For your special day, your choice of venue is of the utmost importance.

The racecourse is fully licensed for civil weddings, where your ceremony can take place in a suite overlooking the racetrack, to create a memorable experience on your special day we have a range of suites available for wedding receptions and a delicious choice of menus to suit all budgets. Our head chef will be delighted to advise you on any menu alternatives i.e. vegetarian options, special dietary requirements and menus from different origins.

Our venue is suitable for intimate gatherings or larger celebrations of up to 600 guests.

For a truly unique occasion, there are race days available when you can combine your wedding day with racing, and even the option to sponsor a race with the bride and grooms name as the race of the day. The bride and groom would have the opportunity to present the prize to the winning connections following the race, with a superb photograph and race card as a memento of their day. The venue is set in 22 acres of parkland, ideally located to inspire your photographs of your special day.

THE SUNBEAM SUITE The Sunbeam Suite can accommodate up to 200 guests. With natural daylight and warm furnishings, this flexible room has a private bar, a balcony overlooking the parade ring and direct access out to the track.

THE CLEVELAND SUITE The flexible space of the Cleveland Suite offers the perfect setting for an intimate wedding of up to 100 guests. With natural daylight, a private bar, a large balcony with views overlooking the track and parade ring.

THE RINGSIDE SUITE Ringside Suite is perfect for large weddings and can accommodate up to 600 guests. This pillar free room comes with an adjoining bar area that can be used as a separate reception area.

CIVIL CEREMONY SUITE Situated on the first floor overlooking the racetrack this is a fantastic location to “Tie the Knot”. Licensed for Civil Ceremonies we can accommodate up to 100 of your family and friends.

HOLIDAY INN HOTEL Adjoining the Racecourse is the Holiday Inn Hotel. This friendly 54 bedroom hotel offers a range of bedrooms and recognised standards of service.

MENU PRICES

Please be advised that our finger buffets and wedding breakfast menus are based on the minimum numbers specified below, if your numbers fall below these figures a room hire supplement will be charged.

DAMAGE WAIVER Payment of £250.00 for the Cleveland / Sunbeam Suite and £1000.00 for the Ringside Suite is due four weeks prior to the event. The full amount will be returned providing no deductions are required. BOOKING TERMS AND CONDITIONS

Enclosed is our booking terms and conditions, which must be checked, completed, signed and returned with your deposit.

PAYMENT TERMS

A non-refundable deposit of £200.00 for the Cleveland / Sunbeam Suite and £1000.00 for the Ringside Suite is required upon booking with a written confirmation to secure your date. The final balance payment is due four weeks prior to the event.

All prices are inclusive of VAT.

SPEECHES

Speeches would normally follow a traditional order as below although it is very common to move away from this traditional approach and construct speeches in an order more personal to you.

Brides Father – Welcome the Grooms parents, relatives of both families and welcome the groom to his family, he may want to say a few words about his daughter at this point and then he would propose the following toast. “Health and happiness of the Bride and Groom”

The Bride Groom – Thank his parents for all their support and thank them for their good wishes for the future. Thank all those attending for their generous gifts and then the toast proposed would be. “Complimenting the Bridesmaids on how Beautiful they look and how they have done a fantastic job and then present them with a token of thanks.”

The Bride – Traditionally the bride does not normally make a speech but if she wished to now would be the time to do this.

The Best Man – The best man will respond to the Grooms toast on behalf of the bridesmaids and then continue by making people laugh by telling dreadful and funny stories about the Groom. It is often the way the speech might turn out that influences the choice of a Best Man.

This speech should be the high point of the day and the Best Man would finish by proposing another toast. “The Bride and Groom”

route towards seating layout and speeches, we have taken the time to prepare some

guidance for those who do prefer the more traditional approach.

Wedding Etiquette

The Booking described in the Schedule attached (the “Booking”) is subject to the Terms and Conditions below and all payments must be made by the dates due.

The Booking for the Client’s events (“the Event”), is not binding on Wolverhampton Racecourse Ltd (“Wolverhampton Racecourse”) until it has been signed by the Client and returned to Wolverhampton Racecourse Ltd with the required deposit.

BOOKING DEPOSIT / PAYMENT

A non refundable deposit of £ must be paid by the Client upon signing and returning the Agreement. Unless credit facilities have been granted to the Client, the Total Charges are due 28 days prior to the Commencement Date of the Booking/Event.

For credit account Clients, such charges must be paid by the Client by the 15th of the month following date of invoice. If payment terms are not observed Wolverhampton Racecourse Ltd reserve the right to cancel the event. In such circumstances, deposits are not refundable.

FUNCTION / MEETING ROOM(S)

The booking sheet will allocate a room for the event. However, Wolverhampton Racecourse Ltd reserves the right to reallocate function / meeting room(s), where necessary.

FOOD AND BEVERAGE

Food or beverage must not be brought into Wolverhampton Racecourse Ltd without prior consent. Such consent will involve an additional charge. Bars are closed as a matter of general practice at 23:00hrs, unless we have agreed to a request for an extension beyond that time.

CANCELLATION TERMS

Please note that we operate the following cancellation charges, for all confirmed bookings.Cancellation 12 months or more in advanced – No penalty and return of entire depositCancellation 6 or more but less than 12 months in advance – 25% of Total Projected ChargeCancellation 4 or more but less than 6 months in advance – 35% of Total Projected ChargeCancellation 2 or more but less than 4 months in advance – 50% of Total Projected ChargeCancellation 2 weeks or more but less than 2 months in advance – 75% of Total Projected ChargeCancellation less than 2 weeks in advance – Total Projected Charge

ETIQUETTE

The company reserves the right to judge acceptable levels of noise or behaviour of its guests. It is in absolute condition that music must be contained within the function/meeting room(s) by keeping all windows and doors closed. In the event of failure to comply with management requests to comply with this condition or moderate excessive noise levels and / or anti social behaviour, the company reserve the right to terminate the event without being liable for any refund or compensation. Please note some areas of Wolverhampton Racecourse Ltd have a dress code, which must be observed.

DAMAGE

The Client shall be responsible for any damage caused to the premises or the furnishings, utensils and equipment therein by act, default or neglect during the term of the hire. The Client shall pay to the company the amount required to make good and remedy any such damage.

A separate damage waiver will be required for certain functions and events. In the event that this sum is insufficient, the Client will be charged for and will be responsible for the payment of any such charges. If no deductions are necessary, Wolverhampton Racecourse Ltd will refund the damage waiver in full.

Wolverhampton Racecourse Ltd shall not be liable for any loss of damage except within the constraints of the Hotel Proprietors Act 1956. In case of loss or damage to the Hirer, it must be reported to the Duty Manager at the time.

GENERAL LIABILITY

Wolverhampton Racecourse Ltd, do not accept liability for any failure to provide services contracted for due to circumstances beyond its control, including industrial action, disruption of postal communications, failure of plant, electricity, gas water supplies, fire alarm evacuation or force majeure.

“ In the event that Wolverhampton Racecourse Ltd is prevented from providing the services contracted for due to reconstruction or other building works, prompt and reasonable notice will be given to the Client, any monies paid will be refunded and Wolverhampton Racecourse Ltd will be absolved from any other financial liability or obligation to the Client.”

The person signing below for and behalf of the Client hereby warrants that they have the authority to do so. In the event that they are not so authorised, the signing individual shall be liable for the complete performance of and for payment of any and all sums due under the above terms and conditions.

Please note that non-signature of these terms and conditions will still mean that the Client will be held to them.
