The PositionUnder general direction of the City Clerk, the Office Assistant will support the City Clerk’s Office divisions. Under general direction of the Office Manager, the Office Assistant will support the Community Development Department’s divisions. The Office Assistant will provide professional customer service to the public; perform responsible clerical work requiring competency in word processing and record keeping; utilize appropriate procedures and policies in the assigned work area; and remain flexible to perform related work as required and to meet critical deadlines.

Incumbents in this class are expected to possess sufficient knowledge of clerical methods to perform simple to difficult assignments. Incumbents perform the full range of journey level duties within the framework of established guidelines and procedures.

• Acts as receptionist, opens and distributes mail, answers telephones, provides information, gives directions.

• From drafts, formats and types and proofs a variety of materials to include letters, memoranda and reports.

• Serves as cashier and maintains simple accounting records.

• Sorts, codes, posts, proofs, alphabetizes, indexes and files a variety of materials.

• Checks reports, records and other data for accuracy.

• Extracts, transfers and summarizes information from records.

• Prepares acknowledgment and replies to letters.

• Files, maintains, and retrieves records.

• Schedules appointments.

• Maintains stock of office supplies and orders new supplies when needed.

• Operates a variety of office equipment, including personal computer, fax, copiers, and calculators.

• Assists the front counter by greeting customers and providing information as needed.

Typical Duties

THE IDEAL CANDIDATEWill possess the knowledge, skills and abilities:

• Experience in providing quality customer service to the public.

• Excellent communication skills.

• Ability to type 45 wpm net of errors. (Typing certificate is required at the time of application. Typing certifications reflecting a net speed of less than 45 wpm and/or taken more than one year ago will not be considered. Certifications may be obtained through a temporary employment agency or online.)

• Ability to perform responsible clerical work under general supervision.

• Ability to create written documents using proper grammar and spelling.

• Ability to assist the public with tact and courtesy.

• Excellent time management.

• Ability to establish and maintain cooperative working relationships with a diverse group of working styles.

• Keep neat and accurate records.

• Deliver materials throughout the local geographic area.

• Work with a minimum of direction often with frequent interruptions and under tight deadlines.

• Enter and extract data in a computer terminal.

• Working knowledge of Microsoft Word, Excel, and Adobe Acrobat is highly desirable.

• Responsive to balancing and adjusting priorities as needed.

Education and Experience:

• A typical qualifying background would be graduation from high school, or GED equivalent, and one year of general clerical experience.

License:

• Possession of a valid California Driver’s License is required.
