employee skills, track performance throughout the year, and provide feedback.

Logging into WingSpan Navigate to https://yorkrsg-redcarpet.silkroad.com/Authentication/saml20/LifeSuiteLogin where you will login using the following: User Name: Provided separately Password: Provided separately (you can change after logging in)

Once logged in, you will have the option to select various systems. Select Wingspan

Performance Planning – My Goals – Where goals are created, managed, and linked to

employees

Appraisal Status – this link will NOT be used for 2014. In 2015, this will be where the

performance appraisal will be completed

Reports – various reports are available to review data

Initially there will be no goals entered and they will need to be created. Make sure you are working on the correct Goal Plan. Note that if you entered objectives last year you can copy them to this period.

In those cases, select the Goal plan you want to pull the objectives from.

Once you select the plan to pull the objectives from, select “Copy to…” from the dropdown next to the objective you wish to replicate. You will then be asked which plan you wish to copy the objective to

Return to your 2015 Goal Plan Year by selecting if from the drop down list and your objective will be listed. You may edit it (before cascading it) as described below.

From the Goal Plan screen, there are 3 tabs: My Goals – The ability exists for a user to enter their own goals and submit for to their manager for approval. Only use this IF your manager asks you to submitted your objectives to them vs them being input by the manager. My Team Members This tab lists all team members that are assigned to you. If you see someone that should not be on the list or someone is missing, please immediately notify your HR Business Partner.

Cascade Goals This is where objectives are created from, and assigned to your employees. You will set all the objectives for your group here, regardless of which employees will be given those objectives. Creating a Goal

1. Select to create a goal.

2. Determine the category of the goal

3. Write the objective. Remember to keep it SMART (Specific, Measurable, Achievable, Relevant, and Time Bound)

4. Advise how (and when) the objective will be measured

The objective should be easy to measure, by both you and the employee

Indicate what it takes to exceed the objective

Consider advising the weight of the objective as it relates to overall performance. This will assist the employee in prioritizing

5. Notes can be added throughout the year in relation to this objective (and are seen by both the manager and employee), as well as either can move the progress slide as parts of the objective are accomplished. To add notes after an objective has been cascaded, see “Adding Notes” below,

6. Select 7. Repeat Steps 1 – 6 until all the objectives have been entered.

Note that you can edit these objectives as long as they are not yet assigned to an employee. If they are assigned as described below, you must first “uncascade” the objective in order to edit it. Assigning Objectives to your Employees

8. Once all objectives have been entered, they need to be assigned to the appropriate employees (one objective at a time)

9. Select the objective you will be assigning and pick the “Edit Cascade” action item

10. You will see a list of all your employees that can be assigned a goals

11. Select the employee(s) that you will be assigning the particular objective (listed on the popup) and drag them over to the right side. If the objective applies to all employees use the check box next to “Unassigned List” to select all.

12. Once the correct employees are listed in the right column, select “Save Cascade”. You will be returned to the Cascade Goals tab and the objective you cascaded will list who was assigned the particular objective.

13. When you return to the “My Employees” tab you will see each employee and all objectives assigned to them. Status will automatically be “Approved” as objectives are entered AFTER a discussion and agreement with the employee.

14. Upon cascading of the goals, your employee will receive an email listing their goals. *****************************************************************************

Adding Notes

To add notes to an existing cascaded objective:

1. Select “My Goals” from the navigation bar 2. Select the “My Team Members” tab 3. Select the employee name you wish to update a note for 4. Either;

a. Enter a note relating to the employee’s overall performance via

. Note you can only see existing notes after you select “Add Entry to Notes”

b. Select the particular objective and then enter notes via the Note tab. Here you can enter notes about this particular objective, which can be seen by you and the employee. Notes can be entered throughout the year, and post in chronological order.

To enter a note, complete the “New Notes Entry” section and select . Keep in mind that once a note is entered, it cannot be edited or removed. ******************************************************************************l

Journaling

Journaling is a tool available to all users that permit you to enter comments about your performance related to successes, challenges, changes in business environment, etc. To access the journal, select link next to your profile on the Home page:

To enter information about an employee’s progress that you want them to see, use the Notes function described in Step 5 above. If you wish to enter a journal entry about an employee (that only you will see), select the journal link next to the employee’s name in the “My Team Members” section of the Home page.

Unlike the notes function, where both the employee and manager can view all comments, the journal entry screens are for your private use. To see all direct reports, rather than just the first three, select the View All link.

1. To create a journal entry, first select a Type of Entry

2. Enter your comments. Note that these comments are not linked to a specific objective but your overall circumstances and will be a way to track your progress throughout the year.

3. Once entered, spell-check your comments via the icon.
