• Start New Agent Technology Information packet (includes Tech Coordinator Checklist).

• Packet is updated, tagged (Mac OS), and saved as a PDF until the process is finished and agent is ready for meeting, then it is finally printed for the agent to have.

• Email is first contact between agent and me.

• Four steps for the agent to complete before the meeting …• STEP 1 Fill out the Technology Info Form as soon as possible.• STEP 2 Watch the videos on the Introduction to myKW page.• STEP 3 Watch the videos on the Introduction to eEdge page.• STEP 4 Make an appointment to go over your KW technology.

• All steps are completed by the agent, at home, through my website.

• The email makes it very clear that the agent should not go into myKW and set up accounts before our meeting. I will set up everything (correctly) for them based on the information they provide in STEP 1.

• Use email tracking! (I use Sidekick by HubSpot.)

Introduction to myKW and eEdge Videos

• After I receive the agent’s info, I start setting up the agent’s myKW, KW email, eEdge, and DotLoop accounts while the agent is watching videos about myKW, eEdge, etc.

• Having these introductory videos available to the agent (and mandatory) BEFORE the meeting, means the agent comes to the technology meeting with some understanding of our systems already.

• This introductory video step culled my onboarding meetings from TWO meetingsdown to only ONE.

myKW, KW Email, eEdge, and DotLoop Setup

• After the agent submits the online form, I begin setting up their myKW, KW Email, eEdge, and DotLoop accounts.

• Setup is based on the information the agent provided in the online form.

• I cannot meet with the agent until they submit their information to me.

• myKW setup tasks are listed under STEP 2 in my Technology Coordinator Checklist.

Agent Sets Up Technology MeetingUsing Appointlet

• STEP 4 for the agent (in the new agent email) is to make a New Agent Technology Introduction appointment with me.

• The agent is only allowed to make an appointment after submitting their info in STEP 1, and watching the introductory videos inSTEPS 2 and 3.

• Appointment is set by the agent, on their own, at their convenience, through my website.

• I use Appointlet which presents my free time from my Google Calendar to theagent, and allows them tochoose a time with me.

The Meeting

• Finally, the agent meets with me, and receives their New Agent Technology Information sheet.

• The sheet includes all of their login information (usernames and passwords), KW and eEdge email addresses, eEdge and eAgentC URLs, Mobile App URL, office resource information, and “homework” for after the meeting.

• Sheet is one page, front and back, with my business card paperclipped to it.

• Sheet is scanned as a PDF to their KW email as training on the office printer/scanners.

• The agent is encouraged to shred thesheet after it is scanned to their email.

Tracking the Agent Before and After the Meeting

• Agent’s onboarding progress, and training attendance is tracked through a shared Google sheet: the Associate Engagement tracker.

• Each staff member involved in the onboarding process has a column to check-off for their part in the process.

• Agents sign in for classes they attend (though our office’s website), and sign-ins are logged and emailed to the instructor (a built-in feature of Weebly).

• Agents are checked-off in the engagement tracker for classes they attend after the class by the instructor.

• Agents’ engagement is calculatedand color-coded by the sheet.
