PREFACE

WELCOME TO MICROMD PM From all of us here at Henry Schein Medical Systems, Inc., thank you for selecting MicroMD PM, practice management software that will help lead your practice through the millennium. This manual is a quick reference to all of the newest features of MicroMD PM. This manual does not cover hardware setup, networking, or installation of the program.

HOW THIS GUIDE IS ORGANIZED We have organized this guide according to the modules within MicroMD PM. The discussion consists mainly of the new features within the modules. In-depth information about the entire module can be found in the MicroMD PM User’s Reference Manual located in the Help menu of MicroMD PM.

Before using this manual, it is important to understand the typographical conventions used to identify and describe information.

GENERAL CHANGES

BATCH BASKET Users can utilize a new "holding area" for printing reports in version 8.1. The Batch Basket allows users to print or fax all the reports for that day at once, rather than having to process them individually throughout the day. For example, a user can save all report results to a particular batch basket and send them to the printer at the end of the workday. The system opens the Add To Batch Basket window (Figure 1.1) when you run a report and select File > Batch from the main menu.

Once you select the basket name, you have the option to name the file in the Document Name field. Click Accept when you are finished. The system saves the report in the assigned basket.

NOTE | Create a new basket by entering a name in the Basket Name field. Otherwise, you can select the drop-down to place the file in an established basket.

When it is time to print or fax the documents from the Batch Basket, following these instructions:

Procedure Details

1. Click the Batch Basket icon from the Launch Pane. The system opens the Batch Basket window (Figure 1.2).

2. While on the Batch Basket window, place a check mark next to each basket you want to process.

3. Click the Publish drop-down button.

4. Select if you want to fax the files or print them. Depending on your selection in this drop-down, the system opens the fax or print dialogue window.

PRACTICE-WIDE PATIENT ALERTS To increase communication with all parts of your practice, MicroMD PM+EMR Version 8.1 includes editable patient alert windows shared between MicroMD PM and MicroMD EMR. The new Patient Alert Note icon ( )appears in the floating toolbar section of MicroMD PM (Figure 1.3).

CHC MODULE

CLINICAL QUALITY MEASURES IN MICROMD PM For CHC practices using MicroMD PM+EMR Version 8.1, the system directly imports clinical data from MicroMD EMR into MicroMD PM to complete the UDS Table 6B report (Figure 2.1). The system does this automatically.

For practices not utilizing MicroMD EMR, users can manually enter this new data in the Patient Profile Detail tab of the Patient Detail window (Figure 2.2). Click the Clinical Quality Measure Data button to open the Patient- CHC UDS Clinical Data window (Figure 2.3). For MicroMD PM+EMR practices, this window can also give important patient-specific information.

On the Patient- CHC UDS Clinical Data window, the system gives you the option of picking a reporting year and refreshing the clinical data from MicroMD EMR if is available. Manually enter the data by placing a check mark next to the corresponding condition.

UDS REPORT CHANGES MicroMD PM Version 8.1 includes the most up-to-date UDS reporting for CHC practices, including changes to the Table 6A and Table 7 reports:

The UDS Table 6A Report has a modified header and now calculates all diagnosis codes with a pointer from the qualified procedure.

The UDS Table 7 Report has updated tables for displaying diabetes information and HbA1c levels.

BILLING AND CLAIMS

EXTENDED CPT CODES IN PENDING CHARGES Users can now view and select extended CPT codes in MicroMD PM. When the system imports extended CPT codes from the EMR software, MicroMD PM displays a red bar indicator next to the sequence in the Charges or Auto Charge Posting windows (Figure 3.1). This bar indicates that the user can select either a five or a six-digit code to associate with the sequence.

To view the extended codes, click the red bar to open the Procedures window (Figure 3.2). Then, double-click the appropriate code for claims submission.

NOTE | If you select a six-digit code from the Procedures window, the system removes the red bar indicator. If you keep the five-digit code, the system retains the red bar to remind you that additional codes are available.

MEANINGFUL USE STATE REPORT MicroMD PM+EMR version 8.1 includes standardized reporting options for practices to achieve Meaningful Use requirements. Select the new Patient Visit Listing option (Figure 3.3) for the Plan Report (Reports > Reference Codes Listing > Plan Report) to display all Medicaid patient seen by a provider for a particular date range.

REFERRING DOCTOR PER CASE The system includes a new field for adding a referring doctor on the Cases tab of the Patient Detail window (Figure 3.4). MicroMD PM uses this entry if a user selects a case when he or she creates a new appointment or sequence. Otherwise, the system uses the referring doctor entered on the Detail tab of the Patient Detail window.

REFERRING DOCTOR IN APPOINTMENTS MicroMD PM now exports the referring provider into MicroMD EMR appointments so the system can properly track this data and create appropriate follow-up appointments if necessary. The information exported for referring doctors in MicroMD PM is located in the Referral Detail window (Figure 3.5).

CHART NOTES OPTION MicroMD PM Version 8.1 allows practices to disable Patient Chart Notes (the Red Book icon ) if a practice does not use them. To disable this option, remove the check mark from the Enable Patient Chart Notes field on the General Preferences tab of the Practice Preferences window (Figure 4.1).

AUTOMATIC PATIENT ELIGIBILITY Practices can now set MicroMD PM to automatically verify insurance eligibility of patients days before their scheduled appointments. This alleviates the need to check the eligibility of each patient individually or to run the Appointment Schedule Report—though those options are still available. The system will check all scheduled patients when you configure this new feature:

2. Either add or edit the setup of the MicroMD ECM add-on to open the Additional Modules Configuration- MicroMD ECM window (Figure 4.2).

3. Select a clearinghouse in the Default Form Type for use when sending Claim Status or Eligibility request drop-down.

4. In the Eligibility Request drop-down, select the number of days in advance you would like the system to check appointments for eligibility.

This is based on the patients scheduled for appointments on those days.

5. In the Eligibility Timeout (Mins) field, enter how many minutes the system should continue to check for eligibility before closing the query.

6. Click the Finish button when you are done.

Once you establish a schedule in the system, users can access the patient eligibility information wherever they see the Eligibility icon ( ), such as the Plan Sets tab of the Patient Detail window or Appointments window.

LANGUAGE IN DEMOGRAPHICS To aid users adding patient information into the system, English has been placed at the top of the list of languages on the Detail tab of the Patient Detail window (Figure 4.3).
