fun. Our town is very proud of our library so

everyone wanted to come together to celebrate. We tried to make the day very special to what our library means. The library employees work so hard we try to do as much as we volunteers can for things like this. Our volunteers are getting

older so we also need to find more younger people to help out. There were some families who came and said they want to help in the future. Another good result

from the day.
