Year End Celebration
January 25, 2015
Dear M em bers o f the Student R epresentative Assembly:
In N ovem ber, M SU Inc. voted against my proposal for a year end concert. Students did not seem to w ant the event, and this w as confirm ed w hen over 1000 people signed their nam e to a petition against it. M SU Inc. lam ented that the event w as poorly planned, w as not accessible and w as too large in scale.
M em bers did express interest in the concept o f a year end celebration, however, and inform ally supported a m otion that I go back to the draw ing board and develop a new proposal. It is w ith delight that I present that idea here.
Title: To Be DeterminedConcept: a beautifully lit street festival on the last night o f classes Purpose: to celebrate the end o f an academ ic year w ith all m em bers o f the M cM aster com m unity, including but not lim ited to students, faculty, staff, alum ni, neighbors and friends. This celebration is m eant to rem ind us that even i f our tim e at M cM aster is over, our m em bership in its fam ily is tim eless. Once a Marauder, always a Marauder.
Date: W ednesday, April 8th, 2015 (last day o f classes)Expected W eather: betw een 2°C to 9°C, <40% chance o f light rain at some point during the day and <10% chance o f heavy rain.Location: Scholars R oad from M ary K eyes Residence to M ills Library Time: 6:00 pm - 10:00 pm
Com ponents:
■ 4-5 large carnival rides (Berry-G o-Round, M erry-G o-R ound, Scram bler, Sw inging Spaceship, Ferris W heel, Spider Spiner)
■ 8-12 large carnival gam es (W ack-A -M ole, W ater Gun Target Shooting, that th ing w here you smash a ham m er dow n and see how strong you are)
■ Carnival style foods (deep fried pickles, ice cream, hotdogs and ham burgers, pizza, cotton candy, popcorn, funnel cakes)
■ B usker perform ers (flam e throw ing jugglers, m agicians, com edians, m im es)■ 2 DJs (one playing m odern hits and another throw ing it back for old school dance tunes)
■ Patio and twinkle lights stung over the entire street (this will be epic and beautiful)■ Alternate quiet events (coffee house, games night, keynote speaker)■ Firework show finale
Student Support: this idea was developed in focus groups with 25-30 students that were advertised through social media, in person in the student centre and through the SRA. Feedback on the idea was solicited through a survey conducted through the McMaster Alumni Association. The results of that survey will be presented in our meeting on Sunday. Faculty societies, campus partners and the MSU Full Time Staff team were also given the opportunity to provide feedback on the event.
Financial Support: beyond my fundraising efforts with various campus partners and student groups (see budget for details), I have secured two major partners. The Student Success Centre has pledged $30,000 - $50,000 to run a keynote speaker. The McMaster Alumni Association has offered to match, dollar for dollar, the MSU’s financial commitment up to $40,000.
Estimated Event Cost: $116,000 Amount Requested of MSU Inc.: $40,000
At this SRA meeting, I will give a presentation on the vision for this event and to go through the attached budget. We will then have an opportunity to discuss the itinerary and provide feedback during a committee of the whole discussion. At the following SRA meeting, I will bring forward an allocation and expense request to MSU Inc.
This will be a great meeting to talk about this concept and what type of programming the MSU and University should be providing students at the end of the year. Please let your constituents know about this conversation so that as many voices as possible can be considered.
With thanks for your continued investment in student life,
Teddy Saull

This has ne w r been an ether o ' proposal, end soil is nod In Its renewed tomi.
The event description is a vague dream that lacks any substantial planning.
Although this c laim was fundam entally incorrect and reflected an elementary m isunderstanding o f the entertainm ent industry, the revised year end celebration has a detailed budget, tentative cite p lan and consultation from external vendors that will be described today.
Concert lacks confirm ed financial support from campus partners.
S uccessful fundraising fo r the new yea r end fa ir dem onstrates over SBO.OOU o l support from cam pus partners, including student groups
Concert appears to be a one-off presidentia l legacy that cannot be replicated in the future.
Sponsors o f ih e event have expressed interest in repeating th is event an d can com m a financ ia lly to its replication. New allocation from th e MSU could be easily replicated in the 2015-2016 opera ting budget, and w ill be pending M SU Inc. approval.
