I. PURPOSE
This Standard Practice Guide (SPG) provides the policies and guidelines on repair, preventive
maintenance, and calibration (RPM/C) of laboratory tools, instruments, and equipment. The schedule of calibration of laboratory tools, instruments, and equipment is included in this SPG.
II. SCOPE
This SPG is applicable to all laboratory tools, instruments, and equipment managed by the
Institutional Laboratory Management Office (ILMO). III. POLICIES
1. The Institutional Laboratory Management Office is responsible for the repairs and preventive maintenance of laboratory tools, instruments, and equipment. In cases where RPM cannot be done in-house, ILMO requests for the appropriate service
provider.
2. ILMO ensures that laboratory tools, instruments, and equipment requiring calibration are calibrated by authorized calibration service providers.
IV. GUIDELINES
1. The laboratory assistants are responsible to keep all tools, instruments, and equipment in good condition. Incidents of loss, damage, or breakage must be reported immediately to the Operations and Maintenance Engineer.
2. In all laboratories, except in the ChE-Chm laboratories where a stricter preventive
maintenance program is implemented to ensure the safety of students, faculty members, and laboratory staff during laboratory classes and research experiments, the

schedule of repair and preventive maintenance procedures, as follows, must be followed: a. Inspection and testing – at least once a week b. Cleaning – every after use; end of each term c. Repair works – end of each term, or as the need arises based on the assessment of
the laboratory assistant and the Operations and Maintenance Engineer
3. All laboratory assistants must ensure that the tools, instruments, and equipment in their respective laboratories that require calibration are calibrated in accordance with the
manufacturer’s specifications, or whenever the tools, instruments, and equipment were subjected to some form of abuse that may affect performance and accuracy of
measurements, test results or outputs.
4. The laboratory assistants and the Operations and Maintenance Engineer must ensure that RPM procedures and calibration services are budgeted. Items that need to be replaced must also be budgeted.
5. If RPM/C of a tool, instrument, or equipment is done in-house (by ILMO, Campus
Development and Management Office, or Development Office for Information Technology), the laboratory assistants must make sure that the serviced tool,
instrument, or equipment is tagged with the ILMO RPM/C certification sticker.
6. For tools, instruments, and equipment that need RPM/C from an authorized service provider, the laboratory assistants must submit the RPM/C service request slip to ILMO one month before the RPM/C schedule. The laboratory assistants must make sure that the authorized service provider tags the serviced tool, instrument, or equipment with their official RPM/C certification sticker, in addition to the Certificate of RPM/C they provide. If the authorized service provider has no official RPM/C certification sticker, the ILMO RPM/C certification sticker will be used.
7. The end-of-term laboratory inventory reports of laboratory assistants must include the RPM/C status of each tool, instrument, or equipment in their respective laboratories .
