FUNCTIONAL TRAINING - NAVIGATION OVERVIEW The contents of this document will display in visual representation the many changes a user expects within Maximo 7.6. Each section below will explain modifications in order to familiarize the user with the latest version of the software.

This section will go over basic navigational changes. From initial log in, users will notice an updated User Name/Password screen. Blue in past versions, the 7.6 update uses a default black background.

The Start Center and the Go To menu buttons have been moved to the top left side of the tool bar, as in comparison to being on the right side in previous versions. Users will also notice the tool bar across the top has been changed to black while its font is now grey. The features of the tool bar remain the same and are represented in the visual below.

As in previous versions, clicking the Go To button will drop down a listing of all applications available to the user’s specific security rights. For the purposes of the image below, the user currently logged in has administrator rights; therefore all applications are visible.

Both, Go To menus and Start Centers, will vary according to a user’s assigned security group

When a user is navigating Maximo, clicking the Start Center button will return them to their Start Center.

Another new navigation feature is the introduction of sidebar navigation. To turn on this feature click the Profile button on the toolbar, select Default Information then click Display under the Side Navigation Menu section.

This feature is exclusive to each individual users preference and can be turned on be an individual user without affect anyone else or added to a Security Group and users will be forced to use the method assigned by security.

To turn on this feature click the Profile button on the toolbar, select Default Information then click Display under the Side Navigation Menu section. After the user saves their new setting, they will need to log out of Maximo, then log back in before the change will take effect.

Rather than selecting the Go To drop down to select an application, the sidebar will have the list of available applications displayed at all times. Users who utilize the sidebar navigation will still be able to use the functionality of the Go To button.

This feature also has a Find Navigation Item search box that allows users (especially useful for those who are new to Maximo) to type in the application they are looking for and a list of matching applications displays.

Once a user selects their desired application, the application selection in the sidebar will minimize and the features corresponding with Available Queries, Common Actions, and More Actions is displayed.

It is important to note that when using the Sidebar Navigation feature, Available Queries, Common Actions, and More Actions ARE NOT displayed in the top tool bar as most users might be used to. They have been moved to the sidebar.

User Experience

UPDATED FONTS, COLORS, AND STYLING OF APPLICATIONS.

Along with the visual upgrade to the toolbar, the start center has gone through an overhaul which has made its features more simplistic and organized for the user to navigate.

Result Sets has gone through style changes as well, doing away with the gridlines between data creating a cleaner visual for the user. Data is still represented in hyperlink form which will continue to allow users to navigate to data they have selected.

NESTED VIEW AND BREADCRUMBS

Changes have been made to the Nested View of each application. One major change is the Blue Arrow List View button. This change has made it clearer that users will use this button to go back the List View.

The actions bar includes the same features, with minor updates. These updates include search boxes having a greyed out description of what the field is used for.

The addition of the breadcrumb is a key feature to the navigation of 7.6. When navigating from one application to a different application with the Detail Menu > Go To Application feature, a hyperlink button (breadcrumb) to return to the previous application will be displayed above the tool bar. Users can move through several applications and then back to the original record with this feature.

HOVER DIALOG

Hover dialog is a new addition in 7.6 which displays additional information related to a record number in a particular field. Fields that offer the hover dialog as an option will have a next to the field. In order to view its additional details, simply hover over the and a box displaying the details will open below. Once you remove your curser from the icon the box will disappear. A common place that this feature is used is in the Work Order Tracking application. Shown below, a user can obtain information about the asset on a work order, without need to navigate to the Asset application.

START CENTERS - MULTIPLE OBJECTS PER RESULT SET

Start Center result sets now have the ability to navigate multiple different objects. In previous versions, users would only be able to add individual objects related to the application selected. Maximo’s 7.6 update added an object list with not only the primary application but also items that are related to the primary application, using Maximo’s relational database framework.

The following image shows Available Fields related to the original application of Work Order Tracking. Users will notice that there is an Object List section with related objects listed below Work Order Tracking.

By selecting one of the other objects from the Object List, the Available Fields will change to represent fields corresponding to the object. For example, by selecting Asset from the object list now shows a new list of Available Fields.

EXCLUSIVE RECORD EDITING

A favorite among the new features included in the 7.6 update is the ability to enable Exclusive Edit Mode to prevent record conflicts. The importance of this feature is to prevent a refetch error. A refetch error occurs when two or more people open the same, previously created, work order at the same time and edit the information. Once the first person saves the data if the second person tries to save the overlapped data, they will receive a Refetch Error similar to the one below.

By enabling Exclusive Edit Mode, applications are ‘Read Only’ initially and the user who wished to make a change must click the ‘Edit’ button which locks the record for use. This feature acts as a check-in/check-out service to prevent multiple people from attempting to edit the same record, at the same time.

This feature is not active out of the box, a system administrator must activate it in Application Designer; individually, by application desired for use.

Notice in the above image the first icon is the New Work Order button. Now notice in the image below, once the Exclusive Edit Mode feature is active, the Edit button is before the New Work Order button.

When a user opens a record with Exclusive Record Editing enabled, all fields will be Read Only. In order to open the file for editing, users will have to first select the Edit button. Once Edit mode is selected, the Read Only fields will become available to be edited. After the user is finished editing the record, they will have to save their record and release the record to other users.

There are three ways to release a record.

1. A user can release the record by clicking on the Edit button 2. A user can release the record by clicking back to the List View 3. A user can release the record by logging out of Maximo

The photo below is a visual representation of what a user will see if someone else has already checked out a work order, or any other record depending on if an application has Exclusive Record Editing enabled. In the case of the photo below, MAXADMIN is editing the file.
