    National Sewa Day is a pioneering initiative that takes place onSunday, 21st November 2010.

    In the ancient Indian language o Sanskrit, Sewa means public service.

    On 21st November 2010, we are encouraging people to come orwardand give their time to help achieve one o the ollowing three aims:

    To help relieve hardship & poverty To promote environmental preservation To bring joy where little exists

    As the objective is to utilise your own time, knowledge, and skill,weve stipulated that no und-raising activities will take place onNational Sewa Day.

    Whilst this is our rst year as National Sewa Day, weve beenorganising such activities or the past twenty or so years in severalcountries under the banner o Sewa International. This year, thedierence is that were being supported by hundreds o communityorganisations ranging rom disability groups, aith organisations, culturaland arts centres, womens groups, proessional & business networks,youth groups etc across the length and breadth o Britain.

    The substantial by-product o National Sewa Day rests in acilitatinglocal activism, community cohesion, and in promoting dialogue acrossgroups who normally ail to connect with each other. Through thisunity, we believe we can help in achieving a better understanding andcommitment towards solutions or global challenges.

    Sewa UK is a registered charity in Britain regulated by the Charity

    Commission o England & Wales. We have the highest standards ogovernance and compliance. We enjoy the trust and goodwill o many,which we hope to use to ensure the success o National Sewa Day.

    You know your local area best. Lookaround you and ask yoursel whatcould I do to make a dierence?

    Think about the issues that areclose to your heart. You might carepassionately about the environmentand decide that you want toencourage people to recycle, plantbulbs or trees. Or you might wantto help children in a local school or

    beriend elderly people.

    Ask your neighbours and riends in thearea. What issues are they concernedabout? Where do they think thataction is needed? Who is in need osome extra help?

    Why not arrange a meeting to discusswhat you could do to change the areaor the better? It will get you talking,break down any barriers that may bethere and make you eel like more o acommunity.

    Think about the skills that you haveany how you could use them to helpother people.

    Think about other organisations thatyou might be able to help. I youalready have links with a youth club,nursing home or a community centre,you may like to ask them i they wouldlike you to organise a one-o projectsuch as creating a community gardenor renovating a room.

    You may also like to use NationalSewa Day to recruit volunteers or an

    existing project, or to launch a newand ongoing initiative.

    I you are not normally involved in anorganisation, why not ask some i theyneed help rom volunteers? The list oorganisations that you might involvein your activity is enormous: schools,local nurseries, wildlie trusts, youthor community centres, hospices,hospitals, homeless shelters, and awhole load more.

    Ideas for projectsHelping kids

    Set up a talent show or children in alocal hospital.

    Get some artistically mindedvolunteers together and create amural or a local nursery or childrensward.

    Organise a day out or a group odisadvantaged school kids or a localdisability group.

    Start up a mentoring scheme orsome local students, helping themwith the art o job hunting, CV writingand interview technique.

    As Christmas is close, why not donateold gits to hospices and childrenswards at hospitals.

    Helping the environment

    Clean up a local piece o wastelandand start an allotment or create acommunity garden why not ask alocal nursery to donate bulbs andplants?

    Organise a team challenge to revampthe gardens o a local hospital, carehome or school create a sensorygarden, create fower beds or build a

    pond.

    Contact a local nature reserve orwildlie trust to see i there is anythingthat a team o volunteers can helpwith.

    Why not ask your riends to donateold mobile phone handsets andbatteries that can be recycled saely.

    Helping the community

    Paint a classroom, homeless shelter,community centre or a local eyesoresuch as an underpass you may beable to get ree paint rom a local DIYcentre.

    Contact your local school, communitygroup or church to see i thereis anything that a team o willingvolunteers can help with.

    Organise a community street partyso neighbours can to get to knowone another! Try to make sure it isaccessible or the elderly and peoplewith disabilities.

    Launch a new community group, inorder to meet, discuss and solveproblems in your area.

    Helping the elderly

    Put on some entertainment orresidents o a local nursing home,such as a musical perormance or adance class.

    Organise an intergenerational skillsharing event you could swapknowledge o the local history withhow to use the computers in the locallibrary!!

    Organise a wellbeing event, whereyou can provide workshops andadvice on their health, conduct yogaworkshops etc.

    Take homebound elders shoppingto their local supermarket, help themwith their paperwork etc.

    How to... recruit volunteers

    The biggest reason that peoplevolunteer is simply that theyve beenasked! Word o mouth is the mosteective recruitment tool, so dont bearaid to ask riends, colleagues andrelatives.

    Advertise your activity!! You mightalso like to ask children involved in

    the activity to design posters andfyers or the event. Think about wherepeople in your community might seea notice you could put a posterin your community centre, a library,local newspaper, post oce or shopwindow.

    We will have an Activity Locator onour website, which people will useto search or projects in their area.When you register your project youllget the option to make your projectavailable or people to nd on thelocator.

    Other organisations may be ableto provide volunteers think aboutcharities and community groups thatyou may already be involved with.

    Your local councils website mighthave a community section with listso local residents associations andvoluntary organisations i you think

    your activity is something youd liketo maintain ater National Sewa Day,involving other partners is a way oensuring this.

    You could try mentioning your activityon local websites or you could searchFacebook to nd groups o localcitizens.

    So youve thought o what you want to do now youre going to need some help!

    Its important to attract the right number and type o volunteers that you need to

    complete your activity successully. So where do you start?

    How to... manage volunteers Remember that its important to

    stay in touch with your volunteersonce you have recruited them. Keeptheir motivation and interest up withregular updates and communication.

    Keep an up to date list o thevolunteers who you expect to become to your event.

    Some volunteers may not turn up, soits a good idea to recruit too many

    (although make sure you have tasksjust in case they all turn up!)

    Make sure your volunteers knowwhere they have to be and when.I youre sending out inormation ormaps do so as soon as possible, itmeans that people can put it in theirdiary.

    I you havent managed to recruit

    enough volunteers, you could inviteyour volunteers to bring some riendsalong.

    Youll need parental consent i you areintending to use volunteers who areunder 16. The parents will also needto know what the young person willbe doing on the day.

    Tips on how to organiseyour event & logistics

    Venue

    I your event is going to be located ina venue, its important to scrutinize itbeore the day itsel.

    You should be looking or the ollowingthings:

    Find out how many people the venuecan saely hold.

    Think about whether the venue isaccessible or people with a disability.

    The location. Give volunteersdirections or a map and contactdetails in advance and details opublic transport i you think thats howvolunteers will be getting there.

    Contact details or venue sta or theday.

    Note down acilities such astoilets, kitchens, site or lunch andrereshments, secure storage placesor the volunteers bags etc.

    Its important to make sure thatboth you and the venue are both inagreement about

    The nature o the volunteeringproject, so write them a letter oremail outlining:

    1. When the event is taking place2. How many volunteers you expect3. What tasks you expect to be

    completed4. What you expect rom the venue

    Health and Saety

    Make sure you conduct a riskassessment which will help you thinkabout how you can remove or minimisedangers. You will also want to clariywith the venue who is responsibleor insurance or the project and seecopies o their public liability insurancecerticates.

    PermissionDo you need permission rom anyauthorities beore the project? I so makesure you have written permission beoreyou start. For example, i you organiseda street party or painted public propertyit would be important to have permissionrom the local council.

    Insurance

    I you are organising an activity it isimportant that you have appropriateinsurance or the event Employers,Public or Private Liability. We recommendthat you contact your existing insurancebroker and also your local authority toensure you have a correct level o cover.

    CRB Checks

    People volunteering or working withchildren or vulnerable adults are

    sometimes legally required to have aCRB check.

    Where contact with vulnerable peoplewill be limited or perhaps the personhas recently been CRB checked or adierent role, a decision about clearancemust be made. The guidance clearlyexplains how the check works as part oa proper risk management process.

    It keeps the interest up if volunteers are able to movetasks easily and its good to have too much equipment incase too many volunteers turn up!

    Create a task list Think about what you will achieve

    within the scope o your project, andthen break the goal down into a list otasks.

    Once youve got a more detailedbreakdown o tasks, think about howyou will share tasks between yourvolunteers.

    Prioritise tasks so i a smaller numberturn up youll still be able to achievethe important things on your list. Ipossible, brie your volunteers beorethe project starts telling them whatthey will be doing.

    Prepare extra tasks in case yourvolunteers do things more quicklythan planned!

    I your project is outside then see iyou can think o some sheltered or

    indoor tasks just in case it rains.Equipment

    What equipment will you need? Goback to the list o tasks youve madeand consider whether you haveenough equipment. You might needto borrow or ask a local company orunding, or perhaps ree support inreturn or publicity. I you can, thentry to get too much equipment. For

    example i youre clearing a garden,try to have lots o spades and trowels.It keeps the interest up i volunteersare able to move tasks easily andits good to have too much equipmentin case too many volunteers turn up!

    You should also think aboutrereshments or your volunteersand maybe lunch i the project isone that is lasting all day. Beoreyour volunteers turn up you shouldprobably prepare materials andequipment so that they can getstarted, and let them know i theyneed to bring lunch with them.

    You might need to borrow or ask a local company forfunding, or perhaps free support in return for publicity.

    How to manage the event day!

    Beore you start Try to arrive beore the advertised

    start o the event. Youll be able towork out what needs to happenwhen, where and how, and youllalso be able to greet any volunteerswhove turned up early.

    Put up signs so that your volunteerscan nd your project and keep yourmobile phone with you so that you

    can instruct anyone who has got lost.

    Make sure youve brought anypaperwork such as letters tothe venue, volunteer certicates,evaluation orms or a risk assessment.

    Make sure that you know where theFirst Aid kit is and that it is accessibleon the day.

    Its a good idea to prepare a roughtimetable or the day.

    Volunteer arrival

    Try to organise rereshments or therst teen minutes so that volunteerscan introduce themselves to eachother. Its also a good idea to explainthe days tasks ater theyve all arrivedrather than do this individually.

    Show volunteers around the venue,particularly pointing out securestorage areas, toilets, changing areas,rereshment areas, re escapes andmeeting points in the event o anemergency.

    I the volunteers need training withany equipment you should explain it atthis stage but also speak to everyone

    individually as soon as you can tomake sure that they understoodyour explanation. As part o the riskassessment and conversations withthe venue you should already havedecided what equipment is notappropriate or volunteers to use orexample, with a conservation projectit would be inappropriate or someonewithout training to use a chainsaw.

    Get your volunteers to sign in sothat i there is an emergency you canalert authorities as to who is on thepremises.

    Through the day

    Youll already have prioritised tasksso it should be easy to assign tasksto people and decide which ones tocomplete rst. You might nd thatthere are limitations (such as numbero tools, space available) that meanyou separate volunteers into severaltasks at the same time. Youll need tomake sure theyre all properly brieed,condent with what theyre doing andhave enough equipment or tools to dothe job well.

    Be fexible with your time (or theproject leaders time). I there are

    a number o tasks you might wantto move between them helpingeverybody or you might want tospecically help volunteers on a moreskilled/ dicult task.

    I youre volunteering in a publicspace then make sure that you havewet paint signs or hazard tape tokeep spectators out o the way o anymessy work.

    Youll need to make sure theyre all properly briefed,condent with what theyre doing and have enoughequipment or tools to do the job well...

    Use a digital camera so that you canrecord the highlights. Take picturesthat show volunteers hard at workand having un. I you wanted to getcoverage in local newspapers youcould use these pictures. But makesure your volunteers have signed aconsent orm so that theyre happy tobe used or publicity purposes. Andi youve got photos o children make

    sure their parents have signed theorm.

    Schedule times or lunch andrereshments and make sure thatyou gather people together or thesetimes. Volunteers are giving their timereely so setting aside a time wheneveryone can socialise and relaxmakes the day more enjoyable.

    At the end o the day

    Its important to thank volunteers,so think o a way to ormallyacknowledge their eorts e.g. providevolunteer certicates or all o yourvolunteers.

    Gather eedback about your eventby using Evaluation orms. CSV arepassionate about encouraging peopleto volunteer and keen to receive asmuch eedback as possible about theexperiences o people volunteering.Its important that we learn rom thisyear to improve or next year.

    Tips on how to get supportfrom a celebrity or your local MPSupport rom businesses

    Why not ask or support rom localbusinesses? Think o some localcompanies, then write to them explainingwhat you hope to achieve and how theycan help you out.

    Remember i you dont ask, youdont get!

    MP and celebrity support Why not get a celebrity or an MP

    along to your activity? It will be unor the volunteers, and guarantee thatyour project gets in the local paper!

    Have you got a celebrity living locallywho may be interested? Is theresomeone appearing at your localtheatre who may be able to make italong on the day?

    Remember, you dont need Alist celebrities to gain local mediacoverage - a local radio or TVpersonality will be enough.

    You stand a greater chance owinning celebrity support i youapproach a celebrity who lives in yourarea and/or has an anity with your

    cause.

    Contact the celebrity by writing totheir agent or management company

    How to gain mediacoverage to showcase yourinvolvementMedia coverage o your activity canattract local support or what you aredoing. This may lead to help rom a localcompany or other group that will link yourwork to the wider community.

    Media attention can motivate your team

    and bring extra excitement and un.

    It can also help to recruit new volunteers.

    How do I go about it?

    There is no magic ormula to gettinga story into a newspaper or onto localradio, generally editors look or storiesthat makes readers react - things thatmake people react emotionally.

    Some items are obviously news, butyou may nd that your National SewaDay activities are better covered inthe Whats On guide, the eventsdiary, the charities section or theletters page.

    Your event may be particularlyinteresting and newsworthy in itsel- the more unusual and wacky the

    better - or it may be you have apersonal story to tell. Many o ourvolunteers have powerul reasonsor wanting to help which make idealhuman interest stories or localpapers.

    Contacting the media

    Call the news desk/action desk onyour local newspaper or radio station.Email, ax or post them with urther

    inormation.

    I a journalist contacts you, do not eelpressurised to speak to them thereand then.

    Ask them i you can ring back in veor ten minutes to give you a chanceto gather your thoughts and prepare

    what it is you want to say.

    Writing a press release

    Your news will be in competition withinormation rom many other sourcesso clear and concise presentation isimportant.

    Tips:

    Dont orget to give your project acatchy title.

    Make sure you write PressRelease at the top and i somethingphotogenic is planned add the words

    Photo Call.

    Put the most interesting acts aboutyour activity at the beginning o thepress release. Paragraphs shouldbe added in order o importance, aseditors will not use inormation at thebottom o the release, i they run outo space.

    Issue the press release 1-2 weeksbeore the event.

    Oer a photo opportunity.

    Stick to the acts. Remember pressreleases should be brie and actual not adverts.

    Avoid PR puery and avoid over-useo adjectives.

    Include a brie quote rom anappropriate spokesperson.

    Include a local contact nameand telephone number o projectspokesperson (ideally daytime &evening).

    Follow up your press release byphone or email a couple o days later.

    Ater the Event

    You can send a ollow-up pressrelease to local media, to let themknow how successul the event was.This is particularly useul i some

    Have photographs available ipossible, but remember these mustbe good quality (high resolution) ithey are to reproduce successully ina newspaper.
