Understanding the main parts of the Power BI suite

Power BI DesktopUsed mostly by developers and data analysts, Power BI Desktop is a free application youinstall on your local computer that lets you connect to, transform, and visualize your data.With Power BI Desktop, you can connect to multiple different sources of data, and combinethem (often called modeling) into a data model. This data model lets you build visuals, andcollections of visuals you can share as reports, with other people inside your organization.Most users who work on business intelligence projects use Power BI Desktop to create reports,and then use the Power BI service to share their reports with others. (Sharing is only availablebetween those with Power BI Pro, or Premium licenses)

The most common uses for Power BI Desktop are as follows:

• Connect to data • Transform and clean that data to create a data model • Create visuals, such as charts or graphs, that provide visual representations of the data • Create reports that are collections of visuals, on one or more report pages • Share reports with others by using the Power BI service

People most often responsible for such tasks are often considered data analysts or business intelligence professionals. Power BI Online Service • Power BI Workspaces • Power BI Apps

The Power BI Online Service (app.powerbi.com), is the SaaS (Software as a Service) part of Power BI. Think of the online service as the distribution mechanism for your reports and insights. You can also collaborate within teams and departments using workspaces. Power BI Workspaces are where you publish reports to and a place to collaborate with colleagues to create collections of dashboards, reports and datasets. The workspace experience helps you better manage access to content across your organization. There are various security features embedded into workspaces including the ability to assign different roles and permissions.

Power BI Apps can be thought of as a packaged-up set of reports and dashboards published for a set of consumers. Every report and dashboard within a workspace has a toggle for whether it should be included in the app. The best feature of apps is that you can customize the navigation menu to organize content. You can also include hyperlinks to additional documentation, related systems, and so on.

Additional note: In a typical Power BI workflow, you begin by building a report in Power BI Desktop, then publishing it to the Power BI Online Service.

Cons: Limits to total data imports per person (note: limit is very high and unlikely a SMB would hit the top levels), same license fee per month between developers and consumers, shared storage capacity used within Microsoft servers, sharing reports can only happen between other users with Power BI Pro licenses features, no central governance possible

Power BI PremiumSuitable for: Enterprise Organizations, approx. greater than 500 total Power BI users

Pros: Ability to have unlimited consumers with access to the Power BI Online Service, sharing and collaborating on reports

Cons: All Power BI developers still require a pro license in addition to the Premium subscription, total end costs can be unknown due to a number of variables including, total reports, data volumes, number of queries, refresh rates and a number of other factors

With a standard, self-service Power BI Pro subscription, admins assign per user licenses. Thereʼs a per user monthly fee for Power BI Pro licenses. This license type enables collaboration, publishing, sharing, and ad-hoc analysis. Content is saved to shared storage capacity that is fully managed by Microsoft.

Starting at USD – $4,995Monthly price per dedicated cloud compute and storage resource with annual subscriptionA Power BI Premium subscription allocates dedicated capacity to an organization. Suitable for enterprise BI, big data analytics, and cloud and on-premises reporting, Premium provides advanced administration and deployment controls. Dedicated compute and storage resources are managed by capacity admins in your organization. Thereʼs a monthly cost for this dedicated environment. In addition to other Premium advantages, content stored in Premium capacity can be accessed by and distributed to users who don't have Power BI Pro licenses. At least one user must have a Power BI Pro license assigned to use Premium, and content creators and developers still need a Power BI Pro license.

Premium is an organizational subscription that provides a different way to store content – in dedicated capacity. With Premium, anyone with permissions, whether theyʼre inside or outside your organization, can view content stored in this Premium capacity, without purchasing individual Power BI Pro licenses. Premium enables widespread distribution of content by Pro users without requiring Pro licenses for recipients who view the content. Pro licenses are required for content developers.

Developers connect to data sources, model data, and create reports and dashboards that

are packaged as workspace apps. Users without a Pro license can still access a workspace thatʼs

in Power BI Premium capacity, as long as they're assigned a role in that workspace.

Beyond the ability to distribute BI applications broadly throughout the organization, Power BIPremium offers a range of other very desirable capabilities. The initial release of Power BIPremium will not yet have some of these capabilities, but we intend to iterate following theofferingʼs general availability. Additional planned Premium Capacity capabilities include thefollowing:

Some important Power BI Premium license features to be aware of

Noisy neighbors’ isolationThe query performance of your reports and dashboards is now protected from the activities of the other users and tenants in the Power BI service. The hardware is exclusively for your Power BI Premium use, so only your own workload will affect the performance.

Huge dataset storage and no user quotasWith Power BI Premium, you are freed from the standard user quotas of Power BI. Previously, we allowed up to 10 GB per Power BI Pro license in your tenant. With Power BI Premium, you get 100 TB of storage for each capacity you provision.

Higher dataset refresh ratesWe increased the data refresh frequency limits in Power BI Premium, from eight per day to 48 per day. So, the standard limits on refresh (hourly) is gone, and now you can have your datasets refreshed on a minute-based schedule! This is a great way to ensure that your users are always seeing the latest data.

Large datasetsThe standard limitation on the dataset size cached in Power BI is 1 GB. But with Power BI Premium, this limitation is removed. You will be able to build models as large as the Power BI Premium dedicated capacity memory can hold.

Incremental refreshWhen the datasets get large, constantly refreshing all the data becomes a lengthy and highly inefficient way of managing the system. Use Power BI Premium to incrementally refresh the data so that only the newest data from the last day (or hour) is loaded into Power BI. With Incremental Update, all you have to do is set the refresh policy for the various tables in the model and Power BI will take care of everything else.

Read-Only ReplicasWhen you need to deploy BI applications to a very large user population and you are worried that the number of queries run on the node will overload it, you should consider deploying Read-Only Replicas. With this capability you will be able to mark datasets requiring replicas, and with that copies of the datasets will be automatically created and deployed into the other nodes in your Power

Geographic distributionCapacities can be provisioned in any of the datacenters worldwide where Power BI is available. This supports BI projects where content must reside in certain geographic regions for regulatory or compliance reasons. In addition, capacities can be set up as geo-replicas to handle the scenarios of global deployments of BI applications.

If the dataset is stored in the U.S. and the end user is residing in Australia or China or South Africa, the distance between the user and the data can create performance issues due to bandwidth limitations and the speed of light (seriously). Geo-Replicas are very similar to Read-Only Replicas, but with this capability the replica is copied to a node in another region.

By setting Geo-Replicas you can ensure that users from around the world will connect to a copy of the data close to them and will enjoy the optimal performance and interactivity without concern for the physical distance between the user and the data.

If you have approximately less than 500 total Power BI users, medium to large sized datasetsand lower requirements around refresh rates, then invest in Power BI Pro licenses for allPower BI users

If you have approximately more than 500 total Power BI users, or any unique data relatedrequirements (referred to above), it is recommended to look deeper into Power BI Premium toassess total licensing investment required.
