OVER 50s’ BALLROOM DANCING CLUB INC President’s Report

2019-2020

The activities of Over 50’s continued as normal until mid-March 2020. The AGM, held at

Cannington on 30th August 2019 went smoothly. With management and financial reports

regarding the previous 12 months being accepted and no other issues raised for discussion,

the meeting was completed promptly. All committee members from the previous year

stood for re-election and were elected unopposed. This was the first time we used email to

distribute documents for the meeting which enabled members early access and allowed for

a reduction of the printed version from 120 copies to 50, thereby reducing paper wastage

and cost. Hopefully we can lower this still further when more members provide an email

address.

The day of the 2019 AGM also saw presentations made to two of those committee who

have each been doing their bit for over 5 years. Marrilyn has been our Dance Coordinator,

arranging our days of enjoyment as well as hunting the various sources for new dances to

bring to committee so we can choose which might complement our program. Deb is our

membership secretary, keeping records, collecting fees and best of all being our first

contact for the many visitors who I am sure find her friendly, informative and helpful as she

introduces our club to them.

At this point I want to thank all committee members for their continued support and hard

work over the last year. All the various roles require a time commitment on days other than

the days we dance and I have had neither a complaint nor a failure to deliver, from any.

Their attention to the various duties, frequently in their own time, is why you all enjoy your

dance so much every Thursday. I am very impressed and grateful for their efforts.

Early in 2020, Valmai, our secretary of many years made the reluctant decision to divest

herself of the secretary’s role. A presentation was made in February to thank her for all her

work over the years and I am pleased to say she continues to be of assistance arranging the

volunteer’s door roster and being the door supervisor when we dance at Karrinyup. Kathy

Herbu has taken up the role in the interim and has settled in very satisfactorily.

The other essential group who keep this club together by making sure your Thursday

dances are enjoyable are the nominated ‘volunteers’. As well as setting out tables, chairs,

afternoon teas etc. this group, without fuss, pays great attention to the little things which

Page 7: OVER 50s BALLROOM DANCING CLUB INC · August 2018 John Kember August 2019 Deborah Sharp Augsut 2019 Marrilyn Spencer . 5 OVER 50s’ BALLROOM DANCING CLUB INC AGENDA 1 Open Meeting

make the day run seamlessly. They are a dedicated group who do miss a dance or two

facilitating your day, but are happy to serve. A big thank you to the volunteers.

More detail about our club can be found on our website OFBDC.com. It is an excellent

means of communication to members and I would encourage you to make this an

occasional visit to view articles about our activities, presentations, trips away etc., some

complete with photos.

For example, the website was a great place to keep members aware of our position

regarding the Covid 19 situation and when we were about to re-open, email allowed us to

contact 180 members to give them details. This would have cost nearly another $200.00 to

let all members know by post. We did also send 75 by post but your club could be even

more cost effective if we had every member’s email address so, please if you have one,

make sure you give it to Deb at the door.

The Covid 19 pandemic certainly made this a different year causing a dancing lay-off of 17

weeks from 13th March to 2nd July inclusive. While this limited our dancing and eliminated

some of our usual special events this year, those we undertook were no less enjoyable.

November saw us demonstrating our dancing to the Have-A-Go Day crowd at Burswood

Park. Our location in the park was better this year, the weather was kind and some 16

members participated. Thank you to those members and to Marrilyn for keeping us moving

to lovely music.

Our Christmas Dance ended 2019 on a high. Attendance was just over 175 dancers who

enjoyed a great, lively program of dances supported by fantastic music in a wonderful

joyous atmosphere where many dressed to the spirit of the season. The day shaped up as a

big test of the Cannington venue since a large crowd had booked and the prediction was in

excess of 38 Degrees Celsius. However, our concerns were allayed as the cooling system did

its thing quite nicely. This, together with an additional cold-water station and making an

exception allowing people to take drinks to their seats, set the scene for a day which was

comfortable despite the high outside temperature.

For a few years we have used WEGS for our catering at special events. They are very

organized and again did a fantastic job preparing a delicious spread which was much

appreciated by members. Sadly, this group are unable to continue to cater for us so our

Purchasing Officer, Dawn and Treasurer Frank, have been assessing options.

The day also gave us a delightful setting to present Shirley Hunt and Brian Hockley with

badges which acknowledged 25 years of membership of our club. Members are any club’s

lifeblood and to be regulars for such a period is a great achievement. We happily recognize

their commitment and support of OFBDC Inc. Congratulations to you both.

Other events we were able to hold were the Australia Day and St Patrick’s Day dances. Both

were very successful and well attended with the takings from the latter being donated to

our preferred charity, Royal Flying Doctor Service.

Not long after this, all dancing ceased until further notice because of the Covid 19

pandemic. Such events as our annual ball and Mother’s Day dance were missed as were a

couple of our extra-curricular activities such as the day trip to York and the South West

Dance Festival.

Resumption of Over 50’s Dancing occurred on 9th July at Karrinyup but, as in the

community, there are restrictions which may increase or decrease depending on the local

and global pandemic situation. Your committee will remain vigilant with regard to safety at

events. For example, when restrictions are relaxed we will follow, but conversely, if we

need to tighten restrictions we will not hesitate to do so and will expect all dancers to

comply for the benefit of all. Our prime aim is to safely provide enjoyable dancing and

socializing opportunities for all our members.

On the business side of things, this year has not been as financially successful for various

reasons. We have over 260 paid memberships and normally have between 110 and 150

members along each Thursday. Over the last few years, the weekly raffle proceeds have

topped up the finances sufficiently to keep club funds approximately balanced, thereby

avoiding an entry price increase. However, as you see in your daily lives, costs continue to

creep up and it is clear that an entry price increase will be needed to ensure continued

viability of the club. Your committee will put a proposal at the AGM.

On a quieter note, I acknowledge the loss of some members during the period since our last

AGM. Ken Goodwill, Florence Tan, Victor Logan and Mick Dryden have passed. All were

valuable members and treasured friends at various times gone by. The pleasure of their

company will be sadly missed.

In closing I thank all members for their continued patronage of our club. It is always a

pleasure to see you each week and I continue to enjoy my tenure as your Club President. In

particular, myself and your Committee help run this club for your benefit and are happy to

hear your suggestions regarding improvements which could be made.

OVER 50s’ BALLROOM DANCING CLUB INC Treasurer’s Report

2019-20

This fiscal year has been extraordinary with the effect Covid 19 has had on our

dancing and our finances.

This year has resulted in a loss of $11,045.21. Due to our solid financial

position, the OFBDC was able to absorb the loss and still remain in a relatively

secure financial position by ending the year with a credit balance of $11,156.04.

The loss can be attributed to the cost of the ball which totalled $5 460.55, the

cost of the Christmas dance totalling $2 364.35 and the costs incurred by

moving to Cannington.

One can only guess what the future holds for the club (look at Victoria) so I

would express the opinion that we should not dip into our reserves and should

have a small rise in admission fees of $1.00 for next year, rising to $10.00 at a

future date.

Once again I have to thank Marrilyn Spencer for her assistance in the

compilation of this report.
