Case Study

Challenge: Established in 1983, Acres Group, a premier professional landscaping company with three offices and nurseries located in Illinois, needed a complete GPS fleet tracking solution to accurately monitor their vehicles. Jeff Dumas, Vice President of Acres Group North, said, “We originally had a low cost solution that didn’t provide enough functionality for our company. Because we lease space for our trucks throughout our market area, it was important to track vehicle movement at a moments notice.”

Solution: Due to the lack of functionality, Dumas decided to implement the NexTraq Fleet Tracking solution due to its ease of use and additional capabilities, including its reporting and alerts features. Dumas, said, “The sales and implementation process for more than 300 vehicles went extremely well.”

Results: Since implementing the NexTraq Fleet Tracking solution, Dumas was able to recover $30,000 worth of equipment and vehicles on more than one occasion. Dumas said, “Through the alert functionality within the NexTraq solution, I receive a text message if any vehicle in our fleet moves before 5 a.m. In fact, I was able to use NexTraq to notify the police that a theft had occurred. One of our managers was watching the vehicles movement on the NexTraq solution and was able to guide the police to the vehicle in time to arrest the thieves.”

Additionally, Dumas cites the Idle Report as a powerful tool to decrease fuel costs across his fleet.

Upon implementation of NexTraq, the Speed Alert feature let Acres know that a small percentage of drivers were exceeding posted limits at some point during the day. With the NexTraq solution, Acres managers receive messages notifying them if an employee is speeding. After a couple of weeks the speed alerts were reduced by 92 .

Acres Group has also implemented NexTraq Fleet Dispatchon several vehicles for easy communication between the office and its drivers. With the ability to reduce operational costs, Acres Group can pass those savings on to the customer. Its core corporate tenet, “commitment to excellence for knowledge and customer service,” will keep the Acres Group moving forward for years to come.

Case Study

Challenge: In 2008, Baltimore County executives decided to implement a fleet tracking solution to better manage their Department of Public Works activities and automate their manual processes for tracking snow removal operations. The biggest challenge was the limited time to implement, as snow season would soon be starting in the Baltimore area. With that in mind, the management team sent out competitive solicitations to various GPS fleet tracking companies.

Solution: After evaluating several solutions, Baltimore County selected the web-based NexTraq® Fleet Tracking solution along with its Fleet Dispatch™ application due to NexTraq’s ability to ramp up the organization quickly. Rob Stradling, CIO of Baltimore County, said, “NexTraq was extremely quick to market and was able to perform the installation locally, minimizing the number of resources we had to allocate to the project.”

Results: Chip Hiebler, Senior Project Manager for Baltimore County, said, “We saw results quickly. As an organization, we have virtually eliminated unauthorized vehicle use while increasing our fleet’s efficiency and decreasing fuel costs. We have also been able to optimize our routes for better service with the ClearPath routing functionality and Fleet Dispatch application in each Agency where we’ve implemented.”

Stradling adds, “The reporting functionality has been extremely beneficial. We use the Idle Report to reduce our fuel costs, but also to reduce our carbon emissions as well. Baltimore County is committed to being a green organization for our community.”

Dana Walker, Project Portfolio Manager for Baltimore County attributed the Alert functionality within the NexTraq Fleet Tracking solutoin for helping to keep the fleet’s risk level down. Walker said, “The Speed Alerts allow us to manage and rectify any driver speeding issues, which is a tremendous benefit to us as we are self-insured.”

Hiebler is also impressed with NexTraq’s reliability. He said, “Since we have implemented the NexTraq Fleet Management solution, we have had 100% uptime and no system issues.” Having installed devices on 651 of their vehicles, the County hopes to have 2,000 vehicles implemented by the beginning of the year.

With Baltimore County’s “Efficient, effective and accountable” initiative, it’s no wonder the organization was recognized as a Top Ten Digital County Survey Winner. Stradling concludes, “We like to stay on the forefront of technology. That includes NexTraq’s GPS fleet tracking solution as well as other products that enable us to work more efficiently.”

Challenge: Established in 1986, Capeway Roofing Systems, Inc. was rapidly expanding from a small local business to a roofing and sheet metal provider servicing all of New England, as well as New York and New Jersey. With numerous construction vehicles crossing state lines, Capeway needed a solution to track driver activity and performance.

Solution: Dion Calheta, Project Manager for Capeway Roofing, said, “We selected the NexTraq® GPS Fleet Tracking solution because no other vendor offered the robust functionality we needed.” A key business reason for selecting the NexTraq solution was the ability to track drivers’ actual worked hours versus the hours that they put on their timecards. Calheta adds, “By using the reporting within the NexTraq Fleet Management solution, we were able to minimize driver time discrepancies and realize R.O.I. within two months.”

Results: Capeway Roofing used the NexTraq solution's “start/stop” report as a virtual timecard to account for employee hours. Calheta, said, “Quickly doing the math, we realized that we were saving tens of thousands of dollars just on this one feature.” Additionally, Capeway Roofing used the “Speed Alert” notifications to track the safety of its drivers, significantly influencing drive accountability.

Calheta, said, “We used to receive 60 to 70 emails a week on speed alerts resulting in disciplinary action. Now, we receive five to six emails a week.” That’s more than a 90 percent reduction in email alerts.

Implementing a GPS vehicle tracking solution has provided Capeway Roofing with additional savings. Calheta, said, “The ability to find vehicles in real-time has lowered our insurance premiums. In fact, our insurance company’s safety division uses us as model for other businesses for the anti-theft and speed alert functionality.”

As Capeway Roofing continues to expand, they know they have the right solution in place to proactively manage their drivers and their vehicles.

Challenge: Eagle Medical Service, a leading ambulatory service in the Memphis and Jackson areas, needed a GPS fleet tracking solution to manage its impressive growth and to monitor its vehicles to provide superior customer service. With two offices and 25 vehicles and growing, Larry Riedel, Operations Manager for Eagle Medical Service, said, “We started looking at GPS fleet tracking solutions so that we could keep track of our vehicles and assets and find the closest vehicle to a client we always provide on-time service to ensure our patients’ satisfaction and comfort.”

Solution: Riedel and team researched several solutions and ultimately decided the NexTraq GPS Fleet Tracking was the best solution for their business. Riedel said, “Other systems and devices were manufactured overseas and were cost-prohibitive. Some solutions lacked the maintenance plan that came with our NexTraq purchase. Hidden costs with other providers’ solutions led us to select the NexTraq Fleet Tracking solution due to price, ease-of-use and functionality.”

Results: Since implementing the NexTraq Fleet Tracking solution, Eagle Medical Service’s fuel costs have dramatically been reduced. Riedel said, “By keeping track of our vehicles, issuing speed alerts and monitoring the Idle Report, we have been able to reduce fuel costs by 20 percent.”

Because Riedel could monitor his vehicles and driver behavior, Eagle Medical Service was able to switch insurance providers and received such a substantial discount, the NexTraq will pay for itself three times over in

the first year. Riedel adds, “After the first half of the year, we are seeing pure profit from the NexTraq solution.”

Other benefits for Eagle Medical Service? Riedel says increased driver productivity through route optimization and a reduced workload for fleet dispatchers. Additionally, Riedel cites the ease-of-use as major reason the NexTraq solution has been adopted company-wide, “It is very easy to implement and I can literally train people over the phone due to the intuitive user interface.”

Riedel adds, “We have been able to maintain our tremendous growth due to the NexTraq Fleet Tracking solution. We have gone from 14 calls in a month, to more than 1,300 calls in a month, while winning repeat business because we pride ourselves on being on time for every call. Organizationally, it’s our philosophy to always consider the patient first.”

Eagle Medical Service has plans to implement Fleet Dispatch, an integrated dispatching solution to provide even greater two-way communication between his office and his drivers. Riedel adds, “Our drivers realize the benefits; we get them to their locations safely and quickly and get them home as soon as possible.”

By providing superior customer service to patients and hospital services, Riedel sees no end to their growth Riedel said, “We will continue to maintain our growth while focusing on our greatest asset – our people.”

Challenge: Established in 1949, Estes Heating & Air Conditioning provides HVAC, plumbing and electrical services to both residential and commercial clients throughout the metro Atlanta area. Estes was looking for a solution to improve its GPS mapping capabilities and integrate a fleet tracking solution with their existing service automation software, SAWIN®. Jeffrey Allison, IT Administrator for Estes Heating & Air Conditioning, said, “The SAWIN application gives us the ability to automate most of our office processes, making us more efficient. We were looking for a fleet tracking solution that would integrate seamlessly with it.”

Solution: Allison selected the NexTraq® Fleet Tracking solution because of its affordable pricing and ease-of use. He was able to integrate the SAWIN application with the NexTraq solution through NexTraq’s Web Services, an open platform that enables integration of its fleet data with third party applications such as accounting and billing, route optimization and mobile workforce management applications.

Results: Allison said, “The tight integration between SAWIN and NexTraq made our dispatchers’ jobs easier as they didn’t have to toggle between screens to do their job – it became a much more efficient process.”

Additionally, the dispatchers found NexTraq’s reporting functionality to be the most beneficial as they hold employees accountable to their daily schedules. Allison cites fuel savings and finding the closest vehicle to a location as added benefits.

With such a large metro area to service, Allison created zones for each area within Atlanta. Allison said, “Two vehicles can be very close together, but in different zones. If we can find the closest vehicle to a service call, we dispatch that vehicle and provide better customer service and faster ETAs.”

The ability to know where the vehicles are at all times has increased driver productivity by 13 percent. Allison says, “They are able to take care of our customers more efficiently, often taking another service call not on their daily schedule. The benefits are two-fold: we help more customers and they get home faster at the end of their work day.”

An added benefit? Estes can locate stolen vehicles before the police do. They were able to recover more than $30,000 of equipment because they could track the vehicle to its exact location.

As one of the top 5 percent of all heating and air contractors in the country, it’s easy to see that Estes will experience even greater success and growth in the future. Allison concludes “We have a long-term relationship with NexTraq and it’s a win-win partnership.”

Challenge:Established in 2000, Pipe Works Services, a customer-focused plumbing, heating and air conditioning company servicing several counties in the New Jersey area, was looking to make a switch for its old GPS fleet tracking solution once their lease expired. Paul Giglio, President and Owner of Pipe Works Services, said, “We were very unhappy with our previous fleet management provider and were actively looking to change solutions. We were referred to NexTraq® by ACOWIN, a dispatching integration partner.”

Solution: Giglio selected the NexTraq Fleet Tracking solution because of its intuitive interface, reporting capability and automated email alert functionality. Giglio states, “The implementation of NexTraq was extremely easy and training was a matter of creating a username and password. The solution is that easy to use.”

Results: Since implementing the NexTraq Fleet Tracking solution, Giglio has been able to effectively monitor his vehicle and drivers’ behavior while optimizing his fleet operations. As Giglio states, “You can’t measure what you don’t know.”

The alerts functionality within the NexTraq Fleet Management solution has been especially useful for Pipe Works Services. By setting up alerts, Giglio is immediately notified if a vehicle in his fleet is moving after hours or on the weekends.

Additionally, he created geofences around each driver’s home to monitor drive behavior and hold them accountable for their actions. Giglio, said, “Because the drivers know their behavior and workday profiles are monitored, we have

increased overall fleet productivity by 35% while reducing fuel costs by 20%.”

Giglio also uses the maintenance alerts for all of the vehicles in his fleet to extend the life of his vehicles and cut down on the wear and tear of his fleet.

When asked about NexTraq as a company, Giglio has only positive things to say. Giglio, says, “The sales process was fabulous and my account representative did what he said we was going to do. Additionally, the customer service is great. Within an hour of placing a call to customer service, we had an installation issue dealt with immediately.”

With plans of automating processes throughout its organization, Pipe Works Services plans to go paperless to do their part as a “green” organization and will continue to push the technology boundaries with iPad integration into their fleet technology. With plans to redesign their site and ramp up their already superior customer service, the company is on the path for continued growth and success.

Challenge: Established in 1949, Lake Truck Lines provides commercial drilling materials and a variety of oilfield drilling products throughout Texas and Louisiana. With job sites in remote locations and company expansion, Jerry Santos, General Manager of Lake Truck Lines, began searching for a GPS fleet tracking solution to gain a clear view of his fleet operations and driver productivity.

Solution: Santos began his fleet tracking research on Google. After investigating his options, he chose the NexTraq Fleet Tracking solutio Santos said, “I chose NexTraq because of the Fleet Dispatch application and its ability to give turn-by-turn directions. I also like that the platform is easy to learn.”

Results: Within weeks of utilizing the NexTraq GPS Fleet Tracking solution, Santos noticed the increase of fleet productivity. Implementing the Fleet Dispatch application, which provides better communication between dispatchers and drivers through an in-vehicle Garmin

device, gave Santos more visibility into his fleet operations.

With most job sites in remote locations, Santos needed a way to get his drivers there safely and on time. Santos said, “Most of our job sites are in remote places off dirt roads with no street signs. We typically use geographical markers to direct drivers.” Santos has peace of mind knowing that he can communicate with his drivers through the Garmin.

Additionally, Santos was able to reduce his overheads costs by 15 percent with the NexTraq Fleet Tracking solution. After getting client complaints, Santos began reviewing his drivers’ work. It didn’t take long for Santos to find the offender. This employee was wasting valuable time between pick up and drop off sites. Santos said, “I was able to go into the NexTraq solution, find the offender and handle the situation accordingly. Without the ability to investigate and bring up the evidence, we would have lost a customer.”

Challenge: Founded in 1969, the Homewood-Flossmoor Park District covers 365 acres and has a total of 32 parks. With 43 employees performing park and building maintenance throughout the Homewood and Flossmoor communities, Doug Boehm, Superintendent of Parks and Planning, needed a way to efficiently monitor driver behavior and improve employee productivity.

Solution: After researching several fleet management solutions, Boehm ultimately chose NexTraq® due to its superior customer service and attention to detail. Boehm said, “My NexTraq representative spent a good deal of time working with me and was very patient throughout the entire process.”

Results: Since implementing the NexTraq GPS Fleet Tracking solution, Boehm has virtually eliminated the problem areas within his fleet operations.“We have reduced speeding and vehicle idling by 95% with the NexTraq solution,” said Boehm.

By utilizing the Posted Speed Alert functionality within the NexTraq platform, Boehm receives instant notifications when drivers are exceeding the posted speed limit of a roadway. “We received over 20 notifications of speeding violations within the first week of implementation. Now, we might only receive one notification a week, if that,” Boehm adds. Along with Speed Alerts, Boehm utilizes the Idle Report as a tool to help monitor excessive vehicle idling and reduce fuel consumption. By monitoring vehicle idling, Boehm can see how much fuel is being wasted and take proactive measures to reduce it.

In the future, Boehm plans on utilizing more features and functionalities within the NexTraq solution, ensuring the Homewood-Flossmoor Park District continues providing quality parks and recreation for its residents year after year.
