How to execute, print or save the Security Roles Report by Location from SAP portal

PDF and Excel options

Print to PDF:

1) Log into the Employee Portal (www.dadeschools.net) and click on SAP ERP icon.

2) Click on the ERP Administration Tab. If you are the location’s chief administrator, you will see this tab;

otherwise, you will have to request it via a Heat ticket to ERP Security Team written by your top level

administrator.

3) Click on the link titled Security Roles Report


4) Once you click on Security Roles Report, you should receive the following screen. Choose your desired option

(radio dials available). For this example, location 9319 will be used. Click Execute once you have entered your

Cost Center.


SAP will render a similar screen for the Cost Center you indicated. If you use the option Search Roles By Employee, it

will take less time than Search Roles by Cost Center.


For a description of the displayed Security Roles, click the “button” labeled Roles Description, and you will get another

screen with the corresponding role description:


By clicking Back, Exit or Cancel, it will take you back to your previous Security Roles screen displayed:


You can PRINT this report as a PDF if you have Adobe Acrobat and JAVA installed by clicking Menu, System, List, and

Print option: (or some computers will display Menu, List, and Print option: )


In order to print to PDF, you must choose the Adobe Web as the Output Device option. If yours is not set to

Adobe Web, you must follow these steps to select it.

a. Click on the Output Device field matchbox icon


b. Delete any words in the Output Device field at this time and click Start Search


c. From the list, find and double-click on the Adobe Web output device option


d. Click on the Properties button


e. If you see a Send to SAP Spooler Only for Now Parameter Value, double click on it.

f. In any case, change the General Properties, Time of Printing to Print Out Immediately.

g. Click on the Green Checkmark

The Acrobat Adobe software will open it (PDF) and then you can print it, save it (PDF), email it, etc., from there

as usual:


Download to Excel:

If you want to Download it as a file, there are several formats available: HTML( .htm), spreadsheet (.xls), etc.

Here is an example for Excel:

1) Choose Menu, List, Save/Send and File. (or some computers will display Menu, System, List, Save and Local File

option: )


2) Then choose the Spreadsheet option for Excel and click on the green check mark.


3) Steps 3 and 4 are optional and you may only see them if you do not have Java already installed. If you receive a

screen such as below, click and select More info. It will take you to the Java Website to download Java. Follow

the instructions as directed on the Java site.

4) If installing JAVA, click and select Yes if you receive the following screen.


5) If you are prompted with the following question Do you want to run this application?, click Run.


6) Type or choose the Directory where you want the file saved on your computer. You need to be in the Directory

field box and click on the matchbox icon to be able to browse your computer for the Directory of your choice.

The following dialog box should come up on your computer.

Then title the file by typing in a File Name on the File Name box. Finally, click Generate.


7) If you are prompted to Run again, click Run.


8) You will find the file in the directory you previously selected. Locate it and double-click on the file to open.


9) If prompted with the message below, click Yes.

10) Once in Excel, you may Print or Sort as desired.
