If no guarantee is received by the above timeline, the expected number on the banquet event order will be submitted as the guarantee.

Guarantees are not subject to reduction and are subject to increase within (3) business days up to 5% (Maximum of 25 guests)

Meals will only be prepared for the number guaranteed. However, every effort will be made to accommodate additional guests. A delay in service may result if additional guests need to be served.

If actual attendance exceeds the guarantee, the actual attendance will be charged.

The hotel cannot be responsible for services above five percent (5%) of the guarantee (maximum of 25 guests).

Upon request, the hotel will set the room for up to 5% over the guarantee (maximum of 25 guests)

Custom Services

All buffet services are minimum 20 people. With a maximum service time of 2 hours.

When requesting multiple entrée selections, a maximum of two entrée choices will apply (excluding vegetarian option). When host requests more than one entrée, they are responsible for providing guests with color coded place cards and menu breakdown per table to assist our service staff. Guarantees will be required for each item.

Pre-set items for meal service at the request of the Patron will be charged for the actual number of pre-set.

Regulations

The Durham ABC Board

regulates the sale, service

and consumption of

alcoholic beverages. All

alcoholic beverages must

be purchased through the

hotel and must be served

on the hotel premises by

the hotel staff in

accordance with these

regulations. Alcoholic

beverages cannot be

removed from the property.

The hotel is responsible for

the quality and freshness of

the food served to its

guests. Due to health

regulations, food may not

be taken off the premises

after it has been prepared

and served to its guests. In

addition, no food may be

brought into the hotel.

Function Payment and

Required Deposits

Full payment must be

received in advance, unless

credit has been established

with our credit manager.

Non-refundable deposits are

required for all social and

weekend functions.

Room Rental is subject to

current service charge as

outlined above and state

sales tax of 7.75%.

Service Charge and Labor is

Cancellations

If a guests finds it necessary to cancel a function, cancellation fees will apply as outlined in the sales agreement.

Any cancellation within 72 hours will be required full payment for estimated event charges.

Room Assignment

Function rooms cannot be guaranteed and are subject to change if alternate function space will satisfy event requirements in hotel’s opinion.

Parking

Hotel has self parking.

Security

The Marriott at Research Triangle Park does not assume responsibility for the damage or loss of any property brought in to the hotel or left behind. Therefore , you may consider arranging for security personnel. Please consult with your event coordinator for the cost of this service. Please, do not leave valuables unattended.

Audio Visual, Lighting, and Event Production Services

Available through our experienced event

team. Custom proposals are available upon

request. Any equipment brought into the

hotel by outside sources may be subject to a

service charge.

Computer Access

Hi-Speed internet, Telephones, Fax Machines, Copiers and Computers are Available for Rent, or in the Hotel’s Business Center

Room Set-up Change Fee

A fee of $250 will be charged for any room that must be re-set differently than the signed BEO.

Electrical

Lighting, Audio Visual, Entertainment and Exhibits requiring power are subject to a fee for hookup and use of electrical. Please provide your requirements to your event manager.

Use of Outside Vendors

Companies, florists,

decorator, audio visual

companies and or

entertainers are required to

submit proof of insurance to

the hotel and are required

to comply to hotel safety

regulations for the safety of

guests and associates.

Move-In/Out Times must be

scheduled in advance with

the catering manager. All

move-in/out times must

occur through our loading

dock area.

Vendors must comply to

hotel specified procedures

and conduct guidelines.

All vendors are responsible

for removing all of their

items promptly at the

conclusion of the event and

are responsible for

removing their own trash.

The hotel cannot be

responsible for items left

behind or for storage.

Food & Beverage Guarantees

To comply with fire safety regulations, no open flames are allowed. Candles enclosed in votive containers or hurricane lamps are permitted.

Any potentially flammable items used for the event will require approval and may require additional licenses and permits from the city.

Pyrotechnics and any devices which interfere with life safety systems are strictly prohibited.

Under no circumstances can fire exits be blocked in any area of the hotel.

All diagrams will require approval from the hotel and are subject to hotel and city fire and safety specifications.

Damages

It is the responsibility of the patron to assume full responsibility for any damages to the hotel property caused by the patron, their guests or the agents of the patron (i.e. bands, display companies, etc.).

Displays & Decorations

All displays, signage and/or decorations proposed by the patron will be subject to approval of the hotel. All signage must be professional in appearance.

Under no circumstances should anything be nailed, screwed or otherwise affixed to the walls or fixtures of the hotel.

Receiving & Storage of Materials

Due to limited storage space, packages may be delivered to the hotel three (3) working days prior to your event.

Occasionally, situations do occur beyond our control, such as accidents, government regulations, labor difficulties and food & beverage supply shortage which prevent or interfere with our performance.
