The first is: “You don’t have to work in the summer, do you?” Upon answering that I do work during the summer, the second question is invariably, “Well, it can’t be too hard without students around, can it?” I do my best to explain that there are many things that need to get accomplished and I thought I would share a few of them with you. Perhaps you can add a few for me to use next sum- mer! Our facilities and planning staff are probably the most visible, as there are many construction projects that take place. But there are also ac- tivities like planning for Move-in Day, ongoing building and grounds upkeep, painting and making re- pairs in the residence halls, boiler preparation for the heating season, general preventative maintenance, and support of SOAR sessions, Freshman Orientation programs and other programs that take place during the summer. Our human resources staff are completing all of the paperwork from the past semester, updating payroll information for the various new contracts that have compli- cated retroactive calculations, and processing the onslaught of adjunct faculty appointments for the upcoming semester. Many performance programs and evaluations are received and the faculty search process begins to get under way. We are also busy planning professional training for the upcoming year. Our procurement and payment services staff are always buried under hundreds of incoming requisitions late in the semester that need to be processed by the end of June. Mercifully, the SUNY financial system is closed for year-end processing during the first week of July and staff can catch their breath. Then, the new year requisitions begin to arrive with the necessity of ob- taining goods and services so that all is in order for the start of the semester. Our environmental health and safety staff complete year-end reports in areas like stormwater management, state environ- mental audits, and chemical in- ventories. Many of the required employee training programs are purposely scheduled for the summer including Right-to- Know, CPR, electrical safety and several other health and safety training sessions. There is much training to do for RDs and RAs, particularly for fire safety, prior to the residential students return- ing to campus, and initial training for students once they have moved in. Our campus has achieved a 135 reduction in energy use since 2005-06 which is a re-markable achievement consid-ering the age of our buildings and the resources available to address these issues In order to meet the SUNY-wide goals for energy reduction our cam-pus is being asked to reduce energy by an additional 235 over the next three years

NewVehicleWash Building The facilities and planning vehicle wash building located near Chapman Service Center was constructed in response to compliance with environmental protec-tion regulations In the past we washed state vehicles outside our maintenance

garage and let the rinse water run into thestormsewerandouttoa stream New regulations do not allow thisforcommercialandinstitutionallo-cations (Individualconsumersatyour homesdrivewayareexemptedbut

Property control for equipment valued at less than $5000 ndash Property Control located in Facilities and Planning currently reports equipmentvalued at $5000 or more to SUNY System Administration via an electronic reporting system A mandate from SUNY and the Office of the State Comptroller late in the2007-08internalcontrolcyclehasresultedintheInternalControlTeam developing draft policies and procedures for inventorying equipment valued from $500to$4999ICACwillbereviewingandfinalizingguidelinesandtem-plates in late September in preparation of this annual inventory commencing in October 2008
