PRESIDENT’S MESSAGE Dear colleague,

As I complete six months of my tenure as the President of our esteemed society, I cherish mixed feelings of being on the chair. Earnestly, it has never been a bed of roses for me, neither did I anticipate anything better. I had a vision and had to

fulfil the same with the unstinted support of a set of office bearers who always stood together for the progress of our society. Thank you all for your timely, but not so kind criticisms, which served as a catalyst in my endeavour.

The vision I envisaged when I took over wereTo streamline the activities of our society and strengthen the foundationTo improve the academic standards To enrich the financial statusTo archive the rich heritage of our societyTo empower the council members representing various zones in Kerala

I may be slightly egoistic but all the more gratified, when I say that I have been able to fulfil all the dreams I cherished in hardly six months’ time. The entire activities of our beloved society including the list of office bearers, venues and the details of those who won accolades were all unearthed and compiled. I thank all those who whole-heartedly joined me in this treasure-hunt. The old guidelines of 2004 have been revised and new guidelines have been structured to suit the current day practice. New academic initiatives have been implemented namely the PG Academic Program, Quiz-O-Mania and PG Academic Fellowship. The hitherto silent Council Members representing the various zones

of Kerala have been empowered to conduct regional academic programs on behalf of UAK to bring them too to the lime-light. Financial status of the society has been enriched with healthy contributions from the organisers of previous conferences; a special mention to the all-time record contribution from PEARLCON. The funds of the society have been invested as different corpuses, which can be utilised solely for the specific purposes they have been intended to. The entire activities of the society have been made transparent with open invitation for selection of topics, organisational matters, faculty, chairpersons etc. The GB held at Thiruvananthapuram gave the final nod for archiving the rich heritage and the current activities of our society. I plan to publish the UAK Handbook 2017 in three months’ time. I am sure we would be the first state organisation in the country to have this Holy Bible. My memories are afresh from creation of a similar handbook for ASU recently.

It is unfortunate that my preaching of law and order has been a subject of vehement criticism from some corners. I have been the victim of court-martialling at the General Body meetings of not only our society, but wherever I occupied a hot seat. All those who framed the rules and by-laws and even occupied the chair of office bearers have been strongly criticising my policy of adhering to our mother constitution. Everyone wants freedom. Everyone wants to break the rules he himself had framed. It is an irony that everybody wants to learn, but none wants to be taught. I am proud to say that I have come out unscathed from all these painful moments of my life and can probably dedicate myself for serving the society for a while more. Thank you once again for placing unconditional faith on me

Greetings to all from Kochi.

After the academic treat at Poovar and the festivities of the Thrissur Pooram, I hope all are back to work. The organizers of the Poovar workshop did a wonderful job, bringing the

stalwarts in reconstructive urology across India under one roof. The scenic beauty of Poovar Resorts shall remain in the minds of the members for a long time.

This newsletter also contains details of the upcoming events for which open invitations are being issued. I have also included the address and contact details of the members as available with us at present. I urge the members to kindly go through the details and revert back if any discrepancy is found.

Report on URORECON 17, the UAK midterm workshop held at Poovar-by Dr Biju Pillai

The midterm workshop of UAK held at Poovar was an academic treat to the minds as well as a treat to the soul due to the scenic beauty of the place and its surroundings. The organizers successfully brought the stalwarts in reconstructive urology across India under one roof for fruitful one and half days of discussion and teaching in a field of urology which is slowly slipping away from the hands of urologists.

Approximately 150 delegates including family members participated. The memories of Poovar shall remain in the minds of the delegates for a long time.

MINUTES OF THE MIDTERM GENERAL BODY MEETING OF UAK

HELD ON 22 APRIL 2017 AT POOVAR ISLAND RESORTS, THIRUVANANTHAPURAM

The meeting was called to order by the President

The President informed the house about the sad demise of one of the founder members of the society, Prof. Ramdas Pisharody. Dr.Vasudevan remembered Dr.Pisharody in his condolence speech and praised the achievements of this great teacher, who rose to the post of Principal of Medical College, Thiruvananthapuram and Chairman of KNOS. The members stood up in silence for a minute as a mark of respect to the departed soul and requested the Hon. Secretary to send the condolence message to the bereaved family.

The President in his opening remarks, expressed his satisfaction on the progress of the society. He urged the members to maintain peace and harmony so that the society could progress further. He further informed that the office bearers were working hard in harmony to achieve the goals of strengthening the foundation of the society, improve the academic standards, improve the financial status and empower the EC members to conduct academic programs in their respective zones. The President further informed that the minutes of the previous AGM was officially registered with the Registrar of Societies within the stipulated time.

When the agenda on ‘Matters arising out of minutes of previous AGM` was taken up,

Prof. Roy Chally asked whether this could be called as a Mid Term GB, since he believed that this was intended to be a Special General Body Meeting. He said that the only agenda should be the validity of Andamans General Body Meeting and the validity of selection of USICON 2020 chairman. The President read out article 16 of the Constitution and clarified that the meeting was Mid Term Conference only, since it was mandatory to conduct two General Body Meetings every year for the society. Dr.Krishnaprasad appealed to members that peace and harmony of the society which had somehow got disrupted in the last few years should be restored and he was pained by the current proceedings of his beloved society.

Prof. Roy Chally further enquired whether the Agenda of the present GB circulated by the Hon. Secretary was approved by the Executive Committee. The President informed that as per the by-laws of UAK, this process was not mandatory and further the available minutes of the previous Executive Committee Meetings did not mention about approval of Agenda before any General Body Meeting of UAK. Dr.Joseph Thomas remarked that the procedure adopted was legal, however the concern of Prof. Roy Chally was more of an ethical issue.

Prof. Roy Chally raised the concern that the agenda for the previous AGM at Andamans was not circulated, the minutes were not recorded by the Hon.Secretary and `one

man’s version of the proceedings’ were not acceptable to him. Dr.Nebu Issac Mammen, the then President clarified the circumstances in which the formalities for proper conduct of AGM could not be undertaken subsequent to the resignation of then Hon. Secretary and the absence of Joint Secretary and Secretary (In charge) for the AGM. Further he informed that due to technical reasons the Agenda for that AGM sent by him, were not received by the members and he was pained by the remarks of some of the members that he was a liar. The house felt that such remarks were not befitting the ethics of the society. The President showed the members a copy of the Agenda circulated by the then President, which was available in the Sent Items Mail Box of the sender. The President further informed that he had sought the help of Cyber-cell to clarify this issue wherein it was confirmed that a mail could remain in the Sent items Mail Box of a sender, without reaching the server for delivery due to technical reasons. The Hon. Secretary made submission that his appointment was only by the Executive Committee would have been valid only if the same was ratified in the Andamans General Body Meeting. Hence technically there was no Hon. Secretary to send the agenda prior to the Andamans General Body Meeting. Therefore the Minutes were recorded by the President Elect who was present in the AGM and handed over to the Hon.Secretary for circulation. The Minutes circulated were not those of `one man’ but were the truthful proceedings of the Andamans General Body Meeting. Prof. Roy Chally said that the minutes of Andamans AGM were not valid and he would not accept them. The President remarked that if the minutes of the AGM at Andamans were invalid, he would have to cancel the minutes of the GB held at Kollam

during Lithocon also, since the GB Meeting held then were not signed by any attending members.

Prof. Roy Chally then expressed his displeasure in the selection of the organising chairman of USICON 2020 during the AGM at Andamans. He suspected that the selection was biased and the nomination for the post was done by the Chairman himself. Dr.Nebu replied that proper invitations were made for all posts of the Organising Committee of USICON 2020 earlier and no nominations were received. As per the direction pf ASU to finalise the team immediately, the Executive Committee of UAK held at Pondicherry selected Dr.Krishna Moorthy as Organising Chairman for the Conference and Dr.Vinod KV as Organising Secretary. This decision only was ratified at the AGM held at Andamans. Dr.Krishna Prasad and Dr.P.G Antony enquired whether Dr.Krishna Moorthy was inappropriate to hold the post of Organising Chairman of USICON 2020. Prof. Roy Chally replied that Dr.Krishna Moorthy had many achievements and worked hard for the progress of the society. However he was concerned only about the fairness of the selection process. Prof. Sasidharan remarked that Dr.Krishna Moorthy and Dr.Vinod K.V were the best people to conduct the conference and only the decision to select them had to be endorsed in the next AGM so that everyone could support them. Dr.Abdul Azeez remarked that some of the minutes of the previous AGM were manipulated and were not those decided then (“The house entrusted the Chairman of USICON 2020 to select his organising team given adequate representation to members from all parts of Kerala”). Dr.Nebu Issac Mammen wondered what was wrong in the statement. Dr. Vinod KV remarked that the

sentence could be misinterpreted by some of the members as an empowerment of the Organising Chairman alone to select the organising team. The President informed the House that it was already decided by Executive Committee of UAK to call for open invitation for all committees for the conferences and hence the Organising Chairman alone would not have the power to select the team. Dr.Abdul Azeez remarked that the current President was behaving as a Head Master and trying to forcefully implement the rules in the books within the walls of the school. He further remarked that Organising Chairman had made a back-door entry to the post which was seriously objected by the President. Prof Roy Chally wanted the finalisation of the Organising Chairman and Organising Secretary of USICON 2020 to be postponed to the next AGM at Kasargod. Dr.Vinod and Dr.Joseph Thomas informed that any further changes in the organising team or delay in the finalisation of the same would be unacceptable to ASU and USI and it was possible that UAK would be deprived of its privilege to conduct the meeting due to lack of consensus about the organising committee. Prof. Roy Chally further remarked that Dr.Krishna Moorthy and Dr.Vinod KV conducting the conference together would be catastrophic to the society. Dr.Nebu Issac Mammen reminded that the Organising Chairman and Organising Secretary had already started working in unison and there was nothing wrong in them being together.

Prof. Roy Chally then expressed his concern on the circulation of an open letter by the President to all members of UAK which he believed, contained words and sentences amounting to threatening him. He also read out the sentences in the letter which had offended him. The President replied that the

letter had mentioned “Derogatory statements made against the office bearers of UAK would amount to insulting the Society and would probably draw legal actions against the accused”. The President reiterated that there was no offending language used in this and the letter mentioned only the loyalty he had for the society and not for his personal self. In spite of this, the President apologised to Prof.Roy Chally for the words in the letter if any, which had inadvertently offended him. Dr.Venugopal AV, the EC Member remarked that there were difference of opinion for various matters in the Executive Committee and that the conduct of the Executive Committee meeting on 21st April 2017 were not suitable to the Calicut people. The President informed that the date of succeeding ECM was decided during the previous ECM itself and could not be changed to suit some of the members in the last minute. He further informed that whenever the date was not finalised, the convenience of all members would enquired into, before the dates of ECM were announced. Dr.Vinod KV remarked that all differences of opinion in the ECM should be sorted out in the ECM itself and should not be brought to the GB Meeting. Further he added that decisions once taken in any meeting by the majority, were binding to all members, whether they objected or not to the decisions taken. Dr Vinod KV further informed the house that the GST law would be applicable from July 2017 onwards and the organising committee would have to comply with the same. Therefore the opening of accounts and payment of taxes regularly required the selection of Chairman and Secretary of USICON 2020 immediately and could not be postponed any further.

After these discussions, the GB resolved that the already selected Organising Chairman and Organising Secretary of USICON 2020

would continue in their respective posts. All further organising committee members would be selected only by open invitation, their nominations scrutinised by the Executive committee of UAK and approved by the General Body (Proposed by Dr Joseph Thomas; Seconded by Dr Krishnaprasad).

The Hon. Secretary presented his interim report on the activities of the society, since he took over. The House expressed its satisfaction on the proceedings. He further informed that the next PG Academic Training Program would be held at Thiruvananthapuram by Dr.Renu Thomas in July 2017. Dr.Renu Thomas was requested by the House to finalise the date, venue and program and inform the secretariat at the earliest.

The Hon. Treasurer presented his unaudited statement of accounts for the FY ending 2017 March 31st. He informed that the accounts of UAKON 2015, Lithocon and Audited accounts of Pearlcon by UAK auditor, were finalised and the surplus amount transferred to UAK Account. He informed that UAK has FDs amounting to Rs 23.75 Lakhs and SB balance of Rs 2 lakhs. He further informed that different corpuses like Prof. Roy Chally Endowment fund, Corpus fund for Academic promotion, Corpus fund for Educational Grant and General corpus fund had been created for different activities of the society, the interest accrued from each being ear-marked for utilisation for the respective purpose only. Surplus money if any, would be transferred to the General Corpus every year. The House requested him to keep aside a sum of Rs. 1 lakh as seed money for giving as advance for conduct of annual conferences of UAK, on the condition that the money would be returned within one month of conclusion of the program. The House approved the Hon. Treasurer’s report.

The Editorial Secretary presented his interim report and informed the members that he would soon publish the updated membership directory incorporating whatever information he could gather. The members would be requested to go through this and inform any changes within a stipulated time. The House approved the report.

The House approved the contents of the proposed UAK Hand-book 2017 compiled by the President and the audited statement of accounts for the period 1987-2006 compiled by the Hon. Treasurer. Further the GB requested the President to publish the Hand –book at the earliest and present the same to the Annual General Body, so that this could be minuted and registered with the Registrar of Societies. The President informed that the book would also include new guidelines for UAK activities and archives of UAK contributed by some senior members. He further informed that the publication of the book would be electronic and hard copies of the same would be published subject to availability of sponsors. The President also informed that the minutes of the approval of the Handbook when filed with the Registrar of Societies would regularise all the previous activities including the Office bearers, audited statement of accounts, prize winners etc. The House agreed to these. The House further entrusted the President to go ahead with the formulation of Constitution Amendments to be presented in the next AGM, since the Registrar of Societies had informed that none of the earlier Amendments approved by the AGM had been registered with them and hence were invalid. The House agreed to maintain status-quo in the society on all clauses of the By-laws until the amendments were properly registered.

UPDATION OF MEMBERSHIP DIRECTORY

Dr.Rajeev TP, organising secretary of UAKON 2017 presented his report on the arrangements for the conference including the dates, venue and tariff. The House approved the report. The House approved his suggestion to conduct the PG Academic Training Program on the previous day of conference, in collaboration with Dr.A.V.Venugopal, the EC Member representing that zone. Dr.Rajeev accepted the suggestion.

The House approved the topic for the next Review Paper Award as `Current Status of Biomaterials in Urology`, Dr.Rafeek as the Prof.Roy Chally Orator and Dr.Renu Thomas as the Quiz Master for the annual conference in 2017.

The Hon. Secretary informed that open invitations would be made for bidders for UAKON 2018 and Mid Term Conference of UAK, 2018 through Newsletter soon. This was approved by the House.

The matters relating to SZUSICON 2018 were discussed by Dr.Rajeevan AT, Organising secretary for the conference including the venue, tariffs and dates. The House approved his report and requested him to include the name of UAK as one of the co-hosts for the conference. Dr.Rajeevan agreed to this.

Dr.Vinod KV, Organising Secretary, USICON 2020 presented a brief report on the arrangements for conduct of the conference, including the proposed dates, venue and theme. The House approved the report and requested him to go ahead with the proceedings in accordance with the rules of USI and in consultation with the UAK.

The President remarked that some junior members, ignorant of the rules of the society were sending inappropriate letters demanding immediate reply to their grievances. The

House resolved not to entertain such unhealthy practices, reiterating the fact that the society neither had a permanent office nor a permanent secretary for immediate communications on such non urgent matters.

The President thanked the members for attending the meeting and for their healthy inputs.

The minutes of the meeting recorded by the Hon. Secretary were read out and passed (proposed by Dr.Suresh Bhat and seconded by Dr.Vinod KV).

The meeting was adjourned by the President.
