What is happening?The animal ethics application web form (AEAWF) and

application process will change on 12 December 2012 (easily remembered as 12/12/12).

A new enhanced AEAWF will replace the current version.

The link you currently use remains the same for the new AEAWF: https://recu.adelaide.edu.au/aea/

When will the AEAWF and application process be changing?

Until 7 December 2012 you will be able to access the current form but once the new form goes live any applications that are still in draft status will need further attention before you can submit them. This is because the new form has more fields to complete.

All existing applications irrespective of the status will remain accessible.

Why a new web form?The new AEAWF will facilitate online review of the ethics

application prior to final submission and sending of the endorsed hard copy for Committee consideration.

The new form will benefit the applicant, the AEC, and the University by:

• Improving communication with the Animal Ethics Committee

• Improving the efficiency of the approval process• Improving the record of approved projectsThe new AEAWF has been developed in response to

experience with the current online process, external review and inter-institutional (common form) requirements.

What has changed?Updated application content• Uploading of attachments as part of the form,

providing access to all documents, including approval and variation documents post approval

What has changed?Updated application content • Declaration of responsibility by applicants is clearer.

Names of all involved are auto listed to sign and declare acceptance of responsibilities

• Greater emphasis on aspects of ethical consideration• Rewording to improve clarity• Step by step help text is embedded in the AEAWF and

printable versions of the same help text and images of each AEAWF section will be available at https://www.adelaide.edu.au/ethics/animal/guidelines/applications/

and responsibilities in relation to the project are collected

• Records animal ethics training completed

• Details of skills and experience in techniques relevant to the particular project of all involved are collected

‘tier’ system for review and monitoring of application by progress through use of statuses

• Use of workflow

• System generated emails alert applicants to actions required

What has changed?Changes in process• All correspondence between applicant and committee

is now online in the application

What has changed?Changes in process• It remains that only the Primary Investigator and the

Co-Investigator can edit and only the Primary Investigator can submit the application but now all named investigators are able to view the application.

What do applicants need to know?• Consider allowing a little extra time for drafting the first

submission using the new web form to allow you to familiarise yourself with the changes.

• Check submission deadlines at: http://www.adelaide.edu.au/ethics/animal/deadlines/as timelines will change to accommodate the new online review process.
